I use Notion as a company wiki to share documentation, instructions, policies and procedures with everyone on my 52-person globally distributed team. It's where new team members go to find and work through their orientation checklists. It's where admins go to work through their onboarding checklists when a new person joins the team. And it's where every team member goes every day to read the extensive instruction manuals they use to do their jobs. It's very easy to create and share beautiful and clear content with Notion.

Pros

I love how easy to use it is for content creators and readers alike. You can integrate all kinds of things: images, videos, html, databases, simple tables, etc. There are also lots of different types of heading (three sizes, with or without drop-down toggles to collapse them), which means the documents in our company wiki are very easy to navigate. I love using synced blocks when a rule or procedure is mentioned in more than one place—if you update one block, all of the others sync too so your documentation won't accidentally go out of date.

Cons

I had to try really hard to think of one, honestly! I guess I wish there was an easy-to-find user management page. The only way I know how to manage permissions is to use the small window that pops up when you click "Share" in the upper right hand corner of any Notion page. It takes fair amount of scrolling or a fair number of clicks to find someone on my 50+ person team and change or remove their permissions when I need to.

### "The more versatile tool for your needs"

As I said before, I would recommend Notion to everyone, whether you are running a business or you just want to be more organized, Notion is the tool you're looking for. It's complete and you can do pretty much everything that you need to organize your life or your business

Pros

The best thing about Notion is that you can customize pretty much everything, you can have a minimal planner or use a lot of images in your workspace. You can easy set up different databases to track whatever you want, like tasks, projects or goals. Lately they also released the Calendar App which is super cool because you can see all of your events that you create in Notion but it also synchronizes with you Google Calendar so you have everything is one place.

Cons

Sometimes I find it difficult to use more complex tools, like the "formula" property in databases. That's because the functions aren't really explained in the App, you have to search them on Google and find some guide but 'till now I always found everything I needed. I would like it to be a little bit more direct. maybe with little descriptions in-app.

All in all, Notion is top of the game when it comes to customization. No longer do you have to take an off-the-shelf software and adapt to it. With Notion, everything adapts to your needs and stays always customizable. A must for any user looking for freedom and structure at the same time when it comes to organizing your thoughts, life, project and products.

Pros

There‘s not much Notion can‘t seem to do. You can easily adjust it entirely to your liking - however, there is a pretty steep learning curve. Once you got it, though, the sky is your limit. Create as many pages as you‘d like, nest them within each other, shake up your hierarchy and even link databases onto other sites. The creative freedom concerning the hierarchy of your pages is phenomenal.

Cons

Lots of time spent getting to know Notion‘s myriad of options which results in a lot of studying early on and in a pretty steep learning curve. Luckily, there are tons of useful resources and learning videos including templates you can use and customize to your liking. I really wish it had a better stylus/pen integration for quick and easy hand-written notes.

OneNote - especially the Class Notebook - is great for teaching when you want to provide a clear set of hierarchy to your team or students. But using it for my personal organisation just never worked for me. It was too rigid with its narrow Section Group > Section > Page > Sub-page limitation. With Notion, I can simply nest as many pages within each other as I please - which is a game changer for me.

Overall even if it lacks some functionalities regarding integrations I think it's a very good software that can help you almost with any need (to some degree). Maybe if I needed it for something very specific I would consider using software that's focused on it because it would probably handle things better.

Pros

I love how flexible it is. You can use it for almost everything you need: Collecting recipes, task planning, project planning, and budget planning. It's nice and you can really see that the people who are developing it put a lot of thought when doing so. Usability is good and it's very intuitive overall.

Cons

I feel that lacks some basic things: For example, every time I have to edit a text to change the colour, font size... I need to click and select, which slows down the process a lot. Also, it freaks me out so much that in the lateral navigation, if you have a page, you can expand it even when it doesn't have child pages. If I have a page that doesn't contain other pages just remove the expandable option.We've tried to use it at work but we dropped it when we realised we couldn't synch it with Jira. I think it would be very very helpful and a great way for designers to switch from Confluence to Notion and have everything centralised in one place.

Notion is one of the best tools for personal / team productivity. All the features of Notion makes the user experience very intuitive. It allows users to customize the content with full freedom for creativity. I cannot recommend Notion enough.

Pros

Notion is very versatile; it has all the basic blocks like text, check-lists, tables, Kanban boards, and Calendar and they can be customized to fit the needs of the User. It also allows some mathematical and logical operations in tables and it is very handy in automating project management and workflow. It is very easy to add new content using Template feature and we can also import pages from other workspaces. The markdown elements make note-taking seamless. The advanced blocks like Table of Contents and Breadcrumbs make navigation much easier. Notion also has some AI capabilities as it can understand text like 'remind next Thursday at 3pm'.

Cons

The advanced features such as logical operations and rollups in Notion databases require some learning curve. There is no 'Empty Trash' feature so deleting content is somewhat painful in Notion.

it allowed us to create a GTD system and keep the rest of the team on track with all projects and the combination of urgent tasks across active projects to make every day productive

Pros

I liked the fact that we were able to create a fantastic GTD system (getting things done) that helps us keep track of our active projects, review tasks and collect all ideas and insights that get later categorized

Cons

their task management UI is less intuitive to use than notion, which makes us upset because it's the main reason we use notion, especially on mobile

Pros

I've been a user of Notion since 2016, and it's amazing to see the product grow in the capacity that it did. From its initial form of just "a better Google Docs", it has grown to be the tool I use for both work and my personal life. If you have something structured to store, Notion probably has a way for you to manage it well.

Cons

Larger files might be a little slower to load, but honestly over the past year Notion's speed has increased a lot. No major complaints.

Notion has been a good tool for organizing and working in a team. It has been fundamental to organize the structure of the different departments and to keep our database updated.

Pros

Notion is a complete application, both for professional and personal use. It allows you to keep a schedule, get organized, to-do list, add excel, graphics, events... it has everything. It is very versatile, and it is effortless to share a folder with a co-worker, because it has almost all the tools you don't need any additional program, plus it is compatible with many google extensions.

Cons

Its mobile version is quite bad, it has many errors. It does not have a Spanish version. It is VERY complicated to understand the application at the beginning, it overwhelms you.

I absolutely love notion, and I recommend to those who struggle to be organized in their daily lives.

Pros

There are so many reasons I love this platform, but truly, the ease of use is #1. It is so easy to set up different pages and databases, and I have no trouble switching between my laptop and my phone. I also love that there are so many FREE templates available that have been created by actual users. I use notion for my business, as a daily planner, and to track my budget. It has made my life 10x better.

Cons

One con is learning the formulas. If you are setting up a notion page and you want to integrate more automation through formulas, then I definitely recommend you get a refresher on that skill set.

Pros

I like notion the most its because it helps me organize my notes per subject that I discuss and also I can do a lot of things such as taking down my schedule for the month and tracking my progress for each tasks or goals that I have. I can create a lot of pages and share it with others.

Cons

The free version is very limited to those who does have budget especially for students. I started my journey in Notion since I was in college and some actions requires plans to pay off. Also, there is no tutorial or help tool when you are new to the website or application.

With all the pros and cons I outlined, I still love Notion and what it does to save my brain space. I just cannot live without Notion.

Pros

The best part of Notion is its Kanban view with capabilities to add great deal of notes, tags, keywords, dates, custom fields, within each task. My workflow would be a spaghetti if Notion didn't come to my rescue. I have made my move from maintaining a simple plain vanilla Google Spreadsheet to Notion and never looked back! All my YouTube video planning happens within Notion. And so is the case with my dozen other projects.

Cons

The first thing that stands out for me is its non-intuitive Folder - Page structure. The other annoyance happens within different views - whenever I want to see my data in a table view, the list doesn't make sense to me, although I was the one who created it. Another problem with table view is that when my rows grow in number, I had to scroll all the way down while the table itself takes time to load with every scroll. That micro-second waiting time is actually eternity in digital time. One additional irritation is that its mobile app is kinda slow. I just don't feel like even opening it on my mobile unless I really need to refer something real quick. Otherwise, I use just the web app 99.9% of the time.

Pros

I love the customizability even though there is a steep learning curve.

Cons

It can take a bit to get a system down. There's so much that it can be overwhelming at first and it does require more and more use to get better at it.

Notion is a great choice as it's a tool that can be looked at for all the documentation. I've used it to build my product workflow, PRD & pitch deck too. Recommended for all Product folks, Marketing teams.

Pros

1\. Loved the interface, alignment and layout of the tool. 2. Creating, editing & sharing a workspace is very convenient on both web and mobile too. 3. Shortcut keys & integration with other software make it an all-in-one workspace.

Cons

1\. No user education on how to use the features as they have plenty of it and user is lost while using it. 2. While sharing the document in the pdf format the videos & images are jumbled and can't hyperlink later. 3. No multiple fonts, colors and themes available. The gallery can also be improved.

No geral, no empresa e na área que eu faço parte, conseguimos reduzir o tempo de produção de conteúdos (desde textos mais longos até os menores), então posso considerar que o Notion contribuiu para melhorar nossa meta inicial.

Pros

O produto é fácil de usar. Gostei bastante da assistência de escrita com AI, embora senti dificuldade de fazer promps mais avançados como criar esboços para conteúdos, e salvar prompts (essa funcionalidade aparentemente agora existe, mas ainda não é de fácil uso.

Cons

Não existem muitos modelos (templates) de qualidade para quem deseja atuar com criação de conteúdo usando AI, a maioria dos modelos são focado em gestão de projetos, que é a funcionalidade mais famosa do Notion. No entando, seria ótimo ter mais templates que facilitem e estimulem mais o uso da AI.

Overall, great. It's really exceptional for organizing ideas and keeping on top of your projects. I've used it for almost about anything—writing a proposal, creating a portfolio, creating workspaces, etc. I really like it.

Pros

I can do a lot of things—note-taking, organizing my documents, creating a workspace for each project, and more. I also like how they add more features and iterate on older features. For example, the toggle heading was so smart. It makes so much sense and shows they listen to their customers.

Cons

There aren't many, but I don't like how I need to take several steps to turn on the dark mode. The table blocks can also improve.

What I like the most about this app is that it doesn’t matter what field you use it, it will always help you to organize your work, your life or to help to granite the schedule and the tasks at your company or business. I also like a lot that it offers you many options to edit the texts, images, forms, and you can even underline, so this makes the organization very much easier.

Cons

I haven’t had any bad experience with this platform, it always helps me a lot with organization and getting work done.

Overall we really like working with this tool because it brings together a lot of important elements to facilitate communication between our team members. We use the tool a lot to enter notes from our meetings, so employees can comment on the different notes. Also, the bulk of our work resides in the content calendar. We can divide everything either in ideas, in progress, in review and published. You can also easily see the launch calendar and have a visual to facilitate the work and collaboration of the marketing team.

Pros

We use this app to design our social media post schedule yearly. We can easily share the calendar with all our team members and each of them can add ideas or drafts using the appropriate tag. We can predict from this app if the posts will contain images or videos and therefore what work will have to be done by our marketing team. These items will then be added to our todo list. We also enter all notes regarding our team meetings. So everyone has access to important information no matter where they are. As we have employees who often visit clients, they will be able to access it directly on their cell phone using mobile access.

Cons

What I like least about using this tool would be the lack of features. We would have liked to have the todo list integrated directly when we write posts. There are several things to work on from the moment we create a draft for a publication. You have to create the visual and also add the content in our automated publication tool on social networks. I'm using the free version and I can't find the todo list feature.

Reason for choosing Notion

We chose notion because it's very easy to use and we're getting a lot of benefits from it in terms of communication and collaboration. We really love that everything is easily sharable and that you can add comment on the notes and on the draft content calendar.
