Pros This may be the greatest task management and special projects software ever created. Our company has a master list of 70 tasks due for a project that each of our team members is assigned to. We date when the task has started and when it is done. There is a lot of automation that we have not even scratched the surface of. Cons I think Notion is amazing but their AI assistant could use some more work. I used it when it first came out and its task automation was not great and then I hit a pay wall for wanting to use it more. Would love an unlimited conversation AI later. Pros What I like most about Notion is its versatility. I'm still amazed at how much you can do and create. Cons It's a steep learning curve and takes some time, which can turn into a project of it's own. This can turn into a bigger time commitment than expected. Reason for choosing Notion Obsidian was a serious contender, but Notion won primarily because I need to make sure that I could sync everything across multiple devices without issues. Good installable desktop interface as well as web. Offline mode is awesome for working on the train. Highly recommended. Pros Notion is the original block based collaborative working platform and I’ve found it fantastic to use for my clients. The tools to create SOPs, workflow, links between objects, guest accounts, version control and full history are all major pluses for Notion. Cons The licensing model quickly becomes expensive as you invite more people to work within your workspace. Per user this is low, but cumulatively it can become significant. For very small businesses it’s somewhat cost prohibitive unless your business can make a saving elsewhere I.e. by not using o365. For small or growing companies, I think it’s the perfect tool to start building internal structure, processes, and documentation in a way that evolves as you grow. The AI integration is also a great plus — it helps you stay focused and get quick support without leaving the app. And you have tons of templates, from other users and from Notion directly to use and start working. Pros I really like how easy it is to use. You can set up entire sites, wikis, and organize company wide documentation without needing any technical knowledge. As a Team Leader, it’s been incredibly useful to centralize all the information my team might need in one easy access space. I also appreciate how quickly new users can pick it up. You can build anything from task boards and meeting notes to onboarding guides and project trackers. Cons In the free personal version, there are some limitations on how much content you can share or how many collaborators you can add. This makes it harder to use for things like planning trips with friends or managing shared content with family. April 6, 2026 5.0 Before Notion, we had information spread across at least 10 different applications. Now most of that information is located in Notion. This probably saves me some time. Pros Notion has databases, templates and workflows. I think what is cool is that it holds permissions exactly where you place them. To be honest, I am just glad the Role Based Control (RBAC) does not automatically reset after I login. So far, it has been useful to keep all of our information in one location, especially since we used to dig through 50 tabs like crazy people. Cons They really need to add much more advanced capabilities for the custom actions for the AI. As it stands right now, the abilities provided by the custom actions are very limited and that is frustrating.
