My overall experience with QuickBooks Online has been positive and it is defiantly accomplishes what I need for the money.

Pros

What I like most about Quickbooks Online is the Cloud access. Being able to log in anywhere anytime is what sold me on the product.

Cons

What I like least about QuickBooks online is that the customization on many reports are very limited. Several areas require external apps for customization.

My overall experience with QuickBooks Online has been very positive. It has allowed me to create a lifestyle business by giving me the flexibility to work remotely and serve clients efficiently from anywhere. At the same time, it has helped push my career in accounting forward by supporting advisory work, improving collaboration with clients, and streamlining day-to-day workflows.

Pros

What I like most about QuickBooks Online is the remote access, which allows me to work from anywhere in the world. Being cloud-based makes it incredibly flexible and practical for modern accounting and advisory work. Additional things I really appreciate about QBO include: Real-time collaboration – Multiple users (clients, bookkeepers, and accountants) can work in the file at the same time without version issues. Automatic bank and credit card feeds – Transactions import daily, saving significant data entry time and reducing errors. Strong integration ecosystem – QBO connects easily with payroll, payment processors, inventory apps, CRM tools, and tax software. User-friendly interface – The layout is intuitive, making it easier to train clients and review their books efficiently. Anytime access to financial reports – Profit & loss, balance sheets, and custom reports are available instantly, which is great for advisory and decision-making. Secure cloud storage – No worrying about lost files or local backups; everything is stored securely online. Cons

What I like least about QuickBooks Online is that it has undergone a lot of changes over time. While updates and new features can be helpful, frequent changes to the interface and workflows can sometimes slow things down and require retraining or adjustment. That said, these changes are clearly aimed at improving functionality and modernizing the platform, and I’m hopeful they will ultimately turn out for the best as the product continues to evolve.

QuickBooks is easy to use and understand. It has been a blessing for managing our company's financing. Because it is always available through a web browser, means that I can always handle any invoicing need no mater where I am.

Pros

QuickBooks Online has been a core component of our company's financial management and reporting for several years now. QuickBooks API easily allows it to integrate with our field management software for invoicing and estimate tracking. It is the best value per $ of any of the software packages that we use.

Cons

Customer support can be lacking at times if there are features that are hidden behind charges for software upgrades. Support sometimes acts more like a sales team rather than support. Though, any bugs or issues that we have with QuickBooks Online have always been resolved, usually within 48 hours.

Overall, despite these frustrations with the updates, I find QuickBooks Online far superior to other accounting and inventory tools I have used. I have also noticed that customer service has improved significantly over the last few years. I look forward to seeing the platform continue to evolve.

Pros

We use QuickBooks Online as our primary accounting tool to manage finances, including invoicing, bill pay, tracking income and expenses, syncing bank transactions, and generating financial reports. I appreciate having these tools all in one place. It simplifies our customer management by keeping account notes, invoices, and payments organized. The ability to sync our bank account for real-time reconciliation is also a significant benefit. Our books have never looked better!

Cons

The frequent interface updates can be challenging. Some changes feel clunky or convoluted, making it frustrating to re-learn the layout constantly. While the "classic view" helps in some areas, I believe the platform would benefit from taking customer feature requests more seriously to improve usability.

Hate the Online application. Always loved the Quickbooks Enterprise version, but if you work remotely for several companies, it makes it impossible to switch to desktop only.

Not much since they have so many updates that get worse each time and you have to pay for chat support.

Cons

I would never recommend Quickbooks Online to any business. Quickbooks Desktop only. If you like remote access buy Quickbooks Enterprise.

Overall QuickBooks Online was accessible as long as we had internet which made it nice to have real-time information and access. We did have some speed issues because of the internet and the data volume though. We had a harder time figuring out some of the more detailed reports, however, using hte desktop version instead of the online version worked for those.

Pros

The Pros of QuickBooks online include being able to access it anywhere because it uses the cloud. You can also log in from several devices which is very helpful.

Cons

The cons of using QuickBooks online is that you rent the software but do not own it so it incurs more costs in the long term. We also did not like that some features were not available without spending more. Some of the advanced features were not available like they were on the desktop option.

frustrating only because i have to use it all day every day and i know many people do, so i dont know why there are still so many features missing.

Pros

it seems to work consistently. the user interface is simple and easy on the eyes. many kinds of reports. the invoices can be made from timesheets which is nice.

Cons

That the current week pre populates on weekly timesheet. It doesn't make any sense and results in many mistakes and extra work. They have ignored my suggestions and I don't feel supported or heard.

We have been using QuickBooks for the my entire tenure with the company (since 2017). We switched from QuickBooks Desktop and i was nervous but the transition was smooth and the differences easy to understand and navigate.

Pros

Very user friendly, provides accounting tools that we can use in office and translate well for our accountant too.

Cons

I actually can't think of a negative. We are super happy with the software. There is nothing I would change.

### "The Few Pros and Many Many Cons"

My overall experience with QBO is one of frustration. I cannot do my file at my own pace and I have no privacy. The app they promised would give me the same experience as Desktop was a lie. The $150 disc that was good for 3 years is long gone and I was forced into an online mode that is awkward and unnerving. If I knew of a different software like QB Desktop that my accountant would accept, I would buy it in a heartbeat.

Pros

I own my own business (a high-end hair salon) for 20 years and have always used Quickbooks. Back in 2007 I would buy a QB Desktop disc for $150 that was good for 3 years. I have used Quickbooks Desktop for 95% of my time in business until early 2025. In March 2025 I was told that the QB Desktop subscription would double from $600 to $1200 on my next renewal and that I qualified for a special offer for QBO. I was very reluctant to switch. They told me there was an app that would give me the same experience with QBO as I had enjoyed with my QB Desktop for all those years. Remember, I am not an accountant and I probably only used 20% of what QB Desktop was capable of doing, but I was able to run my business, do direct deposit for my payroll, pay my payroll taxes, unemployment taxes, and whatever else was needed. I would sit down at the beginning of each month to close out the previous month by balancing my QB ledger with the bank statement and for 17 years I balanced it to the penny each month. I did not print up the Form 941's each quarter nor did I do year-end tax returns... I let the accountant do that and sign off on it. I felt I had complete control of my business on QB Desktop and it was not hard to do the payroll taxes & weekly payroll. I paid my bills using my bank's online Bill Pay and everything worked quite well UNTIL I switched to QBO. That app they promised would give me the Desktop experience did not. They lied to me and I was forced to learn to use QBO. I will say that when I needed assistance I got it (for free) and things seem to be working, but not as easy & stress free and Desktop. There are a few things I like about QBO - it is linked to my bank and when I enter the transactions into my ledger, it generates a picture of the check and that is a huge convenience. I used to sit down each month and go through each check on line to see who it was made out to and now the checks just appear instantly. I also like that I can sit down at work or home and use the software - my desktop was only available on my laptop at home, so I could not do it while at work. Doing payroll is easier and another big plus is that I do not have to send my file to the accountant each month - they can log onto my business at any time.

Cons

I dislike the fact that I have lost control of my file. With desktop I was able to make my edits and do what had to be done and when I was satisfied it was correct, I sent it. With QBO, it works on my file continuously and I feel I am forced to play catch up each time I log on to use it. I feel as if I lost my privacy because I cannot tweak my file and make it perfect b4 sending it to the accountant. With QBO I never know when my accountant has done anything, or for that matter, I dont know what they have done or saw. It's not that I have anything to hide, it's just the fact that I have lost control of perfecting my file b4 the accountant sees it. I am detail oriented and balancing my file each month with the bank statement was actually fun - now this is all done online without me knowing and I do not like that. I feel as if I was forced out of Desktop into some software that I resent.

I still believe that QuickBooks online is a superior platform for all business owners. I recommend it to everyone from new entrepreneurs to seasoned entrepreneurs!

Pros

I have been using QuickBooks for about 10 years. The cloud-based accessibility is fantastic because I can manage my books from my desktop, tablet, or phone anywhere with internet, which is perfect for a busy business owner. It is generally very user-friendly with an intuitive interface that makes tracking income and expenses simple, especially by automatically downloading bank and credit card transactions. I also appreciate the time saved with its automation features for things like recurring invoices and the ability to easily collaborate with my accountant in real-time. The wide range of available integrations with other business apps is also a huge plus for streamlining my workflow. I also enjoy the fact that the customer support is really easy to reach in case you have any hiccups.

Cons

The subscription costs feel a bit high, especially as my business grows and I need to upgrade for more features or user access, making it quite pricey compared to some competitors. I've been frustrated by the customer support, which can be slow to respond, and sometimes I feel like it's difficult to get a resolution for complex technical issues. There can be a steep learning curve for advanced features like detailed reporting, and the customization options for certain things, like invoice design, are often limited. Occasional glitches and performance issues, especially when navigating quickly or running comprehensive reports, can also slow me down. I still believe that QuickBooks online has the best value when it comes to business software

### "Seeing the whole picture -easily!"

I have used QuickBooks online in a couple of different jobs, and it is very user friendly. I love that I can figure out what report to run, to give a holistic picture of what is going on, financially, at any given time. Or if you don't want the whole picture, and just want to look up how much was paid to a specific person/vendor this year, its so easy. I suppose that is the short and long of it - ease of use for a clear picture, so we can make well-informed decisions about finances. For my other job, running payroll is so easy - and sending out W2's & 1099-MISC/NEC's are a breeze! And gathering documents for the 990-PF would be unendurable without QuickBooks Online! I cannot think of a more glowing endorsement than that!

Pros

Love the banking feed option; and the different ways I can access and organize data. I prefer the Classic View over the modern view, just for the ability to view the Profit & Loss report, organized a month at a time, YTD, or just the totals for a particular Class (or Initiative, in my case)

Cons

Right now, the part that I just don't appreciate, is the default to "Modern View" - as it doesn't grant me the same ways to organize information as Classic View - and there is no way that I have found to default to Classic View.

Given that the interaface is easy to navigate, I am able to answer most of my own questions without the need for support from Intit.

Pros

There is a general strong ease of use of this product. It has easy to use integrations with banking platforms that makes importing and reconciling transactions very easy. The financial reporting is overall very consistent over the years making historical reporting fairly simple. The cost is quite low compared to the old days of the desktop versions given all the added features that are included with the online version.

Cons

The updates creating the modern reporting look have been widespread disliked by myself and others that I work with.

Overall, the experience using Quickbooks Online has been positive. We did get off to a rocky start when we converted from the desktop version to the online version but once we got all of the kinks ironed out, I was pleasantly surprised by all of the software capabilities.

Pros

Some of the pros of using Quickbooks Online include a robust online software for a relatively low monthly cost. I am able to set up rules to automatically process and categorize certain transactions which saves me time. The interface is user friendly and easy to use. The customer support was also extremely helpful when questions arose. The representatives were knowledgeable, kind and resolved our issues quickly. The ability to accept payments quickly and match the transactions to our bank statement also saves me time. Financial reporting is a breeze and our month end reconciliation now takes me half the time it used to.

Cons

The AI feature in Quickbooks Online is still a little rudimentary. The software will attempt to determine some transaction types based on the dollar amount of the transactions and is frequently incorrect. This has lead to client payment transactions being categorized in the incorrect accounts.

I used QuickBooks for well over 15 years. Started on the desktop Enterprise version before switching to the online version. Only stopped using it because I changed my career path and focused solely on HR.

Pros

The ease of use for QuickBooks is what makes it a great value for the money. This all in one accounting software really is easy to use. From invoicing, to collecting payments, and providing financial reporting, I would recommend QuickBooks any day. This program is great for a first time user or small business.

Cons

Customer support could be a little better. On the phone they are quick and helpful. Through email it takes a bit longer.

Intuit has become greedy and has stopped listening to its accountants and customers. It provides an unstable product and is more focused on upselling its related companies (I.e. mailchimp etc) then providing a stable, solid accounting software

Pros

The version from around 2018 and before was great, it was still a proper accounting software for a reasonable price. Value for money was still good.

Cons

Quickbooks online continues to increase their prices while delivering a very unstable software with a lot of bugs and issues. The newest interface that went live on 10/01/2025 is horrendous and glitchy. It is no longer an accounting software I can recommend or am willing to use. Customer service knows less of the product than the end user, you never hear back on open cases. I have unresolved cases from 5 years ago that I still follow up on! The new invoice layout is slow and cumbersome and has increased the amount of clicks required multiple times over. A 1 minute process now takes 5 minutes minimum. Overall everything now involves pop up windows and side bars that open up and push the working area of QBO off the side where you can no longer see your data. The amount of clicks required has multiplied by at least five times. The financial reporting still allows to revert to legacy (classic) at this time, the new reporting and bank feed are hard to read, report formatting changed so it no longer works with existing templates. Overall it takes five times as much time know compared to the previous interface to get anything done in QBO

Overall I am glad it was an option to Quickbooks Desktop just for the online portion of it. That alone is a great feature. When I do need support sometimes it takes a while to get a solution but the customer support has always been friendly.

Pros

I like that it can be accessed anywhere as long as you have internet. It is convenient and once you get past the learning curve from Quickbooks Desktop it is fairly user friendly. I feel that the reporting is getting better.

Cons

Customer support is almost never handled by someone in the US so that is an area that needs improvement. I do feel like someone always reaches out to contact me back withing 12 hours so that is helpful. The value for the money that you are spending could be better. The cost has risen quite a bit in the last couple of years. There are also quite a few bugs and errors that I run into while using it. The cache has to be cleared pretty often otherwise it will run into errors and glitches.

When first developed it was strong. Lately they have integrated Ai with every window and it really slows down the overall performance and speed of the platform.

Pros

It's an adequate financial software for small entities. It can sync bank and credit card accounts to make life easier.

Cons

Customer support is terrible. Payroll processing is not worth the investment, especially in Ohio. The payroll team is terrible at locality taxes.

Pros

It is easy to access on different devices. It is very easy to use, especially with all of the reporting available.

Cons

I wish there was a live customer support - real people. Sometimes it is easier to talk to real people when i have questions. Also, it can be glitchy sometimes which really slows down my work.

Overall my experience with QuickBooks online has been favorable after using the desktop version for many years it took some getting used to. Working out some of the initial bugs and issues was frustrating but the customer service support is very good and usually can get you the information you need to keep on keeping on.

Pros

I love that now you can access QuickBooks from anywhere online. This makes it so much better to use whenever you need and wherever you are. Also allows you to work with others in Realtime. QuickBooks online gives you all your business features at your fingertips income and expense tracking, invoicing, bill payment, bank reconciliation and even payroll. The financial reporting features are also a great tool for any business.

Cons

Like all cloud base programs one of the cons is that you have to have a good stable internet connection to be able to access your data. Also, the subscription costs have increased and now you have to pay yearly versus just purchasing the software bundle this can be costly if you have multiple features and users.

It's great value for money for our sized small business. Allows lots of easy quick wins and views of business position. This is especially true with regards to invoicing and receiving payments.

There haven't been many however they have just changed the dashboard which was slightly confusing for a short while as we learned to navigate this

### "QuickBooks Online: Great if Not a Little Disconnected"

Generally QuickBooks Online is a great tool for what we use it for. It has robust financial reporting that we use daily and the invoicing system is super solid. We don't plan to get rid of it any time soon.

Pros

Quickbooks has high quality reports that make it easy to pull data on necessary topics. Itemized reports make running payroll a breeze. There are hardly ever issues with the reports and the data and syncing is accurate. This is incredibly valuable for the price tag attached. Invoicing generally is smooth and reconciliations are quick. Each time we've needed customer support, it's been quick and there is a clear resolution.

Cons

The integration can be costly to attach to our current HRIS and can make the system feel a bit disjointed. Due to that, we don't have it linked to our attendance/time tracking systems that we do in our HRIS. This disconnect can make the ease of use lower because there's inherently more passwords and clicks to get where you want to go.

### "Easy To Use"

Easy to create and send invoices directly in QuickBooks. Our company uses it for payroll and it seems to work well for clocking in and out daily.

Pros

QuickBooks is easy to use. I like that you can ask questions to navigate when you are not sure what to do.

Cons

When we have had to do an integration with a third party, I have come across many issues and spent many hours between the two companies to figure them out. It can be some what frustrating.

### "QBO in Healthcare Industry"

My overall experience with QuickBooks Online has been remarkable - it is the core accounting tool that I use to carry out accounting processes.

Pros

QuickBooks Online saves me time by automating repetitive accounting tasks. Tracking time on projects is another great aspect that I experience while using QBO.

Cons

So far, QuickBooks Online has been flawless on my side and I use it regularly mainly to track time and attendance.
