It is intuitive and the user interface is friendly to our first-time users as well as our most experienced accountants. Cons Certain tasks, especially related to taxes and certain filing issues are hidden behind multiple levels of menus. Since it is a popular program, our accountant is well versed and can use it easily. Quickbooks puts a lot of control and customization in my hands. The payroll function is so beneficial with Quickbooks tracking live checks and auto-creating labor and tax reports, and filing and paying taxes automatically. We have several integrations that sync flawlessly. Pros User friendly and easy to use. The financial and operational reporting is robust and used constantly. I love how I can build budgets in easily and track different key metrics. Invoicing and receiving payments is simple and Quickbooks makes matches to payments automatically. The support team is quick and helpful. I like the integrations that are available. It is inexpensive and does everything I need and more. Cons Sometimes AP payments are recorded as a payment and not a bill payment. I can't change or apply without voiding/deleting. When we receive AR payments through quickbooks, we get charge a processing fee. Mainly through the automated transaction imports. Otherwise, this is a pretty pricey tool as compared to the desktop version. There isn't much difference between desktop and the online version outside of price. Pros Ability to import transactions and reconcile accounts. This is generally a pretty clean process. Quickbooks does have some trouble populating the type of transaction for each item. It seems to randomly forget a transaction category for the same type of transaction import. Cons Navigation is messy. There aren't options for one click to many daily activities. Entering bills, paying bills and entering expenses are all multiple clicks away. Review Source BS Brandy S. The ease of use for beginners is something I would highly recommend as a starter product but I wish there were other options that were just as robust or something made more for people that understand how accounting works. Pros I love that its a bit of a catch all for any small business that needs to track their accounting. Its pretty easy to navigate for people that don't under stand most accounting and the training they offer is something I would highly recommend. The invoicing works well for us for basic invoicing. Their pricing is pretty good for all the options they have- we use Online Advanced. Cons I wish the QBO had as many reporting options as the Desktop version. I've asked about getting some of those reports but customer support says they don't have it. As someone that knows the accounting side of things the product can be frustrating to use because they block certain features or accounting procedures to try and help people not mess up their books. I've had issues with trying to get help through customer support but they know less than I do usually. No matter what package we have or how many upgrades we do, we have to pay more to get any help. Pros Convenience of accessing it anywhere. Besides that Intuit Sucks! You must always do another upgrade and pay more to get any service. Cons The cost and lack of help unless you pay more. You can not ever get help until you upgrade the upgrade that you have already upgraded. Not one time can you have an interaction that it doesn't cost more money and you need to upgrade. Every call they have to sell you something more. My time is valuable and they take it up, refusing to help until they sell you some kind of upgrade. Literally, I got off the phone having to pay for an upgrade so I could receive a call to get my minor issue resolved. The call I received to fix the issue (which only took a couple minutes) they then tried to sell me another upgrade!!!! Also that accountants can access your company without having to bring information to them. It takes some getting used to but being a QuickBooks user, it is very handy. Pros QuickBooks Online is easy to learn and convenient in allowing you to convert from desktop and access your information from anywhere you can get online. Cons It is easy to misconstrue as an automated program and that is not the case. You can set rules for importing but it does require checking up on those imports and making sure they are allocated correctly. Pros The direct bank and credit card feeds drastically reduce manual entry. Once rules are dialed in, categorization becomes semi-automated, and reconciliations move from a tedious monthly task to something you can maintain continuously. Cons The constant changes to menus and layouts are frustrating. Features move without warning, which disrupts workflows and slows down routine tasks. It also creates a training burden, since processes and instructions quickly become outdated. Overall, the lack of consistency makes the system feel less stable than it should for accounting work. It will put together all your spendings and expenses. Pros I think that’s the only one system where you can use for business to track your spendings and etc, My business accountant using it for tax purposes. Also it’s really easy to get your financial reports from it. If we use quickbooks desktop it is a good price. They have a good customer support, always answering on emails and phone calls. We also using it for invoicing, it very user friendly. There is no extra or hidden fees. Cons I got hacked once and sometimes getting some fraud emails from quickbooks scammers. I have tried other softwares and do not find they are as user friendly for both bookkeepers and business owners. Pros I like QuickBooks online for its ability to access it from anywhere. I like the mobile app for quick recording and snapping pictures of receipts. The financial reports are great to be able to analyze the health of your business. Quickbooks makes collecting payments from customers easy. Their customer support is helpful and quick to respond. Cons I do not like how often they are changing features and am not a fan of the new invoicing layout. Quickbooks fees seem to be continually increasing as well and I find it hard to sell it to clients when the fees increase frequently. Pros What is particularly useful to us is it's integration with our project management software. It easily and seamlessly transfers data back and forth and has reduced or eliminated double entry. A huge time saver. For a monthly fee of under $100, Quickbooks online gives us full financial insight into the profitability of our projects as well as for our company as a whole. We have not experienced any issues or glitches or anything similar. QBO has been a solid, dependable partner for our business Cons I often wondered why QBO does not have a learning portal readily available within our account. We did have some speed issues because of the internet and the data volume though. We had a harder time figuring out some of the more detailed reports, however, using hte desktop version instead of the online version worked for those. Pros The Pros of QuickBooks online include being able to access it anywhere because it uses the cloud. You can also log in from several devices which is very helpful. Cons The cons of using QuickBooks online is that you rent the software but do not own it so it incurs more costs in the long term. Cons That the current week pre populates on weekly timesheet. It doesn't make any sense and results in many mistakes and extra work. November 17, 2025 5.0 I have used QuickBooks online in a couple of different jobs, and it is very user friendly. I love that I can figure out what report to run, to give a holistic picture of what is going on, financially, at any given time. Or if you don't want the whole picture, and just want to look up how much was paid to a specific person/vendor this year, its so easy. I suppose that is the short and long of it - ease of use for a clear picture, so we can make well-informed decisions about finances. For my other job, running payroll is so easy - and sending out W2's & 1099-MISC/NEC's are a breeze! And gathering documents for the 990-PF would be unendurable without QuickBooks Online! I cannot think of a more glowing endorsement than that! Pros Love the banking feed option; and the different ways I can access and organize data. I prefer the Classic View over the modern view, just for the ability to view the Profit & Loss report, organized a month at a time, YTD, or just the totals for a particular Class (or Initiative, in my case) Cons Right now, the part that I just don't appreciate, is the default to "Modern View" - as it doesn't grant me the same ways to organize information as Classic View - and there is no way that I have found to default to Classic View. But their customer service is really good and when I have to use it, my issues are usually resolved in one interaction. Overall, the ease of generating invoices and accepting payments outweighs the headaches. Pros Ease of use for me and for customers. I can easily add services and products and sending a payment link to customers is easy; I can either email them directly from Quickbooks or copy a link to send from my own email. Cons Frequent changes to interface with little or no explanation. Things I use regularly like invoicing moves and I have to dig deep to find it.
