The ability to embed documents, add video, automate tasks, project manage and share files all from the one document is a game changer. The tool is so versatile. I l also love the icons and modern feel and unsplash feature allowing you to add images very easily. Cons I thought there was a bit of a steep learning curve. When I was starting out I struggled to find good tutorials and if I didn't love the tool so much, I would have stopped trying to learn it. Reason for choosing Notion Ease of use. Once you get used to creating new content types by typing a forward slash, it's really difficult to go back to using Google Docs since Notion is so much more powerful. The database functionality is critical to my success as a project manager Cons If someone doesn't properly maintain it and train people in terms of where to put there content, it can become difficult to find the content you want. As someone who was using every single organizing tool under the Sun, I'd say there's nothing more flexible, user-friendly, and smarter than Notion. I am beyond grateful to the creators of this product, can't recommend it enough. Pros 1\. Great flexibility - it allows you to custom your pages however you want, it's like all its competitors in one! Whether you need standard tables, text, mood board, project management tools, task lists, Notion has it all 2. Shortcuts and links for everything - once you become an advanced user, you'll finish your work faster you could ever imagine, as it has shortcuts for every action. You can also link pages, and pull out the data from one page to another, which is incredibly important when you're managing projects & people 3. Perfect for both personal and private use - I store my reading lists, to do's, home binder, and run my company in the same app 4. Large online community with lots of creative ideas on how to get the best out of this software. Cons I would like it to be encrypted, and by far this is the only disadvantage I've found. All teams have a space they are regularly updating. Pros I have used Confluence at other organizations for document management/knowledge base and Notion blows Confluence out of the water. You can do so much with Notion and really customize it to fit your needs. It is intuitive to use and I really love how you can organize information. Cons There is a slight learning curve at first, but it is a great product with good product documentation and video tutorials. It's very intuitive, anyone can pick it up on their first day. It's great for documenting how things work, how stuff was done, etc. Tons of helpful in-line features like tables and gallery view. Lovely integration of emojis. Page nesting very helpful for building out a "manual" to your business. Cons There is one really frustrating issue with Notion: It's way too easy to edit. Simply clicking on an article or ticket can wipe away it's title or content. I've done this more than once. I'll be poking around some documentation left by an engineer and accidentally re-write a portion of the notion page. Another smaller issuer is that they don't index tickets (like JIRA). Since there is no numerical value assigned to the 100s of engineering tix, it can be cumbersome referencing them. Even you can use it to "stitch" together documents in other services (like a Table of Contents). The ability to create multiple kinds of text (code, toggle blocks, to-do lists...), and the databases to organize info makes it useful for multiple sectors (marketing, developers, etc.). Even you can start with example templates and start to learn if it fits your needs. Pros You can use it from the first minute to take rich notes. It has a lot of features that lets you create a rich wiki-style knowledge repository. Then you can learn about its quite powerful database system, that lets you use pages as database rows, to organize your info in rows and columns. It has good integrations with Google Drive and other systems, so you can embed documents from other sources. Cons It lacks an API or other system that lets you connect with other apps, create actions though buttons and similar things. As of Aug 2020, they say they're developing an API. Some tricks and features of the app are difficult to understand or discover (tiny details with databases and so). You can create multiple dashboards 3. You can create subcategories within each dashboard 4. Each board can be of multiple formats - checklist, table, board, calendar, or even a gallery 5. These tables (spread sheet like structure) work exactly like an excel sheet. You can include dates, statuses, links, and many more things. 6. Each row in the table works as an individual page 7. Pros I am a HUGE fan of Notion. We use it every day to track all growth related activities. It does a phenomenal job with organizing documents and making them accessible to the whole team. My favorite features are the spreadsheets and tagging system, which I've used extensively for tracking customer research. Cons The only complaint I have is that the system for notifying other team members when they've been tagged is not the easiest thing to use. It could use some improvement.
