“Not as intuitive as the leading platform in Canada when it comes to setting up how clients view calendar availability/scheduling, but I’m still learning this. When creating templates it’s sometimes hard to shift things around in sections (so you have to delete the whole section and start again if the order isn’t right… but maybe I’m doing something wrong here). Although PIPEDA compliant, I would prefer if the data was stored in Canada, and I wish the PIPEDA compliance was a bit clearer on the website.“

I love Carepatron. At first, I was using it to test out the platform, just to see if I like it, but it has so much to offer, and it's very easy to use and access that I am sticking with it long term. I love the accessibility, that it has it's own app for phones as well as desktop, as I like the ability to quickly see my schedule, cancel/reschedule/or reply to messages on the go. On my desktop, I have the app, so I don't have to worry about toggling between browsers/tabs when working on other things simultaneously, as it has it's own window and place on my dock. I love the price point, and ability to completely customize anything and everything I want to use with my practice. I love that I can just make it "mine".

Pros

I love how versatile and easy to use Carepatron. I just started my own practice, and did a lot of research to find a platform that offered everything I needed, within a reasonable price point. I love how Carepatron offers a free version that you can use indefinitely, without a "trial" period, but even the most "premium" subscriptions that offer all the features, are WAY more affordable than ANY other platform I've seen. Carepatron has pretty much everything I need, it has an easy to use Calendar, where clients can book/request their own appointments (WHICH I LOVE), private secure chat, easy note taking with AI assistance (which saves me SO much time), and more. There are a few things that I wish it had that it doesn't, such as a general clinician dashboard for tracking overall appointments, documentation completion, client intake completion, tasks, and any other general data. However, with most things, I can just ask the AI assistant for help, and if that doesn't help, it will connect with me a live person to assist in my need. Very helpful!

Cons

Honestly, there isn't much I don't like, and the things that I find as an issue or inconvenience aren't really that big of a deal, and have work-arounds. For example, when creating or editing a note template to use, there is certain clinical data that I wish to pull from the client's chart into the note automatically. Please note, that it can pull demographics, dx code, and other data in from the chart, but more complex clinical things, like Treatment Goals, etc., are not pulled in. There are other things that I can't remember right now, however, like mentioned, they are small and easy to work around, so I'm not fretting over them.

Carepatron was very easy to use, VERY affordable, and had an option for free that was not just a trial, which felt freeing and gave the option to try it out without pressure of a trial. It also has everything I need, such as internal Telehealth, AI notes, customizable notes, easy to use schedule, ability for clients to schedule, accessibility through an app, etc.

I think Carepatron still offers decent value for the cost of the platform. Would I like to see features integrated more intuitively and improved design/ visual organization? Sure. I’m not a huge fan of how patient records are organized and displayed. For example, when a client uploads a document it would be helpful for it to be viewable with the practice documents.

Pros

Value for the money. Appointment reminders. Booking links for appointment scheduling is fairly straightforward and I like the calendar view. The AI customer support has come in handy a few times and in general customer support seems to be a strength.

Cons

Ease of use compared to other platforms —The process of adding and accessing templates is a bit cumbersome. I prefer to have access to drop down menus, check boxes, and text boxes to type into when I’m writing a report or progress note - versus something more like a word document. I also don’t love how my reports look when printed. The work flows are less intuitive than other platforms I have tried, (e.g. Simple Practice.) I find it less straightforward to add notes to sessions and to submit claims. The platform takes some getting used to and a few months in, I’m still not super efficient at navigating the features compared to others where it has taken just a few weeks to feel confident. I’ve also had trouble with the AI note taking feature not working and then losing all of the data. Additionally, I think that the visual organization/ layout could use some work to make it less overstimulating.

### "Has a lot of potential "

I think it needs more time and I've looked at so many different EHR's. I like the AI assisted note on Upheal.io a lot better. Moving records is a large commitment and there is an onboarding process. I don't want to move, then move, and move again.

Pros

Carepatron is an amazing value for the money. It was easy to use on my end and it sync'd very well with Simple Practice and Google. I originally bought the subscription not realizing it was private pay. The appointments and booking link were very easy to embed. It was easy to transfer patient records. We waited for insurance beta testing was done and some clients agreed to test it out. The AI assisted dictation is simple to use and recording session has gotten better. They got appointment reminders easily. Customer Service is usually by email or scheduled meeting a few days out. I really enjoy the online forum of worksheets. I like the trainings offered

Cons

You do have to buy a separate license account per person using it. So if you have a biller and yourself, you buy 2. It's still less than Simple Practice. My main issue with it was my biller telling me how difficult it was to set up with the insurance companies. She told me that you had to be there when they called to set it up and the times were random. Another con is the AI work flows but partly was me. It was sending some things but you can't click out of them and must do all documents in order. I fixed it and then it still kept sending the wrong files. The measures are not self scoring yet, they said it's on the horizon

Overall, my experience with Carepatron has been very positive. The platform is easy to use and intuitive, making daily tasks like scheduling, documentation, and communication feel streamlined rather than overwhelming. Appointment management and booking are especially strong features—being able to manage my schedule efficiently while also allowing clients to self-book has been a huge time-saver. Patient management is also well organized, with helpful tools for storing documentation and staying connected with clients. Customer support has consistently been responsive and open to feedback, which makes a big difference. While there are occasional minor issues, the platform is clearly being updated and improved regularly, which I really appreciate and shows they are actively working to enhance the user experience.

Pros

Carepatron is very user-friendly and intuitive, making it easy to navigate even when managing a full caseload. Appointment management is especially seamless—I’m able to schedule, reschedule, and track sessions with minimal effort. I also really appreciate the ability for clients to book their own appointments, which reduces back-and-forth communication and saves time. The platform does a great job supporting client communication and documentation. Sharing documents, sending intake forms, and keeping everything organized in one place has streamlined my workflow significantly. Overall, it simplifies many of the day-to-day administrative tasks that can otherwise become overwhelming.

Cons

One of the biggest challenges is tracking goals. There isn’t a dedicated or intuitive space for goal management, which makes it harder to monitor progress over time within the system. Additionally, the signature feature could be improved—it does not save my signature, so I have to re-enter it for each client, which becomes repetitive and time-consuming. It would also be helpful to have a centralized location where all completed forms can be viewed together. Currently, forms are only accessible within individual client profiles, which can make it less efficient to review documentation across clients.

### "Works for starting out but not competitive to the major therapy platforms"

The program is a great price if you're starting out your private practice. However, it lacks some of the key functionality that a private practice needs to run effectively and efficiently. If you are starting a private practice and only working a day or two a week, it is manageable, but if you do this full time or run a group practice, some functionality of the platform needs to make some big improvements before it seems like a viable competitor to Simple Practice or Therapy Notes.

Pros

Moving my client documents and files over from another platform was fairly easy. I also like how the platform has it's own video conferencing option. It is a good price, but there are definite things I would like to see changed.

Cons

Carepatron doesn't feel like a program that was created for therapists to use. When a client or potential client fills out paperwork, it doesn't automatically update personal details, like phone number, date of birth, etc. It also doesn't have a great homepage. I wish it had a place where it indicated you have notes that are drafts or are not yet complete. It also doesn't have reminders that you need to complete something or update a treatment plan. The templates that are within the program also need some work or don't automatically calculate a score (like the PHQ-9).

My overall experience has been satisfactory. I feel like I get a good number of resources for the money I am paying for the platform. I appreciate that.

Pros

I like the price of the services and what is offered with the price. I also really appreciate the transcribed sessions and AI generated note taker. That feature is most helpful for saving time with my practice.

Cons

The system is not as user friendly as I would like. Logging on from the internet is not always easy. Also sending out assessments through the patient portal is not user friendly. Interacting with the patients through the portal should be more accessible. Changing and scheduling appointments is not user friendly.

### "Easy to use"

I was disappointed to find out that Carepatron was still in very early stages of development when I first signed up. Quite a few features were not yet available and I still feel like I am looking at the very beginnings of what will be a great product in a two or three years time. Although support has been great and feedback has been welcomed, I am devastated I have committed to this system as it turns out it is too limited for what I need right now. I know somethings are in progress, and I appreciate software like this will always be a work in progress, but I would not have signed up had I known so many fetaures were in the pipeline and not yet completed. Perhaps Carepatron is better suited to sole operators rather than our organisation with 10+ staff and hundreds of clients and contacts.

Pros

I like the automatic appointment reminders, the ease of use of the telehealth platform, and the value of the product. I also like the ability to cross reference calendars from other sites/apps.

Cons

It's often buggy, sometimes my contributions don't save, and that's frustrating. I also wish there were more reliable reporting for case management - for example, I need to report every month how many sessions each client attended. I haven't found an efficient way to do that yet. I wish there were more options for collecting and organizing client info to use for generating reports for grant applications, etc. I also think the documentation can be tough to follow and track because the interface isn't so user friendly. It's also a chore to navigate the documents tab and review the doc history.

### "Everything all in one place"

Overall, the pros outweigh the cons for me. The fact that intake forms are built in with video conferencing, invoicing, scheduling and note taking makes it so that i don't have to use another separate service. Everything is in carepatron and that's hard to find at this price. So I appreciate it greatly. Like I mentioned, there are things I would love to see improve but i get that it's likely not easy ot change certain things that are that specific. Overall, thank you! I use Carepatron now for work and for my own private practice.

Pros

I love the options in the calendar, it's super easy to use and comparable to calendly which before this I considered to be the most user friendly booking calender out there. Documenting client notes is also super seamless and easy. I like the sections that we can add into the notes and forms. It makes it a super user friendly experience for clients and for myself when taking notes. The appointment reminders are also really timely. For the price, to be getting invoiving, forms, video calls, scheduling and note taking all in one platform this is really a better choice for me personally than apps like jane that would charge me so much more for a less user friendly and less visually appealing platform

Cons

\- It would be nice if the invoices could allow two default taxes because I live in a place that charges two taxes automatically - Sometimes my clients have mentioned to me that it's hard for them to access the carepatron link/ it maybe asks them to log in when they click on the carepatron video link so sometimes i have to switch to google meet to accomodate them, but i don't experience their side of things so i'm unsure what the issue is but yeah sometimes the carepatron link is finicky - For scheduling I wish I could automatically have the option to set a maximum number of clients that can book in a day. I could just block off times myself in my calendar but it would reduce my mental load significantly if it was just built in as an option - My major con is that the invoices can't automatically be sent to clients after a session. Carepatron makes an invoice/billable automatically after the session but because I have to add my second tax in addition to the default tax, I have to delete the billable and make a blank invoice

One of the biggest reasons I chose Carepatron was the affordability. Good - I would keep using even with the issues I have with it. I have enjoyed using Careptron a lot.

Pros

easy to navigate, insurance verification, great value for money, customer support is very nice though not always helpful. I also like being able to send intake packet.

Cons

somewhat cumbersome to bill when I have several CPT codes (would be nice to have a template I can use and just need to provide patient's information, dx, and date of service), I work with kids, and carepatron ALWAYS combines siblings together because they think it is a duplicate due to parent's contact information being the same. Sometimes, they even change the name of a client to sibling when parents submit paperwork for a new sibling. I wish Carepatron would just keep them separate if the client's name is different (if it is a true duplicate, can always just delete). Also, I wish templates can be favorited and accessed whenever I want when I create a note for an appointment. Right now, I can only access last few templates I opened, which isn't helpful. Finally, I wish we could call a phone number into the video calls. I would like to use carepatron when calling interpreters and I can't because Carepatron doesn't have that available.

Overall, I enjoy using this platform. As I mentioned before, I am about to transition into private practice and I will still use Carepatron with my clients. I like that it automatically sends my client's their links and appointment reminders and you can create your availability for people to reschedule/request appointments.

Pros

CarePatron is easy to use! It has great features for a good price that I had to pay more with other platforms. It is easy to book appointments, manage them, and stay organized with various appointments (such as couples vs. individuals). It is also easy for me to keep up with all of my client's information and send them documents through the portal. And I LOVE LOVE LOVE the various templates that are already uploaded to CP! I am about to transition into private practice and will be using CarePatron. I don't use all of the features just yet because for my job you don't have to, but I look forward to learning and exploring more! I have not used the customer support yet, but when I read reviews on Reddit, everyone had positive things to say about it.

Cons

For one of the practices I work for, we have had a few bugs. Either the cameras would not connect (and it was not because of our camera or internet) or it would seem like me and a client were waiting on each other to log in (although we were both actually logged in). There has also been an issue with some of my client's not being able to receive emails to create a portal. However, the pros for me still outweigh the cons. I still plan to use Carepatron.

### "Great Platform "

Overall it is worth the price for all the things that are available in the system. I have been using it for over a year and it works great for me and my business.

Pros

I like the value for the platform. It is affordable than others programs. It provides a free library of forms that can be accessed and modified to tailor your own needs. It is easy to use for the provider and clients. The appointment management system is easy to setup and manage. My clients are able to utilize the system to schedule their appointments without waiting. The patient records are stored and easy to access. There are some bugs and issues with the system but they are manageable and the company seem to work very quickly to solve any issues.

Cons

The least is the bugs and minor glitches in the system. At times it is hard to get into the provider files/forms.

Overall outstanding experience and great value compared to competition. Only had to contact customer service once for a tech issue with reminders being sent out and they were very responsive and accommodating

Pros

Carepatron is visually appealing and simple to use. It's calendar features make it easy to understand scheduling at a glance with clear color coded appointment blocks. From the appointment details, it is easy to start a note and issue a invoice. It is handy to be able to have the option to have different availabilities per appointment type. I appreciate having different pop up windows in the app to be able to reference other information, past notes or dates.

Cons

I would appreciate more analytics to better understand individual KPIs and financial overviews. Being able to understand marketing strategies and conversions would be great. While I understand the security behind a new telehealth link each time, it would be easier for clients to have one waiting room link that they could save. I'd love to have more provider notifications and reminders for appointments or when a client joins a telehealth call

Overall, excellent value for money. A few niggles but I can usually find a workaround. Combining appointment setting and patient records has been a gamechanger

Pros

Excellent value for money, responsive customer support and I really appreciate being able to have appointment management and patient records all in one place.

Cons

~there is no capacity to change the default setting of appointments to "unconfirmed" (because of the nature of the centre and our way of booking) which means it has to be done manually every day and that's a hassle. ~there is no capacity to alter introductory letter (to use local language greetings etc) unless through workflow...but workflow doesn't allow different intake options so again, it has to be done manually because different client groups get different intake forms. ~stats and analytics are tricky to get and annoyingly meaningless without introducing 3rd party apps ~no parttime pricing options for part time staff - I have a team of 8 but only 2 work more than 1 day a week! ~it feels like CP was set up for solo practitioners and a lot of helpful aspects aren't available for centre type organisations ~there is a glitch where emails sent from CP come back to our email systems and aren't recorded in CP so we have to manually screenshot and lodge - this drives me bonkers!

### "Great for a side hustle, Just watch what you use at first if your not going all in. "

I'd say the support was great at first but the guy wasn't there to help much with the actual useage of the products were and he did let me know that it would eat my memory up and I couldn't get it back. I was already into the program 3 days and was messing around with it so I was burning memory a lot. I would say I'm impressed with the ease of billing, ease of notes and the streamline ability after you put some work into it at first. I'm sure the AI would be nice too. I didn't use it. I'm glad there is an alternative to Therapy Notes and simple practice cuz those were way expensive for what I needed. Carepatron helps with what minimal needs I had. I'll stick with them for these side jobs.

Pros

Customization of the notes and intake forms. It takes a second to get used to it but I was able to figure out what I needed to do. Once you get what you're looking for, it streamlines fast. I love that there was support at the beginning from Carepatron. I also really liked that billing was integrated into this platform all in the free trial version. This helped with exactly what I was looking for. The cost for a month or anual costs you can't get mad at either. Storing cards and payment was great.

Cons

I feel the "free trial" was deceptive. You only have a certain amount of memory and you don't know what takes up the memory, its also impossible to see what is taking up memory because they start you out with all of the perks and no info about the memory you're taking up. sync email? memory, play around with forms? memory, etc. It felt like a "gotcha" I needed very small amounts of services for one client and I've burned throuhg 98% of my memory and I've done 6 sessions because I synced my email I wanted to ease into this process and feel it out. Their billing platform that runs cards has a HUGE expense. 6 dollars per transaction. I was figuring it would be about 3 as I've usually expeirenced on other platforms, but this one was a lot higher and I had to have a conversation with my client about this fee. I'm doing things differnetly becuase this is not my sole practice I'm doing some one off side work and need minimal services. I was hoping this would help and I could ease into it, but the "free use all the services" didn't let me learn what services were essential and which ones used the most memory. Still at the end of it all, it's cheap, it works, they have good support, and it did the job I needed.

Overall Carepatron has been a great tool for our team. It offers the flexibility to capture client care documentation in the manner that meets our business needs, and is very user-friendly in terms of documenting sessions, services and client care. We have also had a great experience working with the Carepatron development team who has been open to our ideas and helped with troubleshooting when needed. This is a great value for the money!

Pros

Carepatron is a great value for the monty and provides some necessary branding and template configuration controls that we need for team operations. I like the ease of use to facilitate clinician onboarding, and some of the scheduling and service configuration options have worked well for us.

Cons

We rely heavily on our ability to alert our clinicians when clients have provided high-risk responses to an assessment or questionnaire, and need full access to all client data to properly facilitate program evaluation and outcomes reporting. We would also like to see additional workflow customizations available, as well as the ability to more easily integrate care into other systems used to support client onboarding and post-treatment support. We are using Carepatron for a clinic-based setting, so the option for clinicians to delete some of the templates, clients, etc. isn't ideal.

Overall it is positive. I'm not a lifelong user yet but may be as long as the company continues to improve their product. Being an early adopter has it's drawbacks but none have been deal breakers for me.

Pros

It has suited my needs and come in at a cost under many competitors. It is fairly intuitive and I've seen productive changes since I began using it about 8 months ago. There was a period where things were crashing and that seems to have resolved itself.

Cons

The AI note taker is nice but it still is nowhere near as accurate as products like Blueprint. I frequently have to take my transcript into another product to get a good note.

Overall, Carepatron is great to use. I like that the virtual video platform is integrated into the system, and this program is overall user-friendly!

Pros

I find that Carepatron is very user-friendly, and I have enjoyed the community aspect of it in regard to being able to share or find templates from other users. I have also enjoyed that I can access Carepatron from my phone as that has been helpful to be able to manage my appointments and patient records. I also like that my Carepatron calendar has synced with my Google calendar because then I have reminders of appointments, and I feel that I am more on top of things. The customer support has also been very responsive and helpful when I have had issues. This has been one of the easiest EHR platforms that I have used!

Cons

Some of the problems I have experienced are that the website seems to crash or stop working. I am not sure whether this is due to bugs or glitches, but it's inconvenient when this happens. I have also had notes go "missing," which results in me needing to redo them, which is frustrating.

Pros

Carepatron is generally easy to use and customer support has been responsive any time I've had a question. The ability to customize notes/forms is great. I initially found it to be a great value for money, but did not realize that the price was in USD instead if NZD (my fault for not confirming). When converted into NZD, I think that other platforms may offer a better value. It is generally very easy to book appointments, create invoices, and the automated appointment reminders are helpful to clients.

Cons

As a previous user of Simple Practice, I think Carepatron is lacking in some of the features that I've come to expect from an EHR. Not being able to mass export client files is a major disadvantage. The UX could be significantly improved - it feels a bit clunky and is not always easy to find what you are looking for. Not having a "lock and sign" function for saving progress notes is annoying. There was a recent bug with the client portal from the client side that seems to have been fixed, but I still have clients who are unable to sign forms.

My experience with Carepatron has been incredibly positive. It is a wonderful tool which is time-saving, as well as cost-effective.

Pros

Carepatron is incredibly user friendly and provides a very thorough service that is beneficial to both service users and their ciients. The tailor-made appointment reminders by email and text are a god-send as they help to cut down on no shows. Also, the ability to use the mobile or desktop option makes it more desirable, as well as the opportunity to be able to sync your Carepatron calendar to your Google calendar. Another invaluable feature is the possibility to transcribe client notes which can be stored chronologically on the system. Carepatron also offers a wonderful selection of templates that can be used for client work. The possibility to allow clients to book or pay, receive an invoice or an intake form in advance of the session is also fantastic. The designers of the software have essentially captured the essence of client/patient work to provide a wonderful service.

Cons

Carepatron tends to sign you out very quickly if not in use. It also seems to require the page being refreshed quite frequently & clients reminders usually thought to be misrecognised as a likely scam.
