has been incredible for our team. From onboarding to troubleshooting to running through hypothetical situations with the CSM team, they have always made themselves available when needed and have a clear understanding of what caseworkers need from a case management platform.

Pros

is one of the only platforms I have worked with that actually listens to their clients. They are eager to make intake, case management, and reporting a seamless, efficient, and straightforward process. Any troubleshooting I have needed in the last year has been addressed quickly and with continual updates. I adore the customer service team and how friendly they are. The platform is so easy to use and integrate with other platforms as needed through Zapier. I am looking forward to being a long term user!

Cons

I spent a lot of alone time trying to put together our initial set up that was real confusing for me at times. Heidi was so helpful and patient, but i still found it to be difficult at times. Now I feel sometimes I'm too nervous to switch things up in fear of messing with something unintentionally.

has become an essential tool for our agency. We use it daily to manage over 4,000 client records, track partner resources, and keep all program data in one place. It has improved compliance, made audits and monitoring visits smoother, and helped us see the true cost of service per client. This has allowed us to start making data-driven decisions, which is critical for sustainability in today’s nonprofit landscape. The platform is easy for staff to use, even those who are more focused on direct service, and the support from our Customer Success Manager \[sensitive content hidden\] has been invaluable in helping us organize and build our data processes. While there are areas for improvement in reporting flexibility, the overall impact on efficiency, compliance, and data management has been overwhelmingly positive.

Pros

### "Easier Organization "

My team and I have had an overall smooth experience with Casbook. It made managing our over 1600 cases easier.

Pros

What I liked most about is how easy and intuitive it is to use. The layout feels familiar and well-organized, which makes documentation straightforward rather than time-consuming. I appreciate that it’s user-friendly and doesn’t require a steep learning curve, allowing me to focus more on the work itself instead of navigating the system.

Cons

I did not like the building-out process; it was cumbersome. Setting up the initial configuration felt less intuitive than the daily navigation, and it took more time and effort than I originally anticipated to get everything aligned with our specific needs. It also took longer than I expected.

As far as as a whole, I couldn't be happier. I have used plenty of different services online when it comes to data input & case management. But I can honestly say that as nervous as I was about switching to Casebook in the beginning, it has been the best one I have used, by far!

Pros

The ease that comes with using & integrating it into my everyday use for data management is for sure my favorite thing about Casebook. I am not tech savvy, so computer & technology does not come easy to me. But learning Casebook was not an issue at all.

Cons

I am not thrilled with each staff member having to create their own intake profile for the same person. Also if the person discontinues services, then we must create a new intake profile if they return. It would be nice to be able to reopen the one and that's it.

Overall it has made transitioning from our old database very smooth. It is user friendly and we appreciate having support to answer our questions when needed. I love how clean and easy to read everything is, and reporting possibilities are endless.

Sometimes it takes several clicks before you can get to the section you want to make notes in. But considering how much time it saves us in other areas, this is minor.

Our overall experience with has been very positive. It’s proven to be a valuable investment for our organization—well worth the cost for the range of tools it offers. The platform helps us stay organized and effectively support the youth in our community by centralizing case notes, tracking meetings, and managing incentives and rewards. Casebook is fairly easy to use once you're familiar with the system, though there is a bit of a learning curve in the beginning. Fortunately, the support team is responsive and open to feedback, which has helped our staff adjust quickly. The calendar and reminder features have been especially useful for keeping up with check-ins and deadlines, and the reporting tools make it easy to track progress and share updates with donors and stakeholders. Managing donor data and organizing services has also been much smoother thanks to the platform’s structured layout and data management capabilities. Casebook keeps everything in one place, helping us stay aligned as a team while giving each staff member the information they need to best serve our young adults.

Pros

helps our organization stay on top of all meetings, incentives, and rewards our young adults have received or are eligible for. It keeps our staff organized when working with each individual while also helping us operate more efficiently as a team.

Cons

The interface can occasionally be slow or a bit tricky to navigate, but the team is responsive and genuinely values our feedback. They take our suggestions and concerns seriously and are committed to improving the platform.

has been easy to learn and navigate. I have had some difficulties as a manager utilizing certain aspects (like gerting an overall view of employees use) that have not been set up for ease of use.

Pros

I like that is easy to use and navigate through the next category. It is easy to teach staff how to use it.

Cons

I don't like how my casenotes aren't chronological by date I don't like that it is difficult to get a customer service rep, instead you are recirected to a video for help, which doesnt always help.

Easy, efficient way to consistently record client session notes. We did receive training, however the platform is user friendly enough that I think most people could figure it out with little direction.

Pros

really helped us streamline our note-taking process. We were able to customize the information we want to collect with each client so that note-taking after each session is efficient and consistent across our team. As a non-profit, the ability to run reports based on information that donors, grants, etc. like to see is also very helpful!

Cons

I cannot think of anything that I dislike about at this time. If I think of something in the future, I’ll be happy to share.

Overall, the transition has been well. Staff have had good feedback and enjoy the electronic option.

Pros

As an agency that has had paper files for years, it was a nice platform to be able to move things electronically.

Cons

The process of form creation and reporting can be tricky to navigate and collect appropriate data, but the team has been helpful. As well as sorting and organizing within the pages.

It is way better than using the traditional paper filing case management system, however there are still some ways to go to perfecting it. Overall, I am happy to be able to have the software over not and I still think it is a great tool.

Pros

I like that it is mostly pretty basic, and easy to understand. I like that it is neater, safer, and more convenient then paper files and notes. I like that it is customizable and that my colleagues can easily access the information that I want them to see easily or I can restrict it.

Cons

That there is no android app that I can access from my phone from, and that there is not much for filing, holding onto, and organizing paperwork, documents, etc. I also do not care for how it appears so much and the lack of explanation in some way for the applications. I also wish there were areas that were more generalized and not specific just to clients but that the software could be more customizable to our company and how we run, rather than us having to conform to the software.

Pros

The system has simple form and user interface creation. Adding users is simple.

Cons

Lack of ability to customize data fields, remove or delete fields we do not use. Lack of implementation support, You must install and implement the software yourself, alot of client data must be entered manually. Implementation on our own was challenging, and we had planned to pay for some implementation assistance from a vendor, but it was not even an option.

We can use this product on our laptops, smart phones and hand held devises. The ability to put in notes and upload attachments into a case is very important to what we do.

Cons

1\. I wish you could do tasks from the Engagement page instead of needing to go to Intake page. 2. The ability to start and stop time you spend on a client under the Case Email addresses/Communications. This helps with time spent on working with a client. Needing to add time under "Recent Notes" along with any conversation or work done helping a clients seems double work.

It is fantastic to have all information captured electronically. The flexibility of the set-up enables us to capture additional fields on an ongoing basis. Reporting so far seems to produce what we need, and the help desk is very responsive. It has just been an unexpectedly cumbersome experience which we are still sorting out. We are not finished with our implementation but do hope and expect to achieve what we need to streamline our process.

Pros

The software is flexible allowing organizations to customize for specific needs. The help desk is extremely responsive.

Cons

The implementation process was not what we expected. We started with someone who left the company after we had received two sessions. We were asked for our own internal reports up front which we assumed would be used to frame the training. It seemed we just jumped right into entering data without being asked how we use it or report on it. This led to much re-doing of set-up. There were a number of "quick tips" that would have been helpful to know about up front. Much of the implementation is left up to the customer to read and learn on their own. It is confusing from an operational workflow perspective to enter intakes, people and cases all separately. It would be easier to enter them in one flow of work. It would also have been ideal to completely customize the order in which fields are listed as well as the fields itself. Ultimately, the software enables us to capture data needed but the workflow is not simple from an operational perspective.In short, having truly understand our organization up front both operationally and as it pertains to reporting would have enabled the implementation process to be more productive.

Overall we have had a less than thrilling experience with the product and have run into many difficulties as we try to record people data as best as we can. We had to completely change the way that we used the system about 6 months into using it. It has resolved a lot of issues for us, however was a time consuming and difficult process.

What I appreciate most about this software is how it growing with our organization. is listening to what we need and adapting the platform to meet those needs.

Cons

What I like least about this platform is it's lack of customization. Not only was it hard for our organization to completely grasp new verbiage instead of implementing our own, but we are also limited to the capabilities only that the system already has, which was not the impression we had at the beginning.

It very overwhelming how many tools and capabilities this software has however after approximately 3 months of using it every single day we are learning what we need and what isn't so important after all.

Cons

There were a lot of glitches when we first started using . For instance if you are logged in on your laptop and switch back to your desktop, one will overwrite the other and not save your work. We learned this the hard way a few months in. Other con was the lag/load time. We had to work on our backend IT and get everything up to speed before we could use casebook in real time.

I'm still learning, so I will admit that my experience is limited. I hope that it can continue to grow and become more user-friendly.

Pros

I can tell that a lot of thought went into this program. It tries to cover every area that you could possibly need to keep an organized database for social work and medical work. There's a lot of potential to use this platform to keep everything organized and kept together.

Cons

Sometimes, things aren't very intuitive. It doesn't flow super easy and those who have just started working in social work may not understand the terminology/where to go to complete their company's specified tasks. Also, the support chat system always seems to be down and it's hard to get in contact with anyone to ask simple questions.

### "Very Disjointed Software"

We decided to use another software to track cases.

Pros

The automation processes with client and providers.

Cons

The software is very disjointed. They do not allow you to look around in the demo. Features are in some modules but not in others like filling in forms. The system is not easy to use to track client and others connected to case. Documentation is sparse and they will onboard you over 6 weeks while charging you the monthly fees.
