Its intuitive enough that I was able to teach myself how to use it for the most part. Pros It's very intuitive and easy to learn. The cost is fairly straightforward. Expert support is very good, but it's an extra fee. I use QuickBooks and QuickBooks Online every day. For my own company, I switched to QuickBooks Online due to the ease of maintaining my books. I find QuickBooks Online to be a great fit for service businesses. QuickBooks Online integrates with a lot of apps, so it can fit a lot of other business types, but I think QBO is best for service businesses. Pros It's on the cloud so you can access it anywhere there's internet. Also, you can share your accounting information with others easily. QB Online has made entering transactions a breeze with bank feeds. The ease of bank feeds in QuickBooks Online are far superior to the bank feeds in QuickBooks desktop. Cons With QuickBooks Online you pay for the convenience of the features in this software. I think of it as the features automate processes, so I don't have to pay a bookkeeper to input the transactions. Instead, I pay QuickBooks for the software and it handles a lot of the transactions. It seems that sometimes it can get a bit confusing. Our customers became linked and I am still trying to figure out how to link their payments to them so it stops showing overdue invoices but the last 3 people recommend I pay for this help but it should just be a quick linking of payments but they refuse to help me Pros I like the ease of having all of my business accounts in one place and how easily it is to categorize my expenses. The reports are also a great asset to the company. Cons At times it can be confusing on how to categorize something and when you reach out to support they are not always that knowledge able. I have done a lot of chats throughout the years and my biggest complaint is them trying to sell me on additional items and not help with the actual issue. I would recommend it for people with minimal accounting experience. Pros The software is relatively user friendly. Compared to similar products, it is also priced very fairly. Cons The downloads to bank statements and credit cards don’t always work. This can be frustrating. They sometimes then work later on after you manually made adjustments to reconcile accounts, leading to duplicated entries. December 16, 2025 5.0 All in all I am very happy with QBO, have used it for over 5 years now and have no intention of moving to another platform. Pros QBO has been a game changer in my small business. It's relatively easy to use and a good value for what you get. Allowing me to add my Bookkeeper to gain access makes this a lot easier come tax time which saves me! Though I use a CRM platform for my invoicing and payments, QBO has those features and allows me to synchronize my CRM platform to it to keep everything neat and tidy with my financial reports. Cons One thing that is a bit of a hiccup at times is when QBO is trying to synchronize with my bank to reconcile my account. It’s great that it keeps tracking my time even when I close the browser. however, I opened my browser and entering clockin page is very hard time consuming. Pros I use it to track my time and generate timesheets for my employers. Accountants use these to calculate my hours for payroll. It is awesome idea to report to your employers if you are working remotely and you don't need to check after you once clocked in. Cons sometimes reloading too slow when you try to refresh. when you clocking in and out bells sings loudly.I reported accidently and couldn't change my reports for shifts after clocked out. Also that accountants can access your company without having to bring information to them. It takes some getting used to but being a QuickBooks user, it is very handy. Pros QuickBooks Online is easy to learn and convenient in allowing you to convert from desktop and access your information from anywhere you can get online. Cons It is easy to misconstrue as an automated program and that is not the case. You can set rules for importing but it does require checking up on those imports and making sure they are allocated correctly. But it can also be frustrating at times, as well as time consuming. I'd love to see a smarter version of QuickBooks that frankly helps users spend less time on the site. Let's put the quick back into QuickBooks! Pros I like that QuickBooks Online handles payroll well, although you have to make sure the correct pay period is selected if you run payroll a few days after the end of the pay period, which I usually do. I also like that it handles the taxes for you which saves a lot of hassle. Cons QuickBooks Online does not always categorize transactions in an intelligent manner. It seems to hang on to categories last used, instead of making more intelligent choices. It could be made smarter, perhaps with AI. I'd like to see AI used to enhance the experience, and/or intelligent "are you sure" type questions that pop-up to prevent users from making a mistake. Review Source RT Richard T. Pros Fund accounting functionality differentiates restricted donations and grants separately, automated categorization eliminates time spent entering transactions, and customizable reports assist in proving program outcomes to funders and board members in a clear manner. Cons Some periodic sync problems with bank connections can cause delays in reconciliation, and the business-oriented interface needs to be learned and translated to nonprofit terms and report requirements, thereby creating a learning curve. And it's really easy to navigate and figure things out. Reporting is great. It integrates directly with our PSA. As an MSP, it makes life easy. Pros QBO is pretty easy to use and simplistic and has great integration with cloud products that we use. Invoicing and payments make money in come easily. Reporting is good if you setup the correct parameters. Cons I suppose if you are used to Quickbooks desktop, it can be hard to jump. But, QBO is a high quality product that just works.
