### "a workspace for managing business challenges"

March 3, 2026

5.0

This is the software that help us in managing all types of business challenges for optimum use of current resources.

Pros

I like the way it organizes all our project discussions and meeting notes with notion ai, and we can access all our business analytics and prioritized to-do lists in one single place.

Cons

The worst part of notion is that there is no customer support for immediate assistance. It makes every technical issue a bit of an adjustment.

### "A Fantastic Project Management Tool"

November 19, 2025

5.0

I've been using notion for about 5 years and manage a small team for building websites on a regular basis. We use notion for project tracking and task management.

Pros

Helps me manage a team of developers, organize our SOPs and track projects. It is my primary project management tool as a web developer.

Cons

The learning curve can be a little steep if you're not familiar with how databases work, but that can be solved with coaching and youtube.

### "Even a Beginner Can Use"

March 12, 2026

4.0

Pros

The way they have created this app to help people create different types of documents such as notes, emails, etc, and then take what has been made an organize it in the way they have set up for you. Everything feels effortless when using Notion and the learning curve for me was not long at all. Once I found my groove with the way it worked, I was creating my own Notebooks for organization for my business like nobody's business!

Cons

It took me quite some time of trial and error to finally feel secure enough in my use of this software where I felt as though I was really accomplishing what I set out to do.

### "Sleek and professional productivity tracker, has grown more sophisticated but also complicated over time "

June 9, 2025

4.0

I think it's great for when you want to almost be extra-organised abt something, giving a project a sense of formality. However I feel like the app has become more business-friendly over the years and focuses less on users that utilise it for personal productivity

Pros

It's great for organising to-do lists and planning activities ahead, but I primarily use it for personal use. I've been recommended to the app by a friend.

Cons

The amount of customisation it's grown to allow sometimes suck me in, and I get too absorbed with creating a look for the notes that feel handy for me. Sometimes I default back to my phone's note app for quick tickboxing exercises for this reason.

### "My Digital Brain"

January 15, 2026

5.0

It is where I do my best creative brainstorming and note taking. It substitutes for many other apps for me. I would recommend it to anyone who seeks a clean, all-in-one work space for their thoughts. It is invaluable to manage complex research materials.

Pros

Notion is gorgeous and it’s extremely flexible. I use it for my reading list and to take notes in meetings. I can have pages in pages. It serves as a kind of personal wiki for all my research results and thoughts. I love the clean look.

Cons

Sometimes the mobile app is a little slow to load. When it gets too much data loaded in one page, it starts to lag. Also, it takes forever to figure out a really good template. At times, I put more into the design than doing the actual job.

### "Campaign planning place."

December 26, 2025

5.0

I have been able to save campaign ideas, client notes and schedules in one place, eliminating spreadsheet documents and last minute confusion.

Pros

I prefer to connect notes, tasks, and briefs to each other, thus all the details of a campaign remain linked and can be accessed.

Cons

I don't like the fact that complicated pages may scare off novices, and onboarding requires more discussion in comparison with less complicated tools.

### "A powerful and flexible productivity tool"

January 29, 2026

4.0

Overall, my experience with Notion has been very positive. It’s a powerful all-in-one tool that has improved how I organize my work and ideas, even though it takes some time to fully get used to it.

Pros

I really like how flexible and customizable Notion is. It lets me organize notes, tasks, and projects all in one place, and it works well for both personal use and collaboration. The dashboards and templates are especially helpful.

Cons

It has a bit of a learning curve at the beginning, and some features can feel overwhelming. It can also be slower at times, especially with large pages or many databases.

### "Notion review"

If you don’t plan your layout well, Notion can quickly become cluttered. The experience is amazing once you leverage the AI

Pros

Makes building notes, wikis, project boards, CRMs, to-do lists, content calendars, databases easy. Also, cool AI feature in the app that makes creating documentations easy. Blocks system lets you design pages the way you want.

Cons

Can feel overwhelming at times especially for new users. UI can be better from it is currently. Using the app sure requires onboarding

### "Makes organizing every part of your life fun!"

February 26, 2026

5.0

Pros

I love Notion! I have always seen how powerful of a tool it is for organizing, but had been intimidated to try it. But once i did, it was a game changer for organizing my life. From my freelance work, to social media planning, and even my personal life. Not only is it helpful, it is also aesthetically pleasing, which makes it more fun to use. The free version is already super powerful on its own.

Cons

There is a learning curve. But once you are familiar with the features, it opens up doors to so many possibilities!

### "I am glad that Notion works so good."

April 6, 2026

5.0

Before Notion, we had information spread across at least 10 different applications. Now most of that information is located in Notion. This probably saves me some time.

Pros

Notion has databases, templates and workflows. I think what is cool is that it holds permissions exactly where you place them. To be honest, I am just glad the Role Based Control (RBAC) does not automatically reset after I login. So far, it has been useful to keep all of our information in one location, especially since we used to dig through 50 tabs like crazy people.

Cons

They really need to add much more advanced capabilities for the custom actions for the AI. As it stands right now, the abilities provided by the custom actions are very limited and that is frustrating.

### "Operations wiki with tasks and dashboards."

September 12, 2025

4.0

Action logs, follow‑ups, and SOPs coexisted, shared boards showed the same group priorities, and blockers became apparent early on dashboards, so handoffs between procurement, production, and quality progressed with fewer surprises.

Pros

Pages, databases, and templates bring SOPs, shift notes, and project plans to life, and boards, timelines, and rollups coordinate maintenance, QA, and production, and comments leave audit-able approvals without digging through disparate files or conversations.

Cons

Permissions and complex databases are a headache to support, and big workspaces bog down, so new editors must be taught not to kill views or duplicate fields when deploying department‑level templates.

### "Notion is a great storage and organization software"

December 22, 2025

5.0

I love Notion and use it for personal and professional purposes! It's great for storing documents and organizing your personal and professional life.

Pros

I love how customizable Notion is. You can literally create any system in it. I also like that it's cloud based so it's easy to store documents and files!

Cons

Due to how flexible it is, it's easy to create folders, and because of the ease, you need to really have a strong organization system unless you can get overwhelmed.

### "It’s hard to leave!"

December 27, 2025

4.0

Notion is the gold standard for solopreneurs and creative teams who want a centralized "hub." However, if your team is strictly project-management focused and hates "customizing" things, you might be better off with something more rigid like Asana or Monday.com.

Pros

No other tool handles relational data this gracefully. I love that I can have a "Tasks" database where one item is a simple checkbox, but clicking into it reveals a full project brief, a linked "Client" database entry, and an embedded Figma file.

Cons

While the desktop app is a 10/10, the mobile app remains a 6/10. It’s too "fiddly" for quick entries. Trying to move blocks or adjust database filters on an iPhone screen is a recipe for frustration.

### "Powerful, Connected, Steep Learning Curve"

April 14, 2026

4.0

It's a huge upgrade from the first-party apps of Notes, Calendar and Reminders through Apple and to have everything talk to each other in one app is really powerful. The challenge is building boards that are visually pleasing and functional on the backend.

Pros

The options and opportunities are endless! I also like how it integrates with so many other applications, making it a strong database hub.

Cons

The learning curve is STEEP! While I may be able to do and make almost anything, it's a bit daunting to actually start building. Pricing to utilize the AI tools I wish was a bit cheaper as well because it was extremely beneficial in building out my starter databases.

### "Notion, the big leader is in fact clearly deceiving."

March 14, 2025

3.0

I have explored various ways to use Notion, creating databases to visualize important data and formatting notes to enhance clarity and readability. When it comes to note-taking itself, Notion is quite effective. However, the AI features leave much to be desired. Notion's AI is significantly less capable than ChatGPT, with unconvincing functionalities. The AI is slow, and when used on pages with extensive data, it experiences severe latency, often freezing for several minutes. Overall, Notion is an average note-taking tool that falls far short of my expectations. Due to my unsatisfactory experience, I have recently decided to switch to Obsidian, which I find much better suited for fully custom complex and useful note-taking.

Pros

what I liked the most about notion Is the easy an intuitive use. Indeed first using notion is not that hard at all, everything is clear, and there is even an automatic tutoriel that is generated by Notion when you arrived in the interface this follow a questionary made by notion in order to highlight your uses. After this questionnaire Notion auto generate a pre build space that matches your need. Clearly my favorite part of notion is definitely the easiness of use even for beginners.

Cons

As a matter of fact what I disliked the most is the non-custom part of Notion, that's actually why I migrated to Obsidian. Notion feels like every users on earth have the exact same interface. That may be not important. But regarding as notes taking I consider custom ways of note taking being primordial.

Alternatives considered

[Obsidian](https://www.capterra.com/p/220063/Obsidian/)

Reason for choosing Notion

At first I choose Notion and I started using it but that's not the case anymore. Not talking about saying Notion is all bad ; I'm at ease saying it's clearly limited in complexe and custom notes taking. Notion is maybe good for "notes taking newbies" looking for a generic software but clearly when reaching higher level of use, it's deceiving.

My overall experience with Notion its positive, but I will love to have better options to learn easy and have more interaction.

Pros

Notion platform its highly flexible, all-in-one workspace. Has a lot of useful elements but takes time to learn everything that you can do.

Cons

Th platform is not as useful when is offline, it has a lot of difficulties when it manages large data.

### "Notion is love"

March 15, 2025

5.0

I love Notion. I've been using the product for 5+ years already trying to bring it to all the companies that I worked for. The thing they pulled off with speeding the thing up while adding a ton of features to an already rich feature set was miraculous (think Notion AI, formulas revamping, layouts and forms).

Pros

Super sleek and intutive. Keyboard-native. Can be as simple or as complicated as you want it to be. After all the updated — reliable and fast. Guys really use the product themselves so the stupid bugs usually don't live long.

Cons

Maybe notifications and inline discussions could somehow be mad better. But I haven't seen it implemented better anywhere else too, so. The version history work could be improved too — like fixing and naming the versions. Also, some automations are working unpredictably (recurring page creation doesn't trigger automations for some reason).

Reason for choosing Notion

It's faster, updates more often with a MUCH better UX.

Well, it just better in every possible way except for being tightly integrated with Jira. That wasn't a huge advantage for us at a time. Plus it's not a UX nightmare.

### "Notion for Task Management - It's a Game Changer!"

August 25, 2025

5.0

I use Notion for task management of active files. It helps keep me organized and is a quick way to confirm what I'm outstanding on my active files.

Pros

I love that Notion has several set ups for your task management needs. The ease of use is great and anyone with basic computer skills can use it.

Cons

Nothing that I can think of at time that I'm completing this review. Everything works and is easy to understand. No complaints!

### "Great tool for organizing work and collaborating"

March 16, 2026

4.0

My overall experience with Notion has been very positive. It’s a tool for organizing information, managing projects, and collaborating with teams in one place.

Pros

How easy it is for project collaboration. Teams can work on the same pages in real time, share updates, and keep tasks organized in one place. The data sync across devices is also very reliable, making it easy to access and update information anytime and from anywhere.

Cons

Sometimes it’s difficult to track or find specific edits in documents, it is not very intuitive to find them.

### "Not cheap, but worth it"

April 17, 2026

4.0

Overall this tool is super useful in my work. Sometimes it takes time to find the right function, but the good thing is, I am always sure, that the correct tool for right presentation of different type of infos, is somewhere there

Pros

The tool is perfectly structured, in my opinion. This helps to also bring in a good order complex ideas to be presented to others.

Cons

The functionality is large and this makes it a little difficult to use. Takes time to get used to the tool and to discover all needed functions.

### "Best workflow manager"

December 1, 2025

4.0

Good, I change many times the manner to use it and it always follows well my needs for my projects .

Pros

With Notion, businesses are now able to create their own system and it keeps all neatly stored and easily accessible. Add other tools used and create a single database for product information or client testimonials.

Cons

There isn't much to dislike. The only issue is the AI: it is overdue, poor for searching and context.

### "Notion great for documentation"

July 5, 2025

5.0

Pros

Notion is a versatile all-in-one workspace that combines note-taking, task management, databases, and collaboration tools in a single platform. It allows users to create highly customizable pages and workflows, making it ideal for both personal productivity and team coordination. With features like real-time collaboration, cross-platform access, rich database views, and integration capabilities, Notion supports everything from simple to complex workflows. Its intuitive drag-and-drop interface, permission controls, and adaptability to various use cases make it a powerful tool for individuals and organizations looking to centralised their work and streamline communication.

Cons

Notion lack of role-based access, not ideal if users multiple role and level of access. I had to purchase 3rd party to produce chart since they don’t have built in charts.

### "Great for multi-departmental organization"

September 8, 2025

Pros

Notion houses all our documents across all the different teams and is easy to search for key words and find what we need. I also like that it keeps the recently searched items at the top. I also really like it's AI search.

Cons

I find the formatting to sometimes be counterintuitive. If switching to Notion from another application, I have to remind myself how to use it.

### "Knowledge sharing with Notion"

February 2, 2026

5.0

We use Notion mostly to create our database of knowledge for our onboarding process and for knowledge sharing within our team and with other teams. It can be also used to take personal notes or to create space for 1-on-1 meetings (with notes).

Pros

The recent AI implementation in the Notion helps improve/check the text directly within the Notion. It's a useful tool to create a well organized knowledge base for collaborative knowledge creation.

Cons

The free AI usage was limited to certain number of times the last time I used it. Sometimes formatting (text modification and inserting images/videos on the Notion page) can be tricky for a new user (takes time to get used to using it).
