From invoicing, to payroll, to taxes, to reporting it covers everything. Pros It really covers everything I need to do with my accounting. It also links with my CRM, Magazine Manager, so I can send invoices directly. The reporting feature is good and payroll is easy to use. I am a small company and do all the finance myself so time saving features are important. It also handles multi currency well Cons I don't have any major cons although I wish payroll was just included rather than a separate fee. I had some issues in the past with linking my accounts but that is fixed now. " August 24, 2025 5.0 Pros I love that you can easily prepare for taxes all year long, and with it being online you can access it from anywhere or have multiple people on the same program. Its ability to create rules means that transactions can be auto-categorized, saving you time from menial tasks. It also allows for invoicing, simple and robust financial reporting, writing checks, and employee payroll. It integrates well with numerous other products for transaction uploading, payroll, taxes, etc, making it a very beneficial product. We also appreciate its reputation in the industry, making it a safe choice for us and our customers. Cons There is not much we don't like! Quickbooks helps me keep my business finances in check, automatically synchronises with my bank and helps me manage payroll, of which I wouldn't ordinarily know where to start with. Pros Simple to understand, feature rich and great integrations. The quickbooks platform is easy to navigate and use and makes it easy to be able to search for transactions and report on financial data with ease. Accepting payments and producing invoices is really easy. Cons Payroll specifically can be confusing and could be simplified. The layout is confusing and there is not enough help tips to understand each option. This could be made simpler with a wizard or something. Cons Quickbooks payroll should be an embedded feature, not an add-on - additional cost doesn’t make sense for businesses with small payrolls. Pros It has an ease of use and giving your accountant access has been great. The automated reminders to invoices that have not been paid is a great time saying function. Cons Connecting to our Bank has been an ongoing issue, causing many headaches of going through the process of connecting. I realize some of this is because the banks are adding security to online access but is also causing an issue with getting the bank transactions into Quickbooks. The online edition is not as effective as the desktop model but is still good. Pros Quickbooks online is an easy to use online edition of the well developed quick books. The system makes it easy to complete year end reporting. Cons My least favourite thing about Quickbooks online is the reduced capabilities in comparison to the desktop edition. We use to use Quickbooks desktop and after switching to online — it’s noticeably easier to use and has so many more features. Nice that you can give access to others, but need permission first. Pros I like that when you click on a topic there are others to choose from to see exactly where you want to place customers or track expenses. Also shows a monthly report on how your business is doing. Fairly easy site to navigate. Cons Stop making changes to main screen. I feel like they are always trying to improve, which is great but it seems like like the try to make many improvements. Be careful with the integrations" April 24, 2025 4.0 On the whole, I think it's a great tool. It's not particularly expensive and is definitely a more affordable option that working with a professional bookkeeper. There is a bit of a learning curve, but it's not too bad. Since my accountant uses the pro version, I can't really imagine using any other platform. Pros It's fairly simple to use once you get everything set up. Ongoing maintenance of the books is not particularly difficult. Cons The integrations with third party platforms is major pain. I had to hire a professional to set up the integration with our payroll provider and it often just does weird things that I don't fully understand how or why it does them. So you have to pay close attention. You definitely can't just let it automatically update transactions. The update to the banking and credit card happens within hours or the next day. Cons Not user friendly. The banking is quirky. It has allowed me to understand the bookkeeping aspect of my restaurants and to tackle 80% of everything on my own. From Payroll to Taxes, I can do pretty much everything with their software. I highly recommend them. Pros Quickbooks Online is very easy to use and everything is easy to find. In previous versions of Quickbooks or even some other accounting software I find you need to search everywhere just to find what you're looking for. Quickbooks Online streamlines the entire experience. Their Payroll and Benefits integration has been a godsend and has help me retain my employees by offering them competitive health insurance and pretty soon I'm going to try their 401k offerings. All in all, they have taken the pain out of bookkeeping. OH WAIT. I almost forgot the coolest new feature! AI Integration! It's amazing. I scan an invoice or receipt. I then drag that image into Quickbooks and it will propagate the information to most if not all the fields needed. It's not perfect but it's good enough to save me hours. Cons Like everything in life lately, paywalls. They start you with some amazing stuff but if you want to add X or Y feature, it's most likely going to cost you more. It is what it is I guess. Cons There have been some instances of transactions not loading or of employee's access being revoked, seemingly randomly. Switched from [Microsoft Excel](https://www.capterra.com/p/176574/Excel/) It was difficult for our accountant to communicate what he was doing and for staff to follow along when he had his own excel systems set up; it was not easily transferable to anyone and required all information to be inputted manually. Pros I most like Quickbooks Online's ability to integrate with so many different software. It simplifies processes and creates a higher level of fidelity. Cons The app nature of the online version is off-putting for someone that's more versed in accounting. There are restrictions in Online that don't exist in the Desktop Pro version. Building custom reports is much more difficult in the online version. Director Information Technology and Services Used the software for: 2+ years ### "Good platform for SMEs" June 24, 2025 4.0 It has helped our business to run more efficiently and comply with all the HMRC requirements when it comes to submitting VAT returns, accounts and doing payroll. Pros It is easy to use and has good reporting. It integrates with Gocardless to offer credit card payments and set up direct debits which we find important for our business. Cons Customer support has got worse over the last few years of being a customer, often I log a case on the live chat and never year back from them. I also dont like how they send mailers out asking one to review their business for an voucher, only to read in the small print is it only for the 1st 500 or some other condition that enables them to get many reviews but probably only reward a small percentage of the reviewers. I also use invoicing quite a bit. Pros Very easy to use, not very expensive for all the functionality we receive. It does a good job of categorizing everything and helping me understand our spend. It also integrates with all of our other software. Cons There isn't much I don't like - it's not the easiest to use to do more complex accounting (ie deferred costs or accrued expenses). March 13, 2026 5.0 Would highly recommend, our team was quick to get oriented and start using QBO. We'll continue to expand reporting of firm metrics. Pros Quickbooks integrates seamlessly with our banking (Chase) and project management & invoicing program (Factor AE). Reports are simple and clean. The program is also quite easy to learn. Cons Some functions in the online version are still being developed (grouping in reports) and the cost is a little steep, but not bad. It was fairly easy to learn for most of our team, and has all the features we needed to get our business off the ground. Once we grew to a level with multiple businesses and territories, we decided we needed a little more robust of a tool and moved in another direction. However, I'd still highly recommend QuickBooks as a beginner tool. Pros For a beginner accounting system, there isn't a better software. Extremely simple AR & AP, with basic reporting in place as well. Attractive pricing compared to other options too. Cons As we scaled, the features and connectivity to other systems began to lag. We needed a little more robust reporting and synchronous data, which I don't necessarily fault QuickBooks for. Review Source David K. April 8, 2025 5.0 Overall, it's decent - their support is average but able to handle whatever issues you have. Even if they create shadow QuickBooks checking accounts without your permission. Pros Quickbooks is the leading online accounting software for businesses for good reason - they've got all the bells and whistles plus my accountants can log in through delegated access. Cons I cannot stand how frequent they increase costs. Intuit practically has a monopoly here (especially after acquiring Xero) - and they just lay the costs onto us business owners. So prepare yourself for the monthly, quarterly, or annual email saying how they need to increase costs for whatever reason to justify it. Review Source Hallye N. Cons Now that we have used it for a long term software solution it has very little set back, the initial learning curve is still the main con to the software, which we consider a reasonable time investment. Our resources are limited, so QBO is a good, inexpensive tool to help us manage several key areas like bookkeeping, invoicing, reporting. It was a better system when it was a desktop but when they moved to online it became very glitchy and have had problems with it. Cons It has glitches in the system but a big one that just happened made me loose $3,000 because of that glitch. I sent videos and pictures to Quickbooks help line and they tried to blame it on my network but it is all online so if there is a network issue then you can't see anything. I have found it to be useful and to effectively do what it sets out to do. Pros Quickbooks online is fairly intuitive and whatever isn't intuitive can be figured out via their help articles or forums. Cons They have SO many products and user types that it is difficult to figure out how to use each of them, what is the right one to use, what the pricing is (e.g. pricing for add-ons vs. standalone products), etec. I like being able to copy and past other jobs into my invoice. The ease of setting/creating up items on an invoice. Pros Customer support in really easy to access. They respond right away in the chat. I have used both the desktop and the online version. I think the online version is easier to maneuver and find what you need. Cons I have tried to set up the tracking and attendance on my own and found it difficult to do. I had a hard time attaching jobs to the tracking. Review Source JM Jenna M. And if there is another program you need to you it ususally will intragrate and share info automatically. Pros Quickbooks has most of the features we need to invoice customers, track sales & use tax, expenses, ect. Cons There is some areas such as estimates that I wish could be customized more and I'd like to be able to pay sales & use tax directly through Quickbooks.
