Pros This may be the greatest task management and special projects software ever created. Our company has a master list of 70 tasks due for a project that each of our team members is assigned to. We date when the task has started and when it is done. There is a lot of automation that we have not even scratched the surface of. Cons I think Notion is amazing but their AI assistant could use some more work. I used it when it first came out and its task automation was not great and then I hit a pay wall for wanting to use it more. Would love an unlimited conversation AI later. Exporting structured data to external tools also loses some relationships between linked databases. I mainly use it for planning and finalizing event details. We also use the Calendar a lot and for planning Marketing. We also use it for Team Meeting Notes and for housing reference docs. I am able to quickly and efficiently organize everything from vacations, to complex work projects. It took some getting used to but, now it's become second nature. Cons I didn't like that there wasn't a native messaging feature for working with others. However, I believe there was a recent update to address this but I have yet to check it out. June 2, 2025 5.0 Notion has been a great tool for my personal productivity, note-taking, and project management. I don't think I will ever expand its use to include my work teams. Pros Notion is an excellent no-code solution for teams or individuals who need highly customizable tracking and notetaking software. It's a lot of fun to set up, and once you've built it yourself, you have a deep understanding of how it works and how to optimize it for your workflow. The AI tools are excellent. The AI can take meeting minutes, answer questions about your notes and databases, and so on. At the time of writing, it's using GPT-4 and Claude, which are excellent models. Cons Because it's highly customizable and lacks guardrails, it's easy to spend too much time fiddling with the system rather than using it for its intended purpose. In particular, with teams, you would want to be judicious in ensuring that it was clear how to use the software, and that you locked down anything that you didn't want touched. It would have to be a very niche use case for me to choose Notion for team productivity rather than a more turnkey solution like monday.com or Asana. Alternatives considered [Evernote Teams](https://www.capterra.com/p/154969/Evernote-Business/) Reason for choosing Notion Evernote is laser-focused on document management, which is great, but I wanted the flexibility to use the same platform for task management and document management. Notion has the edge for individual productivity.
