### "Helpful meeting assistant that saves time"

May 18, 2026

4.0

Overall, I had a positive experience using Fireflies. It made meetings more organized and helped reduce the amount of manual note-taking during calls. It’s especially useful for keeping track of action points and revisiting discussions later. While there’s still room for improvement in transcription accuracy and navigation, it’s been a helpful tool for day-to-day collaboration.

Pros

The automatic meeting summaries and searchable transcripts saved me a lot of time. I also liked how easy it was to go back to specific parts of a conversation without rewatching the entire meeting. The integrations with tools like Slack and Google Meet worked smoothly for our workflow.

Cons

Sometimes the transcripts weren’t fully accurate, especially during fast conversations or when multiple people spoke at once. The UI can also feel a bit cluttered when managing a large number of recordings and notes.

### "Excellent Meeting Intelligence and Transcription Tool for Busy Teams and Creators"

May 12, 2026

5.0

Overall, my experience with Fireflies has been very positive. It has become a reliable part of my workflow for meetings, interviews, and content creation. The ability to automatically record, transcribe, summarize, and organize conversations has improved productivity and reduced the need for manual note-taking. It has also helped us build structured datasets for our interview platform by making conversations searchable and easier to analyze across multiple interviews. This has allowed us to extract patterns, insights, and recurring themes from founders, investors, and operators in a much more efficient way. While there is still room to improve on advanced AI context and editing features, it delivers strong value and consistently performs well.

Pros

Fireflies has been one of the most useful tools in my workflow for capturing and organizing meetings, interviews, and strategy calls. The transcription quality is strong, speaker tracking is helpful, and the search functionality makes it easy to revisit important moments later. It has saved a significant amount of time by turning conversations into searchable notes and actionable summaries. For our interview series, it has also been extremely valuable for building searchable datasets from conversations, helping us identify recurring themes, decision-making patterns, and actionable insights across episodes. The integrations with Zoom, Google Meet, and other platforms also make the experience seamless without requiring extra setup.

Cons

The AI summaries can occasionally miss nuance or oversimplify important parts of conversations, especially during technical or strategic discussions. For podcast and content workflows, the editing capabilities are still limited compared to dedicated editing tools like Descript. There are also times when speaker switching or formatting in transcripts needs minor manual cleanup.

### "Firefiles Review"

April 22, 2026

5.0

My overall experience with Fireflies was positive—it's a powerful AI notetaker that boosts productivity through accurate transcriptions, smart summaries, and task extraction, earning high ratings like 4.9/5 on Capterra. While limitations like cost and occasional inaccuracies exist, its intuitive UI and time-saving features make it ideal for frequent meetings, though less so for budget-conscious solos. I'd recommend it for teams but suggest starting with the free tier to test fit

Pros

I loved the real-time transcription and automatic meeting summaries the most—they're highly accurate and save tons of time by capturing key points effortlessly without manual note-taking. The ease of setup and seamless integrations with tools like Zoom, Google Meet, and Slack made it super user-friendly for daily workflows. Plus, features like action item tracking automatically highlight tasks, helping teams stay organized and productive post-meeting.

Cons

The biggest downside was the pricing—paid tiers feel expensive for individuals or light users, with unclear costs and surprise charges for extras. Transcription accuracy dips in multi-speaker scenarios or complex discussions, sometimes misattributing speech or missing nuances. Also, the limited free plan and occasional issues like aggressive default settings (e.g., auto-joining meetings) or poor customer support were frustrating.

Switched from

[Otter](https://www.capterra.com/p/202799/Otter/)

I switched from Otter.ai to Fireflies because Fireflies provides superior transcription accuracy, especially for multi-speaker meetings, and generates better AI summaries with conversation intelligence features like sentiment analysis and keyword tracking. Otter's language support is limited to just English, French, and Spanish, while Fireflies handles over 100 languages, which is crucial for my diverse team discussions. Additionally, Fireflies offers more extensive integrations (e.g., with CRM tools and calendars) and advanced analytics, making it more efficient for team collaboration and post-meeting insights compared to Otter's basic setup. Overall, these upgrades significantly boosted our productivity without a steep learning curve.

### "Indispensable AI notetaker for heavy meeting schedules"

March 19, 2026

5.0

My overall experience with Fireflies has been very positive. I use it regularly across a large number of research, engineering, and collaboration meetings, and it consistently saves me time and cognitive load. Knowing that every call is recorded, transcribed, and summarized allows me to focus fully on the conversation instead of manual note-taking. I find the meeting summaries, topic extraction, and task overviews particularly useful when switching between projects like AI for materials science, photonics, and multi-agent systems. Fireflies has effectively become my meeting memory and has improved the quality and traceability of our discussions.

Pros

Fireflies has become an indispensable part of my daily workflow. It reliably joins my meetings, captures everything, and turns long, technical discussions into concise, structured notes. I especially appreciate the way it highlights key topics (e.g. AI scientist roles, hypothesis development, crystal generation techniques, research collaborations) and surfaces them as “Popular Topics”, which makes it very easy to revisit specific threads later. The automatic meeting prep and the clear timeline of recent and upcoming meetings help me stay organized across many parallel projects. Multi-language (auto-detect) support is also a big plus for international collaborations.

Cons

Overall I am very happy with Fireflies, and my concerns are minor. Occasionally the summaries for very dense, domain-heavy discussions can miss some nuance, so I sometimes need to double-check the full transcript for specific technical details. Also, with many meetings and tasks, the home dashboard can feel a bit busy, and I would love even more fine-grained controls for organizing and filtering meetings. But these are small issues compared to the overall value it provides.

### "Favorite Tech Tool in my Business"

March 5, 2026

5.0

I have been using Fireflies for about 5 years. They have consistently been a reliable and valuable partner in my business. The integrations are perfect and I can even upload independent conversations to have them transcribed. Zoom now does many of the same features but I am reluctant to give up Fireflies because it is integral to my operational automations.

Pros

Having the recording, searchable transcript, summary and to-do list all on the same screen makes it easy to navigate to exactly what I need after a call. I can also share the recording with call members.

Cons

There isn't anything I don't like. Sometimes I try to upload files for transcription that it can't read/transcribe, but I don't think that's necessarily a software flaw; it just can't read every file extension.

### "A Game-Changer for Multilingual Teams"

April 2, 2026

5.0

Fireflies has been an absolute game-changer for our team. The learning curve is incredibly low – it’s intuitive from day one and integrates seamlessly into existing workflows. The call quality and transcription accuracy are consistently impressive, even with multiple speakers or accents. What really sets it apart for us as a multilingual team is the automatic language detection – it handles different languages effortlessly without any manual setup, which is a huge advantage in our day-to-day operations. From a value-for-money perspective, it delivers strongly, especially considering how much time it saves on note-taking, follow-ups, and internal communication. The data tracking and search functionality are excellent – being able to quickly revisit conversations and extract key insights has significantly improved our efficiency. Overall, an exceptional tool that has become essential to how we run meetings and manage information. It has improved productivity, reduced admin time, and brought a new level of clarity and transparency across the team. The combination of multilingual support and seamless integrations makes it particularly powerful for international teams. Highly recommended for any business looking to work smarter with their meeting data.

Pricing can be a consideration – while it’s absolutely worth it, it does add another tool cost into the overall stack. That said, the time savings and efficiency gains more than justify the investment. Occasionally, speaker identification can be slightly off in larger group calls, but this is minor and easy to correct. More advanced customisation options for summaries or tagging would be a nice addition.

### "Amazingly useful AI meetings capture service"

March 8, 2026

5.0

This is an extremely easy-to-use product that has multiple facets that I use daily. First of all, it automatically captures my Google Meet meetings and provides me with a very well described summary of the meeting together with a list of action items. I also use it for in-person meetings where I simply need to put my phone on the table, tell my guest that I will be recording this for meeting notes, and just press record. Once it's done, upload the conversation, and I get exactly the same result as if it was a Google Meet, for audio only though. Another way I use this is when I take walks and I need to brainstorm with myself. I simply turn on the recorder and talk out loud everything I could be thinking about, and I get a wonderful summary of my thoughts afterward, from which I can extract the important gems. All in all, this is a great product that I would recommend to everyone for business use.

Pros

\- Easy to use - Flexible - Identifies the meeting participants by voice - Creates great meeting summaries - Provide detailed list of action items - Allows recordings on the go - Supports multiple languages

Cons

To this date, I haven't been able to figure out how to capture videos when I have meetings on Google Meet. It's supposed to be straightforward according to documentation but it has never worked yet for me yet. Also, when I record meetings on Google Meet, it does two separate recordings at the same time, meaning that I end up with two summaries and two lists of action items. Both of them are different summaries. I have no idea why this is happening, but it's not really an issue. Sometimes I look at both lists of action items to see if one of them includes an extra action not covered by the other.

### "Mein täglicher Begleiter"

April 28, 2026

5.0

Cons

### "Powerful AI Meeting Assistant That Boosts Productivity and Accountability"

May 4, 2026

4.0

Overall, my experience with Fireflies has been very positive. It has significantly improved meeting productivity and accountability by ensuring nothing important is missed. It’s especially useful for follow-ups, documentation and keeping teams aligned. While there are minor areas for improvement, the efficiency gains far outweigh the drawbacks.

Pros

What stood out most about Fireflies is its ability to automatically record, transcribe and summarize meetings with impressive accuracy. It saves a lot of time on note-taking and allows you to stay fully engaged during conversations. The search functionality is also powerful as you can quickly find key moments, action items or decisions without replaying entire meetings.

Cons

While the transcription is generally strong, it can occasionally struggle with accents, technical jargon or overlapping conversations. The summaries, although helpful, sometimes miss context or nuance, meaning you still need to review key parts manually. Also, some of the more advanced features are locked behind higher-tier pricing, which may limit value for smaller teams.

### "I rate Fireflies a 100/100"

May 13, 2026

5.0

I set the settings to auto-join meetings, and for other meetings with different security settings, I use the live recording option (after getting permission to record). I frequently go back to my recorded meetings to use the AI-generated notes, scan the transcript to write my own notes and action items, share the meeting link with my colleagues so everyone has the same detailed context, and create sound bites when only a portion of the meeting is necessary for someone. It makes sure that I always look organized and have an amazing memory.

Pros

Call recording is clear, transcripts are 99% accurate, and meeting notes are concise. The list of action items is great, too, and I value the option to browse keywords to find the meeting I'm thinking of. I like that Fireflies is automatically added to meetings, but I also have the option to capture them live for in-person meetings. I also value the chance to share meetings with colleagues—it has made collaboration a lot easier. I made a mistake that led a colleague to add a seat to my account, and customer support resolved everything promptly and to my satisfaction. Meeting analytics are interesting, too, and will enable me to prove to my boss how much time I'm spending in meetings instead of getting my work done.

Cons

I honestly like it very much. I would like to pay less, but it's a fair price for the value delivered.

### "Excelente aplicación. Olvídate de tomar nota"

February 27, 2026

5.0

### "Excellent transcription and smart notes, needs desktop app"

February 13, 2026

5.0

Fireflies has been excellent for my workflow. The automated note generation captures important details without requiring manual configuration or prompts. After a month of regular use, I haven't experienced any productivity issues or friction in my daily operations. The accuracy and convenience have been strong enough that I've recommended it to colleagues. However, the pricing has been a barrier for some of them, though that may be because they don't take as many meetings as I do. For high-volume meeting schedules, the value proposition is clear. My only reservation about upgrading is the lack of a desktop application, which would eliminate the browser-based workflow and add offline access to notes which are critical features for my use case.

Pros

The browser extension is excellent since it captures meetings without taking up a seat. The generated meeting notes are the standout feature: transcription on one side, timestamped key points on the other, with click-to-jump functionality that makes referencing specific moments effortless. The transcription accuracy is impressive, even with heavy accents and non-native speakers. It catches words I miss in real time and handles multilingual conversations well, which is better than other tools I've tested.

Cons

I'd upgrade to a paid plan immediately if there were a desktop application. Opening a browser every time adds friction to an otherwise streamlined tool. A native desktop app with offline access to transcripts and meeting notes (audio files excluded) would be invaluable, especially when working with poor or no connectivity but still needing to reference notes and task assignments.

### "Game-Changer for Meetings and Follow-Up"

February 19, 2026

5.0

My overall experience has been extremely positive. Fireflies has helped streamline my meetings, improved accountability, and made follow-up communication much easier. It has enhanced productivity across my team and given us better clarity on next steps. I would absolutely recommend it to anyone who has frequent meetings and wants to stay organized without the stress of manual note-taking.

Pros

What I like most about Fireflies is how much time it saves me and how organized it keeps everything. It captures meeting notes accurately, summarizes key points, and clearly identifies action items so nothing falls through the cracks. I love that I can stay fully engaged in the conversation instead of trying to take notes. The search feature is also incredibly helpful — I can quickly go back and find exactly what someone said without rewatching an entire recording. It has become a trusted tool in my workflow. We just started using Hubspot and I am excited to see how this integration works!

Cons

One challenge I’ve experienced is finding older meetings when I have a high volume of calls. If I’m trying to locate a meeting from six or seven months ago, the search feature requires fairly specific keywords to surface the right recording. When you have hundreds of meetings logged, it can take a little extra time to track down exactly what you're looking for.

### "Awesome tool for everyday work"

February 5, 2026

5.0

Overall, my experience with Fireflies has been positive and productive. It has been a valuable tool for improving meeting efficiency by automating note-taking, transcription, and summarization. It helped reduce administrative workload, enhanced follow-up discipline through clear action items, and improved collaboration across teams. While there were occasional limitations in accuracy and customization, the benefits in terms of time savings, documentation quality, and accountability far outweighed these challenges. It has been especially useful in supporting structured project management and decision-making processes.

Pros

What I liked most about Fireflies was its ability to automatically capture, transcribe, and summarize meetings in a clear and structured way. It significantly reduced the time spent on manual note-taking and allowed me to focus more on the discussion itself. The action-item tracking, searchable transcripts, and integrations with collaboration tools made follow-ups more efficient and improved overall accountability across teams. It also helped ensure that important decisions and commitments were well documented and easily accessible for future reference.

Cons

What I liked least about Fireflies was that the accuracy of transcriptions and summaries could sometimes vary, especially in meetings with multiple speakers, accents, or technical terminology. This occasionally required manual review and correction. In addition, some advanced features were limited to higher-tier plans, and customization of summaries and workflows was somewhat restricted. At times, integration and syncing delays were also noticeable, which affected real-time follow-ups.

Alternatives considered

[Otter](https://www.capterra.com/p/202799/Otter/)

Reason for choosing Fireflies

I chose Fireflies because it offered the best combination of automated meeting transcription, intelligent summarization, and seamless integration with the collaboration tools we already use (such as Zoom, Teams, and Google Meet). Its easy setup and user-friendly interface meant minimal training for the team, and the searchable transcripts made follow-up and knowledge management much more efficient than competitors. While other products had some strong features, Fireflies’ balance of accuracy, reliability, and workflow support aligned most closely with our needs for improving meeting productivity and accountability.

### "Fireflies saves me hours each month on meetings and follow-ups"

February 3, 2026

5.0

Fireflies has been a reliable, continuously improving tool in my workflow. It works exactly as expected, the accuracy keeps getting better, and new enhancements feel practical rather than gimmicky. It’s now a core part of how I manage meetings, client conversations, and internal documentation.

Pros

Fireflies has the most accurate meeting summaries and action items of any AI notetaker I’ve tested. The transcripts are clean, the summaries are actually usable, and it reliably captures decisions and next steps without extra cleanup. It saves me hours each month by eliminating manual note-taking and follow-up documentation.

Cons

Earlier on, I couldn’t automate meeting notes directly into monday CRM, which limited how I used it operationally. That’s no longer an issue — the integrations and automation options have improved significantly.

### "Is it too soon to say I love you?"

February 12, 2026

5.0

Fireflies AI as been a game-changer for me and the members of my leadership team. My favorite thing is not having to take as many notes manually, and having the ability to review all past meetings, or search the entire app across all past meetings for key words, like "new server" to remember who we talked to about that. The AI bot "AskFred" has written great responses I can send to customers who decline a proposal to salvage a sale. It has helped me clinch deals by writing specific letters to attach to my proposal which include their pain points and how we can help. As a business owner, a salesperson (not a great one), and an account relationship manager, this feels like one of the most important tools in my kit now.

Pros

Searching meeting transcripts for key words. Fantastic AI bot for per-meeting advice, or drafting letters to attach to proposals. Downloading video, audio, transcript text in many optional formats. Business license is great for leadership teams, co-owners, or other teams. Ability to use voice recorder in Fireflies mobile app to capture in-person meetings without a computer.

Cons

By default it spreads itself to those you meet with, and sends links for others you're meeting with to access the meeting. We found this is easy behavior to adjust in the settings. Sometimes we found it annoying that every single meeting had Fireflies automatically added. However, the in-meeting chat command "/ff leave" works when people don't want to be recorded. Also behavior can be adjusted in the settings.

### "My work has a clear "before and after" Fireflies.AI!"

February 3, 2026

5.0

Fireflies.AI has really helped me sinthesize all my meetings, and helping me to follow up on things. I consider myself a heavy user! However, due to compliance limitations at my work, I cannot "call" Fireflies into any MS Teams meeting...it would be very useful to add a "skin" (like a personalized e-mail address for example "name.last-name@company.com" instead of "...@fireflies.ai" this would make my work and transcripts editing much more easier!

Pros

I like the flexibility it provides; for example, in my day-to-day I work with meetings in 3 different languages, therefore, being able to change from language to language is very important to me. Also, the editing flexibility is very important!

Cons

It was not clear at all that adding team members to my pro subscription would have an additional cost; this should be more explicitly detailed before adding team member, since everything along the process looks easy and friendly...but when the next month's bill came, I ad been charged with USD 20 additional PER team member...and I never received a warning about it. For any other trouble shooting, the customer support team has always been very helpful!

### "Fireflies Is Mission-Critical for My Business"

January 27, 2026

5.0

Excellent. Fireflies is a core part of my daily workflow and something I actively rely on to keep my business running smoothly. It consistently improves meeting follow-up, accountability, and execution. I would highly recommend it to any business that runs on meetings.

Pros

Fireflies consistently records meetings accurately and turns them into genuinely useful outputs. The intelligent transcription, summaries, and action items save real time after meetings, not just token minutes. The follow-up notes are structured, clear, and actionable, which makes it easy to keep momentum without manually re-listening to recordings or rewriting notes. It works quietly in the background and does exactly what it’s meant

Cons

Fireflies relies on attendee permission to join meetings, which means it can be excluded at the discretion of participants. When this happens, meeting capture and follow-up quality drops significantly. There is also no easy way to add Fireflies to truly ad-hoc or last-minute meetings, which limits its usefulness in fast-moving, real-world scenarios.

### "Honest take, the good and bad"

January 20, 2026

5.0

Amazing. With all its problems on its own, it solves a bigger problem for us, which is the transcripts and summary for sales calls.

Pros

It's quick, efficient, the transcriptions and summaries are great. Altough we are not using it to its full potential, I could still say, this software is in our top 5 most used softwares inside the company. It's really amazing, and can't even imagine and remember what our life was before fireflies.ai.

Cons

It is a bit complicated to search for something. There are multiple semi-automatic search options, where you can VERY easily click inside into any of them, and making your search incoherent. So you have to exit, click again, make sure you are in the right search criteria. Also, one feature I'd like to see is, when I search on the main page for a name, lets say "Company Inc. - Peter" it will -of course- pop up every convo with that title. And most times, I need to open most of these convos if not all of them. So it would be handy, to have "Right Click+Open in new tab". Now you gotta click on it, and it will open a new tab, and now you have to click back to the tab where you had the search pulled up, and you have to make sure you are clicking on the next consecutive convo you want to open in a new tab. So its a but complicated, managable but could be better. Also what I probably I hate the most is, downloading Transcript/Summary/Video/Audio. Whenever you press download on something, it will close the download window. But here's the thing, I might want to download multiple things, not just one. For me, and most of my collagues and friends who use it, aren't downloading one file, and its just extra things you need to keep in mind. For example, you already had to suffer thru on opening 5 convos in 5 tabs as described above. And you want to download the transcipt and summary for each to use in an LLM of your choice. Now, you have to press download, you have to choose 'transcript', opt-out that you don't want timestamps included, opt-in that you want fireflies.ai branding removed, choose the desired format, press download. Then press download again, choose summary, opt-out timestamps, opt-in that you want fireflies ai branding removed, press download. By the time, you got to the 4th convo, you lost your mind, its like you kinda forgot which one you were downloading, like was it summary, or transcript? And you have to check downloaded, but its a bit of a mess on its own, cuz its not named as you named the convo if it had any special chars, cuz it can't handle it. Also it's not included in the name of the downloaded file wether it was a transcipt or summary. So yeah, it could be improved.

Reason for choosing Fireflies

Looked better, more convincing, and easier to use by the looks of it. It was crucial that I didn't want myself or my team to learn the alchemy and mastery of a new software. It was easy to use.

### "Excellent for Recruitment"

February 24, 2026

5.0

Overall, very happy with the product. There is definite room for improvement and I'm sure they will get there.

Pros

The interface is very pretty. The functionality is robust. I love the ability to interact with Fred and ask questions.

Cons

The interface is very, very busy. Lack of ability to connect multiple Google accounts is troublesome. There's no real 'loading' indicator on previously held meetings, you just have to wait for them to show up. One of my biggest gripes with the software is that the titles of the meetings routinely fail to show up and all I see are a bunch of non-sensical numbers and letters and just have to search for what I'm looking for--which can be time intensive as the search feature is not the most polished.

Reason for choosing Fireflies

The UI/UX. I'm really impressed by the colorful interface as it is very easy on the eye. I appreciated the high number of integrations as well, especially Quo (OpenPhone)

Otter's interface is ugly truthfully. I don't like the font or the color scheme but the functionality is very good.

### "A genuine game changer for remote leadership, documentation, and staying organised."

January 5, 2026

5.0

I love how many apps Fireflies can integrate with. I have it connected to MS Teams, MS To Do and OneNote, which I have relied on for more than two years. Being able to link my Fireflies notes with my handwritten or typed OneNote entries and search everything in one place is an absolute game changer. It also means my EA, who does not have Fireflies access, can still search my full note library and find references with ease. The summaries, action items and conversation insights are spot on, and the ability to replay audio and view the transcription together makes it easy to get context when I need it. Navigation is simple and intuitive. Even if I am not exactly sure what I am searching for, it is never more than a couple of clicks away thanks to the layout and clear instructions. The only downside for me is the cost. It is not unreasonable considering how much it does and more than any other similar products that truly dont even come close to FF functionalities Working fully remote with a team spread across Southeast Asia, Fireflies has removed so much friction from my day to day and has allowed me to work more seamlessly and more efficiently. I have tried many AI note takers over the years, and Fireflies does so much more, with better accuracy and smoother integration than any of them.

Pros

I love how many other apps FF can integrate with and Ive got it linked into MS Teams & MS To Do not to mention One Note which I have used for over 2 years and to be able to link my notes and search all my notes both hand taken and from FF truly a game changer and means my EA who doesnt have FF can still search my full notes and find references etc with ease. I love the summaries and all the functionalities in FF also and the ability to go back and listen as well as see the transcription also helps provide context when needed - easy navigation even without knowing what you are looking for its never far away that 2 clicks and lots of easy instructions

Cons

The absolute only thing I dont like is the cost and its not super expensive just not something that is affordable but thats a me problem not a FF issue but as the months have gone on I have prioritised it as a business must have as allows so much of my work to be seemless especially as I work 100% WFH and my team are spread across south east Asia - truly a game changer and Ive used a lot of these AI note takers but FF does soooo much more!

### "Great addition to improve engagement!"

January 7, 2026

5.0

Overall it has been a great experience, I have been able to be more engaged in the meetings I am in and also being able to go back and listen to the meeting recording helps a ton. The summaries are good overall and do a decent job with some errors but realtively minor errors and easy enough to go listen to that section of the transcript and find out what the intention was. It has been great for time savings as well since I don't have to take notes I have a lot more involvement.

Pros

I like the ease of use for online meetings and love the app for in-person meetings. It is my go-to for in-person meetings to help me take notes and allows me to really be engaged during the meeting and active.

Cons

Sometimes there are a few errors or it doesn't capture as expected when activated, but this happens few and far between.

### "How I survived 526 meetings in 2025 without losing the plot."

December 16, 2025

5.0

Of course. Here is the revised version, with no em dashes and kept clean and direct. So here’s the lowdown on Fireflies.ai. I’ve genuinely fallen for this software. It slots straight into my Teams, Zoom, and Google Meets with no fuss. It is fast, and it is accurate. I would put it at around 95 percent. It handles multiple languages well, although it does struggle if different languages are used within the same call. The iPhone app is a real plus. I can record meetings or conversations on the fly, which has been more useful than I expected. The AI search is another strong point. Being able to search across hundreds of meeting notes and quickly find what I need saves a lot of time. I am also very aware that I am probably not using it to its full potential yet. If I spent more time digging into all the features, I suspect I would get even more out of it. For context, in 2025 alone Fireflies.ai has recorded 526 meetings for me. That adds up to roughly 20,000 minutes in meetings. Slightly scary when you see it written down, but also a good reminder of how central this tool has become to how I work. Bottom line, I love it and I rely on it daily.

Pros

speed of transcriptions, accuracy, features and iPhone app all work nicely - stable and rarely (only twice in a year of 526 meetings) so pretty good.

Cons

First, it does not handle language switching within the same meeting very well. If people move between languages mid-call, the transcript quality drops and the transcript can be really confusing. Second, the depth of features can feel slightly underused unless you actively invest time in exploring them. That is not a flaw as such, but it does mean you only get the full value if you make the effort to go beyond the basics.

### "Like having a super smart intern, one that is on your side and turns up to every meeting."

December 11, 2025

5.0

Fireflies has helped us impress our clients, improve our internal comms. It compensates for our own foibles when it comes to keeping notes, providing minutes and setting out an action plan.

Pros

Very easy to set up, sensible defaults and straight forward to use. Fireflies is always the first into the meeting and the last one to leave. It captures the spoken word reasonably reliably and produces a very good, and quick, summary at the end of the session. The AI generated summary helps avoid upsetting anyone by being professional and analysing the content on the basis of a work environment with a nod toward GDPR and common courtesy.

Cons

It would be good to give it a bespoke name and an avatar image. It does not know what it gets wrong and so can make repeat errors, especially with technical terms, jargon and names.

### "My “second brain” for client calls — saves me hours every week"

February 25, 2026

5.0

I use Fireflies constantly because it lets me stay fully present in conversations while knowing the notes will be there, organized, and searchable. As someone who does a lot of calls across partnerships, sales, and client strategy, it’s basically my call archive and note system in one. The call recording and transcripts are reliable, and the summaries usually capture the core themes and next steps well enough that I can move fast. I have even been able to upload Zoom MP4 to help with transcribing.

Pros

Fireflies is a huge time saver. The transcripts are searchable, the summaries and action items help me move fast, and I can jump straight to the important parts of a call without re-listening. It’s especially valuable when I’m juggling multiple clients and need accurate follow-ups.

Cons

Transcription can occasionally miss names, acronyms, or niche terms, so I still do a quick sanity check. Also, initial setup can vary a bit depending on the meeting platform, but once it’s connected it runs smoothly.
