“One challenge I’ve experienced is finding older meetings when I have a high volume of calls. If I’m trying to locate a meeting from six or seven months ago, the search feature requires fairly specific keywords to surface the right recording. When you have hundreds of meetings logged, it can take a little extra time to track down exactly what you're looking for.“

### "Best meeting notetaker I've used"

March 16, 2026

5.0

I was sceptical at first, tried several competitors and the tools that are bundled free with Google Meet, Zoom, and Team, but stuck with Fireflies.ai for the quality. It's less a notetaking app and more a quiet operational layer that lets me actually be present in a meeting rather than documenting it. If you live in Notion and Google Workspace and run a lot of calls, it earns its keep.

Pros

It shows up, takes smart notes, and drops them straight into Notion — structured, searchable, ready to use. No copy-pasting, no transcript archaeology. My client call notes live exactly where my work does, without me lifting a finger. The speaker identification is easy to correct when it gets confused, and honestly I've been impressed by how well it handles accents and dodgy audio connections. It seems to get the context rather than just raw sound quality, which matters when half your calls are international.

Cons

The summaries occasionally flatten nuanced conversations — worth a quick scan before you share anything. And the integrations that make it genuinely useful are on the paid tier.

### "Fireflies.ai is a value score of 1000"

March 19, 2026

5.0

Fantastic. It is a value score of 1000 and the ease of use when I want a webinar transcript created or how it does my client or other meetings summary and other forms of output are perfect. Also the ability to find snippets of a conversation i need a replay of are super simple and ease my workload immediately.

Pros

Excellent ease of use score. The way it organizes the transcripts and the speed it does so is excellent. When I upload a video capture of a webinar it is really fast and the transcript allows me to capture and replay with ease.

Cons

Integration with Zapier and Monday.com is not easy enough. I have tried a couple of times to have the tasks from the meeting move to Monday.com and the way it works via Zapier is a serious fail.

### "very useful!"

very good, but should have bilingual mode.Fireflies offers a reliable and efficient way to record, transcribe, and organize meetings. Its AI summaries are accurate, search is fast, and integration with tools like Zoom and Google Meet works smoothly. Overall, it improves productivity and helps teams keep clear records of conversations.

Pros

Easy to use, the accuracy of its AI summaries and how easily it records and organizes meetings automatically, making follow-up faster and more efficient.

Cons

Price, is that the transcription accuracy drops in noisy environments or when multiple speakers talk at the same time. Also, some summary formats offer limited customization.

### "A huge time saver for meeting notes and follow-ups"

January 15, 2026

5.0

Fireflies made my meeting workflow faster and more reliable. I spend less time writing and more time acting on decisions. I can review calls quickly, pull quotes with timestamps, and keep a clean record for stakeholders. The summaries help me follow up with clear next steps. It works well for recurring meetings and ongoing projects.

Pros

Fireflies saves me time. It joins meetings automatically and captures notes without extra work. The transcript is accurate and easy to scan. I can search by keyword and jump to the exact moment. The AI summary highlights decisions, action items, and key topics. Sharing and collaboration feel smooth.

Cons

Speaker labels can slip when people talk over each other or when audio quality drops. The dashboard has a lot of options, so it takes a little time to learn. Long meetings can take a bit to process. I would like more control over the summary format and templates.

I made the switch because Notion started lagging and the transcriptions were no longer reliable. It missed parts of the conversation and sometimes failed to capture key points. ### "A Reliable and Time-Saving AI Tool That Makes Meetings More Organized and Efficient"

April 13, 2026

5.0

Overall, my experience with Fireflies has been very positive. It has made meetings much easier to manage by automatically recording, transcribing, and organizing everything in one place. I no longer have to worry about missing important details or trying to multitask between listening and taking notes. The summaries and action items are especially helpful for quickly reviewing what was discussed and staying on track afterward. It also improves collaboration since I can easily share meeting notes with teammates, and everyone stays aligned without needing long follow-ups. The interface is quite user-friendly, and once everything is set up, it runs smoothly in the background without much effort. While there are small areas that could be improved, overall it feels like a reliable and practical tool that genuinely boosts productivity and saves time.

Pros

What I liked most about Fireflies is how effortless it makes capturing and organizing meeting information. It automatically records and transcribes conversations with impressive accuracy, which saves a lot of time compared to taking manual notes. I also appreciate how it highlights key points, action items, and important moments, making it easy to review meetings without having to replay everything. The search function is very helpful because I can quickly find specific topics or decisions across multiple meetings. Another thing I enjoy is the seamless integration with tools like Zoom, Google Meet, and Slack, which fits naturally into my workflow. Overall, it feels like having a smart assistant that ensures nothing important is missed while improving productivity and collaboration.

Cons

One thing I liked a bit less about Fireflies is that sometimes the transcription can miss or slightly misinterpret certain words, especially when there are strong accents, background noise, or multiple people talking at once. It’s usually still very usable, but I occasionally need to make small edits for clarity. Also, for longer meetings, the amount of information can feel a bit overwhelming at first, so it takes a little time to get used to navigating the summaries and highlights efficiently. Lastly, while the integrations are great, setting everything up perfectly across different tools can take a bit of initial effort. That said, these are fairly minor and don’t take away much from the overall experience.

I made the switch because Fireflies is easy to use and helps simplify my workflow during meetings. It automatically records and transcribes conversations, which saves me time and effort compared to manual note-taking. The interface is straightforward, so I didn’t need much time to learn how everything works, and it integrates well with the tools I already use. Overall, it just makes meetings more efficient and less stressful to manage.

### "A must-have tool for anyone who takes meetings seriously"

April 10, 2026

5.0

Fireflies has become an indispensable tool in my daily work. I simply cannot walk into a meeting anymore without it running. The biggest benefit is that I can now fully focus on the people in the room and the actual content of the discussion, instead of frantically taking notes. Everything gets captured automatically, and the summaries let me review or share key points in minutes. It has genuinely improved both the quality of my meetings and my productivity afterwards.

Pros

Fireflies has completely changed the way I approach meetings. The automatic transcription and AI-generated summaries are incredibly accurate, and the integration into my workflow was seamless from day one. The ability to search through meeting transcripts and quickly find key decisions or action items saves me a significant amount of time every week. Setup was straightforward and the interface is intuitive.

Cons

Honestly, there is not much to complain about. Occasionally the bot joining the meeting might feel slightly intrusive to some participants who are not used to it, so a bit of onboarding for the team can help. Minor UX improvements could be made in the dashboard navigation, but nothing that affects the core functionality.

Reason for choosing Fireflies

I chose Fireflies over Notion's transcription feature primarily because of the quality of the AI-generated summaries. While Notion is my central hub for everything and its search capabilities are genuinely great, Fireflies wins when it comes to how it analyzes meeting content. The agent-based system understands context incredibly fast and delivers actionable insights right away - something Notion's transcription simply cannot match. Fireflies feels purpose-built for meeting intelligence, whereas Notion transcription is more of an add-on. For anyone who relies heavily on meetings, Fireflies is in a completely different league.

### "Fireflies from a founders' perspective"

April 22, 2026

5.0

Fireflies allows me to keep track of the material from all my meetings, which is priceless for how many projects/meetings/people I speak with weekly. Of the current transcription services I have found Fireflies to be the top performer.

Pros

Strong transcription SaaS that is easily integrated into existing VoiP platforms. There is an extension that allows for easy access to meetings if the agent is not invited.

Cons

Forced AI token usage for summaries, lackluster folder management and category designation for meetings. Lost meetings without understanding why it had happened - although that is not the norm, it is the outlier.

### "Fireflies Notetaker"

April 20, 2026

5.0

Overall, using Fireflies has significantly improved my workflow by allowing me to stay fully present during calls without worrying about notes. The automated summaries are surprisingly accurate and the search function is a lifesaver when I need to recall a specific detail from weeks ago. While the bot joining as a guest can be a bit awkward initially, the productivity gains and seamless CRM integration make it an essential tool for my daily meetings.

Pros

I really appreciate the high level of transcription accuracy and the automated summaries. It saves me at least three hours of manual note-taking every week, and the search function makes finding specific meeting details incredibly easy and fast.

Cons

The aspect I like least is how the bot physically joins the meeting as a guest, which can be distracting for clients. Additionally, the transcription sometimes struggles with overlapping dialogue and requires a fair amount of manual editing to be perfect.

### "Fireflies helps me every day now :)"

March 16, 2026

5.0

I started using Fireflies mostly because my "other" subscription ran out of minutes and I couldn't extend it any more. I had to urgently record a meeting and I wasn't able to even record, I remembered that I had a Fireflies account and within 30 seconds I was recording the meeting. Since then, I have been using Fireflies almost exclusively and haven't looked back.

Pros

Multi-language support. My meetings are in different languages, and often a mixture of more than one language, not just in one meeting, but within a sentence. Even though I can only select one language per meeting, Fireflies picks up all of the languages and transcribes them appropriately. It's really convenient to get a transcript that supports that. If they add the ability to set multiple languages per meeting, that would be really helpful, but so far this way a major benefit for me. :) Oh also, when you change the speakers name, the whole transcript get updated instantly, no need to wait for it to reanalyse the whole recording again.

Cons

The app design/layout is a little stale. There is little visual separation between meetings, so it's easy to get lost.

Great working support tool for a PM, easy to trust its summaries and also accurate in its transcripts to go more into detail. Helps me keep myself focused on task fulfillment and since its trust worthy of task documentation at meetings.

Pros

Their versatility, I can designate specific uses for summaries or full transcripts too. Highly accurate in transcription of meetings.

Cons

### "A game changer for staying on top of meetings without missing details"

February 26, 2026

5.0

Overall, Fireflies has been a real turning point in my daily workflow. It helps me capture decisions, commitments, and details that would otherwise slip through the cracks. I rely on it daily to stay organized, aligned with my team, and confident that nothing important was missed during meetings.

Pros

What I like most is the peace of mind it gives me. I can fully focus on the conversation knowing that nothing important will be missed. The transcriptions are solid even in long, complex meetings, and the ability to search past calls by keywords saves me a lot of time. I also find the automatic summaries and action items very useful for turning conversations into follow-ups instead of re-listening to recordings.

Cons

In meetings with poor audio quality, heavy interruptions, or a lot of cross-talk, the summaries can lose nuance or oversimplify key points. When conversations switch between languages or use very local expressions, the transcription and interpretation sometimes need manual review. It’s not a replacement for judgment, but rather a strong support tool.

Switched from

[ChatGPT](https://www.capterra.com/p/10009334/ChatGPT/)

I switched from using ChatGPT for meeting notes because the process was too manual and time-consuming. I had to upload the audio, wait for the transcription, then create a summary, and finally move the key points into a task board. With Fireflies, all of that happens automatically. It records, transcribes, summarizes, and highlights action items in one flow, which fits much better into my day-to-day work and reduces friction significantly.

### "Fireflies--my go to transcription app--tried many others"

January 31, 2026

5.0

I've tried a lot of transcription apps, and I think the quality of the transcription is really good. I think they're very thoughtful and very business-conscious, which I appreciate. I'm so glad they have the mobile app, which allows me to use it in person-to-person meetings. That's why I originally went with a few others because they didn't have it yet. But since they've gotten it, it's been overall a great thing.

Pros

Fireflies has good analytics and call quality transcription, more so than others I've seen. I really like how it handles the summary and the to-do lists, the tasks, those are important to me. It saves me a lot of time. I also like that you can directly integrate it to your own ChatGPT account, which is really nice. And so I think just overall quality and experience is great.

Cons

Occasionally, it gets paused on my phone when I'm using the phone app because of an alarm or something like that. It really should restart automatically every time. That's the only thing that I can think of where it doesn't always handle it perfectly.

### "Fantastic for Staying Organized and Informed"

December 12, 2025

5.0

My overall experience has been very positive. Fireflies has been fantastic for capturing notes, especially when I am focused on leading or contributing to key aspects of a meeting. It also attends meetings I am unable to join and provides clear summaries and updates, making it easy to stay informed and follow up effectively.

Pros

Fireflies is a helpful tool for capturing meetings efficiently. I especially appreciate the ability to automatically record meetings, generate transcripts, and create notes without distracting from the conversation. It saves time on follow-ups and ensures key insights and action items are not missed. Overall, it makes managing meetings and documentation much more streamlined.

Cons

The cost feels expensive compared to other meeting transcription tools, especially since some competitors or integrated options (for example within platforms like Zoom) can offer similar features at a lower price. The value may depend on how heavily you rely on the advanced AI summary features.

January 14, 2026

5.0

Very positive overall. Fireflies has been reliable for years, consistently capturing meetings accurately, saving time on notes, and allowing me to stay fully engaged in conversations. It’s become a dependable part of my workflow rather than an extra tool to manage.

Pros

Automatic meeting transcription with solid accuracy, searchable notes, clear action items, and the ability to stay fully engaged in meetings without worrying about note-taking. The time savings and focus during conversations are the real value.

Cons

Honestly, none so far. I’ve been using Fireflies for years and haven’t found any meaningful downsides.

Alternatives considered

Other products I’ve tried either required more setup, missed key details, or didn’t fit as smoothly into how I run meetings.

### "Great Notetaker in non-English languages"

November 11, 2025

5.0

It is a great helper that we use for both work and personal projects. The last random personal use I got out of it was when we had a meeting with a medical professional. I recorded our conversation in order to remember what we spoke about, uploaded it to Fireflies and got an excellent transcription with the main points from that 20 minute conversation. All of that within a couple of minutes from Fireflies - so it's much easier for me to go through the text instead of having to listen through the entire meeting again. Even though it's not flawless I highly recommend using fireflies for not taking especially if you're a non-english speaker since this is the best option that I found on the market as of the time of this review.

Pros

I tested other note taking apps as well and none of them work in Bulgarian. As soon as I came across Fireflies, I was astounded as to how well it manages to summarise Bulgarian speech. In English it is nearly flawless. In Bulgarian it's very good. But very good is miles ahead of other software which doesn't even transcribe Bulgarian.

Cons

Integrations with the automation software like Make and Zapier could be way better. I would like to be able to automaticlly send recorded calls for transcription to Fireflies. And the actual transcription in Bulgarian could be vastly improved which would make the summary even better. In its current version you always need to look through the text of the summary to make sure that it didn't get something wrong. And this is even in almost perfect audio quality conditions - where all parties are joining from separate zoom accounts so it's clearly visible who is speaking and are using professional mikes to make sure audio is excellent.

Alternatives considered

### "Strong Time Saver for Meeting Documentation, with Room for Improvement"

December 30, 2025

4.0

We have been using Fireflies for almost a year and have documented several hundred meetings so far. It is used every day and has become an integral part of our workflow. The tool helps reduce meeting load, improves knowledge sharing, and ensures consistent documentation. While there are some limitations around flexibility, search, and compliance perceptions, the overall value and time savings clearly outweigh these issues.

Pros

Fireflies significantly reduces the effort spent on meeting documentation. We use it daily in our strategy and management consultancy, and all team members have a license. Both digital and in-person meetings are tracked in detail, with summaries and transcripts available to the entire team. This allows fewer people to attend meetings while still staying fully informed. Documentation can easily be shared with clients afterward with minimal additional work. Overall, it has saved us a substantial amount of time and increased transparency across the team.

Cons

There is limited flexibility when it comes to licensing models. Filter and search functionalities could be more powerful, especially when working with a large volume of meetings, and bulk downloads are currently not possible. Additionally, some of our German clients have raised concerns around data security and compliance with German/EU standards—this has not been confirmed, but it remains a discussion point. The quality of summaries is generally okay, but not always client-ready without manual refinement.

### "Love at first use!"

December 16, 2025

I love it. It is the first AI tool that I will seriously consider embedding in my business operations.

Pros

Good transcriptions of both Dutch and English. Even Otter.ai does not have Dutch (yet). Very easy to use. It automatically joins online meetings.

Cons

1) It is very intrusive and forcing its way into online meeting tools like google meet, teams and webex. This caused friends not wanting to use it. 2) Not being able to download my audio meeting info. Only taking the raw data but not giving it back. 3) Not clearly stated how my meeting info will be kept private. Lock in looms.

### "Bring \[sensitive content hidden\] to Every Meeting"

February 11, 2026

5.0

Fireflies.ai gives extremely good meeting summaries, organizing notes in a very intuitive fashion. It's very good at sorting out the relevant content from the side chatter in meetings. I like the action steps at the end of the notes, as the AI does a pretty good job of knowing who is assigned what steps going forward. It's not perfect, but I'd say it gets it correct 85% of the time or better. I'm impressed by the mobile app's ability to take notes during live conversations, and especially impressed by Fireflies' ability to transcribe meetings that are recorded outside the app. I appreciate Fireflies' default security settings, which allows me to assure my clients that the content of our meetings will not be used to train the AI, nor will it be accessible by anyone but me.

Pros

My favorite, and most used, feature in Fireflies is the ability to transcribe live meetings. I'm especially impressed by its ability to discern who says what, even when no formal introductions are made.

Cons

My least favorite aspect of Fireflies is its limitation to connecting only with Microsoft or Google email addresses and calendars. I use a proprietary email domain, so when I make Zoom meetings, I have to make them twice so that " \[sensitive content hidden\]" knows when to attend. Admittedly, connecting directly to a proprietary domain may be possible, but I haven't figured it out yet.

Overall, it does what it promises and does it very well. It is a very good AI notetaker. I only wish it offers more actionable insights and real world applications / integrations.

Pros

The quality of the recording is top notch, super accurate transcript as well. It is also convenient to record an in-person chat through the mobile app, which was a perk I did not expect.

Cons

Fred can be a lot better at giving more actionable responses and insights. Maybe an integration with Claude can help there because I keep putting the JSONs into Claude to pull insights on how to handle follow up conversations, emails etc. or even what to create content on for socials.

### "Thanks to the creators of this amazzing tool"

February 10, 2026

5.0

In addition to the above said I especially appreciate the ability to upload audio files from a Iphone voice recorder and receive accurate transcriptions as well - this feature has helped me several times when live recording wasn’t possible. Overall, my experience has been very positive, and Fireflies has consistently met my expectations.

Pros

What I appreciate most about Fireflies is how much time it saves me - both professionally and personally. I conduct many interviews and coaching sessions every day, and Fireflies takes away the mental load of trying to remember everything or manually documenting conversations. It helps me structure my thoughts, clearly capture key points, and turn conversations into well-organized insights. The summaries are accurate, well-structured, and genuinely useful - they help me quickly revisit conclusions, make better decisions, and stay focused on people rather than note-taking. Fireflies has become an essential tool in my daily HR and coaching work. It doesn’t just record meetings - it helps me work smarter, stay present in conversations, and maintain clarity even on very busy days.

Cons

I’ve been using Fireflies since November, so this is already my third month with the tool, and so far I haven’t encountered any major issues or technical difficulties. At this stage, there isn’t anything I can point out as a real downside.

I had a great experience using this application. The interface is clean, simple, and very easy to navigate, even for new users. All the features work smoothly and the performance is fast and reliable. I especially like how well everything is organized, which makes it easy to find what I need quickly. The design looks modern and professional, and the app rarely crashes or has technical issues. It has definitely made my daily tasks more convenient and efficient. I would highly recommend this app to anyone looking for a useful and well-designed tool. Overall, it is a fantastic application and worth trying.

### "Fireflies is great overall, but the cost can add up"

April 7, 2026

5.0

Positive experience overall. I can't imagine going back to a time before I had access to a platform like this. Much easier to stay organized adding Fred to each meeting and then having an intuitive platform to look back on all my transcripts & meeting notes in Fireflies.

Pros

It is so hard to keep track of everything that is happening with meetings week to week. Fireflies makes it easy to keep track of my action items, my teammates action items, nuance in features we are going to build, and more. I personally really like the AskFred feature where I can query many of my meeting transcripts at once and remember what tasks I have to do.

Cons

A few issues that I have with Fireflies. One is that I'm unable to link multiple personal email accounts to the same Fireflies profile. As a freelancer working for a number of clients at a time, having to pay for each account really adds up and will be unsustainable soon if I need to add additional accounts. I think the nature of adding a notetaker in Google / Zoom meetings is inherently a bit noisy, but I don't know if there is any easy solution to this. I'll be in meetings where there is as many notetakers as there is people.

### "A powerful transcription tool with great potential for multilingual work"

January 16, 2026

5.0

Overall, my experience has been very positive. Fireflies saves a lot of time when reviewing meetings and working with transcripts, especially in multilingual contexts. With a bit more reliability in live recordings and built-in translation, it would be an essential tool in my workflow.

Pros

It’s very useful for handling transcriptions in different languages. I also like how easy it is to review specific moments of a meeting by searching for just a few keywords, without needing to rewatch or relisten to the entire recording.

Cons

When recording live audio meetings, it sometimes fails. It gives the impression that the recording is still running, but in the end the file is lost. This is the main area where I see room for improvement. Additionally, since I work with multiple languages, it would be amazing if Fireflies offered an automatically translated version of the transcription alongside the original. That alone would probably make me use Fireflies long-term.

### "Easy to use and a great value - makes me better at my job"

November 7, 2025

5.0

Easy to use and a great value I would recommend Fireflies to any single business owner/entrepreneur who has a lot to keep straight and has days filled with meetings across clients.

Pros

Fireflies is critical to capturing all of the details of interviews with clients. It allows me to be present during calls and I do not need to take notes. I love the integrations into Hubspot where tasks are automatically transferred from meeting notes into my Task list. Also I have been lifting key passages from Fireflies notes and placing them into ChatGPT which helps me create executive overviews and summaries of detailed information.

Cons

I wish that the fireflies avatar did not take up screen real estate in google meet sessions. IF I am meeting with 1 other person, it looks as if there are 3 of us in the meeting because of fireflies.

### "Favorite AI tool for daily all purpose use"

December 10, 2025

5.0

Great all purpose meeting/conversation summary and transcription. Even used in conferences to record sessions and take notes! The interface is super easy and clean. While I haven't tried many of the add-on AI tools, the core summarization and key points is top-notch with the ability to jump to the point in the transcript \*and\* live recording. Easy to integrate with my Google calendar, and email summaries and upcoming reminders keep me on point.

Pros

UX/UI - easy to use web and app products. Great transcripts and summaries with ability to jump to a specific part. General purpose for professional meetings, dr appts, therapy, interviews. Free and basic plans are great prices for individual usage. Easy to integrate with my Google calendar, and email summaries and upcoming reminders keep me on point.

Cons

Tracking/deleting storage and minutes used is a bit confusing and onerous. No usability issues compared to other tools for my personal use. Haven't tried much team or shared usage. Have to explore the hashtags for organizing and seeing trends/themes across meetings - this would be a great built-in feature for meeting series (if it isn't already).
