The automated alerts about potentially-missed emails is what I think makes it the best option, and it's the reason I would recommend Gmail to other small/startup businesses to manage their email. It might not seem like a required feature at first, but as more and more emails come in, the prompt about having possibly failed to respond to one is essential. Pros Gmail is much like any other email program available. It allows free accounts, so the cost makes it a great option. If you want to spend a few bucks each month, you get email management that is tied to your own domain. This was great for me as I started my own law practice because it provided a professional email without having a website/hosting setup yet. The one feature that would make me recommend Gmail over other programs is the automated notifications that inform me about emails I may need to respond to. Gmail is the first that I have seen to implement something like this, or at least to implement it in a way that didn't require me to set anything up. I read an email. I either don't respond or begin drafting a response that I don't send. Two days later, Gmail is asking me whether I intend to respond to that email. The best part is that this doesn't happen with the marketing/update emails that I've signed up to receive, like notification emails and such. Gmail seems to be able to distinguish, maybe based on the content/subject of the email-- I don't know? But it works great, and because it's been so helpful to avoid missing an email, I now prefer Gmail to other email providers. Cons I think the contact management can be improved. The only other problem I've had with Gmail has been with sorting incoming messages. I may have become too used to desktop applications that I would create "rules" in to instruct the program what to do with emails having a particular word in the subject or from a particular sender. I tried to organize my inbox a bit better in Gmail, and either I couldn't figure out how to make it do what I wanted, or it isn't possible. I'm not sure which it is. In any case, it was taking too much time, and it was easier to just "select all" and "mark as read." The searching is always really fast and extremely accurate. Pros I've switched back and forth between Microsoft and Google office suites over the years as I've had various jobs. Now for the last year or so I've been using Gmail with the newly title Workspace and it turns out that the most amazing feature is the ability to simply turn an email into a task, with a link back to that email thread, just by dragging it to the tasks bar on the right. It's super powerful! And you can have a ton of task lists as well, so that you never have to worry about an email getting buried--you can always make it actionable with a Google Task or with another plugin like one from Asana. Cons The biggest drawback of Gmail is that you're stuck in the Google ecosystem for everything else, like Sheets and Docs and Meet. When we were using teams before, Outlook has finally caught up and surpassed Gmail, but Excel and Word and Teams were already waaaaay far ahead of their counterparts, so now there's really no reason left to want to use Gmail for work. At home, for my personal use, it's a totally different story--I'm a total believer and haven't ever wanted to look at anything else, but the next startup or chance to start over we get, we'll be using the Microsoft suite for sure. I've used MSN, Yahoo, Excite (back when it was a thing), outlook, and even a few others both for job places and personal. Gmail is by far the easiest to use with the most user-friendly options. You rarely run into issues and even more rare is server problems on Gmail's side. I've used gmail since 2004ish (back when you had to be invited to create an account). It's gone through a lot of improvements, some "what the heck's?" (to be expected with a growing company), and it's smoothed out into a great product. Gmail offers a lot of options, is easy to use, and is widely compatible with a lot of apps, software, and email clients. It works with the Google Drive seamlessly and is very user friendly. Pros Gmail has a lot of great features. You can search fairly easily (and it will tell if there's matches in spam or the trash), you can label emails or place them in folders (or both). You can easily move emails from one place to another or do mass-deletes. Filters are easy to set up and work pretty well without worry. Forwarding is a breeze to use and rarely messes-up. You can add a signature without a lot of problems and change it as needed. It's compatible with the majority of email clients available, also. You also have the choice of themes or adding your own background, which is a nifty and fun feature to keep things from being boring if you're using email frequently during the day. You can also add files to an email easily and if it exceeds the size restrictions, it will just put it on your google drive folder and send a link. Quick, easy, and no fussing or changing between apps/programs/websites involved! Cons Sometimes an email will get sent to the trash and you won't know until you either search for it or contact the sender and find out it was sent. I have had problems changing my avatar and finding out how to get it to change has proven fruitless. (Support there isn't the greatest.) Maybe it's just the one account, because I have other gmail accounts and have changed avatars without problems. So your mileage may vary. Support for gmail is hit or miss. Sometimes you get useful help, other times you're stuck search the internet for answers. Even then, you may not find the answers and either have to give up or keep poking around until you get the problem resolved. Thankfully, I haven't encountered a lot of problems and I've been using gmail since 2004ish. Back when the only way you could get a gmail account was by an invitation only. My only real issue is the search issue mentioned above and how deep capabilities of Gmail seem to be reserved for technically adept people. Pros It's cloud based so I don't have to mess around with PST files on my device. I like how easily you can search for emails (and how quickly), how it manages emails, etc. It took a while to get used to labels because I think the folder structure in Outlook is still superior but I can see where labels help. Cons Searchingfor mail between X and Y timeframes. Why do I have to use boolean logic to determine this? I have to google how to do this everytime because I keep forgetting the boolean logic to do this. I can't imagine non-techie people trying to figure this out. It's definitely the go-to email provider for us. Whether we pay for Google Workspace (for our business) or use the free version (for our personal use) it's more than enough. Pros Gmail makes managing business and personal emails much easier. It's easy to use and customize. We love how powerful is the algorithm that categorizes the emails coming. It's being always on point. Also, we love how robust is the use of tags for emails. Finally, having a Gmail account unlocks everything Google has to offer. We use a lot of Google products so the integration between them and Gmail is extremely useful for us. Cons I think it should be even easier to organize your emails. I mean, it's awesome when you don't have that many emails but when emails are constantly coming in and from different sources, it can get messy. I love that my inbox is now segmentes into a general inbox, a social inbox and a promotions inbox which I use for my newsletters. Gmail does the job incredibly well and saves time due to its seamless e-mail search feature. Pros Gmail is incredibly easy to use. It is a very powerful software to send, screen, and search e-mails. Looking through the piles and piles of e-mails for details is a breeze. I was able to find details for a 10-year old project that were not properly document, but were communicated through e-mail in seconds. The spam filtering capability is state of the art and it is incredibly easy to report e-mails as spam. The spam filters learn as you report and are very robust. The software is also easy to customize in terms of appearance (colors, fonts) but also functionality (order of e-mails displayed, marking messages as important). Cons I don't have any features that I dislike about the software. I think it is a great interface to communicate and store e-mails that makes sorting through a plethora of e-mails a breeze. It have a very good spam detection rate better than other competitors. The application is fast and mails load very quickly. Cons The customer support is very poor for this application. Chances of Gmail being misused by others are very high when you lose your device. Most of the times important mails from new senders are sent to spam folder which is an inconvenience. The spam detection is poor and it is slower when compared to Gmail.
