Pros

### "Notion: a second brain"

December 5, 2024

5.0

Notion has changed my way of working. It has become my second brain, and it is really useful when you need to organize your events in a calendar view, but also add information about them, even categorize them by stages or progress. My daily routine starts checking Notion to see what I have to do, and once the work is done (or distributed throughout the week), my brain can rest without thinking about unfinished tasks: the next day I'll keep going.

Pros

I like the versatility that Notion offers. You can organize almost any kind of information, and I like the most the capability to change between views, for example from table view to calendar view.

Cons

For some users like me, who overthink and want to have everything organized and categorized, Notion could represent a danger: you spend more time organizing things than actually getting things done, but I think this is not a problem of the tool but a risk to the users. Self-control is recommended!

### "Notion, compagnons de vie"

February 28, 2025

I experience with Notion AI is fantastic so far.

Cons

I like everything. I never had any issues with this software.

### "Kind of a Microsoft Word for me "

July 24, 2025

5.0

I use Notion more like a typing tool and also for writing. It's true, it's not made for just typing, but I prefer to use it this way and not pay in case it gets limited or to learn how to use all these hundreds of block options.

Pros

I like that you can create a page, put an icon, a cover page (one from availables or import one yourself) and write whatever you want. It seems bland and minimal, but there are ways to make it more alive with colors (even if they are not very bright).

Cons

It's nice to use, but all these features seem a bit too much for me, so I only take my slice of this cake and forget about the rest.

### "Digital Organization at its Finest!"

November 18, 2024

5.0

I've been looking for ways to improve my organizational skills. Most of my life I've had a tendency to allow clutter in my spaces, physically, mentally and yes- even digitally. Notion is helping me organize all of this clutter and find a system that truly works for me, and for that I am SO grateful! As I'm getting older (38 currently), I've become more aware of how important it is to simplify and organize our spaces. In comes Notion: my solution to stacks of physical notebooks, dozens of desktop sticky notes on my computer, etc. Notion has made it SO simple for me to organize my thoughts, my school work (as a non-traditional bachelors student in my late 30s, Notion has helped me in tremendously!!!), my blog writing, my content creation, recipes, family schedules, and so much more. Notion.so, thank you for playing a part in improving my life, I love you! lol

Pros

I have so many favorite Notion Features! I will try to list them all. Some things I love: The templates - you can purchase templates or find some for free. (You can also learn to create your own templates. I am not that advanced yet, but one day when I have time I'd love to learn more). I absolutely LOOOOVE the search feature and utilize it pretty much daily (multiple times a day even). This saves SO much time. Think about it: with a physical notebook, you have to scan the pages to find specific information (when studying, looking for a specific recipe you’ve written down, etc) but with Notion? Just use the search bar to search a phrase, term, whatever you're looking for, and bam: there it is!! I could go on and on about all of the features I love about Notion, but I'll include a list of the ways I use it daily: daily journaling with the built-in journal feature (I customized it to my preference), checklists (to help me organize daily, weekly, monthly tasks), the Pomodoro Technique template is awesome (set a timer and really focus on each task at hand!); I regularly use the "Toggle" feature so that my pages aren't too terribly long, I can open the toggle to see more information. I absolutely LOVE that you can embed YouTube Videos, webpages, PDFs, images and more right into Notion! This has helped me organize things so well! I love the "Reading" List! You can add books you'd like to read, you're currently reading, rate the book and include tons of info. I've taken it a step further an added my e-books, chapter summaries, etc to keep all of my book information together and easily assessible for quick refreshers at any time! I could honestly go on all day about all of the amazing, helpful, and time-saving features within Notion.

Cons

I honestly cannot identify much that I like least about Notion. So far I am loving each feature. As with anything, some things may take time to practice and figure out (an example is creating my own templates using formulas etc to meet specific need, but I'll work on that later when time allows). Overall, Notion is VERY intuitive and easy to use.

Switched from

[Microsoft OneNote](https://www.capterra.com/p/227211/Microsoft-OneNote/)

I made the switch from desktop OneNote "sticky notes", and although they can be helpful, I found myself overwhelmed by the sheer amount of them I accumulated over a short time. It felt so cluttered and I knew I needed a better solution. This is when I met Notion and I'll never look back!

### "How to organize your thoughts easily with notion"

May 11, 2025

5.0

By integrating Notion into the gallery’s structure, we reduced email back-and-forth and had a hub that kept our projects moving on time.

Pros

Notion has also allowed our team to keep meeting notes, project plans and content calendars in one place instead of in separate apps.

Cons

It’s also a little bit of work up front to create templates that are best-suited for a nonprofit’s reporting and storytelling needs.

### "Clear UX, great for productivity and collaboration"

May 25, 2025

4.0

Great. I use it daily for collaboration and outlining projects. Design and UX is very clear, a perfect tool for collaboration.

Pros

Clear design, UX. The design and look promoted and supports productivity and collaboration. Notion AI also works pretty good.

Cons

Doesn’t export how the document looks on Notion. This can be solved and improved. Clickable links don’t work, and images positions are not the same as on Notion when exported.

### "All of your project tasks and notes in one convenient spot!"

June 12, 2025

5.0

It's an awesome experience overall! My project tasks and notes are all neatly in one spot and Notion helps me organize everything super well. It definitely suits my needs.

Pros

It's an amazing note taking and project management software. I love using it to keep track of my tasks and take notes during meetings and interviews.

Cons

It's a solid app but it can be so insanely complicated. There is potential for a lot, but there is a lot of complex things to work through in order to get there, it's scary and overwhelming. That's only if I'm being super nit picky.

### "App with an incredible potential"

March 5, 2025

4.0

You can find a lot of powerful Notion dashboards made by the community (for free or paid) which demonstrates how powerful Notion is. I principally use Notion for wikis, for code snippets, and in order to save useful information in one place.

Pros

\- It is not just about notes, but also to-do lists, databases, calendars, wikis, kanban boards, tables, galleries, lists, etc. The limit is in your mind! - Highly customizable. - Real-time collaboration. - Cross-platform and synchronized between devices (web-based). - Free version includes a lot of features.

Cons

\- Steeper learning curve. As it is so much flexible, it could be overwhelming at the beginning. - It requires a lot of time if you want to make something complex. - Collaboration features are limited in the free version.

### "Stay Organised and Meet Deadlines"

November 17, 2024

5.0

It saves a ton of time and easily keeps my business organised in a way where I don't have to think about it. It's an essential tool for juggling multiple timelines on document and project deadlines.

Pros

Notion allows you to run a business, and keeps you on track with managing projects so you meet deadlines with ease. It allows you to brainstorm your ideas, and flush them out or make notes for later so you have a point of reference to further expand upon. Adding pages and blocks are super easy and I can collaborate with my team so everyone is notified of what is happening in regards to time specific tasks.

Cons

You have a limit on file size on the free plan which is 5MB. Although that's still quite large you cannot go any larger than that. There's also a limit on how many people you can collaborate with on the free plan, but if you're team is 5 people or smaller you'll be able to function quite well. Anything over these two hurdles you will need to invest in a paid plan.

### "The Swiss-army knife of project management tools"

December 20, 2024

5.0

It's great. I use it for so many things. The customer support is really good if you get stuck on anything and they seem to be adding new features that make it even more of a valuable tool.

Pros

It is fantastic for a whole bunch of different uses. It can work as a project management tool, a wiki, database, notetaker app, calendar, reading list, spreadsheet - and a lot more. It's really versatile which makes it a great product that reduces the number of other tools you need.

Cons

It's a bit clunky if you're using it for client work. As in someone who won't have a premium subscription as you have to share each individual page with them separately. But there are work arounds for that.

Because I was using the free Asana plan for project management and organising my social media. I really needed some of the pro features but they require you to purchase a min of 2 licenses for the pro plan. I found that notion had all the features I needed and was cheaper.

### "Versatile cross between database and project management"

November 15, 2024

5.0

At first I found it a bit confusing, but after working with it for awhile and adding templates from other creators I got the hand of it. I am still not using the full capabilities of the app mainly due to the mobile issues, but I am sure I will use it more fully in the future.

Pros

I like that Notion is highly customizable. It can be both a project management tool and a database. You can create any type of field and enter the relevant information. You can add as much or as little information as you want. Therefore, you can use it to keep research notes organized and plan the project in the same app. Thus, it is much more versatile than straight forward project management tools.

Cons

The app is a bit buggy and resource intensive. Often it will cause my iPad Pro to have a meltdown and I have to shut down to get it to work again.

Notion est génial pour organiser tout, de mes projets à mes notes. Super flexible, mais parfois un peu trop, ce qui peut être déroutant au début.

Pros

LIBERTÉ TOTALE POUR STRUCTURER L’INFORMATION, CRÉATION DE BASES DE DONNÉES, TABLEAUX, PAGES HIERARCHISÉES, ET FACILITÉ DE COLLABORATION.

Cons

FLEXIBILITÉ QUI PEUT DEVENIR UN OBSTACLE SI L’ORGANISATION N’EST PAS BIEN GÉRÉE, ET FONCTIONNALITÉS LIMITÉES POUR LES TÂCHES COMPLEXES ET LE TRAVAIL HORS LIGNE

### "Notion: The Ultimate Productivity Playground"

Notion feels like a digital playground for productivity. Once I got past the initial setup and learned how to use its building blocks, it became a central hub for both work and personal projects. For those who enjoy flexibility and customization, it’s a powerful tool.

Pros

What I love about notion is that it's extremely flexible, I mean as a regular user I can create anything: task lists, wikis, habit trackers, reading lists and project boards

Cons

### "Notion: A Powerful, Intuitive Tool."

November 5, 2024

5.0

Overall, Notion has been a great addition to our team. We use it to host all our internal wikis and general project information, enabling a seamless workflow.

Pros

I love the simple interface and the customization possibilities. It's intuitive and adaptable, making it easy to implement across various projects. Whether used as a project tracker or an internal wiki, it serves our needs well. The option to add templates from Notion's library is another standout feature, showcasing its full potential. Additionally, the new AI tools have been a game changer. So far, I've primarily used them for proofreading, improving writing, and adjusting grammar, but I'm excited about the broader possibilities they offer. I also love that they keep adding new features, and I'm looking forward to the new additions they'll soon make.

Cons

Although I appreciate the limited customization in terms of design, it would be great to have additional options, such as customizable accent colors or alternative layouts. It’s not a deal breaker, but it would be a welcome enhancement. Some features do require more expertise, so there is definitely a learning curve when creating a personalized workspace. Lastly, the pricing can be a downside. While I’m not directly responsible for managing costs, I know this is an aspect that's being taken into consideration when reviewing software budget for 2025.

Switched from

[Nuclino](https://www.capterra.com/p/174926/Nuclino/)

From my understanding, it was due to budget, as well as product features, which we found that Notion would provide more tools and possibilities for better pricing. It also incorporated other features which we used to have elsewhere, such as project tracking or storing the project information.
