I will never use Quickbooks Online again. The transition from Quickbooks Desktop to Quickbooks Online was not seamless. There were issues from go.

Pros

It's ubiquitous, most know how to use it. We assumed it would be a seamless transition from Quickbooks Desktop to Quickbooks Online - not true. Two different products.

Cons

We are not ok with the forced connection to our bank account (or they would shut down payroll), nor the overstep of them Quickbooks paying our taxes. We have a trusted accountant/tax person & that is NOT Quickbooks role. What was a payment that should be part of our payroll taxes (that we have handled with our chosen vendor) showed up on our statements today as a payment to Intuit and not a tax payment. Quickbooks Online/Intuit is now merging with yet another company called Mineral where they are marketing HR to us and doing "Mineral Intelligence monitors your company profile.." thanking us for being a Mineral customer - we did not sign up for Mineral.

Overall, QuickBooks Online has been a solid tool for managing business finances. It helps keep everything organized and makes tasks like invoicing and expense tracking much easier. There is definitely a learning curve in the beginning, but once you get familiar with it, the software does a good job. It's not perfect, but it has saved me enough time to make it worth using.

Pros

QuickBooks Online has made it a lot easier to keep track of invoices, expenses, and overall business finances. I like that I can access everything from anywhere without needing to be at a specific computer. The dashboard is pretty easy to understand once you spend some time with it, and the reporting features save alot of time compared to doing things manually.

Cons

The monthly cost can add up, especially if you need extra features or multiple users. Some parts of the system feel more complicated than they need to be, and finding certain settings can be frustrating at times. There are also occasional updates that change where things are located, which can be annoying when your used to a certain workflow.

We have used QBO for 7 years and at first it wasn't too bad except that you were forced into QBO due to lack of support for the desktop version. The last couple years have a series of faulty updates. There are so many that I'll just list the most recent. Customizations were removed and no matter how many times I tried to reinstall them, they wouldn't save. When creating an invoice, a quarter of the work area has been replaced with a default settings box. There is no removing this box and it cramps your work area so that extra effort is required to choose your service date. Month before last, my invoices went out with a pay by CC option even though we don't accept payment by CC. When I googled how to fix this, the fix didn't work. This resulted in confusion and slow payments from our clients. This month, late invoices were sent out to all our late clients without any warning. I manually pick and choose which clients I wish to send these to as we have a payment understanding with many of our clients. Tax Rate has been added to every line of the invoice, even though it's reflected with the total, thus further reducing your invoice work area. Currently, I am unable to post a payment to a clients account that has multiple open invoices because as soon as I click in another field, it places the payment on a different invoice. I spent 3 1/2 hours on the phone two days ago trying to get this corrected. Despite IT having supposedly been watching my screen as I recreated the issue over and over and over, the issue still persists. Fields that used to prepopulate in expenses, so you don't have to fill in recurring accounts and descriptions every month, don't prepopulate anymore. The payment account that was set up for various venders is no longer defaulting to the payment method of my choice. Just another example of customizations being removed so that you can't rely on these settings. The first support person I spoke to 2 days ago tried to get me off the phone without correcting my issue. Upon my insistence, my issue was escalated to another dept. They were likewise unable to correct the issue, but IT was supposedly looking at it now and I should try the next morning. Well, sleeping on it did not correct the issue. The representative had scheduled a follow up call for yesterday at 1pm. That didn't happen. We did receive a call from QBO after work hours and during our evening meal, wanting to discuss our "merchant acct". We have never set up a merchant acct. The representative said it must have been created when one of our clients requested the payment method. How are our client's requests able to override our choice of payment method? You will need at least an extra part time employee to keep up with QBO's updates and errors.

Pros

It's faster than paper bookkeeping. It tracks sales tax. My CPA can connect in. I'm struggling to come up with Pros.

Cons

There is no consideration for the end user. Updates are frequent and without warning. These updates are riddled with errors and forced on you whether they are applicable or not.

I switched from a desktop version of QB to the online version. HUGE mistake. The system crashes at least 3 times a day. Many times we can't even access QB and have to call for technical support. We had had the online version for about 7 months and have had to call technical support 11 times so far. And then, when the system crashes, you're required to put in a "administrator" password that is too long to remember. I am in the process of finding an alternative accounting software program. If you have the desktop, keep it. If you're considering the online version . . . don't.

Pros

Online Version - Nothing. Any positives are heavily outweighed by the negatives. Desktop Version - Good program and was working perfectly, but we were required to switch to online version.

Cons

Crashes multiple times per day. Requires excessive calls for technical support for software glitches. Unable to access QB at times.

Has degraded in performance more and more over time and just keeps getting more expensive. Harder to use and navigate. When I close a task it often jumps back to the home page instead of remaining in the task subset I was working on. The AI always categorizes sales tax items incorrectly. The sales tax calculation is often incorrect.

Pros

Access remotely on any device is nice, when it works. Cloud storage of my data is helpful. used to be easier to use, but not anymore.

Cons

Too many fees. Fees are too high for product performance. They even charge to allow you to take an ACH payment! THE AI features are useless and cause more problems and slow down our use of the product.

Pros

QuickBooks Online makes bookkeeping so much easier. I love how it connects to my bank accounts and automatically imports and categorizes transactions, saving me hours of manual work. The invoicing feature is professional and easy to customize, and clients can pay directly from the invoice. The mobile app is handy too, I can check my books from anywhere. Also integrates with tons of other tools I use.

Cons

Not much negative to say honestly. The monthly price keeps going up which is a bit annoying. Sometimes bank connections drop and you have to reconnect them. The learning curve can be steep if you're not familiar with accounting terms. Customer support can be hit or miss, but overall it gets the job done well.

My experience with QuickBooks Online is always great and user-friendly. I enjoy having to do any accounting work in QuickBooks Online.

Pros

QuickBooks Online is very easy to use, easy to set up and great for financial reporting. I have never had a big issue that QuickBooks support couldn't fix for us.

Cons

A think that I do not like sometimes is that there are a lot of updates and things change so often. I know they are always trying to make things better, but sometimes it is a big change to learn.

It was very positive. I was able to dump years of data into it and sort it out in a few days. It was an extremely useful tool.

Pros

I like the AI component. And they give you 1/2 off to test it to see if you like it. And I was able to generate all kinds of financial reports that looked professional. polished, etc.

Cons

It's a bit complicated to navigate it if you're not a financially inclined person. And they only give you limited AI access to ask for help. I had to ask the AI the same question several times and by the time it understood my question my credits were up. I wish it had an easier way to extract pdf bank statements into quickbooks.
