"More than a place to store information - "Sophia" as SOP and long-term institutional memory"
Overall: We use Wellspring's "Sophia" IP Management software for all aspects of tech transfer and other important hospital agreements. It further allows all corporate staff to review and track their inventions, IP and agreements. As a system administrator, I have far-reaching permissions to adapt the software to our specific needs without being required to have the changes implemented by the provider.
Pros: One of the major factors for our decision of using Wellspring's "Sophia" IP Management software was the ease of use and the logic between the different modules of Intellectual Property Disclosures, management of IP, agreements encountered in tech transfer and financial record keeping. Further factors considered were the scaleability and the ease of adding other departments as user. Over time, "Sophia" keeps us on track in all tech-transfer matters, IP management and agreement processing. For us, the process setup acts as an SOP and "Sophia" has become our long-term institutional memory.
Cons: The software was, and still is, one of the most innovative and user-friendly software for IP management. We have no complaints.
"Understanding the Database"
Overall: The yearly User Group Meetings are helpful to meet the staff at Wellspring; having 1:1's and tutorials about specific questions or "how to's" during the update sessions; being able to network with others at the universities. Also the tech support has been great by arranging calls timely for discussing matters that occur.
Pros: The thing I noticed when learning about the software is how intuitive it is; for instance, it's easy to insert data such as emails and documents into a matter and functioning within the program, where to go for what. I think being able to add to the drop-down selections is important too, since the environment constantly changes in healthcare. The automated reminder about patent applications is a great feature as well.
Cons: Not having the type of document come up in the list when doing a search for linking to an agreement-type matter. That would be a very convenient function.
"Great but needs improvment"
Overall: I like it. Perhaps the best on the market... not just because of the software, but because of the support.
Pros: Well organized for a TTO (not commenting about financials functions since I'm not familiar with those). Decent query builder I like that SQL can be used for querying the database. Great support from Wellspring.
Cons: Its often very slow when looking up information. Needs a feature to search invention titles. Global search needs to be faster. Would be nice to be able to more easily add custom fields ourselves. A map of the database would be great to make querying via SQL easier.
