### "Highly recommend for small therapy practices"

It's been great, I would recommend to other clinicians with small practices. The value for the program is excellent.

Pros

It was easy to get started. It was fairly easy to figure out billing insurance companies. The portal for clients seems easy to use for both myself and the clients. There are a large number of forms, assessments, templates, etc, that are easy to customize for my practice. Or I can easily upload my own forms, which Carepatron formats for me. The best feature is the AI assistant - I can get answers to any questions in real time, and the answers are detailed and easy to follow to fix whatever issue I am stuck on. The billing portion also allows for billing under separate practitioners, or under the practice, which is a GREAT feature that not many programs allow. Overall it is an excellent value for the money for a small practices like mine in which I do my own billing.

Cons

I wish there was a way to see all unclaimed sessions, rather than having to look by client. My other "cons" are minor - I wish there was a way to electronically sign without having to sign with a finger or mousepad every time. There is some issue with ensuring each appointment is attached to an insurance claim, which requires manual correction when that happens. So some minor glitches or bugs, but nothing that isn't manageable, particularly with the AI assistant's help.

Overall, my experience has been good. I like how the system currently works and can see the growth that the system is making. I have hope for improvements to be made that will make the program even better to use in the future. Even with how it is right now, it's a great new system!

Pros

\- Good pricing options - Great customer service, very friendly, helpful and responsive. - Easy to navigate, learn how to use.

Cons

\- Cannot integrate insurance in Canada - No waitlist options for appointments (i.e., let this person know if there's a cancellation) - Would like to see a more developed customization process for email and SMS notifications.

It's been a good experience overall. I find the value and features to be really great and appreciate that Carepatron takes feedback into account and is always looking for ways to be better.

Pros

I appreciate the price point. That's what first brought me to Carepatron starting out. I was able to use Carepatron for a few months for free as I was starting out my practice, which felt really nice. I was able to get a true sense of what I was getting myself into without taking a financial risk. It was easy to integrate and customize forms for client use and I found Carepatron to be easier. I'm also so happy that Carepatron continues to add features. The insurance claims have been a huge plus and I'm happy to now be streamlined to just using 1 EHR for all of my needs.

Cons

Transferring from a different EHR was a bit clunky, but I received support around this. A seamless integration is possible from several EHRs, but not the one I'd used to file insurance claims before Carepatron had that capability.

My overall experience with Carepatron has been positive. I honestly can't complain with the price point and what they have to offer. It's a newer platform and has a lot of potential to grow. I do appreciate the AI use, although I don't use it for recording sessions. It's easy to use the AI feature to ask questions and find solutions when you're feeling stuck.

Pros

What I like most about Carepatron is the customer service and value for money. I also appreciate the ease of use with navigating the portal. As a very small solo private practice owner, it has been a great experience and I look forward to Carepatron's updates and new features!

Cons

It was a bit difficult to navigate sending forms and onboarding patients at first. There are some features I wish we had, such as a tasks list of notes that need to be completed or form automations. Patients and I have also had some issues with the telehealth platform in the past. I do wish the picture-in-picture is a bit more flexible. Thankfully, you can integrate other platforms like Google Meet or Zoom. Lastly, I had difficulty figuring out how to write off (for a discounted session) because any time you write off an amount it still shows it as uninvoiced, which I thought it meant I need to invoice or it's a task to do?

### "Needs some major changes! "

It is functional for basic tasks. It have some MAJOR issues that need to be corrected and so far they are not even close to being resolved. From above (That you can’t seem to make basic updates like allowing the virtual visits to have closed caption to all for people with disabilities to use it. Also the inability to have people make partial payments seems like a reasonable thing to have since many people need that option. I also hate that you charged me for a service that I was a beta tester on and never was able to get it to work! Customer service for this issue was nonexistent!)

Pros

That it is for the most part cost effective. That I can customize my notes. There are more things that I do t like about it than things I do like.

Cons

I think Carepatron still offers decent value for the cost of the platform. Would I like to see features integrated more intuitively and improved design/ visual organization? Sure. I’m not a huge fan of how patient records are organized and displayed. For example, when a client uploads a document it would be helpful for it to be viewable with the practice documents.

Pros

Value for the money. Appointment reminders. Booking links for appointment scheduling is fairly straightforward and I like the calendar view. The AI customer support has come in handy a few times and in general customer support seems to be a strength.

Cons

Ease of use compared to other platforms —The process of adding and accessing templates is a bit cumbersome. I prefer to have access to drop down menus, check boxes, and text boxes to type into when I’m writing a report or progress note - versus something more like a word document. I also don’t love how my reports look when printed. The work flows are less intuitive than other platforms I have tried, (e.g. Simple Practice.) I find it less straightforward to add notes to sessions and to submit claims. The platform takes some getting used to and a few months in, I’m still not super efficient at navigating the features compared to others where it has taken just a few weeks to feel confident. I’ve also had trouble with the AI note taking feature not working and then losing all of the data. Additionally, I think that the visual organization/ layout could use some work to make it less overstimulating.

I love Carepatron. At first, I was using it to test out the platform, just to see if I like it, but it has so much to offer, and it's very easy to use and access that I am sticking with it long term. I love the accessibility, that it has it's own app for phones as well as desktop, as I like the ability to quickly see my schedule, cancel/reschedule/or reply to messages on the go. On my desktop, I have the app, so I don't have to worry about toggling between browsers/tabs when working on other things simultaneously, as it has it's own window and place on my dock. I love the price point, and ability to completely customize anything and everything I want to use with my practice. I love that I can just make it "mine".

Pros

I love how versatile and easy to use Carepatron. I just started my own practice, and did a lot of research to find a platform that offered everything I needed, within a reasonable price point. I love how Carepatron offers a free version that you can use indefinitely, without a "trial" period, but even the most "premium" subscriptions that offer all the features, are WAY more affordable than ANY other platform I've seen. Carepatron has pretty much everything I need, it has an easy to use Calendar, where clients can book/request their own appointments (WHICH I LOVE), private secure chat, easy note taking with AI assistance (which saves me SO much time), and more. There are a few things that I wish it had that it doesn't, such as a general clinician dashboard for tracking overall appointments, documentation completion, client intake completion, tasks, and any other general data. However, with most things, I can just ask the AI assistant for help, and if that doesn't help, it will connect with me a live person to assist in my need. Very helpful!

Cons

Honestly, there isn't much I don't like, and the things that I find as an issue or inconvenience aren't really that big of a deal, and have work-arounds. For example, when creating or editing a note template to use, there is certain clinical data that I wish to pull from the client's chart into the note automatically. Please note, that it can pull demographics, dx code, and other data in from the chart, but more complex clinical things, like Treatment Goals, etc., are not pulled in. There are other things that I can't remember right now, however, like mentioned, they are small and easy to work around, so I'm not fretting over them.

Overall, it's been a fair to good experience. Some disappointments but not enough at the moment to warrant searching out a new system and transferring records.

Pros

Carepatron is the only software I have used, so I have little to compare it to; but I have liked the streamlining of intake, automated appointment reminders, and the safe place to keep client notes and records. It is generally easy to use, though certainly easier on the laptop than mobile app.

Cons

I have been disappointed with the video conferencing platform and had to supplement with Zoom, which makes Carepatron LESS of a value for the money. I have a colleague--the one who told me originally about Carepatron-- who switched to Janeapp because of disappointment with Carepatron. Occasionally there are bugs or challenges. I have gotten responses from customer support, but they are not always timely.

Overall, Carepatron is great to use. I like that the virtual video platform is integrated into the system, and this program is overall user-friendly!

Pros

I find that Carepatron is very user-friendly, and I have enjoyed the community aspect of it in regard to being able to share or find templates from other users. I have also enjoyed that I can access Carepatron from my phone as that has been helpful to be able to manage my appointments and patient records. I also like that my Carepatron calendar has synced with my Google calendar because then I have reminders of appointments, and I feel that I am more on top of things. The customer support has also been very responsive and helpful when I have had issues. This has been one of the easiest EHR platforms that I have used!

Cons

Some of the problems I have experienced are that the website seems to crash or stop working. I am not sure whether this is due to bugs or glitches, but it's inconvenient when this happens. I have also had notes go "missing," which results in me needing to redo them, which is frustrating.

Overall, it has helped the office a lot with keeping track of timesheets, patient notes, and intake paperwork. Having the capability of uploading our intake packets to make it into a fillable document has been extremely helpful - especially for the ones who are traveling from patient to patient as they do not have to find the time to get to the office for the paperwork anymore. We do wish there could be an option as listed above to change the statement of who signed what when filling out templates with patients, though.

Pros

Carepatron has made organization of scheduling and intake of new clients/records so much easier for our office. Before we started this, it was ALL paper still and this has made the OCD in me/office staff much happier. The clients also really enjoy and appreciate that they get reminders as well - which takes something off of my plate with less calls for confirmation.

Cons

We WISH there was a way to change the "signed by name/time" option to fit who is signing it. It only allows it to state the name of the employee whose profile it is being done in, rather than letting us change it to say certain portions are signed by the patient, not the employee. This is the BIGGEST obstacle we face, as some instances this will not be accepted as a valid signature and we will be penalized for it. The signature portion also always skips/moves the entire screen you are working on making it pretty difficult to sign - especially for our patients as we serve the elderly. Even the team has a hard time with it sometimes, leaving the signature looking crazy most of the time. Since we require signatures for state purposes and also for contracted work purposes, these signatures have been questioned before which adds a little stress.

It has been easy to use and adjust to. It seems like Carepatron is constantly making improvements and pushing updates that take only a few seconds to refresh and activate.

Pros

There are an incredible amount of features, including text/email reminders, online scheduling, invoices, and patient portals for secure messaging. The price is significantly less than other competitors for the same features. I was able to tailor the personal segment to work for my audiology and hearing aid practice.

Cons

I would like the ability to fax reports directly from Carepatron. Also, it would be great to remove the Carepatron branding from emails and have it say it is from the clinic name. This isn't available even in the premium product.

Pros

Carepatron is generally easy to use and customer support has been responsive any time I've had a question. The ability to customize notes/forms is great. I initially found it to be a great value for money, but did not realize that the price was in USD instead if NZD (my fault for not confirming). When converted into NZD, I think that other platforms may offer a better value. It is generally very easy to book appointments, create invoices, and the automated appointment reminders are helpful to clients.

Cons

As a previous user of Simple Practice, I think Carepatron is lacking in some of the features that I've come to expect from an EHR. Not being able to mass export client files is a major disadvantage. The UX could be significantly improved - it feels a bit clunky and is not always easy to find what you are looking for. Not having a "lock and sign" function for saving progress notes is annoying. There was a recent bug with the client portal from the client side that seems to have been fixed, but I still have clients who are unable to sign forms.

I think this is a great system. I believe that it will continue to build with features as the company grows. I would definitely recommend it for individuals who are looking for a cost-effective user friendly system.

Pros

Carepatron is cost effective and easy to use. Appointment management has also been very effective with the use of confirmation emails. Entering patient information is simplified with the use of excel sheets and easy for training new team members on how to use the system.

Cons

I think there are a few issues with creating billing forms. I would like to be able to manually create forms that can ensure that information that is pertinent to our patients can be provided when sending invoices. Customer support has been helpful but sometimes the use of AI tools can prolong a discussion that could be easily answered when you are connected to a human who can understand the question without adding all of the nuances in the language.

has felt a little clunky to get set up. I need to spend more time looking at some training videos eg setting up colour coding of appointments how to book in meetings with colleagues so they get an email and reminder Currently have them set up as clients.

Overall, it is good, not great, but getting there. The platform is easy to use. I love that I can dictate my notes, which saves me time as I run a pretty heavy client load as a clinician.

Pros

It is a money saver and over all it is good for note taking, the ability for my clients to book easily, it creates unique codes to meet for each session.

Cons

I don't like the connectability to my clients themselves, if a client happens to switch over before me, we are not connected right away. It makes me look unprofessional. I also don't like how it integrates my notes when I dictate them, but I think that is something for me to work on further. I work in a group practice and it doesn't have the technology to say book with me directly, which can be confusing for clients, who then find themselves booked with other clinicians within our practice.

### "Carepatron for Small Speech Therapy Private Practice"

My overall experience with Carepatron as a small speech therapy private practice owner has been positive! It is one of the most affordable EMR systems out there, but doesn't lack in quality. Just as with any EMR, there are things I love and some that I wish could be different, but I feel that Carepatron is constantly working to improve and have been very thankful for new features that have released since I started using Carepatron some time ago!

Pros

Features I like most about Carepatron include it's clean, easy-to-navigate system face, built-in "help" tool for customer support, easy intake process with option to collect insurance information from clients, the ability to personalize templates and easily integrate into care, function for copy and paste of notes, integration with a clearinghouse for insurance billing, and more! There's lots to love!

Cons

I do wish that I would've been provided with more information during my initial account set-up regarding the workflows and had the option to customize then, following education, without having to discover more about it on my own after clients had been flooded with notifications, SMS, etc. I also wish there was more guidance and information available for how to best to set up accounts and operations when the client is a minor and the caregiver is a contact/relationship but not the client who is getting the services. There is still a lot that is unclear about how relationships work with this and what is best in the system (like using the same email, phone number, etc.).

Overall very happy with this product and service. I’ve recommended it to others as an alternative to more expensive options, especially for practitioners with smaller practices, like myself.

Pros

Customizability: I love that I can include my logo and customize the look of invoices, templates etc. The introductory free trial was very helpful to get to know the product and get started with it. The introductory year pricing was totally worth it. The ongoing price (year two) is decent, especially compared to other more well known platforms. I appreciate the built in video conferencing feature. It works well. Customer service was helpful and responsive when I needed it.

Cons

Not as intuitive as the leading platform in Canada when it comes to setting up how clients view calendar availability/scheduling, but I’m still learning this. When creating templates it’s sometimes hard to shift things around in sections (so you have to delete the whole section and start again if the order isn’t right… but maybe I’m doing something wrong here). Although PIPEDA compliant, I would prefer if the data was stored in Canada, and I wish the PIPEDA compliance was a bit clearer on the website. I do wish the video conferencing had a “whiteboard”.

### "Great Platform"

My overall experience with Carepatron has been mixed. It offers a lot of value, especially with the AI note-taking feature, which is excellent and saves time. The feedback tools are helpful, and the messaging feature works well for communication. However, the platform can be quite buggy. Pages tend to reload and shift unexpectedly, which disrupts workflow. The most frustrating issue is with call connectivity. There are times when both my client and I are in what should be the same session room using the same link, but we aren’t actually connected. It often requires multiple refreshes and reloading to finally join the same session, which can be disruptive to the therapeutic process.

Pros

They offer a lot of value, and the AI note-taking feature is especially great. The feedback tools are helpful, and the messaging feature works well too.

Cons

It’s been really buggy. Pages reload and shift quickly, which makes it hard to stay connected. The biggest issue is how the calls connect. I can be in a session room waiting, and my client is also waiting in what should be the same room, but we’re not actually connected. Even when we’re using the same link, I have to keep refreshing and reloading multiple times before we finally end up in the same session.

### "Easy to Use and Customize"

Overall Carepatron has been a great tool for our team. It offers the flexibility to capture client care documentation in the manner that meets our business needs, and is very user-friendly in terms of documenting sessions, services and client care. We have also had a great experience working with the Carepatron development team who has been open to our ideas and helped with troubleshooting when needed. This is a great value for the money!

Pros

Carepatron is a great value for the monty and provides some necessary branding and template configuration controls that we need for team operations. I like the ease of use to facilitate clinician onboarding, and some of the scheduling and service configuration options have worked well for us.

Cons

We rely heavily on our ability to alert our clinicians when clients have provided high-risk responses to an assessment or questionnaire, and need full access to all client data to properly facilitate program evaluation and outcomes reporting. We would also like to see additional workflow customizations available, as well as the ability to more easily integrate care into other systems used to support client onboarding and post-treatment support. We are using Carepatron for a clinic-based setting, so the option for clinicians to delete some of the templates, clients, etc. isn't ideal.

My experience with Carepatron has been incredibly positive. It is a wonderful tool which is time-saving, as well as cost-effective.

Pros

Carepatron is incredibly user friendly and provides a very thorough service that is beneficial to both service users and their ciients. The tailor-made appointment reminders by email and text are a god-send as they help to cut down on no shows. Also, the ability to use the mobile or desktop option makes it more desirable, as well as the opportunity to be able to sync your Carepatron calendar to your Google calendar. Another invaluable feature is the possibility to transcribe client notes which can be stored chronologically on the system. Carepatron also offers a wonderful selection of templates that can be used for client work. The possibility to allow clients to book or pay, receive an invoice or an intake form in advance of the session is also fantastic. The designers of the software have essentially captured the essence of client/patient work to provide a wonderful service.

Cons

Carepatron tends to sign you out very quickly if not in use. It also seems to require the page being refreshed quite frequently & clients reminders usually thought to be misrecognised as a likely scam.

### "A great system that helps reduce admin and free up time"

So far a great experience. I would recommend. I'd be lost without carepatron or at least less organised and doing twice the admin. It's also easy for clients to keep track of their appointments also.

Pros

I like the ease of appointment bookings, its simple to do. Also sends automatic email/text confirmations to clients. The notes sesction is really easy as well as have space to write notes after every session with each client. Helps with organisation. I don't make use of all the elements such as online intake forms etc, just because I haven't got around to it and still using paper forms but I intend to in future. The booking system helps to reduce the admin side of things.

Cons

If I could improve anything it would be the pricing. I need to upgrade to a higher subscription because of the storage, but I don't use all the extra elements, so another price range would be good.

Heidi Health is excellent for us busy clinicians with its multi-window functionality and icon indicators on the calendar for when a note has been written. I appreciate that the text fields retain formatting from word processors which adds to useability and universality. However, it's AI features and update interruptions make it frustrating to use all its features.

Pros

I appreciate the UI and the customization features. Scheduling appointments is easy, love the fact that I can have multiple notes open at once, very few glitches unlike other DHRs like SimplePractice. Making changes in appointments is easy, file upload is dead simple. UI personalization and customization is a nice touch for those of us that hate corporate-looking interfaces.

Cons

The AI is absolute garbage. While the transcription is mostly accurate, contextualization in notes even with dedicated "prompt engineering" leaves much to be desired. Sometimes notes will not just be written by the AI in a first person view... but specifically from the perspective of the patient. There are no scenarios where this would even remotely make sense. I have seen better contextualization from software like Heidi Health which is free. Furthermore, the AI transcription gets interrupted by updates to the software often.

### "Limited functionality for couples therapists"

Customer service is friendly and sometimes quick in their responses, but the glitches are frustrating.

Pros

It was relatively easy to import notes from a previous EHR program. And the calendar program is intuitive.

Cons

If you see couples, it's not possible to automatically load / carry forward group notes from previous sessions. You have to go back to notes from previous weeks, copy the content, and then paste it into the present note. That's a huge pain.

Overall, Carepatron is an excellent tool, and I highly recommend it to any clinician looking for a streamlined, efficient practice management system.

Pros

Carepatron has been an incredibly helpful platform for keeping my professional workflow organized. As a mental health provider, I rely heavily on tools that help me manage appointments and stay on top of my daily schedule, and Carepatron delivers exactly that. The interface is clean, intuitive, and very user‑friendly not just for me, but also for my patients, who have found it easy to navigate and engage with.

Cons

The only improvement I’m hoping to see in the near future is the integration of billing providers from Puerto Rico. Once Carepatron supports this, it will truly be a complete solution for healthcare professionals on the island.
