CASEBOOK offers a well-rounded, user-friendly solution that supports efficient work with a friendly and supportive team.

Pros

The ease of use is one of CASEBOOK’s strongest qualities. The interface is clean, intuitive, and thoughtfully organized, making it simple for both new and experienced users to navigate. The learning curve is surprisingly gentle. the platform’s logical layout helps reinforce confidence from day one. CASEBOOK’s reporting capabilities are another major advantage. Reports are flexible and easy to generate. When it comes to data management information is easy to store, retrieve, and organize, ensuring that nothing gets lost and everything stays consistent. The data entry experience is equally smooth—fields are clear, workflows make sense, and the system helps reduce duplication and errors.

Cons

I’ve noticed that, on occasion, certain items within the platform may be added, changed, or adjusted without the user being immediately aware. Even with these occasional updates, CASEBOOK continues to be very easy to use and navigate. The overall experience remains smooth, intuitive, and reliable.

Overall it has made transitioning from our old database very smooth. It is user friendly and we appreciate having support to answer our questions when needed. I love how clean and easy to read everything is, and reporting possibilities are endless.

Pros

Casebook has been very easy to learn how to use. It has made it easy to enter information and also find information. Our agency has been able to pull data very easily for a variety of reporting needs.

Cons

Sometimes it takes several clicks before you can get to the section you want to make notes in. But considering how much time it saves us in other areas, this is minor.

The previous database was not meant to hold as much data as we were needing. It began to freeze and have problems with reporting. A lot of manual entry needed etc.

Casebook has been incredible for our team. From onboarding to troubleshooting to running through hypothetical situations with the CSM team, they have always made themselves available when needed and have a clear understanding of what caseworkers need from a case management platform.

Pros

Casebook is one of the only platforms I have worked with that actually listens to their clients. They are eager to make intake, case management, and reporting a seamless, efficient, and straightforward process. Any troubleshooting I have needed in the last year has been addressed quickly and with continual updates. I adore the customer service team and how friendly they are. The platform is so easy to use and integrate with other platforms as needed through Zapier. I am looking forward to being a long term user!

Cons

I spent a lot of alone time trying to put together our initial set up that was real confusing for me at times. Heidi was so helpful and patient, but i still found it to be difficult at times. Now I feel sometimes I'm too nervous to switch things up in fear of messing with something unintentionally.

My team and I have had an overall smooth experience with Casbook. It made managing our over 1600 cases easier.

Pros

What I liked most about Casebook is how easy and intuitive it is to use. The layout feels familiar and well-organized, which makes documentation straightforward rather than time-consuming. I appreciate that it’s user-friendly and doesn’t require a steep learning curve, allowing me to focus more on the work itself instead of navigating the system.

Cons

I did not like the building-out process; it was cumbersome. Setting up the initial configuration felt less intuitive than the daily navigation, and it took more time and effort than I originally anticipated to get everything aligned with our specific needs. It also took longer than I expected.

Casebook has become an essential tool for our agency. We use it daily to manage over 4,000 client records, track partner resources, and keep all program data in one place. It has improved compliance, made audits and monitoring visits smoother, and helped us see the true cost of service per client. This has allowed us to start making data-driven decisions, which is critical for sustainability in today’s nonprofit landscape. The platform is easy for staff to use, even those who are more focused on direct service, and the support from our Customer Success Manager \[sensitive content hidden\] has been invaluable in helping us organize and build our data processes. While there are areas for improvement in reporting flexibility, the overall impact on efficiency, compliance, and data management has been overwhelmingly positive.

Pros

Casebook offers strong value for nonprofits managing multiple programs and contracts, centralizing over 4,000 client records and partner resources to streamline work and improve compliance. It is user-friendly, even for staff stronger at direct service than technical tasks, though administrators face an initial learning curve. Integration was straightforward but works best with a dedicated data staff member. While donor management is not our primary use, the platform could support it if needed. Reporting works well for standard needs, but more detailed analysis often requires exporting data. As a true catch-all for client and partner data, it keeps information secure with role-based access while allowing staff to work efficiently and stay connected.

Cons

Casebook requires a dedicated data administrator to get the most out of its features, and without that role, some setup and workflow updates can be challenging. While the reporting tools handle standard needs, pulling more complex or specialized data often means exporting for additional analysis. Navigation can feel click-heavy, especially when looking up older records, and advanced customization may take extra time to configure.

Switched from

[Salesforce Sales Cloud](https://www.capterra.com/p/61368/Salesforce/)

We switched from Salesforce because Casebook better fits our agency’s cost, usability, and nonprofit-specific compliance needs. While Salesforce is powerful, it requires more customization and technical support than we could maintain in-house. Casebook gave us a more user-friendly platform for staff who are stronger in direct service than data administration, while still meeting our reporting, tracking, and compliance requirements. It also allowed us to manage both client information and partner resource data in one place without relying on multiple add-ons.

Reasons for choosing Casebook

We chose Casebook because it met our usability, affordability, and compliance needs while giving us room to grow. It is user-friendly for staff stronger at direct service than technical tasks, can handle large-scale data (we currently host over 4,000 client records), and supports the customization our contracts require. It also allows us to track client information and partner resource activity in one place, which many alternatives do not offer without add-ons. Compared to other options, Casebook provided the best balance of cost, features, scalability, and nonprofit-specific support. Our Customer Success Manager, \[sensitive content hidden\] has also been an essential part of the experience, helping us design how we store, organize, and use our data for the most significant impact.

As far as Casebook as a whole, I couldn't be happier. I have used plenty of different services online when it comes to data input & case management. But I can honestly say that as nervous as I was about switching to Casebook in the beginning, it has been the best one I have used, by far!

Pros

The ease that comes with using Casebook & integrating it into my everyday use for data management is for sure my favorite thing about Casebook. I am not tech savvy, so computer & technology does not come easy to me. But learning Casebook was not an issue at all.

Cons

I am not thrilled with each staff member having to create their own intake profile for the same person. Also if the person discontinues services, then we must create a new intake profile if they return. It would be nice to be able to reopen the one and that's it.

I Bridge was giving us all kinds of issues. Most of all it was constantly shutting down on us. That would cause us not to be able to input data or access data.

Casebook has played a key role in the development of our Community Advocate Program. From our initial engagement with the sales team, through implementation, and now with ongoing customer support, the Casebook team has been an outstanding partner. The platform enhances my work by simplifying caseload management—ensuring accurate documentation, timely task reminders, effective data tracking, and reliable compliance.

Pros

Casebook's offerings are expansive making it difficult to narrow down, but the ease of implementation, responsive customer support, and transparent, competitive pricing.

Cons

It’s both a blessing and a challenge—Casebook offers so much customization that it can be overwhelming to make all the small decisions required to fully build out the program.

Reasons for choosing Casebook

Casebook’s features and offerings—combined with its competitive price point—ultimately set it apart from the competition.

My Casebook was user friendly and easy to maneuver from page to page. The casebook has awesome features that allows you to store a wealth of information on clients in a short period of time almost instantaneously.

Cons

My favorite feature is that multiple people can work on the casebook at the same time. I like that it is live.

Our overall experience with Casebook has been very positive. It’s proven to be a valuable investment for our organization—well worth the cost for the range of tools it offers. The platform helps us stay organized and effectively support the youth in our community by centralizing case notes, tracking meetings, and managing incentives and rewards. Casebook is fairly easy to use once you're familiar with the system, though there is a bit of a learning curve in the beginning. Fortunately, the support team is responsive and open to feedback, which has helped our staff adjust quickly. The calendar and reminder features have been especially useful for keeping up with check-ins and deadlines, and the reporting tools make it easy to track progress and share updates with donors and stakeholders. Managing donor data and organizing services has also been much smoother thanks to the platform’s structured layout and data management capabilities. Casebook keeps everything in one place, helping us stay aligned as a team while giving each staff member the information they need to best serve our young adults.

Pros

Casebook helps our organization stay on top of all meetings, incentives, and rewards our young adults have received or are eligible for. It keeps our staff organized when working with each individual while also helping us operate more efficiently as a team.

Cons

The interface can occasionally be slow or a bit tricky to navigate, but the Casebook team is responsive and genuinely values our feedback. They take our suggestions and concerns seriously and are committed to improving the platform.

Casebook has been easy to learn and navigate. I have had some difficulties as a manager utilizing certain aspects (like gerting an overall view of employees use) that have not been set up for ease of use.

Pros

I like that Casebook is easy to use and navigate through the next category. It is easy to teach staff how to use it.

Cons

I don't like how my casenotes aren't chronological by date I don't like that it is difficult to get a customer service rep, instead you are recirected to a video for help, which doesnt always help.
