Overall, my experience with Notion has been really positive. It's become one of the few tools I use almost every day because it helps me keep everything organized without feeling cluttered. I like that it works just as well for personal planning as it does for managing work projects. It took a little time to learn at first, but once I figured it out, it made staying organized a lot easier. I'd definitely recommend it to anyone looking for a flexible all-in-one workspace.

Pros

What I liked most about Notion is how customizable it is. I use it for everything from organizing projects and keeping track of tasks to taking notes and planning content. Once you get the hang of it, you can set it up however works best for you instead of being stuck with a one-size-fits-all layout. I also like that everything syncs across my devices, so I can pick up where I left off whether I'm on my laptop or my phone.

Cons

The biggest downside is that there's definitely a learning curve when you're first getting started. With so many features and customization options, it can feel a little overwhelming at first. Overall, my experience with Notion has been very positive. It’s one of those tools that naturally becomes part of the daily workflow because it’s simple, reliable, and genuinely useful. From a sales and SDR perspective, it works really well for collaboration, knowledge sharing, onboarding, and keeping internal information organised without overcomplicating things. The ease of use is probably the standout feature, and access across devices has always been smooth and reliable. I also like that it fits naturally into a broader SaaS stack without feeling disconnected from other workflows or systems. I can’t comment too deeply on value for money since I’m not involved in the commercial side, and I haven’t needed customer support because the platform has been stable from my experience. Overall, it’s a very practical and well-designed workspace tool that adds genuine value for teams, particularly in fast-moving SaaS environments where collaboration and access to information are important.

Pros

The biggest strengths for me are the ease of use and collaboration side of the platform. Notion is very intuitive, easy to navigate, and doesn’t require heaps of training to get value out of it quickly. That's not to say there isn't a learning curb though, like with most solutions it can take a little time to adjust to how things area created. From an SDR perspective, it’s really useful for keeping meeting notes, onboarding material, SME information, sales processes, and campaign notes all centralised in one place. It saves a lot of time compared to digging through folders or disconnected docs, and you can create intuitive configurable layouts for ease of use. Team collaboration is also a strong point because everyone can work from the same source of truth, and updates happen in real time. Access and connectivity have been seamless as well across desktop, browser, and mobile, which makes it easy to stay organised in a fast-paced SaaS environment. From a value perspective, while I’m not directly across what the business pays for it, it feels like good value purely based on how many different use cases it covers in one platform.

Cons

The flexibility can become a downside if there isn’t proper structure or ownership internally. Over time, workspaces can get cluttered with duplicate pages or outdated information if teams aren’t maintaining things consistently. I haven’t really had issues with bugs or stability personally, although larger pages can occasionally feel a bit slow to load. Customer support also isn’t something I can comment on too heavily because I haven’t needed to engage with them due to not having major issues with the platform. Spam filtering isn’t really relevant to Notion specifically, but in terms of information management, things can become noisy if content governance isn’t handled properly internally.

It's not ideal, as it has some challenges to overcome in set-up and isn't mobile friendly, but that's more than compensated for by the centralization for project management, documentation and team collaboration. For medium-sized IT teams it is an affordable solution to boost efficiency of the workflow and ensure synergy throughout several tasks and priorities.

Pros

With wikis, task boards, and documentation all in a single place, we can structure our IT tasks with clearness using Notion. As an IT Manager, I really value the ability to have custom dashboards for tracking deadlines and assigning tasks to the various members of our department. It has been particularly useful to welcome new employees and get them access to important materials without the usual means of other applications or lengthy email trails.

Cons

The flexibility of the platform can be a bit confusing for those team members not accustomed to working with modular software. Templates and workflows have to be created and even the more tech-savvy are going to have to learn a curve. The user experience is satisfactory; but, when moving to complex dashboards or working together in intricate projects, the mobile functionality is somewhat restricted. There doesn't seem to be an offline access option either, which can be a pain in some situations.

As a digital marketer, it's very useful for team collaboration or project collaboration; you can personalize every dashboard for every client. Use it as a time tracker, Kanban task tracker, Feedback, content planning, etc..

Pros

My coworker recommended me Notion in 2019 for team collaboration dashboards and project management collaborations, and it was the best decision ever. Although I have the free plan, I use it every day for work-related issues, but also personal, like trips, and personal finances.

Cons

Now they are being a little bit too pushy to subscribe to their paid plan, but it's normal. Nothing much more to add here.

### "Language Learners Need To Add Notion!"

Notion is my primary language learning notebook application. I am using it to make myself tests in French, Italian and Catalan.

Pros

How malleable it is when it comes to replicating a real notebook, this app lets me move around all of the sections and reshape the way I see it. I dislike how rigid the other apps look. Notion feels like a real notebook to learn a language. This allows me to perform task management items like keeping sections by language, a dashboard that lets me use each section per language, and the customer support makes it easy for me to review tutorials, and most importantly, the ease of use makes this app easy to mold according to my language related goals, I just can't simply do this in another notebook app.

Cons

Sometimes having such flexibility makes my interface hard to manage because you have to sit down and purposefully mold it without making too much mistakes because you may over mold it and it may add more work than necessary. I highly suggest keeping lean and intuitive layouts and avoid those templates people promote or sell.

I've been using this for work for about a year now, and somehow it's turned into the place where basically everything lives. I'm in marketing, so my days are a mix of planning content, tracking deadlines, writing up meeting notes, and managing whatever the clients need that week. Before I switched over, I had stuff spread across Google Docs, random spreadsheets, and a few too many sticky notes, things definitely fell through the cracks more than once.

Pros

I can tweak things as I go. If a project needs a different kind of tracker, I can usually just adjust the view instead of rebuilding the whole page from scratch though I'll admit there have been a couple times I broke a layout messing with it and had to backtrack. My team puts notes and updates in there too, which has cut down on the "wait, did you see my message about this" kind of back-and-forth, though we still occasionally duplicate work because someone forgot to check the page first.

Cons

Desktop runs fine, no complaints there, but on my phone the bigger pages can take a few seconds to load, sometimes longer if I'm on weaker wifi. Fine for checking something fast or checking off a task, but if I'm trying to make several updates while out, I usually just wait until I'm back at my laptop. Not a dealbreaker, but it's the one thing I'd actually want fixed.

The search functionality is very helpful, and the ability to use tables and databases helps organize our information.

Cons

Since Notion can be vast and overwhelming, there should be a primary person in charge of organizing the entire workspace. This can lead to bottlenecks where we rely on that one person when we have questions. Notion can feel overwhelming due to its flexibility and lack of strong structure out of the box. Setting up effective workflows often requires significant customization, which can be time-consuming. As workspaces grow, performance can slow down, and finding information can become difficult without strict organization. Offline functionality is also limited, which can be frustrating when access to the internet is inconsistent.

A sense of regained mental clarity. By taking all my notes and project tracking out of my head and structuring them in Notion, I considerably reduce my mental load and always know exactly where to look for the information I need.

Pros

Notion has become my daily companion for centralizing my thoughts, notes, and team wikis. What I love above all else is its infinite flexibility. The interface starts with a blank page, and thanks to the block system, I can design the exact workspace I need: tracking tables, interconnected databases, task lists, or meeting minutes. The design is clean, modern, and very visually appealing. The ability to link pages together allows me to build a true knowledge network across my projects.

Cons

This total freedom is also its greatest flaw. At first, I felt completely overwhelmed standing in front of that blank page. Without a precise idea of what you want to build, you can spend hours setting up complex templates instead of actually working. Additionally, I find that pure task management features remain a bit lightweight: reminders and notifications are not as sharp or intuitive as those found in dedicated applications. Finally, the mobile app tends to be a bit slow to load when pages contain a lot of data.

I would highly recommend using Notion for note taking, managing documentation, writing blogs. Notion is also best regarded as your second brain. It is a great experience to use it as a digital notebook.

Pros

Notion has the best notes management setup. There are way many customizations that you can make with a simple page. It's very easy to use. You can also embed other software or websites on your page.

Cons

I wouldn't say Notion is the best team management software though it is very great for project collaboration, managing your software codebase documentation and team collaboration, but I wouldn't say it's best as team and task management software.

Pros

We started using Notion about a year ago to manage our client accounts and internal docs. For a small team, it's been really helpful to have everything in one place instead of jumping between Google Docs, Trello, and spreadsheets. The flexibility is honestly the best part. I built a simple CRM-style database to track all my client accounts, linked it to meeting notes, and set up templates for weekly reports all without asking IT or paying for another tool. The fact that my whole team can collaborate on the same page in real time saves us a lot of back-and-forth emails. Also, the templates gallery gave us a solid starting point instead of building everything from scratch.

Cons

The learning curve is real. When I first opened Notion, I had no idea where to start. It gives you a blank canvas, which sounds great in theory, but it can be overwhelming when you just want to get things done quickly. Overall I've had a great experience with the tool both for personal use and for my small team. Personally, I find the learning curve to be worth it in the long run.

Pros

I love how customizable Notion is and how easy it is to build exactly what you need. The templates help save time when creating pages, the database functionalities are getting much better, the integrations are quite powerful and the look is great (if you put a little effort in!)

Cons

The customizablility and blank canvas you begin with does mean there is a steeper learning curve with Notion than with other tools that might be more pre-configured.

Pros

It is much more powerful than I originally realized and gave it credit for. While I don't believe that it's traditionally used as a task/project management system, it can be configured that way, albeit a bit clunkily. It is very powerful as a database and has a lot of neat features once you get a hang of how to use it. The AI features are also pretty helpful, too.

Cons

Their customer support, in my opinion, has been pretty terrible. Long wait times for helpful responses, no real resolution for other issues that were pretty substantial blockers. It's also just NOT very intuitive to use, in my opinion. I've had to do a lot of my own research on features in order to get it to work for me. If I had my druthers, I'd probably use other products for some of the user cases that I'm currently using it for, even though that would be at a greater cost. Also, I think more of the baseline AI functions should be included in the paid seats as opposed to as an exorbitant add on. There are no live chat-with-a-human options, getting in touch via email can also be a struggle, and no ability to call unless you're at a certain payment tier. That would be fine if the product itself were more intuitive to use.

Formidable! je ne sais pas où j’en serais aujourd’hui sans un outil comme Notion. Tout est à ma disposition et je peux laisser libre cours à mon imagination pour structurer et organiser mes projets comme je le veux et souvent concorder avec certaines nécessités.

Pros

J’apprécie Notion car c'est un outil ultra polyvalent, pratique et structuré pour les entrepreneurs, les freelances et les étudiants. La marketplace regorge de tellement de modèles que l’on peut utiliser et, si besoin, customiser à notre sauce.

Cons

C’est compliqué à utiliser au début. Le fait que l’utilisateur doit apprendre lui-même à créer son espace nécessite une bonne connaissance des options, des propriétés, des relations entre les différentes bases de données et aussi des formules pour certains calculs dynamiques. Sur la marketplace, il n'y a pas la possibilité de prévisualiser les modèles payants ; une fois acheté, si ça ne vous convient pas, bah c’est tant pis.

notion is incredibly flexible and has become the central hub for our documentation, project management & team collaboration. I like how easy it is to organize information, create databases &build custom workflows without needing technical expertise. The interface is clean and the ability to keep notes, task and knowledge bases in one place helps improve productivity.

Cons

While Notion is very powerful, some advanced features have a learning curve, especially when setting up more complex databases and automations. Performance can occasionally slow down with large workspaces & certain features require workarounds that are not always intuitive. Improved offline functionality would also be a welcome addition.

Overall, i love using notion. I am a free member but its been fantastic and honesty im satisfied about what is offered as a free member.

Pros

I fricken LOVE notion. I love everything about it. It has completely transformed my workflows at work- making almost everything i do 10x easier to keep track of. I use it in my personal life as well to keep track of appointments and things i often forget about. The templates are also fantastic.

Cons

It took a little bit of time to get used to all of the features and possibilities. There are still many components i am not as confident with but theres a lot of great resources out there to help.

Cons

Die Lernkurve ist am Anfang etwas steil. Vorallem für neue User ist es manchmal unübersichtich was alles möglich ist. Offline-Modus könnte besser sein.

I wish we could integrate our existing ChatGPT/Gemini/Claude accounts into Notion AI without purchasing a separate subscription.

Notion has been a great supplement to the way we work with projects and tasks. It has helped the Admin department to communicate better with other departments in the company, such as procurement or HR. It was a lot easier to delegate and track a task once over the learning curve. For that money, it's useful and good, particularly for us as a small organisation.

Pros

I have used Notion for managing larger projects as well as for day to day tasks and it's been fantastic! An office administrator myself, I use it for task lists for my team and tracking vendor follow-up tasks. The dashboard is particularly useful for prioritizing and visualizing deadlines. It's adaptable as well enough to fit to the way that various departments in our organization such as procedures and logistics are working.

For many team members unfriendly to technology, it took some time until everyone got the gist of it. There are numerous features which is great, but it can be overwhelming at first. Another thing, sometimes I would like to see some more prebuilt templates for sectors such as ours (Oil & Energy).

Overall, once I learned how to use Notion and Notion AI agents I have been very pleased at my productivity.

Pros

I love that notion has several pre built templates available to help new business owners like myself get started without being overwhelmed.

Cons

When there are sections on my homepage I wanted to remove, it would send the entire page to trash instead of just removing from that section.

### "Flawless Until AI Was Implemented "

Overall, my experience is positive! I just wish I could opt out of the AI aspect. While you can still use it for anything you can think of (work, school, and personal), I feel less secure with the AI hovering over my shoulder.

Pros

What I like most about notion is the ease of use, customizing, and the “dsshboard” feature that allows you to keep all your links in one place

Cons

What I don’t like about notion is that it’s pivoted to AI, and I’m just trying to take notes on meetings and keep my tasks organized. I don’t need an AI assistant for that
