Pros

I’ve found Knowa to be an exceptional tool for modern board governance. It truly streamlines the entire process of managing board and committee meetings, making our role more efficient and impactful. The platform is user-friendly. Directors can annotate documents, ask questions, and share insights directly within the platform, reducing email clutter and improving engagement. The Knowa support team is always on hand, responding quickly and helpfully whenever assistance is needed. Their proactive and friendly approach ensures any issues are resolved promptly, which makes a huge difference in maintaining smooth operations.

Cons

One minor limitation is that the platform currently doesn’t allow for scheduling breaks between sub-items within a meeting agenda. While this hasn’t been a major obstacle, it would be a useful feature for longer sessions. The good news is that the Knowa team has advised they are actively looking into this enhancement, which reflects their commitment to continuous improvement and listening to user feedback.

My overall experience is very good. Having used a scheme specific library in the past for storing minutes and documents I find the Knowa system more user friendly

Pros

The ease of locating past minutes and documents as well as dealing with day-to-day business. Resolving members cases has become a lot easier and faster

Cons

When colleagues respond I get a notification from Knowa and this means I have to login and access the system only to find out it is a colleague responding to my latest post

I've been using Knowa daily, and it has truly transformed the way I manage the pension schemes I look after. The platform is incredibly user-friendly, efficient, and reliable, making complex tasks so much easier to handle. The organization and collaboration tools are second to none, allowing me to stay on top of everything with ease. Knowa has become an essential part of my workflow, and I genuinely can’t imagine managing pensions without it. Highly recommend!

Pros

What I liked most about Knowa is its intuitive interface and how it streamlines managing my portfolio of pension schemes. The tools for organising and collaborating are great for staying on top of tasks. It’s a game-changer for simplifying day-to-day tasks! Plus, the support team, especially Antonia, are always readily available and super helpful!

Cons

The only thing I’d say I liked least about Knowa is that it took me a little time to explore all the features and understand how they fit into my workflow. However, with the support team's help and the available training material, I soon got the hang of it, and everything became straightforward after that.

really stable, its great for communication between the trustees via chat. meetings are easily arranged and the agenda and timings can be dynamically modified if things change.

Pros

the centralised system is a one point for all things I need as a trustee

Cons

can be difficult to navigate all of the areas needed, especially with add on elements for risk register etc

The platform is very helpful and recent roll outs with Knowa Q and Verse will extend the capability and use.

Pros

The secure and inclusive nature of the platform. Meeting packs are really helpful. Collaboration is vital in our field with multiple users across multiple employers and this system is excellent for tracking consistency. The team could not be more helpful.

Cons

Not a con - just learning to use the platform to the fullest and ensure we take advantage of everything on offer.

Pros

It is very simple to use!! Straightforward, but provides the access that is needed, the packs are easy to load and Knowaverse is evolving into a simple to use tool

Quite honestly, I think Knowa is exactly what the pensions industry needs - good value, easy / intuitive to use with great support and strong forward-looking development

Pros

Easy and intuitive to use with flexible storage design options and an ability to add many users within the Package. Great bolt-on modules available too along with an AI function and strong search capability

Cons

Not really a dislike but the left-hand bar could perhaps be clearer when one has multiple clients

I can't praise it highly enough. So much better than the comparable, clunky options. And cheaper. And trustees of all ages have picked it up easily. I find it really easy to use & I can barely use my iPhone, so it genuinely is very user-friendly!

Pros

Pretty much everything. Meeting agendas are easy, sharing agendas even easier. Getting approvals for one of a multitude of reasons is straightforward. Complete audit trail. One place for everything - papers, decisions, docs, risk register, TKU records. No reliance on the employer's IT, so no confidentiality issues. Cyber security excellent. Good price. Friendly, helpful staff. Saves trees.

Cons

The only negative I can think of is that sometimes as I'm trying to upload a lot of docs in different folders in the reference store, Knowa isn't quite as fast as I'd like. Equally, I'm not known for patience.

Reason for choosing Knowa

Knowa is a better product & it's cheaper. I can't imagine why any pension scheme, even really small ones, wouldn't use it.

Knowa provides me with a simple, secure and powerful tool that greatly enhances my ability to prepare for and run meetings, collaborate with colleagues and advisers, reach and record decisions and store documentation

Pros

Knowa makes my life so much easier. When acting as a trustee across multiple schemes, I need to store, search for, retrieve and share current and historical scheme info in a readily accessible and secure way, run meetings, collaborate with colleagues / advisers and sometimes seek online decisions. Knowa delivers on all of these.

Cons

I can honestly say that I have yet to discover any pitfalls to using Knowa.

Pros

We have worked with Knowa developers to customise a governance framework which supports our service delivery. This gives us the facility to store pension scheme data across our client portfolio in an easy to use and robust system. It provides us with an effective decision making process and the ability to efficiently monitor key statutory and compliance deadlines, all of which underpins our AAF02/07 controls.

Cons

As with any introduction or change in software or process, there are always difficulties finding your way around a system and learning how to use it. Knowa support is excellent, from the onboarding process, online and 1:1 support and fact / cheat sheets. Each time we have asked for something to be tweaked or developed, Knowa personnel have responded quickly and done their upmost to accommodate.

Having Knowa to store all our documents and record our minutes, decision making processes and to allow us to collaborate more easily has not only made things easier in times of change but allows us to have better governance overall.

Pros

It's very intuitive, the onboarding process has been relatively easy considering the number of people we have using it and the customer support is second to none. Creating agendas/minutes is very easy and having dedicated groups within collaboration spaces keeps things very well organised. Plus being able to use the natural language search saves lots of time hunting specific things down.

Cons

The main two things I'd like to see improved would be to allow more collaboration within documents, such as in googledocs and also to be able to view a list of documents stored alongside the discussions within groups in the collaboration space without having to click into the documents area.

### "Communication between group members greatly enhanced"

We have consistently experienced very responsive support from Knowa.

Pros

Knowa has enabled my group to have clear communication on any specific subject in the manner of a discussion similar to that in a face to face meeting, but having the added advantage of providing a clear audit trail of discussions and their conclusions. This has replaced the previous email trails which could become confusing and difficult to track. Knowa provides a useful central document storage that the whole group can access. It also has provided a very effective method of managing meetings with the ability to invite attendees and provide a full meeting pack with all relevant attachments. These remain available for reference after the meeting has taken place.

Cons

It did take a while to wean people away from using email for every communication and onto Knowa for those discussions that need to be more closely managed, but it was achieved eventually with the support and encouragement of the Knowa team. The system is functionally very rich, but it is not always obvious how to use a particular function, although the Knowa team are always willing to provide training and information sheets to help. It has now become an essential tool for my group.

### "Review of governance platform on Knowa"

I find Knowa very helpful and use the system daily but it does appears difficult to engage all our Trustees.

Pros

It's easy to locate files on document storage. The meeting management facility is excellent. The team at Knowa are extremely helpful, friendly and are always striving to make improvements. The Risk Register facility is user friendly and helpful as the Trustee and advisers are able to access. I like the ability to ask other group members to either vote or read a post. I like the collaboration area but it does appear to be difficult to encourage our advisers to respond to this thread. The reason why they prefer to respond via email is that they are unable to keep an audit trail at their end.

Cons

It would be helpful if documents within each of the categories could be added so the last document is automatically shown at the top of the list.It would be helpful if once documents are added to the storage area, there is a facility to rename the file. At the moment, I am altering the title (making it slightly shorter and trying to cover full details of document ie add a date and removing any reference number from an adviser) in Solvay's storage area before moving to Knowa.

I've found the experience easy, helpful and productive. The procurement process wasn't overly protracted and there was a great pragmatic approach to getting things up and running. When there are issues I've found the response time short and issues do get resolved. Customer service is clearly highly valued by the Knowa team and in a busy role like mine that's important.

Pros

Because it's so easy to use it really saves me valuable time. The functionality in meeting management is also helpful.

Cons

I don't use all of the functions however, what do use I like very much. Perhaps the only issue for me has been in the appearance of Excel in View mode and the need to convert to PDF format which doesn't always work well.

Reason for choosing Knowa

Knowa are innovative, they're investing in the future of the product. They wanted to do business with us and made the procurement process easy.

Pros

\- It looks good- It's saves me and my team time- I don't dread doing the more manual tasks of my role- And it seems to plug into other tools that we use quite easily so I don't have to duplicate data in multiple places

Cons

It honestly does everything I need it to at the moment. Will often tells me there's new features available, which I mostly end up using and wondering how I lived without and the occasional idea I've thrown at the Knowa team is always met with enthusiasm and a commitment to develop. Really lovely people to deal with.

The Trustee Board has reviewed our shared experience and consider the adoption of Knowa a big positive in terms of our pension scheme management. As Chair of Trustees, I have come to see it as invaluable. I would highly recommend.

Pros

1\. The functionality for running Trustee board meetings; from publishing the agenda through to approving the Minutes, is exceptional. At a recent meeting, our legal adviser, without being asked or prompted, praised Knowa and declared it the best Board management software they had come across. 2. The secure collaboration between Trustees and advisers and the ability to retain a tracked record of discussions/decisions/approvals. 3. \[sensitive content hidden\] availability and willingness to engage and assist is off the scale.

Cons

I am still coming to terms with the filing structure on our site. The search facility is very good and effective, but not as effective as knowing where to look/file in the first place.

Pros

The ease of use of Knowa is what sets it apart from other competitors, even if you've not used it for a wee while, it is still so very easy to use and understand. I really like the meeting packs/agenda setting/meeting things, they are again super useful and easy to use.My last great point is the support from Will, Aled and the rest of the Knowa team. Their knowledge and training methods are second to none - they are all outstanding, down to earth and helpful.

Cons

I love Knowa I can't say a bad word about it! I recommend to everyone that I meet!

Pros

Easy to use, saves time, secure, good way to communicate with Trustees e.g. trustee Discretions, provides audit trails, good presentation tool for meeting packs

Cons

Some of the processes can be a bit repetitive such as adding Trustees to a meeting and granting access to meeting items, but on the whole, this is an excellent product.

Pros

We've worked with Knowa to design a tool we can use to help trustee boards assess their effectiveness. The experience has been very positive, with Knowa understanding the requirements and always striving to make the user experience more positive. They have worked closely with us during the set up and testing of the module and been very responsive to our feedback. Feedback from our clients has also been really positive.

Cons

Nothing - overall we have had a great experience
