### "QBO - Growing with You in each stage of your business"

April 25, 2026

5.0

Very good experience. I like the tiers available so I can change as my business grows and changes. We started at one tier, downgraded, and we are about to upgrade again due to changing operational needs.

Pros

The value for the money. Customer support. Financial reporting options. Ease of use. I never really experience bugs and issues. It's easy to use. I use it for invoicing. Excited to try time tracking and attendance features.

Cons

I do not have much to add on this one. There is a learning curve but it is worth it. I will get certified soon.

### "Quickbooks Online is a Driving Force"

February 27, 2025

4.0

My overall experience with Quickbooks Online has been extremely positive. I was very nervous when first switching from a desktop version to the online version but now that I have, I don't think I could switch back. I often compare the two to driving a manual vs. automatic car. Quickbooks Online sets things up to be very easy, intuitive and fast where the desktop version seemed to need much more set up and need more knowledge of bookkeeping to enter different tasks in correctly. QBO explains many of the options right in the entry spaces so you understand what everything is right away.

Pros

The thing I like most about Quickbooks Online is the ease in navigating the tools I need. It is very intuitive and I can figure out what I need to do with very little help, which makes getting my actual work done faster. Another favorite feature is being able to export my lists and searches to other programs such as Excel. And the transaction search is a life-saver.

Cons

The thing I like least about Quickbooks Online is a necessary evil, unfortunately...the updates. I get in my routine and rhythm when entering information in the system, but I find that a lot of the updates, which I know are necessary for an ever changing technology, tend to add steps to my process and can slow me down and take time to get used to. Many of the updates, in my opinion, are fairly useless and seems like they are updating things just to say they updated it at a designated time.

I made the switch from the Desktop version to Online so that I did not have to worry about backing up my company files/losing files. We also wanted to be able to have multiple users on our company at one time which has been phenomenal.

### "Great for Organizing and Tracking our Small Business's Finances"

October 6, 2025

5.0

Have greatly appreciated the level of organization this has introduced to our book keeping processes and will continue to use.

Pros

Fantastic for tracking sales, invoicing and expenses. Has been pivotal in improving the financial health and organization of our small business.

Cons

Occasional issues have occurred with setup when integrating new users that have existing accounts, but the work-around has been simple and hasn't been an issue in the overall impact of the software to our business.

### "My last year. I give up on Quickbooks online"

September 26, 2025

2.0

Cons

The only thing that is OK is the sync with banks for transactions. But it becomes useless as the scanning of receipts is so incredibly useless. SO I have THOUSANDS of bank transactions and THOUSANDS of receipts. But VERY LIMITED matches.. The scanning and auto review of receipts is SHOCKINGLY bad. I would say that out of every 10 receipts I scan or send directly to the account email they give us is NOT categorized and labeled correctly. I have to manually update amount, date, and category even for repeat vendors and purchases. AI is immature at best.

Reason for choosing QuickBooks Online

Quickbooks misled me into thinking it was a better product due to integrations with banks, payment processors, and tax software

### "QuickBooks Online is just okay."

March 3, 2025

3.0

I only use QuickBooks Online because it is the lesser of all the evils. Desktop was a way better product, but it has gotten overpriced and I am afraid they will phase it out eventually.

Pros

QuickBooks Online is great for the average business owner, because it is user-friendly. As an accountant/bookkeeper, I like that I can access it wherever I am working...I just need wifi.

Cons

The bank feeds are not reliable and I don't have time to get authorization codes from each of my clients when the feeds stop working. I won't give my clients access to the QBO files because I don't want QB poaching my clients with all of the live bookkeeper ads. There also needs to be a better way to enter bank transactions manually like desktop. Bank feeds are too glitchy to rely on.

I am pretty sure that they are going to remove the desktop option and the pricing has gotten insane for small accounting firms.

### "QB Online is not like QB Desktop -- Know before you go!"

March 3, 2025

3.0

It has been difficult to convert our data from Desktop and the loss of ability to have multiple invoice templates from different departments has caused us to restructure our billing procedures.

Pros

The ability to log in from anywhere on any device has been great for remote employees and our traveling staff.

Cons

The functionality of the software in terms of reporting and templates is a step down if you are used to QuickBooks Desktop.

Switched from

[QuickBooks Desktop](https://www.capterra.com/p/212058/QuickBooks-Desktop-Pro/)

The switch was made because payroll for Desktop was being discontinued for our version. We decided to stay in one platform and moved to Online. Our version was ready for upgrade and the cost increase was substantially more than the switch to Online.

### "If you want QuickBooks, QBO is about the only option but it's not a great one"

March 3, 2025

3.0

The product does what it is asked to do but conversions are far from streamlined and the end user experience overall is not as good as it was with their desktop products. It's awesome as an accountant to be able to work on a live file at pretty much any time but you pay dearly for that convenience. Intuit's official stance is that they are phasing out their desktop products besides Enterprises (which is 200-300% more than Desktop Premier before) so if you are a new user you might never know that QBO is an inferior product. But it is compared to desktop and they have lost a lot of market share with their forced migration last year.

Pros

QuickBooks Online's main strength is ease of use. It's built around the checkbook and it is designed to automate tasks like payroll, bill paying, and even invoicing. It is a browser based cloud software so you do not need to download software and that means it can be used anywhere in the world. Your accountant can work with you in real time without sending a copy of your information via email so it's more efficient when collaborating because it can even be opened on your mobile device.

Cons

The cost of QBO is not competitive and the product is vastly inferior to their desktop products. If you want automated payroll it better fit neatly into their one size fits all packages. Want quarterly payroll? Not an option unless you want to handle it manually each quarter - and you better do it by the last day because there is no such thing as after the fact with automated payroll. I would estimate desktop users who switch will pay 100% more (at least) for an inferior cloud based product that is much less dynamic than desktop. Support folks are not accountants and most clearly do not use the software but rather work off a script to get you off the phone so if you need help, google is a better option that Intuit support.

### "Great functionality, not so great subscription cost"

October 20, 2025

5.0

I love using it as it maybe by business flow easier in this area. Connects easily w/taxes, subscription costs just sucks.

Pros

Ease of use, easy and replicable invoicing, receiving payments easily and the financial reporting system is amazing and makes everything easy towards tax time as long as you effectively keep your charges categorized

Cons

Quickbook's fees are a bit much. The subscription fee keeps increasing without visible benefits. I dislike when any company's fees increase but theres no real benefit to the customer. It just seems like a "pass there cost" situation that all of the companies do. Not a fan.

Overall experience was good. I believe I had an advantage - I'm experienced in payroll and accounting.

Pros

When I did use it at a former employer it was user friendly and intuitive interface and easy navigation.

Cons

It's mainly for smaller companies so the package I was using had limited features. Different packages l, so the costly packages are more likely have the best features.

Like the software. It make thinks easier to use and can Invoicing easier to understand. They can do better with fixing the bugs.

Pros

Customer Service gets back to you quickly and Invoicing is easy to do. The value can be steep but it depends on what you get.

Cons

Pricing is high and you always have to pay for any new features. Have a lot of bugs but can be worked out

Pros

Pros

What I like most about QuickBooks online is how easy it is to track everything in one spot and not have to worry about it.

Cons

What I don’t like about quickbooks online is that there is so many options to put different purchases or payments in different accounts but when you mess up on that they are hard to find to correct.

I have used it several times since it first came out and don't see much improvement. I do not like it.

Pros

Cons

### "Terrible service, buggy and hasn't worked since day 1. "

February 17, 2025

1.0

Terrible. Onboarding call couldn't take place for over 2 weeks because they didn't have available slots so I had to wing it. Then haven't been able to send out quotes and invoices because there is a "known bug engineers are working on" - that's been for a month now and no joy. Whenever they try to confirm your issue they add a future pacing scenario. Let's just solve the problem that exists before getting into the future wishes! I honestly can't figure out how they are still in business, because this is so terrible. I'm in Singapore so am getting service attached to that territory. Initially my onboarding went through to australia and was cancelled a minute before the call saying I had to book in with singapore - but it was the link i was given. Note that I could get on an onboarding call the same day with australia and had to wait 2 weeks in Singapore. They seem to have different IT systems and service level acceptance rates for different countries.

Pros

the interface and ease of use. Easy to see in a snapshot where my business is. Shame quickbooks causes that picture to be bad since clients can't get invoices to pay me and I can't get new business because they don't get quotes either. Just discovered that these were no longer going through.

Cons

absolutely everything else, especially the support desk who are completely useless. How is it ever OK to be in a conversation with helpdesk for an hour and them still not get to the issue to solve and every time they try to clarify, they get it wrong? This isn't an hour waiting. This is an hour in conversation - granted slowed down because, as they admitted, they were serving multiple people at once. The fact that the software doesn't work and their engineers can't solve issues is a major red flag.

Experience has been great and if there is an issue the customer service is quick and efficient to give me a solution

Pros

Cons

### "Overall Review "

April 10, 2025

4.0

The overall experience has been fine. I like QuickBooks, but there are a couple of features, such as receipts they have updated recently, which I am not a fan of because you can no longer drag & drop multiple receipts. As for invoices and/ or receipts don't reach our customers. Otherwise, it has been a great program.

Pros

The ease of where everything is located under categories coincides with what portion of finance you are handling.

Cons

The glitches in the system, errors with loading, and a lot of occurrences when you cannot access the site.

### "Quickbooks Online Does Not Provide Competent Service"

December 27, 2025

1.0

Previously I was happy with them, until recently when I required attentive customer service and it was not provided.

Pros

That all of my business operations are located in one place, particularly banking, invoices, bills, and payroll.

Cons

Their employees have continuously provided us misinformation, and have created a situation where we have lost funds that we are unable to recover.
