### "Awesome for student life and coding projects, but offline mode is lackingAwesome for student life and coding projects, but offline mode is lacking"

May 14, 2026

4.0

The biggest issue is the lack of a proper offline mode. If my campus Wi-Fi drops, accessing my notes is a headache. Also, the mobile app feels a bit clunky and slow compared to using it on my laptop. It definitely has a learning curve at first, too.

Pros

Overall, it's been a massive help for keeping my student life organized. I used to have notes and project files scattered everywhere, but now I have one central place for my engineering assignments, internship applications, and personal to-do lists. It’s highly rated for a reason and offers great value, especially once you get past the initial setup phase.

Cons

Honestly, the sheer flexibility. I use it to organize almost everything - from tracking my B.Tech coursework and Python/Java projects to logging my gym progress. Being able to create custom databases means I can set up my workspace exactly how I need it for task management. It's also super easy to share pages with teammates for group assignments.

### "A great tool for small or solo management, until you scale to enterprise"

April 2, 2026

4.0

A powerful tool to use that excels when working at higher levels or individually. As it is expanded to larger teams and/or enterprise however it might be worth exploring dedicated solutions - but in this regard Notion absolutely stands great in it's own corner.

Pros

Notion provides an easy place for notes and task tracking. It is ideal for project management and allows for a variety of views and filters, such as bullet points, kantan board, etc. As expected from task management solutions it allows for different status' flags that can be customised (Completed, pending, cancelled, etc) as well as creation of different 'buckets' that can be set according to whatever logic is fit for your purpose. (For example, you could have 3 projects 'buckets' and split tasks according to their ownership). It also allows for nested tasks withing tasks; this could include prerequisites or parallel functions that must be completed before an entire entry is marked complete. It boasts a fresh and modern interface with modular interactivity -i.e dragging and dropping tasks between sections or rearranging is smooth and snaps/rearranges the order nicely, whereas some alternative softwares might lack a refined or polished finish as such.

Cons

Notion works great as a higher level PM tool but lacks a lot of the functionality or features that you might find in a dedicated enterprise project management solution. As content grows in this respect, it can cause some dips in performance, sometimes resulting in the usually smooth graphics lagging a bit and feels a bit jarring. As teams expand it can also become a bit more difficult managing permissions and sharing.

At the time I started using Notion, Microsoft Planner was undergoing changes and switching from a legacy version to a newer moduler version (about 1-1.5 years ago) and as a result it was very buggy and couldn't implement with other services and functions in MS Project. As such I switched to Notion which felt less complicated as a dedicated task management tool and didn't need to be accessed via a 3rd party app (Like Teams or web browser)

### "Google Docs > Notion"

February 6, 2026

1.0

Overall, I think Notion has some slick features and it has some useful capabilities as a project tracking/collaboration tool, but the ease of use is awful. It makes it extremely hard for me to use. I would rather just use Google Docs.

Pros

Notion has a lot of nice features in their documents like being able to convert lines to tables or checklists. The copy/paste formatting conversion also works really well. If I copy and paste from a Google Doc, the formatting usually matches 1:1 (headings, bolded parts, lists, tables, etc...). Notion AI also makes it easy to find answers to questions using the company knowledge base. Notion also has a decent project tracking capability which allows for project collaboration. But even with these pros, the cons far outweigh it for me.

Cons

Notion is probably the most frustrating document tool I've ever used. While it has a lot of nice features, the interface makes it extremely frustrating to use them. For example, I was working on a document and went to make an edit by an @name but rather than being able to edit the text by the @name, Notion kept pulling up the @name's profile. There are so many instances like this where I try and edit something but notion ends up pulling something else up. I really prefer working in Google Docs over Notion. Notion is ok as collaboration tool, but I still feel like Google Docs can manage project tracking and collaboration as well as Notion and it's not an additional software you need to learn.

### "Notion over 4 yeras of usage"

March 27, 2026

5.0

Overall, my experience with Notion has been extremely positive. It’s become my primary workspace because it helps me keep everything organized in one place—notes, documentation, trackers, and plans—while still being flexible enough to adapt to different types of work. I especially like how easy it is to structure information with pages, databases, and links between content, which makes it simple to build a system that fits the way I work. Even though it can occasionally feel slow with heavier pages and requires discipline to stay tidy, it’s still the most reliable tool I’ve used for staying organized and productive over the long term.

Pros

I love having everything in one place: all my notes, ideas, and work docs organized into separate workspaces with pages, folders, and databases. It’s flexible enough to build anything from quick meeting notes to detailed documentation, checklists, and trackers, and it’s easy to keep things clean and searchable. The ability to link pages together and structure information in a way that matches how I think has been a huge productivity boost. It’s been my go-to tool for the last 4 years because it keeps me organized without feeling restrictive.

Cons

The biggest downside for me is that Notion can start to feel slow and cluttered as pages get heavier (lots of embeds, large tables, or long docs), which makes everyday navigation less smooth. The permissions and sharing model can also be a bit confusing—especially when workspaces have many people—so it takes extra effort to ensure the right people have the right access. Finally, maintaining a clean system requires discipline: without consistent templates and naming, it’s easy for information to become scattered across pages and databases, making things harder to find over time.

Switched from

[Sublime Text](https://www.capterra.com/p/179535/Sublime-Text/)

ublime was great for writing and editing code quickly, but it wasn’t ideal for managing notes, documentation, plans, and long-term knowledge. Notion gave me a single place to keep everything structured (pages, databases, templates, links, search), so I could capture meeting notes, specs, checklists, and personal tracking in one system instead of scattered files. Over time, having everything organized and searchable became more valuable for my workflow than keeping notes in a plain-text tool.

### "Notion Works Great if you Organize it well"

May 8, 2026

5.0

I have had a great expericence with Notion. I have found a system to keep notion organized but you definantly have to have a sytem or everything gets cluttered.

Pros

Seeing as it is free it has great value for the money. I have never needed the customer support. It is easy to use. Easy to collaborate on projects. And great Data synchrynazation. I Recomen organizes every thing Into pages and using pages like folders for other pages.

Cons

One downside to notion is that the taks managment aspect of it is difficult. However I have found a system that works for me. Notion does not have folders so you kind of have to organize you pages as folders, and link pages in the page.

### "Versatile All-in-One Productivity Platform for Efficient Collaboration and Organization"

May 3, 2026

5.0

My overall experience with Notion has been very positive, as it provides a powerful and versatile platform for organizing work, managing projects, and collaborating with teams. Its flexibility allows customization for various business and personal workflows, making it a valuable productivity tool. Although there can be a learning curve and occasional performance limitations, the benefits of centralizing information and streamlining operations far outweigh the challenges.

Pros

Notion offers an exceptionally flexible all-in-one workspace that combines note-taking, project management, databases, and collaboration tools in a single platform. Its customizable templates, intuitive interface, and seamless team collaboration features make organizing workflows highly efficient. The ability to centralize knowledge, tasks, and documentation significantly improves productivity for both personal and professional use.

Cons

While Notion is highly versatile, it can have a steep learning curve for new users due to its extensive customization options. Performance may slow down with large databases or complex pages, and offline functionality can feel limited compared to some competitors. Additionally, certain advanced features may require workarounds, which can be time-consuming for users seeking simpler out-of-the-box solutions.

### "The most powerful website"

May 18, 2026

5.0

We use Notion primarily for task management across our team. It is deeply customization and we need just that in order to have it do exactly what we desire. We initially used Trello, but it was too simple and did not allow us to set up the kind of automations and pages needed to be as productive as possible. Notion has become a staple in our company and I am very satisfied with the product. We would gladly pay more money for this service as we have become dependant on it for our collaborations. One time, I even used it to create a private website I shared with a client and it looked amazing!

Pros

The deep customization and how you can essentially create anything you need while having your team work alongside with you based on what you created. It's not the easiest to learn how to use, but once you learn how to use it, the power really shines. The value for the money is great especially when you consider just how many pages you can create. I also love how everything I do gets synchronized with my team so seamlessly after setting up powerful automations. Another pro is the fact that it comes with so many different templates you can start from depending on what you want to create. The possiblities really are endless with Notion.

Cons

The barrier to entry is a little steep. Meaning to create exactly what you want, it will take some learning. Not an insane amount, but you do need to watch a couple youtube videos or read up on how exactly to use Notion to the best of it's ability.

Notion AI sometimes struggles with structured workflow tasks, so I use ChatGPT first and paste the result into Notion.

Pros

Notion AI made it much easier for me to set up CRMs and project libraries quickly, and it is extremely useful for editing my writing. I also like using AI agents to write in different styles.

Cons

It took time to understand at first, but Notion AI made it much easier. I wish Notion AI were more affordable because I use it so much.

### "An amazing tool for collaborative work and personal projects"

December 29, 2025

5.0

As an IT developer who works with a team of other programmers Notion has been a really good tool for the team communication, task management or collaborative projects. You can adapt your dashboard the way you want and lso connect it with other tools like google drive , Notion calendar

Pros

I love the versatility Notion has. Because I can use the tool the way I want and personalize it the way I like (even with the free version). Some people use it as a digital notebook or website, I use it for everything like a task management dashboard for my IT team or as a personal diary when I travel around the world.

Cons

Mmm the only con I can think about it’s their poor UX on their mobile app. I don’t like it because you cannot use some functionalities they have on their desktop version.

It's been great to use notion for personal and professional organization. Once I set up my account, it's been easy to focus on getting things done instead of struggling with a system.

Pros

Cons

### "Notion: A go-to Marketing & Social Media Tool! "

May 23, 2025

5.0

I have been using Notion for less than a year. I love organizing my to-do lists and projects that I need to work on. It is helping me to stay organized with my social media & marketing planning, which can feel overwhelming sometimes. But Notion helps me to stay focused and engaged with ease.

Pros

I love Notion's interface. It is very easy to make your notes look good, easy to read, and well organized. I also love that Notion has so much expandability—I feel like I am just at the beginning. One can grow with Notion.

Cons

Some of the attributes of Notion are easy to pick up. But some, such as creating websites and accounting spread sheets, calendars -- those will take time. And while I am sure it will be worth it, it does require some dedicated learning & focus time. Which isn't bad at all -- just requires planning.

Notion is really a good program, but it needs to work on how easy it is to learn and use and this dramatically reduces the overall experience.

### "Multi-Faceted Workhorse App"

March 1, 2026

5.0

Pros

I love that I can use Notion for an incredibly wide variety of purposes, from basic note-taking to project management and website creation. I started creating multimedia websites for my students, complete with text, videos, and audio files, which makes it super easy for them to practice in between sessions, and I don't have to fight with the limitations of a course-creation platform in order to build the pages the way I want them to look and function. I also love how much you can do with it for free, and if you want increased file sizes (as I do for audio), it's only about $10 a month. Considering how many things I do with Notion, I save so much money compared to having separate subscriptions for all of those functionalities.

Cons

I have found the addition of AI to the app to be kind of annoying, especially when a note-taking banner would automatically pop up every time I started a Zoom call or even made a call via Google Voice in my browser. It took a while to find the setting to turn off this functionality. Other than that, I have been incredibly happy with the app for years, including when using it in a corporate setting, as a freelancer, and in my personal life.

### "Unmatched customization"

November 26, 2025

Overall I've had a great experience with the tool both for personal use and for my small team. Personally, I find the learning curve to be worth it in the long run.

Pros

I love how customizable Notion is and how easy it is to build exactly what you need. The templates help save time when creating pages, the database functionalities are getting much better, the integrations are quite powerful and the look is great (if you put a little effort in!)

Cons

The customizablility and blank canvas you begin with does mean there is a steeper learning curve with Notion than with other tools that might be more pre-configured.

### "My daily non-negotiable, go-to platform is Notion"

September 15, 2025

5.0

Notion does make my work life easier - it helps me be more organised and access all information easily. Helps team collaboration as well since we all get to contribute under one place. The flexibility to create pages means that I can shape my workflow in a way that suits me. Notion isn’t a full replacement for spreadsheets or advanced project management software either; formulas and reporting options are limited compared to specialised tools. While it centralises knowledge effectively, handling very large or complex data sets is still better suited to other apps. Overall though, the pros outweigh the cons for me. Notion is an excellent “all-in-one” solution for knowledge management, project tracking, and team documentation. It’s versatile, visually pleasing, and keeps everyone on the same page, literally. With ongoing improvements and thoughtful use, it’s one of the most useful tools in my productivity stack and my daily go - to.

Pros

I love the ease to use it + with the introduction of Notion AI, I get to write my 1 pagers much more efficiently as well as search for information I need quickly.

Cons

As I keep everything work-related on Notion (and even set up a personal page at home), I wish Notion had a similar function to Google Sheets so I didn't have to juggle through two platforms when it comes to working on formulas.

Overall Notion is less of a traditional project management tool and more of a revolutionary digital workspace. It combines notes, docs, databases, task management, and wikis into a single, incredibly flexible platform.

Pros

Its "build-your-own-app" approach requires an initial investment of time to set up but offers unparalleled long-term payoff in organization and workflow integration. It's a category of its own.

### "Notion is a Game Changer"

March 25, 2026

5.0

Overall, Notion is a fantastic software, especially for what we do as a business. The AI features are second to none, and the way you are able to integrate team members, collaborate on projects, and just organize everything from everyday business expenses, to events, as the task management features, it is such a crazy cool software.

Pros

Notion provided an fantatic value for the money in that it does everything we need it to do, regarding our workflow with our business. It's always easy to use, and allows us to collaborate with our team, syncs data instantly, and is always coming out with new updates.

Cons

Sometimes Notion can become a little confusing in the interface, but once I integrated Notion AI, things were able to be less confusing.

### "The best team software"

November 12, 2025

5.0

Notion has been great for our team, it is easy to learn, great interface, and I can login from my computer and phone!

Pros

This may be the greatest task management and special projects software ever created. Our company has a master list of 70 tasks due for a project that each of our team members is assigned to. We date when the task has started and when it is done. There is a lot of automation that we have not even scratched the surface of.

Cons

I think Notion is amazing but their AI assistant could use some more work. I used it when it first came out and its task automation was not great and then I hit a pay wall for wanting to use it more. Would love an unlimited conversation AI later.

### "Paperboard back support your writing wherever you go."

December 1, 2025

5.0

By integrating in Notion at SoftWeb PK, I finally connected the dots of specs, tasks and meeting notes; it minimizes context switching and I’m more than ever able to catch dependencies earlier when planning sprints or releases.

Pros

I’m a big fan of Notion because they combine notes, tasks and collaboration into one flexible space; this way as a developer I can keep client requirements, sprint notes and code snippets in the same trusted place.

Cons

For Notion what I don't like is that complex pages becomes heavy and messy, as we grow in projects it's hard to keep the structure clear and juniors take time to get into this.
