### "Language Learners Need To Add Notion!"

February 23, 2026

4.0

Notion is my primary language learning notebook application. I am using it to make myself tests in French, Italian and Catalan.

Pros

How malleable it is when it comes to replicating a real notebook, this app lets me move around all of the sections and reshape the way I see it. I dislike how rigid the other apps look. Notion feels like a real notebook to learn a language. This allows me to perform task management items like keeping sections by language, a dashboard that lets me use each section per language, and the customer support makes it easy for me to review tutorials, and most importantly, the ease of use makes this app easy to mold according to my language related goals, I just can't simply do this in another notebook app.

Cons

Sometimes having such flexibility makes my interface hard to manage because you have to sit down and purposefully mold it without making too much mistakes because you may over mold it and it may add more work than necessary. I highly suggest keeping lean and intuitive layouts and avoid those templates people promote or sell.

### "Notion over 4 yeras of usage"

March 27, 2026

5.0

Overall, my experience with Notion has been extremely positive. It’s become my primary workspace because it helps me keep everything organized in one place—notes, documentation, trackers, and plans—while still being flexible enough to adapt to different types of work. I especially like how easy it is to structure information with pages, databases, and links between content, which makes it simple to build a system that fits the way I work. Even though it can occasionally feel slow with heavier pages and requires discipline to stay tidy, it’s still the most reliable tool I’ve used for staying organized and productive over the long term.

Pros

I love having everything in one place: all my notes, ideas, and work docs organized into separate workspaces with pages, folders, and databases. It’s flexible enough to build anything from quick meeting notes to detailed documentation, checklists, and trackers, and it’s easy to keep things clean and searchable. The ability to link pages together and structure information in a way that matches how I think has been a huge productivity boost. It’s been my go-to tool for the last 4 years because it keeps me organized without feeling restrictive.

Cons

The biggest downside for me is that Notion can start to feel slow and cluttered as pages get heavier (lots of embeds, large tables, or long docs), which makes everyday navigation less smooth. The permissions and sharing model can also be a bit confusing—especially when workspaces have many people—so it takes extra effort to ensure the right people have the right access. Finally, maintaining a clean system requires discipline: without consistent templates and naming, it’s easy for information to become scattered across pages and databases, making things harder to find over time.

Switched from

[Sublime Text](https://www.capterra.com/p/179535/Sublime-Text/)

ublime was great for writing and editing code quickly, but it wasn’t ideal for managing notes, documentation, plans, and long-term knowledge. Notion gave me a single place to keep everything structured (pages, databases, templates, links, search), so I could capture meeting notes, specs, checklists, and personal tracking in one system instead of scattered files. Over time, having everything organized and searchable became more valuable for my workflow than keeping notes in a plain-text tool.

### "Google Docs > Notion"

February 6, 2026

1.0

Overall, I think Notion has some slick features and it has some useful capabilities as a project tracking/collaboration tool, but the ease of use is awful. It makes it extremely hard for me to use. I would rather just use Google Docs.

Pros

Notion has a lot of nice features in their documents like being able to convert lines to tables or checklists. The copy/paste formatting conversion also works really well. If I copy and paste from a Google Doc, the formatting usually matches 1:1 (headings, bolded parts, lists, tables, etc...). Notion AI also makes it easy to find answers to questions using the company knowledge base. Notion also has a decent project tracking capability which allows for project collaboration. But even with these pros, the cons far outweigh it for me.

Cons

Notion is probably the most frustrating document tool I've ever used. While it has a lot of nice features, the interface makes it extremely frustrating to use them. For example, I was working on a document and went to make an edit by an @name but rather than being able to edit the text by the @name, Notion kept pulling up the @name's profile. There are so many instances like this where I try and edit something but notion ends up pulling something else up. I really prefer working in Google Docs over Notion. Notion is ok as collaboration tool, but I still feel like Google Docs can manage project tracking and collaboration as well as Notion and it's not an additional software you need to learn.

### "Notion is the ultimate tool for Digital Nomads & Remote teams"

February 2, 2026

5.0

Notion has given me the flexibility I was looking for in my projects. I have everything I need in one place. As a digital marketer, it's very useful for team collaboration or project collaboration; you can personalize every dashboard for every client. Use it as a time tracker, Kanban task tracker, Feedback, content planning, etc..

Pros

My coworker recommended me Notion in 2019 for team collaboration dashboards and project management collaborations, and it was the best decision ever. Although I have the free plan, I use it every day for work-related issues, but also personal, like trips, and personal finances.

Cons

Now they are being a little bit too pushy to subscribe to their paid plan, but it's normal. Nothing much more to add here.

### "A great tool for small or solo management, until you scale to enterprise"

April 2, 2026

4.0

A powerful tool to use that excels when working at higher levels or individually. As it is expanded to larger teams and/or enterprise however it might be worth exploring dedicated solutions - but in this regard Notion absolutely stands great in it's own corner.

Pros

Notion provides an easy place for notes and task tracking. It is ideal for project management and allows for a variety of views and filters, such as bullet points, kantan board, etc. As expected from task management solutions it allows for different status' flags that can be customised (Completed, pending, cancelled, etc) as well as creation of different 'buckets' that can be set according to whatever logic is fit for your purpose. (For example, you could have 3 projects 'buckets' and split tasks according to their ownership). It also allows for nested tasks withing tasks; this could include prerequisites or parallel functions that must be completed before an entire entry is marked complete. It boasts a fresh and modern interface with modular interactivity -i.e dragging and dropping tasks between sections or rearranging is smooth and snaps/rearranges the order nicely, whereas some alternative softwares might lack a refined or polished finish as such.

Cons

Notion works great as a higher level PM tool but lacks a lot of the functionality or features that you might find in a dedicated enterprise project management solution. As content grows in this respect, it can cause some dips in performance, sometimes resulting in the usually smooth graphics lagging a bit and feels a bit jarring. As teams expand it can also become a bit more difficult managing permissions and sharing.

Switched from

[Microsoft Planner](https://www.capterra.com/p/227201/Microsoft-Planner/)

At the time I started using Notion, Microsoft Planner was undergoing changes and switching from a legacy version to a newer moduler version (about 1-1.5 years ago) and as a result it was very buggy and couldn't implement with other services and functions in MS Project. As such I switched to Notion which felt less complicated as a dedicated task management tool and didn't need to be accessed via a 3rd party app (Like Teams or web browser)

### "Great fit for startups, product teams, and anyone who lives in documents and needs a central hub."

March 9, 2026

4.0

Pros

Incredibly flexible. You can build pretty much any workflow you need, from a product roadmap to a CRM to a content calendar Real-time collaboration is smooth and reliable for teams The template library saves a ton of setup time The free plan is useful Notion AI is a nice bonus for rewriting / summarizing docs

Cons

The learning curve is real. Large databases slow down noticeably once you hit scale Offline mode is limited It's a generalist tool, so if you need serious depth in project management or CRM, dedicated tools still win

### "My review about Notion"

March 23, 2026

5.0

In my opinion, Notion is a great option if you need to completely customize your project management tool. There is a steep learning curve, but once it’s set up, the tool is intuitive to navigate. Notion is a powerful productivity app if you need a highly configurable platform and have the time to customize it, but for larger teams or those who want to get up and running immediately, other platforms might be more suitable.

Pros

You can take notes, manage projects, and maintain your databases in one place. The intuitive design makes it easy for users to navigate and organize their projects. You can tailor your workspace to fit your needs with flexible layouts and templates.

Cons

The mobile app is less intuitive than the desktop version. You might experience slow performance if you have large databases or complex setups. It can be challenging for new users to master without spending time on tutorials.

### "Flawless Until AI Was Implemented "

March 8, 2026

4.0

Overall, my experience is positive! I just wish I could opt out of the AI aspect. While you can still use it for anything you can think of (work, school, and personal), I feel less secure with the AI hovering over my shoulder.

Pros

What I like most about notion is the ease of use, customizing, and the “dsshboard” feature that allows you to keep all your links in one place

Cons

What I don’t like about notion is that it’s pivoted to AI, and I’m just trying to take notes on meetings and keep my tasks organized. I don’t need an AI assistant for that

### "Even a Beginner Can Use"

March 12, 2026

4.0

Pros

The way they have created this app to help people create different types of documents such as notes, emails, etc, and then take what has been made an organize it in the way they have set up for you. Everything feels effortless when using Notion and the learning curve for me was not long at all. Once I found my groove with the way it worked, I was creating my own Notebooks for organization for my business like nobody's business!

Cons

It took me quite some time of trial and error to finally feel secure enough in my use of this software where I felt as though I was really accomplishing what I set out to do.

### "Versatile, Creative and Organized Notion Helps Get My Life in Order"

July 15, 2025

5.0

Initially I was intimidated and overwhelmed, however once I learned the basics and started working daily with Notion I found myself liking it very much and enjoying the process of creating notes and database systems to organize both my business and person life.

Pros

What I like most about Notion is its versatility. I'm still amazed at how much you can do and create.

Cons

It's a steep learning curve and takes some time, which can turn into a project of it's own. This can turn into a bigger time commitment than expected.

### "Awesome planning tool"

July 16, 2025

5.0

Overall great experience with Notion. I tested other tools like Monday but they were out of my price range. This is a great product that does all I need it to do - and I look forward to exploring its functionality even more!

Pros

Great tool to help me visualize and plan out social media and other marketing communications. The ability to filter and tag on so many different levels is great. I love being able to view in both a calendar format and a list format. The pricepoint is also helpful for my small team without much budget to spare.

Cons

Great product, needs a learning curve to be handle properly. It can wrap around your business which is why i am using it daily. I find Notion AI a bit lazy at times, I end up connection to my own llm outisde.

Pros

Honestly, what I love most about Notion is how it just gets out of my way and lets me organize everything exactly how I want. I can dump all my random ideas in one place, set up automations with n8n that actually work, and keep track of my clients without switching between a million different apps. The fact that I can create a page that's part notes, part database, part whatever-I-need feels almost too good to be true sometimes.

Cons

It took me some time to figure out how to use it properly. I spent way many hours watching YouTube tutorials and still felt lost for the first few weeks. Sometimes it gets sluggish when I have too much stuff in there, and using it on my phone is kind of a pain compared to the desktop version. Also, I definitely went overboard at first trying to make everything perfect instead of just, you know, using it.

### "Notion is love"

March 15, 2025

5.0

I love Notion. I've been using the product for 5+ years already trying to bring it to all the companies that I worked for. The thing they pulled off with speeding the thing up while adding a ton of features to an already rich feature set was miraculous (think Notion AI, formulas revamping, layouts and forms).

Pros

Super sleek and intutive. Keyboard-native. Can be as simple or as complicated as you want it to be. After all the updated — reliable and fast. Guys really use the product themselves so the stupid bugs usually don't live long.

Cons

Maybe notifications and inline discussions could somehow be mad better. But I haven't seen it implemented better anywhere else too, so. The version history work could be improved too — like fixing and naming the versions. Also, some automations are working unpredictably (recurring page creation doesn't trigger automations for some reason).

### "A Flexible, All-in-One Workspace for Organizational Knowledge"

January 4, 2026

5.0

Overall, my experience with Notion has been very positive. It serves as a reliable source of truth for information across the organization and makes documentation both easy and flexible. Creating and formatting documents is intuitive and efficient, and features like tables, databases, and strong search capabilities help keep information well organized and accessible. Notion AI adds significant value by making it easy to surface existing knowledge quickly, reducing repetitive questions and saving time. While it can require thoughtful organization to scale well, Notion is a powerful and versatile tool for knowledge management and collaboration.

Pros

Notion is an excellent source of truth for information across my organization. I love how easy it is to start a document, and the many keyboard shortcuts to format my document (e.g. bullets, numbers, etc). I also love Notion AI—it's my first stop whenever I have a question to ask, since likely the question has already been answered inside of a doc. The search functionality is very helpful, and the ability to use tables and databases helps organize our information.

Cons

Since Notion can be vast and overwhelming, there should be a primary person in charge of organizing the entire workspace. This can lead to bottlenecks where we rely on that one person when we have questions. Notion can feel overwhelming due to its flexibility and lack of strong structure out of the box. Setting up effective workflows often requires significant customization, which can be time-consuming. As workspaces grow, performance can slow down, and finding information can become difficult without strict organization. Offline functionality is also limited, which can be frustrating when access to the internet is inconsistent.

### "Notion: an all in one space for modern businesses. "

January 9, 2026

5.0

The interface is clean, modern, and intuitive. Even users who are not tech-savvy can quickly understand how to create pages and organize information. Drag-and-drop blocks, templates, and shortcuts make work faster and more structured.

Pros

One of Notion’s strongest advantages is its flexibility. Users can create:Task trackers, Project timelines,Client databases,Meeting notes,Knowledge hubs. All of these can be linked and customized, making it suitable for startups, freelancers, marketing teams, and even large enterprises.

Cons

Notion is a very helpful software overall but for someone who is new to it may take a lot of amount of time to understand. A proper guide would be really beneficial.

### "My daily non-negotiable, go-to platform is Notion"

September 15, 2025

5.0

Notion does make my work life easier - it helps me be more organised and access all information easily. Helps team collaboration as well since we all get to contribute under one place. The flexibility to create pages means that I can shape my workflow in a way that suits me. Notion isn’t a full replacement for spreadsheets or advanced project management software either; formulas and reporting options are limited compared to specialised tools. While it centralises knowledge effectively, handling very large or complex data sets is still better suited to other apps. Overall though, the pros outweigh the cons for me. Notion is an excellent “all-in-one” solution for knowledge management, project tracking, and team documentation. It’s versatile, visually pleasing, and keeps everyone on the same page, literally. With ongoing improvements and thoughtful use, it’s one of the most useful tools in my productivity stack and my daily go - to.

Pros

I love the ease to use it + with the introduction of Notion AI, I get to write my 1 pagers much more efficiently as well as search for information I need quickly.

Cons

As I keep everything work-related on Notion (and even set up a personal page at home), I wish Notion had a similar function to Google Sheets so I didn't have to juggle through two platforms when it comes to working on formulas.

Notion has been great for our team, it is easy to learn, great interface, and I can login from my computer and phone!

Pros

This may be the greatest task management and special projects software ever created. Our company has a master list of 70 tasks due for a project that each of our team members is assigned to. We date when the task has started and when it is done. There is a lot of automation that we have not even scratched the surface of.

Cons

I think Notion is amazing but their AI assistant could use some more work. I used it when it first came out and its task automation was not great and then I hit a pay wall for wanting to use it more. Would love an unlimited conversation AI later.

### "Amazing for those that have the time to set it up"

April 14, 2025

Very good experience with Notion in general, they are always improving. I started using it during my studies, and continued to use it for oth my career and personal life. Many modern companies also use it for their company wiki, which is great! I always encourage modern startups to start using Notion

Pros

The customizability. Everyone can tailor Notion to their needs, this also means that it can sometimes be difficult to set it up because you don't know what you need and what solution in Notion there is. They also improve and come up with new features. The fact that everything is aesthetic is also the reason I am using it for both my personal life and career.

Cons

The mobile app version is a bit slow at loading and difficult to use in order to edit pages, and as mentioned, it takes some effort to make it fit your exact need and workflow - even though they offer templates which is helpful to get started.

### "A Fantastic Project Management Tool"

November 19, 2025

5.0

I've been using notion for about 5 years and manage a small team for building websites on a regular basis. We use notion for project tracking and task management.

Pros

Helps me manage a team of developers, organize our SOPs and track projects. It is my primary project management tool as a web developer.

Cons

The learning curve can be a little steep if you're not familiar with how databases work, but that can be solved with coaching and youtube.
