(Having your contacts associated with your email account, almost mandatory association; the fact that you can no longer save your phone contacts on the same phone device and everything has to be associated with your email account). But in the end, today, it is still the most used email tool because every android device requires you to have a gmail account. Pros Currently Gmail is an email tool used by millions of users that has entered the world of PCs and mobile devices, this has somehow made it possible to facilitate the set up configuration between all the devices that the same user uses, which has its advantage for the short time used to use a new device ready to be used. Cons Although it is a stable tool, generally access to emails is done using a browser or an application on a mobile device or a third-party tool that allows POP3 configuration. When one uses the browser or the Gmail application, the reading or selection of the messages is a list of easy understanding and access, however, when you reply to a message or forward to other users, the history of the messages remains in the first message that was received or generated. This, from my point of view as a user, is confusing and unfriendly, because in order to see the history you have to look for the first message, enter its content, look for the history of responses. In other applications, even in Gmail first versions, the messages appeared according to the date when they are received or sent and the story was always attached and one simply had to scroll the screen to read it, they did not have to search for a specific email on a specific date. Pros I've used Gmail since it was first announced and it does so many things well that I have a hard time leaving it. First off, Gmail conversations is the way that email always should have been and that one innovation was life-changing. I love have all communication forwarded to Gmail so I can use it in the same way that Evernote is used by others. Pros Hands down, in this moment in time, the most important & impactful feature of the gmail software is the ability to schedule send emails from both the mobile app and the desktop/web browser. My work provided email software does not make this feature available across platforms and this has impacted me negatively as a user. I suffer from attention deficits (as many of us do!) so if I am trying to send an email that has to be in at a certain time but its outside of the hours I want to be recorded sending it, then I may attempt to send it in the morning or later (depending on the situation) but I have then forgotten to do this at this later time! Gmail gets my vote for having this fully customizable feature to schedule send an email no matter how you are accessing your gmail account and has the feature easy to find every time!!! Thank you. Specially if you work for a IT department you need better control emails as you may need to low priority message or message coming from a particular email to go to a designated folder which you want to a look later on. Also google chat is not so well collaboration tool ( does not provide controlling others desktop) while in screen share, this little not so good google chat makes gmail a weaker email service as Teams works great for O365 Pros SaaS, so no client like one you need for Outlook or Lotus Notes is required, just start using the browser you have on your device. I do wish it had some additional features like being able to move emails to one's calendar as tasks or reminders. Many of my emails are projects and it is difficult keeping track of all of them. Pros The fact that it is free is nice, it also has quite a bit of storage (I have never run our even with a ton of emails sorted and filed in my folders), the autoresponder is great for the times I am out of the office), I also like the labels, I create different categories and file my emails in the folders I create for easy access later. Cons I don't like the conversation view, I can't follow it, it is supposed to keep your conversation in tack with the sender, I haven't found that to be the case. I keep this feature off. I also find it difficult to locate emails at times, despite a search the email won't always show up in the results. The ads are annoying, however. gmail is providing a free service so I can't really find fault with them here. I do have an issue with some of the things that don't go well. I learned the hard way that if I reply to an important message the important email is no longer in my inbox. I forget what setting messes with this, but I unfortunatley lost a lot of important emails because I responded to them. It lets me do everything I want and their gentle feature overhauls (additions and subtractions) over the years have never messed up the core functionality. Pros Gmail's features, interface, and functionality are second to none. It's searching, composing, plug-in capabilities, spam-filtering and more all place it in a class of its own. Who would have thought in 2004, that the biggest innovation in email would come from just storing it all in the inbox and leveraging the power of search to find what you're looking for. What's more, the ability to manage all of my various email accounts from within the Gmail architecture means I never have to open or engage with a lesser email client. On top of all that, it's free. It has therefore been like having my own personal administrative assistant. Pros My favorite from the long list of features I love about this software are the filtering and sorting options available. One of my roles as systems administrator has my inbox flooded with upwards of 100 mails daily -- with most not requiring any response or action on my part. But the ones that needed my response kept getting lost in the vast jungle of messages. After I discovered the full range of sorting and filtering options available, we were able to develop a very effective system that always kept the most important messages separated at the top from the remaining ones not requiring any action. Cons The process of sending mails via google groups can be vastly improved and made much more user friendly. I also think the hangouts feature can see better integration with other messenger and direct messaging software that are probably more commonly used. During our online and email survey periods, this feature feeds us with all the data we need to shuffle our contact agents and ensure that the most productive ones are kept active. The sentence auto-complete and suggestion feature also improves our efficiency and output rates considerably for communications with clients making similar queries. Cons The 'settings' icon for your gmail when it's open can be merged with that of the general google account 'settings'. I usually get confused by which one is meant for which component. I've been going Gmail strong for over 15 years now. Pros Gmail's search function is what keeps me coming back. Outlook's search function is terrible. I love that I can also have multiple Gmail email addresses and have the email forwarded from them to the main one I use. This is helpful when subcontracting and I get assigned a company email. I have a subcontractor Outlook account that is a pain to use. I also use the labels and email filters which are super helpful. I can't stand that Outlook puts emails in a different subfolder b/c I forget to check it and miss emails. But Gmail keeps it in the inbox and applies the label to it. Gmail also has a free scheduling tool called Koalendar that is just like Calendly but better. Cons I don't like the ads for personal gmail or the privacy concerns. For business gmail, I don't have any ads and that's helpful. It doesn't integrate with Google meeting as well as I'd like (and Google Meeting isn't that great). I no longer use the chat function, but I used to about 10 years ago.
