I've been going Gmail strong for over 15 years now. Pros Gmail's search function is what keeps me coming back. Outlook's search function is terrible. I love that I can also have multiple Gmail email addresses and have the email forwarded from them to the main one I use. This is helpful when subcontracting and I get assigned a company email. I have a subcontractor Outlook account that is a pain to use. I also use the labels and email filters which are super helpful. I can't stand that Outlook puts emails in a different subfolder b/c I forget to check it and miss emails. But Gmail keeps it in the inbox and applies the label to it. Gmail also has a free scheduling tool called Koalendar that is just like Calendly but better. Cons I don't like the ads for personal gmail or the privacy concerns. For business gmail, I don't have any ads and that's helpful. It doesn't integrate with Google meeting as well as I'd like (and Google Meeting isn't that great). I no longer use the chat function, but I used to about 10 years ago. A modern and secure option to MS Outlook" October 19, 2021 5.0 I use Gmail exclusively. I can set the application on my phone up to look the same as the one on my Computer. I use IMAP so an email sent from my phone is synced with my computer to give me a similar and intuitive experience no matter what device I am using. I can "file" information such as a picture of a receipt or details of a customer just by adding a label and sending it to myself. I can do this on my phone or tablet or computer and then use the label to search for it later if I need it Pros Installation. I can sit down in front of any computer or phone or tablet, open a web page, log in and my emails are there. All my settings are there. I don't need to hire a tech to set it up, just log in and away you go. While I use the search feature more often, Zero installation cost or maintenance saves me hundreds of dollars I would have otherwise spent on a technician to set it up and maintain it. Cons It can be difficult to convince customers to ditch Ms outlook and use Gmail instead. I can effectively control and manage email, schedule messages, set significance and priority, and filter spam. I was able to save a lot of effort and time, and the best part is that it's all free. I recommend everyone to give it a try, and I'm sure it will change many people's thoughts. Pros Gmail is not just an email for exchanging messages, but rather it is an integrated services system, and perhaps the best email service from my point of view and summary of my experience for more than nine years. What I like most is the Interactive interface with shortcuts that facilitate access to various elements. It works on various environments, whether desktops, tablets, or mobile devices in various operating systems. The most important unique features are the integration of Gmail with the rest of Google services such as Drive, Google Sheet, and YouTube. It is enough to log in in one place and automatically all services will be synchronized. Cons These were the most annoying things for me. Some of the emails I've received have been labeled as spam, even though they're legitimate and trusted. Adding electronic signature available on desktop devices and is not available on the mobile app. Finally, I'm having trouble moving messages from certain senders to new folders I've made rather than the inbox. Cons Gmail is most definitely not alone in this category and better at it than most, but Spam and unwanted email content always seems to pop up out of nowhere. Granted, it could have way more to do with other sites selling my information but this is an area Gmail could still improve upon and help save me the headache of going through and having to move them to junk and then delete them altogether afterwards. I love how new features have been introduced to meet the needs of the users for every line of work and life. I teach special education and my students range from K-8 grade in ability level. Gmail is a form of communication they have independently used to contact me during the pandemic for assistance. They know if the click on the "M" at the bottom of the screen, click the plus sign (to open an email), and start typing my name, the address bar will auto fill with my email. They can type "help", screen shot what they need help with, or send me a blank email but with Gmail they can communicate where otherwise they would not have bene able to. Thank you Google! Pros The ability to customize so much in this email software is priceless. I love being able to make specific folders for topics to help keep me organized. The search tool is like none I have used before. If I can not find an email using the search tool, it isn't there. The sofrtware suggests grammar and punctuation errors for correction and has a retraction button after you hit send that you can set for a specific amount of time. I am bad for forgetting to attach documents so the "undo send" feature has helped hide that many times. After hitting send, I realize I didn't attach a document, click undo send, attach the document, and send. It is priceless! Cons I do not like that in the past year or so most of the Google apps icons became SO similar. I use most of the Google apps because of the ease, accuracy, and reliability. All of the icons now have one multi-colored shape or symbol on a solid white background. It truly makes them more dififcult to find when in a hurry for me personally. It's practical; all the crucial options are there, and I don't end with a headache when using it. Pros It's easy to use. If you want some more stuff to modify, you can find it. Just write and send, simply as that. I love the schedule option. It's not full of styling options when the email body is the case, but it's pretty good enough if you don't need to send good-looking marketing emails. I like the possibility of adding contacts to BCC just in two clicks. And, if you use the word "attach" or "attached" and forget to attach a file the Gmail will inform you about that in the pop window. It's so good if you are in a group of people who sends two emails in a row because of that. I love the options for Labeling and sorting emails as important or starred. Autosave also the undo option in the editor is handy. And when I speak about undo, it's an essential option for undone sending of email. Cons There are some annoying bugs. Text can be missing on the open edited email after minimizing the editor and opening it again. Also, if you have a signature, a photo can become just an empty pic icon. Sometimes when I copy and paste the text in new mail when sent, the text has a purple color. Reason for choosing Gmail I feel more joy using it. It accomplishes all of this for us at minimal cost. We have integrated other Google products into our business solely because of our wonderful experience with Gmail, and have no interest in replacing it. Pros Gmail is in a class by itself when it comes to business email. The amount of storage available for no cost far exceeds any comparable program, and it's ability to filter messages by importance and relevance keeps our employees from spending needless time opening spam, as well as potentially more harmful messages. I like the small features which make my life easy: auto-predicting replies, reminders on seen zoned, spam, promotional filtering etc. When it comes to business, I get notified when I send a mail to mail ids outside the department/intitutes. Its integration with the contacts helps me tag them as sender. Cons It has good scope of personalization without spoiling the simplicity of use. There needs to be more development in the mobile application regarding features and functionality. Better improvements in the notification and mail management could be thought about. Pros Gmail is easily accessible from everywhere: my phone, my work computer, my home computer, my tablet...everywhere. I will remember passwords for me, which I am often confusing. I offers the option to use different fonts and colors so you can stylize your correspondences. You can use extensions such as Bitmoji to insert your bitmoji. I've used mine as a signature component. You can set a signature with even a link, such as a link to another document. If you type in a link to, say, a Youtube, the link is fully usable..just click it. I can easily see if something is still a draft..so I can return to it. I love also that I can create folders to store and categorize certain emails (example: receipts, subscriptions, personal, taxes, etc.) Cons I wish that when I insert a link, there is a preview of the destination, as is done with Outlook. Pros Having kept the original format of personal emails for gmail obviously with additional features makes the software easy to use, transition from personal to business mail is easy to handle. I enjoy being able to switch through accounts especially on my phone without need to logout of one account to access the other. Gmail gives allowance of access to business email for a limited time in arrears,this has helped keep my business afloat a number of times. Cons I don't receive all email notifications, only those filtered by gmail as important which at times causes missed mail of importance. G Suite’s collaborative application suite for business and enterprise users has significantly enhanced our efficiency across our organization, allowing us to store and condense all of our work initiatives in one local area. Whether you use Gmail, Dropbox, OneDrive, etc. I would strongly recommend finding the best collaborative suite platform for your company and condense your work files, documents, etc. into one storage area that everyone (with permission) can easily access. Here are some of the main reasons we were swayed into using Gmail within our company. Pros Gmail’s free secure webmail platform, offers up to 15 GB of storage for personal use, with the option available to purchase more storage (cloud and Google Drive) on an as needed basis. Gmail’s platform can be customized to a certain extend but generally keeps things clean and simple. Its search features save you from having to manually scroll and read past emails to locate the one you want; you can also set up personalized keyboard shortcuts to speed up the processes as well. You can also organize emails via labels, this feature acts much like a file finder, in which you can create categorized folders to nest specific emails under and easily reference them/easy retrieval. Time is of the essence in the business world, so the option to save emails, pre-written templates, and import contacts directly into the platform is great for accelerating email responses and keeping our clients from losing interest. The definitive feature of G Suite Office Suite is the set of team collaborative tools available to you for sharing/file storage, creating forms (registration, survey, etc.), Excel, Word documents, and PPT with the option to collaborate in real-time. G-Suite also includes video and conference calling, in which you can invite anyone to join by setting up a Google calendar invite. Cons Gmail’s email tracking is not the most suitable feature for those in marketing and sales, looking to keep track of open rates, link clicks, who clicked on the specific link, etc. But Google is completely transparent about this issue; Gmail’s documentation clearly states tracking may not be accurate, there are various factors you need to be aware of to make sure your actions don’t interfere with the tracking data. However, Gmail does easily support plugins you can add to allow for tracking (we use Lead Liaison). Sending mass emails with in Gmail is not exactly feasible because of limitations in functionalities for personalizing emails. Gmail does put ad placements on free on accounts, but they are pertaining to the contexts within your emails (so at least the trade-off is relevancy).
