### "Awesome for student life and coding projects, but offline mode is lackingAwesome for student life and coding projects, but offline mode is lacking"

May 14, 2026

4.0

The biggest issue is the lack of a proper offline mode. If my campus Wi-Fi drops, accessing my notes is a headache. Also, the mobile app feels a bit clunky and slow compared to using it on my laptop. It definitely has a learning curve at first, too.

Pros

Overall, it's been a massive help for keeping my student life organized. I used to have notes and project files scattered everywhere, but now I have one central place for my engineering assignments, internship applications, and personal to-do lists. It’s highly rated for a reason and offers great value, especially once you get past the initial setup phase.

Cons

Honestly, the sheer flexibility. I use it to organize almost everything - from tracking my B.Tech coursework and Python/Java projects to logging my gym progress. Being able to create custom databases means I can set up my workspace exactly how I need it for task management. It's also super easy to share pages with teammates for group assignments.

### "Versatile All-in-One Productivity Platform for Efficient Collaboration and Organization"

May 3, 2026

5.0

My overall experience with Notion has been very positive, as it provides a powerful and versatile platform for organizing work, managing projects, and collaborating with teams. Its flexibility allows customization for various business and personal workflows, making it a valuable productivity tool. Although there can be a learning curve and occasional performance limitations, the benefits of centralizing information and streamlining operations far outweigh the challenges.

Pros

Notion offers an exceptionally flexible all-in-one workspace that combines note-taking, project management, databases, and collaboration tools in a single platform. Its customizable templates, intuitive interface, and seamless team collaboration features make organizing workflows highly efficient. The ability to centralize knowledge, tasks, and documentation significantly improves productivity for both personal and professional use.

Cons

While Notion is highly versatile, it can have a steep learning curve for new users due to its extensive customization options. Performance may slow down with large databases or complex pages, and offline functionality can feel limited compared to some competitors. Additionally, certain advanced features may require workarounds, which can be time-consuming for users seeking simpler out-of-the-box solutions.

Switched from

[Microsoft OneNote](https://www.capterra.com/p/227211/Microsoft-OneNote/)

We made the switch to Notion to streamline workflows by replacing multiple separate tools with one centralized platform for documentation, project management, and collaboration. Notion’s flexibility, customizable databases, and user-friendly interface offered better efficiency, improved knowledge sharing, and reduced operational complexity. The move also provided better value by consolidating costs while enhancing team productivity and organization.

### "Google Docs > Notion"

February 6, 2026

1.0

Overall, I think Notion has some slick features and it has some useful capabilities as a project tracking/collaboration tool, but the ease of use is awful. It makes it extremely hard for me to use. I would rather just use Google Docs.

Pros

Notion has a lot of nice features in their documents like being able to convert lines to tables or checklists. The copy/paste formatting conversion also works really well. If I copy and paste from a Google Doc, the formatting usually matches 1:1 (headings, bolded parts, lists, tables, etc...). Notion AI also makes it easy to find answers to questions using the company knowledge base. Notion also has a decent project tracking capability which allows for project collaboration. But even with these pros, the cons far outweigh it for me.

Cons

Notion is probably the most frustrating document tool I've ever used. While it has a lot of nice features, the interface makes it extremely frustrating to use them. For example, I was working on a document and went to make an edit by an @name but rather than being able to edit the text by the @name, Notion kept pulling up the @name's profile. There are so many instances like this where I try and edit something but notion ends up pulling something else up. I really prefer working in Google Docs over Notion. Notion is ok as collaboration tool, but I still feel like Google Docs can manage project tracking and collaboration as well as Notion and it's not an additional software you need to learn.

### "Notion over 4 yeras of usage"

March 27, 2026

5.0

Overall, my experience with Notion has been extremely positive. It’s become my primary workspace because it helps me keep everything organized in one place—notes, documentation, trackers, and plans—while still being flexible enough to adapt to different types of work. I especially like how easy it is to structure information with pages, databases, and links between content, which makes it simple to build a system that fits the way I work. Even though it can occasionally feel slow with heavier pages and requires discipline to stay tidy, it’s still the most reliable tool I’ve used for staying organized and productive over the long term.

Pros

I love having everything in one place: all my notes, ideas, and work docs organized into separate workspaces with pages, folders, and databases. It’s flexible enough to build anything from quick meeting notes to detailed documentation, checklists, and trackers, and it’s easy to keep things clean and searchable. The ability to link pages together and structure information in a way that matches how I think has been a huge productivity boost. It’s been my go-to tool for the last 4 years because it keeps me organized without feeling restrictive.

Cons

The biggest downside for me is that Notion can start to feel slow and cluttered as pages get heavier (lots of embeds, large tables, or long docs), which makes everyday navigation less smooth. The permissions and sharing model can also be a bit confusing—especially when workspaces have many people—so it takes extra effort to ensure the right people have the right access. Finally, maintaining a clean system requires discipline: without consistent templates and naming, it’s easy for information to become scattered across pages and databases, making things harder to find over time.

Switched from

[Sublime Text](https://www.capterra.com/p/179535/Sublime-Text/)

ublime was great for writing and editing code quickly, but it wasn’t ideal for managing notes, documentation, plans, and long-term knowledge. Notion gave me a single place to keep everything structured (pages, databases, templates, links, search), so I could capture meeting notes, specs, checklists, and personal tracking in one system instead of scattered files. Over time, having everything organized and searchable became more valuable for my workflow than keeping notes in a plain-text tool.

### "Notion Works Great if you Organize it well"

May 8, 2026

5.0

I have had a great expericence with Notion. I have found a system to keep notion organized but you definantly have to have a sytem or everything gets cluttered.

Pros

Seeing as it is free it has great value for the money. I have never needed the customer support. It is easy to use. Easy to collaborate on projects. And great Data synchrynazation. I Recomen organizes every thing Into pages and using pages like folders for other pages.

Cons

One downside to notion is that the taks managment aspect of it is difficult. However I have found a system that works for me. Notion does not have folders so you kind of have to organize you pages as folders, and link pages in the page.

### "The most powerful website"

May 18, 2026

5.0

We use Notion primarily for task management across our team. It is deeply customization and we need just that in order to have it do exactly what we desire. We initially used Trello, but it was too simple and did not allow us to set up the kind of automations and pages needed to be as productive as possible. Notion has become a staple in our company and I am very satisfied with the product. We would gladly pay more money for this service as we have become dependant on it for our collaborations. One time, I even used it to create a private website I shared with a client and it looked amazing!

Pros

The deep customization and how you can essentially create anything you need while having your team work alongside with you based on what you created. It's not the easiest to learn how to use, but once you learn how to use it, the power really shines. The value for the money is great especially when you consider just how many pages you can create. I also love how everything I do gets synchronized with my team so seamlessly after setting up powerful automations. Another pro is the fact that it comes with so many different templates you can start from depending on what you want to create. The possiblities really are endless with Notion.

Cons

The barrier to entry is a little steep. Meaning to create exactly what you want, it will take some learning. Not an insane amount, but you do need to watch a couple youtube videos or read up on how exactly to use Notion to the best of it's ability.

### "Notion AI is a game changer"

May 12, 2026

5.0

Notion AI sometimes struggles with structured workflow tasks, so I use ChatGPT first and paste the result into Notion.

Pros

Notion AI made it much easier for me to set up CRMs and project libraries quickly, and it is extremely useful for editing my writing. I also like using AI agents to write in different styles.

Cons

It took time to understand at first, but Notion AI made it much easier. I wish Notion AI were more affordable because I use it so much.

### "Flexible all-in-one tool for organization"

April 18, 2026

5.0

Overall, my experience with Notion has been very positive. It’s a powerful all-in-one tool that helps me stay organized and manage my work efficiently. It’s especially useful for students and individuals who like to customize their workflow, but it may take some time to fully understand all its features.

Pros

Notion is extremely flexible and allows me to organize everything in one place, including notes, tasks, and databases. I like how customizable it is, so I can build my own system depending on my needs. The interface is clean, and it works well for both personal use and studying.

Cons

Notion can feel complicated at the beginning, especially when creating databases or advanced pages. It also depends on an internet connection most of the time, and performance can slow down when pages become large or complex.

I would highly recommend using Notion for note taking, managing documentation, writing blogs. Notion is also best regarded as your second brain. It is a great experience to use it as a digital notebook.

Pros

Notion has the best notes management setup. There are way many customizations that you can make with a simple page. It's very easy to use. You can also embed other software or websites on your page.

Cons

I wouldn't say Notion is the best team management software though it is very great for project collaboration, managing your software codebase documentation and team collaboration, but I wouldn't say it's best as team and task management software.

### "The Every... one's Choice"

May 2, 2025

5.0

Notion is less of a ready-made app and more of a toolkit—like digital LEGOs for structuring projects, ideas, and workflows. If rigid organizational tools frustrate you, Notion's ability to mirror your personal thought process can be a game-changer. But it requires a willingness to experiment, tweak, and refine your setup. If you're looking for a highly customizable solution and are willing to invest time upfront, Notion can be a powerful asset. If you prefer simplicity over customization, it might not be the ideal choice.

Pros

Notion's biggest strength is its flexibility. Rather than forcing users into a predefined structure, it offers modular building blocks—pages, databases, lists, calendars, and boards—that can be arranged in a way that fits individual workflows. This makes it particularly useful for creative professionals or business owners who need a personalized system for managing information. Additionally, its search function helps users retrieve saved content efficiently, and its collaboration features reduce the need for cumbersome email chains.

Cons

However, this flexibility comes at a cost. Since Notion doesn't impose a strict organizational framework, users must invest time into learning its quirks and configuring it to suit their needs. The freedom to design one's own system can feel overwhelming, especially for those who prefer straightforward tools with clear parameters. Furthermore, while the interface is visually appealing, it might not be the most intuitive for first-time users.

### "Great for personal, but I'm hesitant for teams."

June 2, 2025

5.0

Notion has been a great tool for my personal productivity, note-taking, and project management. I don't think I will ever expand its use to include my work teams.

Pros

Notion is an excellent no-code solution for teams or individuals who need highly customizable tracking and notetaking software. It's a lot of fun to set up, and once you've built it yourself, you have a deep understanding of how it works and how to optimize it for your workflow. The AI tools are excellent. The AI can take meeting minutes, answer questions about your notes and databases, and so on. At the time of writing, it's using GPT-4 and Claude, which are excellent models.

Cons

Because it's highly customizable and lacks guardrails, it's easy to spend too much time fiddling with the system rather than using it for its intended purpose. In particular, with teams, you would want to be judicious in ensuring that it was clear how to use the software, and that you locked down anything that you didn't want touched. It would have to be a very niche use case for me to choose Notion for team productivity rather than a more turnkey solution like monday.com or Asana.

Alternatives considered

[Evernote Teams](https://www.capterra.com/p/154969/Evernote-Business/)

Reason for choosing Notion

Evernote is laser-focused on document management, which is great, but I wanted the flexibility to use the same platform for task management and document management.

Switched from

July 16, 2025

5.0

Overall great experience with Notion. I tested other tools like Monday but they were out of my price range. This is a great product that does all I need it to do - and I look forward to exploring its functionality even more!

Pros

Great tool to help me visualize and plan out social media and other marketing communications. The ability to filter and tag on so many different levels is great. I love being able to view in both a calendar format and a list format. The pricepoint is also helpful for my small team without much budget to spare.

### "Language Learners Need To Add Notion!"

February 23, 2026

4.0

Notion is my primary language learning notebook application. I am using it to make myself tests in French, Italian and Catalan.

Pros

How malleable it is when it comes to replicating a real notebook, this app lets me move around all of the sections and reshape the way I see it. I dislike how rigid the other apps look. Notion feels like a real notebook to learn a language. This allows me to perform task management items like keeping sections by language, a dashboard that lets me use each section per language, and the customer support makes it easy for me to review tutorials, and most importantly, the ease of use makes this app easy to mold according to my language related goals, I just can't simply do this in another notebook app.

Cons

Sometimes having such flexibility makes my interface hard to manage because you have to sit down and purposefully mold it without making too much mistakes because you may over mold it and it may add more work than necessary. I highly suggest keeping lean and intuitive layouts and avoid those templates people promote or sell.

### "Unmatched customization"

November 26, 2025

Overall I've had a great experience with the tool both for personal use and for my small team. Personally, I find the learning curve to be worth it in the long run.

Pros

I love how customizable Notion is and how easy it is to build exactly what you need. The templates help save time when creating pages, the database functionalities are getting much better, the integrations are quite powerful and the look is great (if you put a little effort in!)

Cons

The customizablility and blank canvas you begin with does mean there is a steeper learning curve with Notion than with other tools that might be more pre-configured.

### "My review about Notion"

March 23, 2026

5.0

In my opinion, Notion is a great option if you need to completely customize your project management tool. There is a steep learning curve, but once it’s set up, the tool is intuitive to navigate. Notion is a powerful productivity app if you need a highly configurable platform and have the time to customize it, but for larger teams or those who want to get up and running immediately, other platforms might be more suitable.

Pros

You can take notes, manage projects, and maintain your databases in one place. The intuitive design makes it easy for users to navigate and organize their projects. You can tailor your workspace to fit your needs with flexible layouts and templates.

Cons

The mobile app is less intuitive than the desktop version. You might experience slow performance if you have large databases or complex setups. It can be challenging for new users to master without spending time on tutorials.

### "My daily non-negotiable, go-to platform is Notion"

September 15, 2025

5.0

Notion does make my work life easier - it helps me be more organised and access all information easily. Helps team collaboration as well since we all get to contribute under one place. The flexibility to create pages means that I can shape my workflow in a way that suits me. Notion isn’t a full replacement for spreadsheets or advanced project management software either; formulas and reporting options are limited compared to specialised tools. While it centralises knowledge effectively, handling very large or complex data sets is still better suited to other apps. Overall though, the pros outweigh the cons for me. Notion is an excellent “all-in-one” solution for knowledge management, project tracking, and team documentation. It’s versatile, visually pleasing, and keeps everyone on the same page, literally. With ongoing improvements and thoughtful use, it’s one of the most useful tools in my productivity stack and my daily go - to.

Pros

I love the ease to use it + with the introduction of Notion AI, I get to write my 1 pagers much more efficiently as well as search for information I need quickly.

Cons

As I keep everything work-related on Notion (and even set up a personal page at home), I wish Notion had a similar function to Google Sheets so I didn't have to juggle through two platforms when it comes to working on formulas.

Great experience so far with notion as I can use this for personal work and larger program management tasks.

Pros

Cons

January 27, 2026

5.0

I love that I can collaborate on projects with my team and manage our task via the dashboard, and it is great value for money

Pros

it is very easy to use and I can manage all my task from my dashboard. The customer support is great.

Cons

There is nothing I can point to that I did not like as it servers all the things I need to do with it
