### "Notion is a powerfull tool with many features, but sometimes it is too much."

November 13, 2023

4.0

Pros

Notion offers a lot of features and tools to organize and publish your content. It is not just a note app, it includes databases than allow you to query your data and everything you need. You may use it for yor personal or work life. It has many templates and a huge community where you will be able to find whatever you like. There are many videos on youtube explaning how powerfull Notion is and how can you configure it to meet your goals. I recommend this tool because it fits for many people and the free tier is enough for almost everybody.

Cons

I feel Notion interferes too much in my flow. I am used to have noting apps that give you the basics and you can build your own flow using them, no learning curve. Notion offers a lot of features and this means it has a learning curve and many ways to organize your content. I sometimes feel I invest more time in configuring the views, changing them from tables to lists, etc. just to have something beautiful when I just need a blank page and a checkboxes to organize my tasks.

Cons

### "Possibly the most popular knowledge management tool, but privacy concerns"

April 26, 2023

3.0

Notion is quite powerful and very popular tool. But perhaps one can easily get too lost in configuring and templating their spaces instead of just using the core function of documentation. I'm no longer using it because of privacy issues.

Pros

One of the strengths of Notion is its flexibility. Users can create databases, tables, and lists with ease, and customize them with different views, filters, and sorting options. The platform also allows for rich media embedding, so users can add images, videos, and files to their notes and pages. It has a very generous education discount for both students and teachers.

Cons

While Notion is highly customizable, this can also be a weakness for some users. The platform's flexibility means that users need to spend a considerable amount of time setting up and configuring their workspace to meet their needs, which can be time-consuming and distracting. There are also privacy concerns. I remember a few reddit threads where users requested for support and they were surprised how easy it was for them to access their workspace after giving verbal/textual permission.Performance is also an issue. Complex or large workspaces can be extremely slow.

### "Great for Startups, not sure about Mature Businesses"

June 3, 2024

4.0

The way we used it at the startup I was working remotely at was kind of like a complete workplace with all the documents and various functions and projects loaded on there. I think this works well for a small team, but I don't think its super scalable without some serious forethought and planning, and likely some kind of "Notion Consultant" to help organise things.

Pros

Notion has a lovely layout with the left sidebar containing all the different pages, projects, tasks, etc. A little silly, but I love that we can add banners and emojis to the title and make the "virtual workplace" our own. Its great to be able to integrate other apps into Notion. We added our Gdrive, Slack, and Figma into the space and it functioned well. There are also ways to share specific pages with guests, and its possible to have private pages, separate from the team.

Cons

As lovely as the layout is, our Notion became cluttered and messy fast because we didn't quite know where to add what (e.g. tasks, projects, pages, etc.). It takes quite a bit of knowledge and forethought to organise a team around it. I also don't like that there are very limited fonts and typography. So anything that we export to PDF doesn't look part of our brand and we have to re-do it on another software. Also, when we embed documents in our pages, we don't quite have the same visibility (i.e. we have to click on a specific page to see what documents are linked to it). Maybe that's the way its intended to be, but I found it a little annoying and often just used Gdrive instead.

Switched from

[Asana](https://www.capterra.com/p/184581/Asana-PM/)

I would say primarily the look and feel of Asana was not something we naturally went back to. Notion's aesthetics (left sidebar layout, black-and-white colour scheme) made it a lot easier to check in on several times a day, vs. needing to be reminded to check Asana every week.

### "Organizzare la proprio vita in una sola app"

August 4, 2023

5.0

### "Notion as a study hub"

May 11, 2023

5.0

Pretty much flawless, only complaints being tiny tweaks that id love to see.

Pros

I love the ability to have a centralised workspace for everything, all types of content and projects. The AI integration is also very useful, adding to my arsenal of project planning tools.

Cons

I wish the AI assistant could be assigned external agents, to allow it to access information in pdfs or online data sources.

### "Notion is the one stop shop that will transform the way you work. "

December 5, 2023

5.0

The Wiki features, pages, databases, and embed features allow for deep levels of clear organization of everything any team member needs to know about our company, products, and project plans. Task and project management is made easy with Notion templates. We were able to replace a project management software. Task and project management being in the same app as our knowledge base/wikis has made our remote work 10x easier and our team significantly more productive. Databases, templates, team settings, and reminders make project planning super easy. Databases can store tons of information, and with filters, sorting, and various views including calendar views, everything can literally be in one place. A dream come true. Everything we need to know about a project, a course we're selling, marketing campaigns, etc. is in one place. For a remote start up company with a short window for onboarding new team members, this is essential. Integrations with other commonly used apps such as Google Docs, Typeform, and Slack make this app the perfect home base. And, the search function is wonderful! We use Google Docs still for long form documents and docs that need to printed or shared as a PDF because the text formatting features in Notion are not for this. BUT, the integration with Google Docs makes this easy and actually - FUN. The ability to manage multiple projects at once is a super easy in Notion. Use databases that you can highly customize this for your business needs, or use templates from thousands of other Notion nerds (or Notion creators themselves) to get started. We are working on about 45 different "projects" right now, that all have different needs. Using Notion's project management features, we can see all of the info that we need to at once, to manage our departments working cross-functionally and various team member's assignments productivity. We use our project list as the agendas for our weekly meetings and the individual task views as our guide for our one-on-ones with team members and supervisors, and it keeps us highly productive and efficient! We can take detailed notes right inside of a task, or leave comments for each other to keep a nicely organized "paper trail." Slack integrations help us stay notified of the most important things at the right times. Lastly, the professional and neat use of emojis has my inner 90s kid that loves stickers, extremely happy.

Pros

What is there not to like? It's a brilliant app that is highly customizable, ensuring that you can meet the needs of your business, team and clients included. I do everything in Notion from planning my day, to planning projects, managing team tasks, taking meeting notes, keeping track of budgets, using it as a CRM for clients, using it as a wiki space for everything that goes on in our company, keeping meeting notes, creating public landing pages for sharing important details with clients or prospective employees (without having to design an webpage), and even integrating it with other commonly used apps such as slack, Google docs, Typeform, LucidChart, and literally - hundreds more. The new AI features are so incredible - it's like having chat GPT built in, but it uses info in the content in your spaces and pages already instead of you having to "teach" it. Incredible! I love this app so much!

Cons

Using Notion to max capacity takes a bit of time and effort. Self-taught learners will have no problem diving right in, typing "/" and exploring all that Notion can do. Databases take a bit of time to learn as well, but the functionality is worth every bit. Luckily, there are some wonderful expert trainers on youtube and published by Notion itself that will help you and your team learn quickly. Also, I am looking forward to seeing more updates for the ipad version of the app so that I can use my apple pencil to take notes more easily. Also, the databases don't exactly replace Excel/Google Sheets, but the integrations with those apps are sufficient. The ONLY other con is not really a con, but a limited functionality that is intentional - there are not many features included for text editing. We still use Google docs frequently for "documents", especially those that need to be turned into a PDF or otherwise require more text editing features (word document style). This is on purpose, though. I think this helps keep the interface and experience very clean and uniform. BUT, Notion creators have wonderful ways of being creative with the limited functionality here!

Nothing compares to Notion. It can do everything! Airtable has a tiny bit more functionality in some areas, but I wouldn't be surprised if Notion catches up complete. We decided to save almost $1000 a month by switching to Notion for our database needs almost a year ago, and since then Notion has come out with some incredible updates that make the switch that much more worth it. For project management, nothing is a simple, customizable, and user friendly, as Notion.

### "Our digital workplace (it made me forget the Microsoft stack, to which I never want to return!)"

May 25, 2023

5.0

It’s just great that it creates the feeling that the whole team collaborates continuously.

Pros

It’s one platform with a huge amount of hyperlinked and metadated content. Content in its databases is presented in an unlimited number of filtered views - anyone gets served, based on only one truth that recycles the data. The AI component is really added value: it helps me translate, write letters, write documentation; it helps me think! And it even acts as a coach for me!!It also offers you the possibility to present your information in beautifully designed ways.

Cons

I can understand that some find it too dynamic, when they are used to the Microsoft files in folders, or the ‘my desktop’-world. Here you are always “together” —- collaboration is in the dna of Notion. Welcome to the 21st century!

Reason for choosing Notion

I could set up a number of use cases in a very fast way - so I got off and it didn’t stop…

### "Flexibility at your fingertips!"

September 15, 2024

5.0

I'm constantly impressed by the new updates that Notion is putting out -- I love that it's a collaborative tool with a strong relationship with its user community. It really feels like the company is listening to its customers and responding to their feedback, and also working closely with third party apps to create flexible, seamless experiences.

Pros

Notion is such a versatile and powerful tool! I use it extensively for collaboration and planning at work and in my personal life. The UI is incredibly intuitive, so even though there's so much you can do in the app, it's never overwhelming or difficult to figure out how to achieve the outcome you're looking for.

Cons

Notion is a very flexible tool, so it's really helpful if you come into a project with an idea of what you want your end result to be. Without that initial "vision," I had some trouble fully communicating the app's capabilities and scope to my colleagues.

### "Collaborative Design Hub"

September 30, 2024

4.0

We chose Notion as it supports the documentation of different types of the design information. That is why its ability to work with text, images, and databases all in one place matched our requirement for an all-in-one information center. For our design team's knowledge management system, Notion stands as the essential foundation. Bringing together different tools broke down separations and boosted our visibility of relationships within design tasks.

Pros

We use Notion for its ability to manage a range of design information types. Conversely, it mixes text and images with databases in a unified workspace that supports our desire for a common information repository.

Cons

Regarding the visualization of data, the features of table views are known to support only a few formats. The lack of a developed asset library means that it is necessary to integrate with external storage systems.

### "Using Notion to get organized and have all my stuff in one place"

August 15, 2023

4.0

Extremely adaptable table and database layouts. Used it as my primary method of note-taking and journaling. I like it better than both OneNote and EverNote combined. One of, if not the greatest, note-taking apps available.

Pros

Simple to input text and numbers. Terrific shortcuts for a variety of jobs. Excellent for including and embedding media. The app allows me to quickly photograph handwritten notes and store them in a folder I can sort through on my computer later.

Cons

Don't try to reinvent the wheel when it comes to table cell entry; if I click into a cell and start typing, it will replace the existing content (just like Excel does), and choosing cells is far more cumbersome than in Excel. The process of making a template is not the most straightforward, and it took me some time to master it.

### "Project and Task Management Software That Scales with You"

September 25, 2023

5.0

Overall, Notion is a great project planning and management tool that can help you stay organized and on track. It's robust features allow you to expand and scale just by adding new components or additional templates and workspaces, and the integrations add to the flexibility.

Pros

The flexibility Notion offers will blow you away. From simple lists to full blown websites and Wikis, Notion can help you get your ideas all the way from concept to fruition. The use of templates, both on the Notion site through Community - or the growing industry of Template creators - can expand the capabilities beyond imagination.

Cons

Once you get beyond the basic lists, Notion can have a steep learning curve, especially if you're not familiar with Databases. This can be seen by the large number of tutorials that can be found on the site and on YouTube. The workspace heirarchy and sidebar can be confusing and take some getting used to. Having an addiction to Notion Templates can become an expensive habit very quickly if you're planning on skipping some of the learning curve by buying prebuilt workspaces.

### "The ultimate all-in-one tool for projects"

November 19, 2023

5.0

Notion is a robust tool that's transformed how I handle my ideas and projects. The level of customization is unlike any other, and having an AI assistant at my fingertips is like a dream. Despite the initial learning hurdle and the consideration of cost for the full suite of features, I find Notion to be a like a swiss army knife and an indispensable asset in my work life.

Pros

\- Flexibility: Customizing pages in Notion is a breeze, allowing me to organize everything just the way I like using different content blocks. I can just write plain text, attach images and files, and set up interlinked databases that I can view in multiple formats such as table, list, calendar, gallery, etc. - Notion AI Assistant: A real time-saver that helps keep my productivity levels high since I can draft up proposals, project updates, and emails that would otherwise take me much longer writing from scratch. - Template Gallery: Offers a good starting point for various projects and use cases. - Seamless Integrations: Connects with other tools I use, simplifying my workflow.

Cons

\- Steep Learning Curve: Initially, it can be daunting, and you really have to make sure that you don't fall into the trap of overly complicating your set up. You may end up trying to utilize too many of Notion's features that it becomes overwhelming to use. - Cost Considerations: The free version is great for small personal use, but if you're using this for your business, you'll probably want to choose the paid plans, which is where the cost starts adding up with the per member pricing. The AI Assistant is an additional cost as well.

### "Notion updates all meetings almost immediately"

June 14, 2023

4.0

We use Notion in your company which has as its main objective, to centralize all the notes so that they are available to each of the key parties. In addition, we preserve the steps of the procedures we use in Notion for the purpose of new employees, etc. The major drawback it solves is to make it easier for us to organize all the things we want to keep track of. In addition, it is a very versatile area, so it is possible to sort the data in several different ways.

Pros

They are very popular for their great usability and have a very perfect web, mobile and even desktop experience, if desired. It is very intuitive and simple to use. Even the turn signals it can detect quickly. It provides us with the ability to sort and display information in a way almost anything we have requested. The notion is excellent for planning anything related to meetings. It replaces Google Docs in several circumstances. It is quite a bit simpler to navigate and open documents in comparison to a Google itself. What it is not so good at is the project management part. It is feasible to pretend to be many things at once despite the fact that they do most of the work they do.

Cons

It is very expensive and they have a terrible sentence. Despite the fact that it is good, it is complicated to prove the reason why you should pay for the things they require, especially for startups. Those undesirable should have a clearer superiority in the free of charge realm. They state they wish to have the capacity to be Airtable, Trello, and so on, however it's not there yet, and if it were, it would be too much to bundle into one application.

To have the ability to store, edit, import, and work all in one place is just amazing when using Notion. While I just listed a couple of features, notion has a vast array of benefits as well that will take any business to any level and just make it better. I particularly love that I can also share workspaces and templates if I need to with colleagues anywhere around the world. Oh, and did I mention that there's a ton of free templates all over the internet and in new marketplaces to get you started quickly? Finally, the added bonus of being able to make money creating and selling notion templates in any niche now that the market is still unsaturated is the icing on the cake. I'm very much looking ahead to see what the creators are going to do with this amazing tool, and I'm going along for the ride because, at this point, the sky is the limit.

Cons

As a newbie, sometimes it can be a bit tricky using notion, and that leads to frustration. For instance, if I buy or get a notion resource that has already been completed, all I have to do is import it into my own notion, and that's a breeze. However, when I start new projects, it will usually lead to vexation because I hate reading manuals and sometimes even watching tutorials. Being honest, this might not even be as much about the notion of being difficult to use as it is about me being stubborn. Overall there isn't much about notion that I don't like because it is that good.

August 5, 2024

5.0

Notion has been crucial for us on a team level as well as a company level, we use it for collaboration, project management, and internal documentation I would recommend this tool to everyone

Pros

Notion is a very complete tool, the use cases are unlimited and the product itself is great, in four years we haven't had any issues or bugs

Cons

The learning curve can be quite steep and confusing, but that's expected for such a complex product

### "An aesthetic project management tool with GREAT templates "

September 4, 2023

5.0

I think Notion is a great tool for all Business Owners and Creators. It's also such a great tool for personal use. Think shopping lists and travel planning boards! I'd recommend it to anyone that's planning anything from weekly errands to a client meeting agenda. Notion is YOUR space to create whatever you can imagine and tailor it to your needs. You're going to love it!

Pros

I absolutely love all the already-made templates you can choose from that Notion offers. Having a blueprint you can work from and edit to fit your day AND aesthetic is really so convenient!

Cons

Creating your own page from scratch is quite challenging if you've never used Notion before. It would be beneficial if they had an introduction to the software as part of your sign up. A couple of video tutorials with tips like 'best widget apps' would be so helpful!
