Once i started working with the notion API and automating inputs & coupling with agentic ai, documentation and queries where great. Pros Cross team collaboration. Having a document space, that serves as a record and a live document is amazing with remote teams. It makes async RFC's genuinely colloborative Cons I dont love the fact notion AI massively increased the cost when i looked into it. It’s really easy to use but it can also do so much! Pros I love the concept, design, customization features, and everything about this product. I mainly use it for planning and finalizing event details. We also use the Calendar a lot and for planning Marketing. We also use it for Team Meeting Notes and for housing reference docs. Good installable desktop interface as well as web. Offline mode is awesome for working on the train. Highly recommended. Pros Notion is the original block based collaborative working platform and I’ve found it fantastic to use for my clients. The tools to create SOPs, workflow, links between objects, guest accounts, version control and full history are all major pluses for Notion. Cons The licensing model quickly becomes expensive as you invite more people to work within your workspace. Per user this is low, but cumulatively it can become significant. For very small businesses it’s somewhat cost prohibitive unless your business can make a saving elsewhere I.e. by not using o365. The AI features are second to none, and the way you are able to integrate team members, collaborate on projects, and just organize everything from everyday business expenses, to events, as the task management features, it is such a crazy cool software. Pros Notion provided an fantatic value for the money in that it does everything we need it to do, regarding our workflow with our business. It's always easy to use, and allows us to collaborate with our team, syncs data instantly, and is always coming out with new updates. Pros Amazing do it all workspace for task management, team and project collaboration, note taking, and scheduling. The dashboard is clean and helpful and easy to use. Decent value for money for free version, did not use the premium version or customer support. Cons The premium version was a little polarizing to deal with as many blocked features would seem free but in actuality are not. Additionally their inclusion of AI features became disruptive and annoying to deal with as I ignored them and did not need them. June 2, 2025 5.0 Notion has been a great tool for my personal productivity, note-taking, and project management. I don't think I will ever expand its use to include my work teams. Pros Notion is an excellent no-code solution for teams or individuals who need highly customizable tracking and notetaking software. It's a lot of fun to set up, and once you've built it yourself, you have a deep understanding of how it works and how to optimize it for your workflow. The AI tools are excellent. The AI can take meeting minutes, answer questions about your notes and databases, and so on. At the time of writing, it's using GPT-4 and Claude, which are excellent models. Cons Because it's highly customizable and lacks guardrails, it's easy to spend too much time fiddling with the system rather than using it for its intended purpose. In particular, with teams, you would want to be judicious in ensuring that it was clear how to use the software, and that you locked down anything that you didn't want touched. It would have to be a very niche use case for me to choose Notion for team productivity rather than a more turnkey solution like monday.com or Asana. Alternatives considered [Evernote Teams](https://www.capterra.com/p/154969/Evernote-Business/) Reason for choosing Notion Evernote is laser-focused on document management, which is great, but I wanted the flexibility to use the same platform for task management and document management. We use it to create public-facing pages as well, allowing external parties to have access to content when needed. Cons As with most other modern business software, the thing I like the least is that Notion tries to push things like AI heavily, when there’s so much saturation in the market already. I have spent time just learning about different things I can do in it. That tells you that a tool is good when you are excited to learn all the different ways you can use it. Plus the access to the Notion and public generated templates make it easy for you to start off 90% set up if not 100% set up. And if you change what you want to do you can always change it however you want. Pros I love how you can customize almost everything about Notion. They add new features all the time to make it better and more effective. I use it to manage 3 different businesses. Everyone can tailor Notion to their needs, this also means that it can sometimes be difficult to set it up because you don't know what you need and what solution in Notion there is. They also improve and come up with new features. The fact that everything is aesthetic is also the reason I am using it for both my personal life and career.
