November 13, 2025 5.0 We have had to make a lot of changes over the last year from utilizing a new payroll system, assigning financial day to day tasks to a new employee and bringing on a \[sensitive content hidden\] . QuickBooks has helped us to make the transitions much easier and to keep everyone on the same page with real time information. Pros I love that I can have access to company financials at anytime from anywhere. It makes tasks like correcting payroll errors or needing to send a last-minute payment out seamless and easy. Cons I think the only problem I have every run into with QuickBooks was related to completing Direct Deposits. We had everything set up and put through, but was surprised to learn that there was a maximum for direct deposits that we could complete in a day. This did cause an issue for us at the time that we were able to resolve by think out of the box, and now we are aware of the limitation and plan accordingly. Review Source HB Hunter B. I've yet to run into any issues or bugs in the system. Everything functions as it should has genuinely made things much easier. Given the amount of things Quickbooks Online does for me and the small cost for it each month, it is a huge value for the expense! Just the invoicing, being able to collect payments online from customers, and easy customer support huge! Pros Quickbooks Online really helped with opening my new business. It reduces the amount of time spent organizing my jobs and helps me track time spent on jobs. It has made invoicing a breeze and keeps my financials in line for tax time! Cons There were changes made to the format right after I had gotten used to using Quickbooks Online. It took me a bit to adjust to using the new format but after that it's just as easy as before. March 16, 2026 4.0 It's an easy for a small non-profit to manage the business! While we have an external controller that can provide support in a pinch, generally QB makes it easy to manage our books internally and efficiently. Pros Easy to use! The financial feed directly from the bank makes closing the month a breeze. Categorization of expenses is easy, and the software provides suggestions based on past use, which is nice. Cons There are a few places where there is limited or no customization for import fields when using the general ledger for matching A/R payments imported from a CRM. We have to use Saasant to get the data in a format to import. No ability to build an API from the CRM. Review Source ST Shaina T. We find it to be suitable for our bookkeeping and inventory purposes. Pros Love that it integrates well with our scheduling system & I like that I can access it from both my work computer and my laptop at home. Cons Whenever I've experienced issues I have not found customer support to be very helpful. Dislike that I cannot use offline. I like that you can set up recurring entries and bank rules to help build efficiencies for the day to day bookkeeping. I also appreciate how customizable the reports are. Pros I love that all the parts of accounting and payroll are integrated into this one software. It's user friendly and has so many ways to tailor the settings to your user preferences. Cons The customer service experience is lacking. Any time I have to call Support, it takes an hour+ for the issue to either be resolved or escalated. That option had been practically removed. I despise the excessive rate increases, year after year, with no improvement in the user experience. I am honestly dismayed I am locked in to further funding this company. It is now no longer worth the preposterous increases, I will absorb the cost to switch to any other company. I have not found their community to be helpful, but rather frustrating Stay away, it is not worth the cost Pros My accountant recommended it. Many assistants have familiarity with it. It has brand recognition and does accounting It can sync. Cons Overpriced. Very poor value for the money I hate the constant advertisements cluttering the feed for their other overpriced services. I am not certain how much better though. so many things appear to be second thought and not well thought out. Pros It somewhat keeps books automatically for me. I can run reports and keep an eye on the finances a bit more easily Cons the dates. if i change a date on an estimate sheet, that carries through to the invoices and if i dont catch it my clients get overdue invoices. the time keeping app is garbage Review Source TD Thomas D. I find that I spend more time dealing with the AI and upselling advertisements than doing actual useful tasks. Pros Generally good at bank connections, of course this is an essential function. P&L report is good: format and drill down are helpful and save time. Cons The relentless attack on my screen space with Business Feed/AI. This causes me to lose time every single time I use this tool - aggravating completely. Add to this the incessant attempts to upsell me to services I have no interest in and have refused for literally years. The software could notice that I consistently close all this wasteful mess of screen consumption and suppress the mess. I believe if am paying for a service I should get some control over it and not have to endure your advertising and upselling. It was my first accounting software to learn and it set a standard no one else can match. Pros My favorite part of using Quickbooks Online is the ease of use, and there is always online support and resources. Cons As with most software, there are some bugs here and there. Because of this, there are also always glitches being fixed. I have tested and used many other accounting softwares and they either don't have the features of QBO or they cost 3 times as much. QBO customer service is top knotch. You request a call back and they are on the phone with you in under 3 minutes. Pros cloud based for ease of access for all users, customer service response time, auto payroll for salary employees. Data in reports can be clicked on and it takes you directly to transaction. Cons The new AI busines feed that has been added to a select fee of my clients. QBS does not allow you to turn it off, which they should. Reports lack in customization of some reports. On transactions; there is a memo field and a description field; some reports pull from memo field while other reports pull from description field so I have to copy info into both fields in order for the transaction description to always be included in reports. The mobile App is useful to monitor the business when on the move, however IMO, the desktop experience is by far the most productive way to use the platform on a day-to-day basis. Mileage tracking (via the mobile App) turns a necessary chore into an easy task. Pros The interface is easy to undertsand which is ideal if this is the first time runnign a business. The onboarding process and virtual support was particularly useful when we first started using the platform. The cashflow planner is a really useful feature, allowing us to track expected income and outgoings. Mileage tracking (via the mobile App) is a great feature. Cons The "projects" module is a paid upgrade, which would be nice as a basic feature with a starndard subscription, as this would allow our business to associate costs to projects, and monitor profitability in a better way. I can check balances, run reports, see if checks have cleared, etc. I also love that it is paperless and stored in the cloud. Cons What I like the least is that it is not always easy to find what you are looking for. The convenience of Quickbooks Online being portable allows me to work from multiple locations even if out of the country. Pros Easy to learn how to use. Many automated features. It makes keeping track of your books in a timely manner easier. Generally very user friendly once you get the basics. There a a lot of online resources and video available to help. Helps you keep on top of your taxes. Easy to customize. Cons Doesn't always integrate well with other online software like Contractor Foreman. The banking feature also sometimes "matches" to wrong transactions. Until you learn how to use it and customize it's easy to make mistakes. It has an intuitive interface easy to navigate and I also like that the customer support team is very responsive. It has seen great productivity for ytyhe company in a very short time. Pros I like that QuickBooks Online has great reporting and analytic capabilities as it helps with insights on business performance hence we are able to make informed decisions on time. The tool has seamless features that beats it pricing which gives us value for our money. Cons QuickBooks Online has been an exceptional tool for us. It brings a good value to the table for what it costs. It's easy to use, and super intuitive and it being all cloud based makes everything easier. Cons I don't love the way that they've updated the looks/UX of the invoicing and reporting sides of the software - for someone who's worked in the software for years it made things feel unnecessarily clunky. There are things I dislike, but the ability to integrate my bank accounts, invoicing, payments, time keeping, payroll, and more into one product is hugely beneficial. Pros QuickBooks online really does it all. You can integrate many facets of your business (especially the financial side) into this one product. Cons Price, complexity (you are have little freedom to do things outside of their predefined functions). Switched from [GnuCash](https://www.capterra.com/p/125092/GnuCash/)[Square Point of Sale](https://www.capterra.com/p/275802/Square-Point-of-Sale/) GnuCash wasn't feature rich enough as we grew. The interface is not user friendly. It lacks many features that I was used to having with Quickbooks Pro Desktop. It's glitchy and unreliable at times. Iv'e been using different versions of Quickbooks for my business for a decade and I'm now looking to move away from Quickbooks because of the changes. Pros It's an online software, so available from any device with a browser. It's a fairly common software, so 3rd party support is fairly readily available. Cons The constant changes. The user interface. The lack of features that I was used to having with Quickbooks Pro Desktop. The slow performance, even with fast internet. Pros Quickbooks online is easy to set up and manage my business financing. I like that I can set up recurring invoices that allows me to save time. Cons The one con is that the syncing with Canadian bank accounts can be challenging with all the security and two set authentications, I need relog in all the time.
