We moved from a Word/Excel-based QMS to Trackmedium after evaluating around 30 platforms. We hold ISO 9001, ISO 13485, and AS9100 certifications, so the system needed to support multiple standards without adding complexity. The modular structure is the standout feature — Document Control, Training, CAPA, and NCR each sit in their own module, which keeps things clean and makes it easy for non-quality staff to find what they need. We were also able to keep our existing document numbering and revision conventions, which avoided a painful migration. The system delivered what we needed in its standard configuration without customisations. Manual admin workload has reduced noticeably, and our audit preparation is considerably faster. Good fit for SME in regulated industries who want structure without being locked into rigid workflows.

Pros

Intuitive interface, phased rollout possible, good flexibility without over-engineering. The PDF-only document access is a useful security feature that not all competitors offer. Responsive development team.

Cons

Nothing significant at this stage. The platform is still maturing in some areas with new modules being added, but the development team is responsive.

Reasons for choosing Trackmedium eQMS

After evaluating over 30 platforms, most alternatives either required us to conform to their structure, were priced for much larger organisations, or raised concerns around data handling and AI that we were not prepared to accept. Trackmedium offered the right balance of usability, flexibility and out-of-the-box functionality for a regulated SME. It adapted to our processes rather than the other way around.

Trackmedium has had a transformative impact on our quality management processes at Tropic. The system is incredibly easy to use, and we’ve been able to tailor workflows to suit our specific needs without compromising compliance. Our auditors and inspectors have been consistently impressed with how clean, structured, and accessible everything is. The support team deserves a special mention — they are responsive, knowledgeable, and genuinely invested in helping us succeed. Their turnaround time on tickets is excellent, and they’ve worked closely with us to develop solutions that fit our organisation perfectly. Sometimes they’re almost too helpful! Since implementation, we’ve seen a significant reduction in manual workload, faster document retrieval, and overall smoother audit readiness. Automation has freed up the QA team to focus on real quality improvements rather than admin-heavy tasks. Trackmedium has also supported our internal culture shift toward continuous improvement and professional development.

Good value for money, peace of mind, excellent customer support and professional staff members. Ease of use with Nonconformance and CAPA module linkage and Audit module linkage with unique action reference numbers.

Pros

Trackmedium is easy to use, easy to learn and train staff members on. Usability is user friendly and gives you good prompts when help is required which helps to empowered staff and build a stronger culture of quality. traceability with full audit trails with compliance management which conforms to documentation life cycle for creation of documents which includes SOPs, Forms, template, policy etc from creation to archiving.

Cons

Read and Understood statement and approval statement needs to be clearer to reflect each pathway. This can be added as a customisation

Trackmedium gives our processes structure and stores our records securely. No more multiple versions of the same pdfs floating around in emails. The software provides great value for the money.

Pros

The tech support is always willing to help you, which has been extremely helpful during the onboarding process.

Cons

Some features are not fully fleshed out yet but are actively being improved. Some customizations are too difficult to do independently, but their customer service does respond quickly.

Great, and we would like to use track medium for customer tracking as well to streamline our process.

Pros

Easy to use and keeps track of everything in a simple and easy to read and exact data. We enjoy using the platform.

Cons

That the information does not populate on the cover page. I have to then fill out the same information that the vendor has already inputted. It would be nice also for persons filling the forms to be able to attach documents.

The behaviour you’ve described can be addressed using our Mapping feature, which is an optional capability designed to automatically populate cover-page fields from supplier or upstream records, helping avoid duplicate data entry. We’d recommend speaking with your Trackmedium administrator, who can review whether Mapping is enabled and help configure it correctly for your workflow. Document attachments can also be supported depending on form configuration, and your admin will be able to guide you on the best setup. We have greatly enjoyed working with the Trackmedium team and the system has brought great advances in efficiency and compliance within our organisation. Having used and evaluated a number of other systems, Trackmedium was easily the best value. That along with the collaborative nature of Trackmedium's team means that we have learned and adapted a lot together during our implementation.

Pros

The system is purchased with access to all available applications making it flexible to your needs. It is also customisable meaning that where an application doesn't quite fit your needs you can work with the Trackmedium team to easily customise to your requirements. This has made it a valuable and flexible tool in our company.

Cons

For the UK some applications needed some customisation, some applications are set up for the US market which meant that for working in the UK we had some customisation to do. This was easy and very well supported by the Trackmedium team, but did mean that some applications weren't as 'plug and play' as we would have liked.

With a bit of polish it could be a decent product, but unfortunately is let down by the user interface for those using infrequently.

Pros

Trackmedium has a great breadth of scope, covering many key QMS topics and allows for solid quality oversight.

Cons

The user interface is very clunky and takes a lot of getting used to. It is not always intuitive - looks like a standard web browser but doesn't have the same functionality. This is not so much of an issue if using it day-in-day-out.

I have enjoyed learning how Trackmedium can house all of our regulatory documents, safety documents, and how we can use it for document control.

Pros

I like how customizable it is. I have used it for storing safety training documents

Some modules are lite on content. Updates can take time to complete.

Very helpful, very friendly, very responsive, fairly priced for what is provided

Pros

Finally I have found a system that is both highly functional, fully linked between modules and flexible. I have tried many systems over very many years, but never found one that actually meets all my requirements - until Trackmedium. I thoroughly enjoy using this system

Cons

Not enough information on the reports out of the system - however, when we ask for more, it is always provided and very quickly Not sure how quickly we will reach our data limit
