My experience with Chaos Intellect has been very good. It helps me to quickly access information from every client and contact. It also makes that info available from mobile/online devices.

Pros

This is an excellent way to organize and maintain information. Chaos Intellect has many features. It is well-integrated with contacts, tasks, scheduling, notes, and email. It has available a billing option. I like using the app online. It is very helpful to see the office appointments, client notes, tasks, and other information from my phone or use them online from another laptop. One feature which is very useful is to link tasks, appointments, notes to one another. I link them for quick, easy access to information and files. I also link Word folders, Windows folders to Contacts and other information entry points. I often access a Word folder from a Contact and draft documents from my client notes.

Cons

I would give Chaos Intellect a perfect rating if not for its current billing app. The app is alright as a stand-alone, but it needs to be integrated more into Chaos Intellect. I find the Chaos Billing App to be cumbersome. To do billing, I must reconstruct billing from notes, appointments, tasks, etc. What I would like to see from Chaos is an integration of its billing software into each function. For example, when a task is done, I would like to have an option to quickly enter the task time directly into billing, instead of having to open billing and enter the information outside of the task/appointment/note. With that, it would very satisfactorily fulfill all my office needs.

Reasons for choosing Chaos Intellect

I found Outlook too cumbersome.

My business is specialized. It requires adaptability on the part of the contact and management software I use. Chaos Intellect has project pages which completely shift into my mode/requirements/custom fields, etc. rather than demanding I adapt to strictly laid out parameters usually found in other similar software. And via this project page, my client info, emails, notes, linked files and anything else related to a project are easily available at the click of a key. I am just now promoting it to others in my field simply because it serves the purpose of more than one software due to its inherent flexibility.

Pros

Stability, flexibility. Rather than have the owner adapt to it, the software adapts to the client. Still discovering its "amazingness" after 25 years.

Cons

Still trying to find something.

Intellect is like a favorite old car that still runs well. I still love it, but I keep seeing new cars with new features that I really want and/or could really use. But while I want a new car, I hate shopping for a new one (not one of them ever seems to have all the features I want) and I hate having all those monthly payment. If you are a sole practitioner with a small to medium sized caseload, Intellect could work for you. I've heard Intellect a lot like Microsoft Outlook, but have never used Outlook so I can't compare them. If you don't like Microsoft products, you may like Intellect.

Pros

Intellect is a great "basic +" CRM program with integrated email. I have been using Intellect (or its email-less predecessor Time and Chaos) for more than 20 years. I have no real complaints. It doesn't have everything I would like, but there is great value for the price. Integrated Email -- This feature is great. If I open a contact, all emails from that contact show up and I can send emails from that window. I can also drag and drop emails into separate folders for saving. (Note: emails are saved in standard Windows folders, not in some secret location only the program knows.) I can also drag and drop emails into projects. As with contacts, I can send emails from the project window. Calendar, Appointments, and Tasks -- I can set appointments and tasks from the calendar or task window or set them from the project window. I can create pre-made series that will set a series of appointments days or weeks in the future or in the past. This is very handy for setting deadlines and reminders for filing briefs, filing witness and exhibit, etc. It's also good for follow-up reminders. Projects -- I can create projects and link different clients, attorneys, vendors, etc. with that project. I can put notes in projects, create appointments and tasks, and send emails. I can add file shortcuts so I can easily go to frequently used files and folders. Support -- Tech support is excellent. Until a year or so ago, I could call and one of the owners/developers would answer the phone. While it's all by email now, the same people still answer the emails. Responses are timely, thorough, and helpful. Suggestions -- I have submitted suggestions for improvements and sometimes they are incorporated. Maybe it wasn't me and they had already thought of it, but I get the sense that they read the suggestions and are interested in making improvements. Price -- $59.95 one-time fee. This is so ridiculously cheap it's almost free, especially since the one-time fee usually includes several years of upgrades. While a major upgrade may require another one-time fee, those only happen every three to five years (it might be longer). There are no monthly fees unless you want "ChaosHost" which will sync your data over multiple computers and mobile devices. That's reasonable at $9.95/month per data set, and there are discounts for annual (or longer) subscriptions. Overall -- Intellect is very good for contact management, calendaring, emailing, tasks, and basic project management. Excellent price.

Cons

There are not a lot of cons, considering the price. The biggest problem (after 20 years) is that it's not as robust as I need for my law office practice management, especially as I add more users. The user interface is fine, but other practice management software has made more advances. To be fair, though, I may be asking for more that this program was designed to provide. Limited time and bookkeeping functions -- Intellect has a Legal Billing add-on for basic time tracking, expenses, and payments. I've looked as it, but haven't used it. It looks pretty basic.
