### "Runs my firm and most of my clients' books"

I run my firm on it and put most new clients on it. It's not flashy and it's not perfect, but it handles the day-to-day books for me and my clients. I'm looking forward to where Quickbooks goes from here.

Pros

I have been using Quickbooks for years. Orginally starting on Enterprise before moving to Quickbooks Online. Overall Quickbooks online covers most of my clients needs and still remains as one of the competing accounting software for small business owners. The big stand out compared to its competition is the amount of integrations available via their app market. My clients use different software unique to their industry, Quickbooks makes this seamless by offering an integration for most if not all.

Cons

Support is the weak spot. The biggest challenge is when something goes wrong it can be difficult to get good help. Often I'm using forums and searching for solutions to the issue online. They are not as frequent but when they do happen, it can be troublesome.

### "The Software I've Used For Years, but Don't Always Love"

QBO is a solid, easy-to-use accounting program, especially if you're not a finance expert. That said, it has weird glitches, like the AI-matching for deposits and invoices being surprisingly flaky. For example, if I'm making a deposit with multiple checks, it can't figure out which check goes to which invoice unless I make a separate deposit for each check. I've figured out enough "hacks" to make it work for my agency, but I often wonder if I should have just used a simple billing platform and hired a dedicated bookkeeper—it might have been cheaper. If you're starting out, really dig into what you actually need before signing up.

Pros

I run a small marketing agency, as the owner/operator the "anywhere/any device" access of QBO is a must-have. It's fairly user friendly in terms of tracking expenses, time and producing estimates and invoices. Two features that stand out for me are: PROJECT BILLING/TIME TRACKING: The integration of time tracking and user permissions are slick. My team members can log hours directly against specific client projects, and that data flows directly into my invoicing sidebar. It makes invoicing for billable hours incredibly efficient. The "Project" tracking is amazing! When it was first introduced, it seemed really clunky and difficult, but over time, the product and the learning curve improved, and now it is a tremendous asset. I can set up Project Billing for a client (think a specific promotion or event), and all of the time and expenses for that project are in one place and on one bill, which can be billed throughout the timeframe of the project. I know, and my client knows, exactly what the profit/loss breakdown is between expenses, etc., as the project is progressing, so we can adjust midway and keep things on track. It's awesome. EXPENSE TRACKING: While it is a little 'glitchy' at times, the banking rules and receipt scanning are game-changers overall. By setting auto-categorization rules for utilities and recurring costs, I save a ton of time that would go to manual entry. I also appreciate the ability to apply pre-set markups to client-related expenses instantly, giving me a real-time view of my margins and cost of doing business.

Cons

SUPPORT: Their Help center is a nightmare to navigate; it just floods you with useless articles. It's almost always quicker to just Google the problem or jump to the "user community" than to use QBO's own support. COST: The pricing for add-ons and the massive jumps in cost between user tiers (e.g., $115 for 5 users vs. $275 for 25) is frustrating for scaling businesses. And honestly, it's super frustrating to know that they have features that I just don't know how to use, and likely need, but the free 'tutorials' are so basic—I feel like it's a terrible customer satisfaction approach to charge for classes to get the complete picture when I've been a subscriber for nearly 10 years. UX STABILITY: I appreciate many of the changes QBO has implemented over time, but often I just want to say, "Please stop changing my dashboard without a heads-up!" They often roll out "updates" that seem to be just a layout rearrangement with no notice, and it’s a productivity killer.

### "Great for beginners!"

Overall its been an ok product. The ease of use for beginners is something I would highly recommend as a starter product but I wish there were other options that were just as robust or something made more for people that understand how accounting works.

Pros

I love that its a bit of a catch all for any small business that needs to track their accounting. Its pretty easy to navigate for people that don't under stand most accounting and the training they offer is something I would highly recommend. The invoicing works well for us for basic invoicing. Their pricing is pretty good for all the options they have- we use Online Advanced.

Cons

I wish the QBO had as many reporting options as the Desktop version. I've asked about getting some of those reports but customer support says they don't have it. As someone that knows the accounting side of things the product can be frustrating to use because they block certain features or accounting procedures to try and help people not mess up their books. I've had issues with trying to get help through customer support but they know less than I do usually.

My customers love the ease of paying bills with the click of a button in an email and you can also send a text. Customer service is effective although it’s incredibly rare I need it. It is a stable program that get continual upgrades. It allows me to track my hours, receipts and makes invoicing easy so that I don’t have to worry about making mistakes. I need a simplified system because my workload is erratic.

Pros

I have used QuickBooks for decades. QuickBooks online is incredibly nice because you can access it from any laptop and it has a phone app. I primarily use the phone app. It’s a robust program that gives small businesses like myself a way to track accounting, invoicing and credit card, etc. payments all in o e and at an affordable rate.

Cons

None. They keep upgrading to allow for better features and ease of use. They also expand on integration from third party apps to make it even easier to use.

Overall, I will always choose Quickbooks and recommend Quickbooks to others. Its super intuitive, fast to use (no lagging) and being able to use the app on the go is a no brainer.

Pros

Quickbooks online is easy to use. I like being able to quickly snap receipt photos and add them on the go, and then easily match up receipts with bank transactions. Our invoices automatically integrate from Jobber, which is wonderful and makes life super easy. Finding our Financial Records is easy, it's nice to be able to quickly see P&L as needed. Whenever I have needed to reach out for support I have been dealt with quickly, professionally and the team takes the time to walk me through the steps. Having used other alternatives, I would always come back to Quickbooks.

Cons

I find the cost for Quickbooks in Canada a bit steep for certain features. But this is pretty common with most products in Canada these days! You get what you pay for!

Cons

Great program and I can't imagine using anything else. Since it is a popular program, our accountant is well versed and can use it easily. Quickbooks puts a lot of control and customization in my hands. The payroll function is so beneficial with Quickbooks tracking live checks and auto-creating labor and tax reports, and filing and paying taxes automatically. We have several integrations that sync flawlessly.

Pros

User friendly and easy to use. The financial and operational reporting is robust and used constantly. I love how I can build budgets in easily and track different key metrics. Invoicing and receiving payments is simple and Quickbooks makes matches to payments automatically. The support team is quick and helpful. I like the integrations that are available. It is inexpensive and does everything I need and more.

Cons

Sometimes AP payments are recorded as a payment and not a bill payment. I can't change or apply without voiding/deleting. When we receive AR payments through quickbooks, we get charge a processing fee.

I really recommend to use it if your run small or big business. It will put together all your spendings and expenses.

Pros

I think that’s the only one system where you can use for business to track your spendings and etc, My business accountant using it for tax purposes. Also it’s really easy to get your financial reports from it. If we use quickbooks desktop it is a good price. They have a good customer support, always answering on emails and phone calls. We also using it for invoicing, it very user friendly. There is no extra or hidden fees.

Cons

I got hacked once and sometimes getting some fraud emails from quickbooks scammers. It’s really hard to understand sometimes if it’s real or fake accounts.

I have mixed reviews with Quickbooks. I used to love it but the more updates they do to unnecessary things which add more steps than needed (Example: When I go to print a paid invoice after payment applied, the system now asks me if I want to note that invoice was printed......Not needed at all and extra clicks to get to what I need.).

Pros

Quickbooks is relatively easy to learn & use other than when random unnecessary updates are made to the system. We primarily use the online version.

Cons

The customer support is a joke. Anytime I have called in for an issue, I get someone who has no idea how to fix my issue. This happens especially after random updates (unnecessary for the most part) and the techs have no idea how to help as they are restricted by the new updates and cannot really offer a work around.

Overall, the app is fairly good value for money, particularly during the initial period. Features for the self-employed version are however limited, lacking customisation (e.g. expense categories etc) and poorly adaptable to different kinds of businesses. The sync functionality with bank is very disappointing. There is no way to reliably set up what is relevant and how to record different suppliers, no chance to have categories remembered, even when defining defaults. Not very satisfied.

Pros

Good initial pricing, easy to set up. Straightforward everyday handling and simple, complete dashboard.

Cons

The self-employed version is very limited as for features and customisation. Poor sync functionality

Again, severely disappointed knowing the strength of QuickBooks desktop. Everything is very restrictive and limited. It's almost like the company went backwards BUT the sales people will tell you it's even better than the desktop version. Intuit just wasn't very intuitive when developing this software.

Pros

A few of the biggest benefits are: 1. Ability for multiple people to be access the accounting information regardless of their location. 2. The price point also seems very reasonable when compared to the QuickBooks desktop version. 3. It is great not having to hassle with a software upgrade on an annual basis. 4. The ability to take credit cards and ACH payments works well & has actually made a positive impact on our ability to collect customer accounts quicker.

Cons

QuickBooks online fails in several areas when compared to the desktop version: 1. I either cannot get logged in or get kicked out during the worse possible times. It is not a frequent occurrence but enough to be frustrating 2. Posting data does not always result in immediate update of information. 3. There is a lag in the system - note that I am connected with fiber optics and still feel the pain here. 4. Sales tax is a nightmare which is difficult to understand as the desktop version was so easy once properly set up. I could go on with several examples but overall very disappointed with the software when I know the desktop version is so robust.

### "The Few Pros and Many Many Cons"

My overall experience with QBO is one of frustration. I cannot do my file at my own pace and I have no privacy. The app they promised would give me the same experience as Desktop was a lie. The $150 disc that was good for 3 years is long gone and I was forced into an online mode that is awkward and unnerving. If I knew of a different software like QB Desktop that my accountant would accept, I would buy it in a heartbeat.

Pros

I own my own business (a high-end hair salon) for 20 years and have always used Quickbooks. Back in 2007 I would buy a QB Desktop disc for $150 that was good for 3 years. I have used Quickbooks Desktop for 95% of my time in business until early 2025. In March 2025 I was told that the QB Desktop subscription would double from $600 to $1200 on my next renewal and that I qualified for a special offer for QBO. I was very reluctant to switch. They told me there was an app that would give me the same experience with QBO as I had enjoyed with my QB Desktop for all those years. Remember, I am not an accountant and I probably only used 20% of what QB Desktop was capable of doing, but I was able to run my business, do direct deposit for my payroll, pay my payroll taxes, unemployment taxes, and whatever else was needed. I would sit down at the beginning of each month to close out the previous month by balancing my QB ledger with the bank statement and for 17 years I balanced it to the penny each month. I did not print up the Form 941's each quarter nor did I do year-end tax returns... I let the accountant do that and sign off on it. I felt I had complete control of my business on QB Desktop and it was not hard to do the payroll taxes & weekly payroll. I paid my bills using my bank's online Bill Pay and everything worked quite well UNTIL I switched to QBO. That app they promised would give me the Desktop experience did not. They lied to me and I was forced to learn to use QBO. I will say that when I needed assistance I got it (for free) and things seem to be working, but not as easy & stress free and Desktop. There are a few things I like about QBO - it is linked to my bank and when I enter the transactions into my ledger, it generates a picture of the check and that is a huge convenience. I used to sit down each month and go through each check on line to see who it was made out to and now the checks just appear instantly. I also like that I can sit down at work or home and use the software - my desktop was only available on my laptop at home, so I could not do it while at work. Doing payroll is easier and another big plus is that I do not have to send my file to the accountant each month - they can log onto my business at any time.

Cons

I dislike the fact that I have lost control of my file. With desktop I was able to make my edits and do what had to be done and when I was satisfied it was correct, I sent it. With QBO, it works on my file continuously and I feel I am forced to play catch up each time I log on to use it. I feel as if I lost my privacy because I cannot tweak my file and make it perfect b4 sending it to the accountant. With QBO I never know when my accountant has done anything, or for that matter, I dont know what they have done or saw. It's not that I have anything to hide, it's just the fact that I have lost control of perfecting my file b4 the accountant sees it. I am detail oriented and balancing my file each month with the bank statement was actually fun - now this is all done online without me knowing and I do not like that. I feel as if I was forced out of Desktop into some software that I resent.

### "One place for all things business"

Pros

I use Quickbooks for our company for years. It made it easy to write estimates, send and then invoice. The features ware great and the Ai integration is helpful. I like how we can have one place for everything business and it’s a trusted name in the construction world.

Cons

I feel the pricing could be better and the required add-ons are a pain and sometimes the app is glitchy.

### "Quickbook can afford to do a bit better."

frustrating only because i have to use it all day every day and i know many people do, so i dont know why there are still so many features missing.

Pros

it seems to work consistently. the user interface is simple and easy on the eyes. many kinds of reports. the invoices can be made from timesheets which is nice.

Cons

That the current week pre populates on weekly timesheet. It doesn't make any sense and results in many mistakes and extra work. They have ignored my suggestions and I don't feel supported or heard.

### "QuickBooks Online will always be #1"

I still believe that QuickBooks online is a superior platform for all business owners. I recommend it to everyone from new entrepreneurs to seasoned entrepreneurs!

Pros

I have been using QuickBooks for about 10 years. The cloud-based accessibility is fantastic because I can manage my books from my desktop, tablet, or phone anywhere with internet, which is perfect for a busy business owner. It is generally very user-friendly with an intuitive interface that makes tracking income and expenses simple, especially by automatically downloading bank and credit card transactions. I also appreciate the time saved with its automation features for things like recurring invoices and the ability to easily collaborate with my accountant in real-time. The wide range of available integrations with other business apps is also a huge plus for streamlining my workflow. I also enjoy the fact that the customer support is really easy to reach in case you have any hiccups.

Cons

The subscription costs feel a bit high, especially as my business grows and I need to upgrade for more features or user access, making it quite pricey compared to some competitors. I've been frustrated by the customer support, which can be slow to respond, and sometimes I feel like it's difficult to get a resolution for complex technical issues. There can be a steep learning curve for advanced features like detailed reporting, and the customization options for certain things, like invoice design, are often limited. Occasional glitches and performance issues, especially when navigating quickly or running comprehensive reports, can also slow me down. I still believe that QuickBooks online has the best value when it comes to business software

### "Seeing the whole picture -easily!"

I have used QuickBooks online in a couple of different jobs, and it is very user friendly. I love that I can figure out what report to run, to give a holistic picture of what is going on, financially, at any given time. Or if you don't want the whole picture, and just want to look up how much was paid to a specific person/vendor this year, its so easy. I suppose that is the short and long of it - ease of use for a clear picture, so we can make well-informed decisions about finances. For my other job, running payroll is so easy - and sending out W2's & 1099-MISC/NEC's are a breeze! And gathering documents for the 990-PF would be unendurable without QuickBooks Online! I cannot think of a more glowing endorsement than that!

Pros

Love the banking feed option; and the different ways I can access and organize data. I prefer the Classic View over the modern view, just for the ability to view the Profit & Loss report, organized a month at a time, YTD, or just the totals for a particular Class (or Initiative, in my case)

Cons

Right now, the part that I just don't appreciate, is the default to "Modern View" - as it doesn't grant me the same ways to organize information as Classic View - and there is no way that I have found to default to Classic View.
