Director of Finance Construction Used the software for: 2+ years ### "QuickBooks Online Ease of Use" October 11, 2022 4.0 It's a love/hate relationship with QBO. I love the functionality and the possibilities of what it can do, but absolutely hate it when there is a question I need an answer to. I have tried for 4 weeks to convert our payroll over to a new QBO Payroll program and have yet to get everything completed. Every time I make a little progress, another question pops up and I have to spend at least 1-2 hours with a rep to get help. Unfortunately, our third-party tech support does not specialize in payroll, so I have no other options but to be at QBO's mercy. Pros It provides an excellent option for payroll processing and federal/state tax reporting. The reports options are great. Cons The customer service is horrible, and answers are confusing once a person does answer to help. After many countless searches and help desk responses that did not provide adequate results, we started using Real World Training's support. They provided a two-day tutorial on all QuickBooks basics and help out on live, real-time sessions as needed. Quickbooks helps me with nearly everything that i was doing on Excel before.. Now I have everything on 1 software. It is easy to use and it is way easier and less time consuming using this software compare to Excel. I highly recommand it. Pros I recommend this software to anybody who is looking for an easier way to manage their businesses. If you are looking to open an online business, this is probably one of the easiest way to do it. I am not a huge technology person and this platform is really userfriendly, I haven't had problems, but if I had any the support services is there to support you in real time, in a lot of languages. I speak french, english and spanish and the app can help me in any of those languages. Cons I haven't see any issue yet with this software.. I think that maybe add more feature on the app to make it similar to the computer version. I find the best thing is that I can just pull up the software on the web, or in the app on my phone and take care of business while I am out on the road doing service calls. Pros I like that I can access my information while I am out on the road. It's also a bonus that it integrates with my ticking software so that I can just export the information from that and it syncs right into Quickbooks online. I also depend on the ability to input and scan expense receipts so that I don't have to do it when I get home. Cons The price is a little hard to swallow when coming from the desktop version of Quickbooks for so many years. Also there are some features that is in the Desktop version that hasn't been implemented yet. March 14, 2023 4.0 Since I'm also an accountant and bookkeeper for a few other small firms, I use it for their payroll and financial records as well. Regularly, I utilize the whole software for my company's payroll, time tracking, and accounting needs. To streamline accounting, I recommend that all of my customers switch to QuickBooks. Pros All of our financial records, including bookkeeping, accounting, payroll, and budgeting, are maintained in QuickBooks Online. The program's principal user is me, but I've also sent copies to the company's grant writer, accountant, treasurer, and auditor. Cons Cleaning up the books is a fantastic idea in theory, but the execution fell well short of expectations. It would have been better if they had questioned my role in the organization more thoroughly before making the changes. I started with little experience in bookeeping and accounting and just using the product has given me a very rich knowledge base. Pros The response of customer support and the straightforward way the program is designed. Cons It isn't anything that would make me stop using the product, but the ability to be in one transaction and look up information at the same time without having to exit the transaction would be convienient. It's all fluff. Pros I thought it was a great product until a proper accountant and bookkeeper showed me all the many inconsistencies, flaws, and backend complications and valnerablilities of this system. Cons The customer support is horrendous. You can sit on hold for hours and then get a consultant who can't help you. This system ignores basic CRA requirements, will change things on its own, won't separate labour hours per project to get accurate job costing, and will not stand up to a CRA audit. Pros I really drug my feet about using quickbooks for a long time. Finally my CPA wore me down and I signed up. I still find much of it difficult to work in but I'm admittedly not good with bookkeeping and tax prep so I hired an outside bookkeeper to balance the books. Now having quickbooks would be non negotiable. Cons The thing I like least about the software is how difficult it is to use when first getting started. It does take time to learn and I'm grateful that I have a bookkeeper that helps me with that part. Reason for choosing QuickBooks Online I chose quickbooks online because my CPA recommended it. Myself, my bookkeeper and my CPA all have access which keeps me pretty much hands off on discussing numbers or getting a headache around tax time! As soon as I get an email saying that my paycheck is ready to view I am able to look at it and know exactly what will be direct deposited within minutes. I am also able to see my calculated sick time on the main page. If I have questions about past paychecks they are able to be seen on the home page as well. The color coded graph that shows my YTD and my tax withholdings is very useful, especially for taxes. Cons I wish there was an app for this software, I have looked in the app store and there are a variety of different quick book apps but by the looks of it they are mainly for employers, for now the internet search still works well but I think an app will be even easier to access. This makes it easy for the platform to adapt to myb usienss and produce the data I need and is most helpful for planning and forecasting in collaboration with my CPA and bookkeeper team. Cons Forecasting in the app itself is not a standard feature and way too expensive for small companies who are trying to scale, but literally cannot affor the very function to help us plan for whats on the horizon financially. My CFO/CPA has to do this manually in another spreadsheet with weekly cashflow projections instead. Bummer Could be easy. Also I hate that the mobile version and desktop version of my QBO account don't sync or communicate with each other. Its literally like having two sets of books and not useful. I could delete the app right now and not miss anything and probably avoid giving myself a heart attack by looking at out of date data. Review Source EK Erica K. owner Architecture & Planning Used the software for: 1-2 years ### "I rarely write bad reviews but Quickbooks Online is over-the-top bad" May 2, 2019 1.0 I am highly disappointed and frustrated with Quickbooks Online after switching after 15 years using Quickbooks Desktop. 1) the transfer from one to the other was fraught with errors that have been far reaching and expensive to resolve 2) QB Online is slow and cumbersome. 3) It is incapable of tracking hours by class which we were counting on 4) the screens are very inefficient with the way space is used which causes the need for extra scrolling and loading (which as I said is very slow) 5) it is way over priced for small businesses 6) every "improvement" seems to be in the form of a new app that one has to pay a lot more for 7) basically they are nickle and diming small businesses to death. After 1 1/2 years with QB online I kept thinking it would improve and there has not been one improvement despite submitting complaints and recommendations for improvement. We have decided that we will switch to another company as soon as we have time to make this transition. Pros It is accounting software. That we can use an app to export sales from our online store to Quickbooks. Cons Very slow to load pages which is why I am finally bothering to write a review right now because I am trying to enter timesheets and I am waiting for each page to load. This happens all of the time. The interface is not intuitive. There is no class tracking for employee hours which is hampering our ability to run reports and do business planning. Our business was with Quickbooks desktop for 15 years and we were very happy with it. We switched to Quickbooks Online thinking that this was an upgrade but it is a huge down grade plus we are pay much more for the online version. The process of switching was literally catastrophic. Much of our payroll and tax data did not transfer correctly. We spent over 200 hours correcting problems. We would solve one problem only to discover another. These problems also meant that we had unknowingly submitted incorrect tax forms that then had to be amended and submitted. It is 1 1/2 years later and we are still discovering errors that occurred during the switch. Quickbooks Online customer service was not helpful/useful at all when it came to fixing these problems. Additionally, instead of improving the problems with the existing program (the timesheets for example), QB came out with a new time timetracking app (T sheets) that you have to pay a lot of additional money for. At this point it seems like a total rip off for a small business. As the owner, I have had to deal with all of these problems - we are going switch as soon as I have time. Review Source JG Jasmine G. Bookkeeper Hospitality Used the software for: Less than 6 months ### "Complicated" October 15, 2019 3.0 Overall I would say QuickBooks is more of a software made for people who don't know much about accounting. In that sense I would say it is very user friendly for those people. However when you put an accountant in front of this software my first questions were: "Where is accounts payable?" "Where is accounts receivable?" "Where is the general ledger?" These things just aren't marked that way. My first confusion was entering in invoices. Now usually this would be an expense but if you enter it in as an expense in QB it's really accounts receivable and you'll have to enter it in as a bill. Also one of the most confusing parts is keeping up with daily reports. Now I do understand that not every type of business needs to be doing this but in the hospitality business this is a requirement. This software makes it very easy to skip past a day and do other days and it will constantly change the "number" you had named the previous day. I find this slightly annoying and confusing. Sometimes I just don't remember what day I am on or what day I am missing simply because I can skip forward days (which can be nice). My overall opinion is slightly indifferent I would honestly rather only work with M3 only because QB runs slow. I think if it ran more smoothly I think I wouldn't mind working with it but it gives me a headache of how long stuff needs to load and get errors because it can't load all my properties at once. Pros What I liked most about this software was that you can connect the bank account to the property. This way it makes managing money and bank recons so much easier and faster. I also enjoy that I can easily delete and edit invoices or journal entries. This is sometimes a con as well. It all depends on if you know you won't accidentally click on something you shouldn't. I also like that I can easily enter in invoices and other things just by clicking on the + button. Cons My least favorite thing about this software is that the longer it is up the slower it gets for me. I am not sure if this is just my problem but we do also use M3 (another accounting system) and it never slows down for me no matter how long it is up for or what I'm doing. Of course it will take some time to load your first selection but runs super smoothly after. I am very disappointed at how slow this software runs for me. November 19, 2019 4.0 We initially moved from QuickBooks Pro Desktop to the Online version to allow for our new Online Service Management System (RazorSync) to easily export invoices into QB for processing. In that regard, QB Online has worked well and met expectations. It's obviously an evolving product and there have been many changes to it over the time we've been on the service; some good, some not-so-much. The reporting module is very limited and unless one of the canned reports is close to what you want it's a struggle to obtain some information in a format that's useful. All those issues aside however it's been a good solution for our company and we expect we'll continue to use it. Pros It's wonderful to have access to our accounting system from any Internet-connected device. Integration with our Service Management System (RazorSync) has allowed us to turn Service Orders into invoices and send them via QuickBooks Online quickly and easily, which has absolutely improved how quickly we get paid on jobs. The Payroll module makes it easy to pay our employees and calculate the necessary withholding and taxes due. Cons The reports in the Online version are clunky and horribly limited. Recently Intuit modified what was included in the package we were in and limited the number of accounts we're allowed to have in the Chart of Accounts without paying a higher fee, so we're stuck not being able to add new accounts unless we want to go to the "next tier". Last year we needed to reprint some older tax forms that weren't showing up so we were forced to contact support for assistance. We finally got what we needed done but it took contacting two different support reps as the first one obviously wasn't familiar with the product and made changes to our accounting data that had to then be fixed by the second rep. Have tried almost every type of free trial they’ve offered and something additions have actually been really worth it while others have not been so useful for my business. Again, the overall company is top notch and their offerings are too. Prices id say are definitely fair for the quality of service and solitons they offer. Pros Quickbooks offers tons of different features. Some are included in subscriptions while others are added on. When first starting, knowing what you need or don’t can be overwhelming or just difficult to figure out but I can’t say there was anything I could think of Quickbooks didn’t already offer. Spend time looking at different aspects or categories of software they offer just keep an eye on how much overall expense it is… They have great, competitive prices but one can quickly end up paying a monthly fee way above our actual necessities because of everything they offer. Cons Some confusing aspects of Quickbooks can be knowing what actual software you’ve purchased or subscribed to and what may or may not be included… I suggest spending a good while just going over all of their products before any actual purchases. Pros A lot of what Quickbooks does for us is 80% set up in the program before you even go into it, so it's easy to just log in and start working on your books as needed. Overall, Quickbooks knows what businesses need to do in accounting to get by day-to-day, and it does that fairly well. Charts of accounts is nice to have and easy to create specific reports with customizable traits and we like that a lot. Cons We use Square for our customer front, including running it as our P.O.S. system and running all of our transactions through Square, our invoicing, our inventory tracking, our employee payroll and scheduling, basically everything. I cannot stress enough how \*horrible\* the integration between Quickbooks and Square is. I literally have individual transactions coming through to QB, repeated transactions coming into QB, tips on bar tabs coming through as separate from their actual transactions, the bank account separates from the account at least quarterly, if not more, and a whole host of other issues. Most other things in QB run just fine, but if you're needing to integrate it with any other form of business software that you might be using to run your biz, then good luck. It just doesn't take to outside systems as well as I would expect it to for being one of the leading accounting softwares on the market, especially for small businesses. Multi-currency is supported but it's quite hard to get to grips with, especially if you have actuals for the exahnge figures by transaction, meaning you have to value each transaction. Again I've modified my business sytems to work around that. Which is starting to feel like the tail wagging the dog, but it's a cheap solution and I'm trying to minimise the time I spend on it. With the browser tabs it does tend to log you out a lot while you're actually working, and the pages are often slow to load (I am running a high spec PC on a fast ISP). I don't carry stock but I think that would be problematic if I did. I dislike that I can't create a company for both sales and purchases but have to create one for each . This means if I have a supplier that is also a customer (and I do) I can't net off their invoices against mine at all easily. Bank connections are a good feature but they are often days behind in posting the transactions in my experience. That makes it complicated to reconcile promptly. The VAT (UK sales tax) element works well and produces all the numbers required for the VAT Return (submission). I've had to use control accounts quite a bit too for simplfying some tasks. Pros It's quite streamlined once you get the hang of it and you can gets tasks done quickly. It's quite powerful if you want to delve in a bit deeper.
