I started to migrate task I was doing in others apps to Notion one at the time, since I found that was the best way of not getting too over overwhelmed. Pros It is an excellent platform for creating a customized work environment. You can organize and follow up your projects and tasks as much as you want. Despite it takes a couple of hour to get familiar with how it works, it is totally worth it. it is really easy to keep track of your notes and task in all your devices. Cons I think the only limitation about Notion is the time it takes to get proficient using it if you are not use to these kind of softwares. Nevertheless, it is totally worth it to invest some hours watching and reading tutorials for getting familiar with it. Personally, I find the learning curve to be worth it in the long run. Pros I love how customizable Notion is and how easy it is to build exactly what you need. The templates help save time when creating pages, the database functionalities are getting much better, the integrations are quite powerful and the look is great (if you put a little effort in!) June 5, 2026 5.0 Notion has been a great supplement to the way we work with projects and tasks. It has helped the Admin department to communicate better with other departments in the company, such as procurement or HR. It was a lot easier to delegate and track a task once over the learning curve. For that money, it's useful and good, particularly for us as a small organisation. Pros I have used Notion for managing larger projects as well as for day to day tasks and it's been fantastic! An office administrator myself, I use it for task lists for my team and tracking vendor follow-up tasks. The dashboard is particularly useful for prioritizing and visualizing deadlines. It's adaptable as well enough to fit to the way that various departments in our organization such as procedures and logistics are working. Cons For many team members unfriendly to technology, it took some time until everyone got the gist of it. There are numerous features which is great, but it can be overwhelming at first. Another thing, sometimes I would like to see some more prebuilt templates for sectors such as ours (Oil & Energy). I use notion daily, from making notes to noting down my journals. I would recommend Notion Everyone trying to increase their productivity. The BEST feature is the Free sync with the app and pc version. Cons I wish we could integrate our existing ChatGPT/Gemini/Claude accounts into Notion AI without purchasing a separate subscription. While I don't believe that it's traditionally used as a task/project management system, it can be configured that way, albeit a bit clunkily. It is very powerful as a database and has a lot of neat features once you get a hang of how to use it. The AI features are also pretty helpful, too. Cons Their customer support, in my opinion, has been pretty terrible. Long wait times for helpful responses, no real resolution for other issues that were pretty substantial blockers. It's also just NOT very intuitive to use, in my opinion. I've had to do a lot of my own research on features in order to get it to work for me. If I had my druthers, I'd probably use other products for some of the user cases that I'm currently using it for, even though that would be at a greater cost. Also, I think more of the baseline AI functions should be included in the paid seats as opposed to as an exorbitant add on. There are no live chat-with-a-human options, getting in touch via email can also be a struggle, and no ability to call unless you're at a certain payment tier. I no longer have to look for a piece of information in a Google Doc, another in my emails, and a third in a spreadsheet. All my knowledge lives in the same place, which beautifully clarifies my thinking. Pros The flexibility is absolute. I can link a meeting note directly to a task, which itself is linked to a client file. The block-based writing is a pure joy and allows for the creation of gorgeous, perfectly organized internal wikis. Cons The flip side of the coin is the blank page syndrome. Because Notion can do everything, it does nothing "out of the box." I had to spend hours building my own templates.
