“One challenge I’ve experienced is finding older meetings when I have a high volume of calls. If I’m trying to locate a meeting from six or seven months ago, the search feature requires fairly specific keywords to surface the right recording. When you have hundreds of meetings logged, it can take a little extra time to track down exactly what you're looking for.“

### "Fireflies: The Meeting Intelligence Tool That Shows Up Everywhere You Do"

May 27, 2026

5.0

Fireflies has become non-negotiable in my workflow. It's elevated the quality of my work, sharpened my accuracy, and meaningfully improved my productivity — and that's not a combination you find often in a single tool.

Pros

The standout advantage is seamless cross-platform integration — it shows up regardless of which meeting platform or tech stack I'm using, which eliminates an entire category of friction. Add in strong AI capabilities that deliver multiple perspectives on your conversations, and you're getting genuine intelligence — not just transcription. For the price point, the value-to-capability ratio is hard to beat.

Cons

The one gap worth noting: CRM integration is limited. As a Pipedrive user, I'd welcome a deeper native connection. It's not a dealbreaker, but it's the obvious next step for teams who live in their CRM

### "Firefiles Review"

April 22, 2026

5.0

My overall experience with Fireflies was positive—it's a powerful AI notetaker that boosts productivity through accurate transcriptions, smart summaries, and task extraction, earning high ratings like 4.9/5 on Capterra. While limitations like cost and occasional inaccuracies exist, its intuitive UI and time-saving features make it ideal for frequent meetings, though less so for budget-conscious solos. I'd recommend it for teams but suggest starting with the free tier to test fit

Pros

I loved the real-time transcription and automatic meeting summaries the most—they're highly accurate and save tons of time by capturing key points effortlessly without manual note-taking. The ease of setup and seamless integrations with tools like Zoom, Google Meet, and Slack made it super user-friendly for daily workflows. Plus, features like action item tracking automatically highlight tasks, helping teams stay organized and productive post-meeting.

Cons

The biggest downside was the pricing—paid tiers feel expensive for individuals or light users, with unclear costs and surprise charges for extras. Transcription accuracy dips in multi-speaker scenarios or complex discussions, sometimes misattributing speech or missing nuances. Also, the limited free plan and occasional issues like aggressive default settings (e.g., auto-joining meetings) or poor customer support were frustrating.

Switched from

[Otter](https://www.capterra.com/p/202799/Otter/)

I switched from Otter.ai to Fireflies because Fireflies provides superior transcription accuracy, especially for multi-speaker meetings, and generates better AI summaries with conversation intelligence features like sentiment analysis and keyword tracking. Otter's language support is limited to just English, French, and Spanish, while Fireflies handles over 100 languages, which is crucial for my diverse team discussions. Additionally, Fireflies offers more extensive integrations (e.g., with CRM tools and calendars) and advanced analytics, making it more efficient for team collaboration and post-meeting insights compared to Otter's basic setup. Overall, these upgrades significantly boosted our productivity without a steep learning curve.

### "Deceptive business practices - be very careful"

June 4, 2026

2.0

I signed up for a free account to test the service before committing to a paid account. I signed up on the website, being told I had 800 minutes of stored minutes. After I hit 500 minutes, I was told I was over my limit and I then noticed my account had a 400 minute limit. I contacted customer service via email and was told this was wrong and should be 800 minutes and would be fixed soon. It wasn't, so ultimately, they escalated it to tech support but the number still did not change. In the mean time, I got my minutes down to 300 and proceeded, so I could get recent transcripts, expecting the number to be corrected. Then I got an email from a CS Rep stating that I only get 400 minutes as a new customer and the 800 was an old limit. I suggested that they change the website, then if this was truly an official change. I got in touch again today to see where we stood as I am now, again, over my 400 minute limit, and, despite the website (as of today, a week later), their chat bot (again, today), their initial review of my question via email, Google, review sites, all saying I should get 800 minutes of stored minutes, I am being told, again, that I get only 400 as I am a new customer and they changed the limit. I find this deceptive, as everyone/place EXCEPT this one CS rep tells me I should have 800 minutes. Even after pointing out that they still promise 800 minutes to new subscribers on their website. Additionally, the stored-minute limit is total storage, not a monthly allowance. That part makes sense, since it encourages users to regularly clean out their accounts. However, once the limit is reached, all transcription stops. I deleted several meetings, expecting that this would allow the system to transcribe older meetings so I could review them before deciding what else to delete. Instead, the system still will not transcribe any meetings, which effectively makes the service unusable. The only way I can get the summaries is to delete important meetings I need notes for or pay what now feels like a ransom. I was expecting to upgrade after a one month trial but these customer service issues reflect business practices I most likely will not support.

Pros

Getting notes on my meetings frees me up from writing everything down on paper and transcribing it. It works across my meeting platforms, so I do not have to rely on being in Zoom to get my notes. Summaries appear to be reasonably accurate, enough for my usage.

Cons

Customer service (chat bot and email only, no phone number and no access via FB) Deceptive practices - bait and switch on minute limits Storage limits / turning off transcription Mildly intrusive attendance in meeetings

### "A must-have tool for anyone who takes meetings seriously"

April 10, 2026

5.0

Fireflies has become an indispensable tool in my daily work. I simply cannot walk into a meeting anymore without it running. The biggest benefit is that I can now fully focus on the people in the room and the actual content of the discussion, instead of frantically taking notes. Everything gets captured automatically, and the summaries let me review or share key points in minutes. It has genuinely improved both the quality of my meetings and my productivity afterwards.

Pros

Fireflies has completely changed the way I approach meetings. The automatic transcription and AI-generated summaries are incredibly accurate, and the integration into my workflow was seamless from day one. The ability to search through meeting transcripts and quickly find key decisions or action items saves me a significant amount of time every week. Setup was straightforward and the interface is intuitive.

Cons

Honestly, there is not much to complain about. Occasionally the bot joining the meeting might feel slightly intrusive to some participants who are not used to it, so a bit of onboarding for the team can help. Minor UX improvements could be made in the dashboard navigation, but nothing that affects the core functionality.

Reason for choosing Fireflies

I chose Fireflies over Notion's transcription feature primarily because of the quality of the AI-generated summaries. While Notion is my central hub for everything and its search capabilities are genuinely great, Fireflies wins when it comes to how it analyzes meeting content. The agent-based system understands context incredibly fast and delivers actionable insights right away - something Notion's transcription simply cannot match. Fireflies feels purpose-built for meeting intelligence, whereas Notion transcription is more of an add-on. For anyone who relies heavily on meetings, Fireflies is in a completely different league.

### "Fireflies from a founders' perspective"

April 22, 2026

5.0

Fireflies allows me to keep track of the material from all my meetings, which is priceless for how many projects/meetings/people I speak with weekly. Of the current transcription services I have found Fireflies to be the top performer.

Pros

Strong transcription SaaS that is easily integrated into existing VoiP platforms. There is an extension that allows for easy access to meetings if the agent is not invited.

Cons

Forced AI token usage for summaries, lackluster folder management and category designation for meetings. Lost meetings without understanding why it had happened - although that is not the norm, it is the outlier.

Overall. Excellent.....I now miss no meetings and can actually be in many meetings at once and even without being present.

Pros

It's very automated, great value for money. The accuracy with which it transcribes meetings amazes me to this day. I love that I can go and look at a summary of any past meetings.

Cons

### "Excellent AI Meeting Assistant That Saves Time and Improves Productivity"

May 29, 2026

5.0

Pros

What I liked most about Fireflies is its ability to automatically record, transcribe, and summarize meetings with impressive accuracy. It saves a significant amount of time by capturing key discussion points, action items, and decisions without requiring manual note-taking. The search functionality makes it easy to find specific conversations, and the integrations with popular collaboration tools help streamline workflows across teams.

Cons

While Fireflies performs very well overall, the transcription accuracy can occasionally be affected by strong accents, background noise, or multiple people speaking at the same time. Some advanced features are only available in higher-tier plans, which may not be ideal for smaller teams or individual users working with a limited budget.

### "Excellent transcription and smart notes, needs desktop app"

February 13, 2026

5.0

Fireflies has been excellent for my workflow. The automated note generation captures important details without requiring manual configuration or prompts. After a month of regular use, I haven't experienced any productivity issues or friction in my daily operations. The accuracy and convenience have been strong enough that I've recommended it to colleagues. However, the pricing has been a barrier for some of them, though that may be because they don't take as many meetings as I do. For high-volume meeting schedules, the value proposition is clear. My only reservation about upgrading is the lack of a desktop application, which would eliminate the browser-based workflow and add offline access to notes which are critical features for my use case.

Pros

The browser extension is excellent since it captures meetings without taking up a seat. The generated meeting notes are the standout feature: transcription on one side, timestamped key points on the other, with click-to-jump functionality that makes referencing specific moments effortless. The transcription accuracy is impressive, even with heavy accents and non-native speakers. It catches words I miss in real time and handles multilingual conversations well, which is better than other tools I've tested.

Cons

I'd upgrade to a paid plan immediately if there were a desktop application. Opening a browser every time adds friction to an otherwise streamlined tool. A native desktop app with offline access to transcripts and meeting notes (audio files excluded) would be invaluable, especially when working with poor or no connectivity but still needing to reference notes and task assignments.

### "Fireflies--my go to transcription app--tried many others"

January 31, 2026

5.0

I've tried a lot of transcription apps, and I think the quality of the transcription is really good. I think they're very thoughtful and very business-conscious, which I appreciate. I'm so glad they have the mobile app, which allows me to use it in person-to-person meetings. That's why I originally went with a few others because they didn't have it yet. But since they've gotten it, it's been overall a great thing.

Pros

Fireflies has good analytics and call quality transcription, more so than others I've seen. I really like how it handles the summary and the to-do lists, the tasks, those are important to me. It saves me a lot of time. I also like that you can directly integrate it to your own ChatGPT account, which is really nice. And so I think just overall quality and experience is great.

Cons

Occasionally, it gets paused on my phone when I'm using the phone app because of an alarm or something like that. It really should restart automatically every time. That's the only thing that I can think of where it doesn't always handle it perfectly.

### "Excellent for Recruitment"

February 24, 2026

Overall, very happy with the product. There is definite room for improvement and I'm sure they will get there.

Pros

The interface is very pretty. The functionality is robust. I love the ability to interact with Fred and ask questions.

Cons

The interface is very, very busy. Lack of ability to connect multiple Google accounts is troublesome. There's no real 'loading' indicator on previously held meetings, you just have to wait for them to show up. One of my biggest gripes with the software is that the titles of the meetings routinely fail to show up and all I see are a bunch of non-sensical numbers and letters and just have to search for what I'm looking for--which can be time intensive as the search feature is not the most polished.

### "Reliable, Time-Saving, and Effortless Meeting Intelligence"

January 14, 2026

5.0

Very positive overall. Fireflies has been reliable for years, consistently capturing meetings accurately, saving time on notes, and allowing me to stay fully engaged in conversations. It’s become a dependable part of my workflow rather than an extra tool to manage.

Pros

Automatic meeting transcription with solid accuracy, searchable notes, clear action items, and the ability to stay fully engaged in meetings without worrying about note-taking. The time savings and focus during conversations are the real value.

Cons

Honestly, none so far. I’ve been using Fireflies for years and haven’t found any meaningful downsides.

Alternatives considered

Other products I’ve tried either required more setup, missed key details, or didn’t fit as smoothly into how I run meetings.

### "Fireflies Notetaker"

April 20, 2026

5.0

Overall, using Fireflies has significantly improved my workflow by allowing me to stay fully present during calls without worrying about notes. The automated summaries are surprisingly accurate and the search function is a lifesaver when I need to recall a specific detail from weeks ago. While the bot joining as a guest can be a bit awkward initially, the productivity gains and seamless CRM integration make it an essential tool for my daily meetings.

Pros

I really appreciate the high level of transcription accuracy and the automated summaries. It saves me at least three hours of manual note-taking every week, and the search function makes finding specific meeting details incredibly easy and fast.

Cons

The aspect I like least is how the bot physically joins the meeting as a guest, which can be distracting for clients. Additionally, the transcription sometimes struggles with overlapping dialogue and requires a fair amount of manual editing to be perfect.

### "Best meeting transcription on the market."

March 3, 2026

5.0

Ten out of Ten. I've never had transcriptions be so concise and comprehensive. Meeting takeaways vs an intimate closing I can email to meeting attendees is GOLD.

Pros

I love how intuitive the tool is regarding the important things in meetings.I asked it to do a detailed overview, and there were things that Fred (their AI) generated that greatly increased the quality of post-meeting communications with my students. I started using it to generate mini-guides for each week's training and my students love the guides.

Cons

After the 5th use case, it started doing weird markup that didn't translate well to Google. Not their fault, but I was thankful to have a detailed meeting overview.

### "Great Notetaker in non-English languages"

November 11, 2025

5.0

It is a great helper that we use for both work and personal projects. The last random personal use I got out of it was when we had a meeting with a medical professional. I recorded our conversation in order to remember what we spoke about, uploaded it to Fireflies and got an excellent transcription with the main points from that 20 minute conversation. All of that within a couple of minutes from Fireflies - so it's much easier for me to go through the text instead of having to listen through the entire meeting again. Even though it's not flawless I highly recommend using fireflies for not taking especially if you're a non-english speaker since this is the best option that I found on the market as of the time of this review.

Pros

I tested other note taking apps as well and none of them work in Bulgarian. As soon as I came across Fireflies, I was astounded as to how well it manages to summarise Bulgarian speech. In English it is nearly flawless. In Bulgarian it's very good. But very good is miles ahead of other software which doesn't even transcribe Bulgarian.

Cons

Integrations with the automation software like Make and Zapier could be way better. I would like to be able to automaticlly send recorded calls for transcription to Fireflies. And the actual transcription in Bulgarian could be vastly improved which would make the summary even better. In its current version you always need to look through the text of the summary to make sure that it didn't get something wrong. And this is even in almost perfect audio quality conditions - where all parties are joining from separate zoom accounts so it's clearly visible who is speaking and are using professional mikes to make sure audio is excellent.

### "A Game-Changer for Multilingual Teams"

April 2, 2026

5.0

Fireflies has been an absolute game-changer for our team. The learning curve is incredibly low – it’s intuitive from day one and integrates seamlessly into existing workflows. The call quality and transcription accuracy are consistently impressive, even with multiple speakers or accents. What really sets it apart for us as a multilingual team is the automatic language detection – it handles different languages effortlessly without any manual setup, which is a huge advantage in our day-to-day operations. From a value-for-money perspective, it delivers strongly, especially considering how much time it saves on note-taking, follow-ups, and internal communication. The data tracking and search functionality are excellent – being able to quickly revisit conversations and extract key insights has significantly improved our efficiency. Overall, an exceptional tool that has become essential to how we run meetings and manage information. It has improved productivity, reduced admin time, and brought a new level of clarity and transparency across the team. The combination of multilingual support and seamless integrations makes it particularly powerful for international teams. Highly recommended for any business looking to work smarter with their meeting data.

Pricing can be a consideration – while it’s absolutely worth it, it does add another tool cost into the overall stack. That said, the time savings and efficiency gains more than justify the investment. Occasionally, speaker identification can be slightly off in larger group calls, but this is minor and easy to correct. More advanced customisation options for summaries or tagging would be a nice addition.

Fireflies is very discreet and convenient to use, especially on a phone. Personally, I prefer recording meetings with my Sony recorder and uploading the audio afterward, since the sound quality is usually better, which hopefully results in more accurate transcriptions.

Pros

Great value for the price. I also like its portability and flexibility—you can use it directly from your phone and upload recordings separately if needed. It's a very discreet app that fits naturally into my workflow.

Cons

The transcriptions are not always completely accurate. I know it's possible to configure specific words and terms so they are recognized and transcribed according to a glossary, but those settings are not very user-friendly. I think that part of the experience could be improved. That said, I really like the application overall. This is simply an area where I believe it could get even better.

### "Amazingly useful AI meetings capture service"

March 8, 2026

5.0

This is an extremely easy-to-use product that has multiple facets that I use daily. First of all, it automatically captures my Google Meet meetings and provides me with a very well described summary of the meeting together with a list of action items. I also use it for in-person meetings where I simply need to put my phone on the table, tell my guest that I will be recording this for meeting notes, and just press record. Once it's done, upload the conversation, and I get exactly the same result as if it was a Google Meet, for audio only though. Another way I use this is when I take walks and I need to brainstorm with myself. I simply turn on the recorder and talk out loud everything I could be thinking about, and I get a wonderful summary of my thoughts afterward, from which I can extract the important gems. All in all, this is a great product that I would recommend to everyone for business use.

Pros

\- Easy to use - Flexible - Identifies the meeting participants by voice - Creates great meeting summaries - Provide detailed list of action items - Allows recordings on the go - Supports multiple languages

Cons

To this date, I haven't been able to figure out how to capture videos when I have meetings on Google Meet. It's supposed to be straightforward according to documentation but it has never worked yet for me yet. Also, when I record meetings on Google Meet, it does two separate recordings at the same time, meaning that I end up with two summaries and two lists of action items. Both of them are different summaries. I have no idea why this is happening, but it's not really an issue. Sometimes I look at both lists of action items to see if one of them includes an extra action not covered by the other.

### "Indispensable AI notetaker for heavy meeting schedules"

March 19, 2026

5.0

My overall experience with Fireflies has been very positive. I use it regularly across a large number of research, engineering, and collaboration meetings, and it consistently saves me time and cognitive load. Knowing that every call is recorded, transcribed, and summarized allows me to focus fully on the conversation instead of manual note-taking. I find the meeting summaries, topic extraction, and task overviews particularly useful when switching between projects like AI for materials science, photonics, and multi-agent systems. Fireflies has effectively become my meeting memory and has improved the quality and traceability of our discussions.

Pros

Fireflies has become an indispensable part of my daily workflow. It reliably joins my meetings, captures everything, and turns long, technical discussions into concise, structured notes. I especially appreciate the way it highlights key topics (e.g. AI scientist roles, hypothesis development, crystal generation techniques, research collaborations) and surfaces them as “Popular Topics”, which makes it very easy to revisit specific threads later. The automatic meeting prep and the clear timeline of recent and upcoming meetings help me stay organized across many parallel projects. Multi-language (auto-detect) support is also a big plus for international collaborations.

Cons

Overall I am very happy with Fireflies, and my concerns are minor. Occasionally the summaries for very dense, domain-heavy discussions can miss some nuance, so I sometimes need to double-check the full transcript for specific technical details. Also, with many meetings and tasks, the home dashboard can feel a bit busy, and I would love even more fine-grained controls for organizing and filtering meetings. But these are small issues compared to the overall value it provides.

### "Is it too soon to say I love you?"

February 12, 2026

5.0

Fireflies AI as been a game-changer for me and the members of my leadership team. My favorite thing is not having to take as many notes manually, and having the ability to review all past meetings, or search the entire app across all past meetings for key words, like "new server" to remember who we talked to about that. The AI bot "AskFred" has written great responses I can send to customers who decline a proposal to salvage a sale. It has helped me clinch deals by writing specific letters to attach to my proposal which include their pain points and how we can help. As a business owner, a salesperson (not a great one), and an account relationship manager, this feels like one of the most important tools in my kit now.

Pros

Searching meeting transcripts for key words. Fantastic AI bot for per-meeting advice, or drafting letters to attach to proposals. Downloading video, audio, transcript text in many optional formats. Business license is great for leadership teams, co-owners, or other teams. Ability to use voice recorder in Fireflies mobile app to capture in-person meetings without a computer.

Cons

By default it spreads itself to those you meet with, and sends links for others you're meeting with to access the meeting. We found this is easy behavior to adjust in the settings. Sometimes we found it annoying that every single meeting had Fireflies automatically added. However, the in-meeting chat command "/ff leave" works when people don't want to be recorded. Also behavior can be adjusted in the settings.

### "works seamlessly"

May 25, 2026

5.0

What truly sets Fireflies apart is its sophisticated summarization capability. Instead of weeding through hours of audio, the platform delivers structured, high-level summaries, bulleted action items, and clear owner assignments within minutes of a meeting’s conclusion. Superb Searchability: The ability to search transcripts for specific keywords or concepts allows me to recall vital contract details or strategic pivots instantly. Seamless Knowledge Sharing: It acts as a bridge for my team and external partners. I can effortlessly share meeting notes, ensuring everyone is perfectly aligned on execution and next steps, even if they couldn't attend the live session.

Pros

The beauty of Fireflies lies in its frictionless execution. It quietly joins my scheduled calls across various platforms, capturing every nuance of the conversation without ever disrupting the flow. The AI-driven transcription is exceptionally accurate, capturing complex business terminology, strategic frameworks, and multi-speaker dynamics flawlessly.

Cons

quite expensive, however Fireflies is not just a digital notepad; it is a force multiplier for productivity. By taking over the administrative burden of note-taking, it allows me to focus 100% of my energy on the person in front of me and the strategy at hand. For any leader, consultant, or professional looking to scale their efficiency, optimize their time, and build a reliable knowledge base of their daily business interactions, Fireflies is an absolute must-have

### "Fireflies changed the way we document meetings."

May 10, 2026

5.0

Fireflies was our first meeting notetaker. It changed the way we document meetings. Now we occasionally use the notetakers in Teams Pro and ClickUp but they don't compare well to Fireflies.

Pros

What I like most is the way Fireflies integrates into MS Teams meetings, the accuracy of summaries and identification of action items.

Cons

Occasionally, we have to train Fireflies to recognize words or phrases. Without training it can make mistakes.

### "Firefly - My support for Sales and client onboarding"

March 22, 2026

5.0

It has been a great experience and i am loving it. I remember during my coaching sessions with a client, i can see every questions and flow and can course correct during my sessions

Pros

Firefly has been a great support for me over the last 3 years. I also have a lot of learning from the transcript and AI suggestions around the question i have put during my calls with customers, clients, teams etc. It is secured and has a great value for money. The call quality and features are advanced and helps to go back to the recordings and hear one more time if you have missed out on any important moment. The data is secured and also accurately captured as per the calls. It has help me during my client calls greatly to understand the client tone and responses and behaviors during the call and get a real time status on client acquisition and account management. i strongly recommend firefly. cheers to you all and have a great time using it. Thanks Firefly. and yes i love the firefly logo:-)

Cons

As such i have not identified any areas that i can say that these are the cons for firefly. During my calls, it has been a great to identify minute by minute notes. a feedback and suggestions on each minute post the questions, if firefly can support to recommend what can be a right question at that point of time
