I am now moving all of my SOPs to Flowster from my CRM that has very limited functionality. I use it so much I am using it to create personal processes. Cons The only thing I think they need to revise is the screen capture. I know they are just working on this now but it needs to integrate into the template building in a better way. October 29, 2021 5.0 As a solopreneur, I'm working with VA's to assist me in my digital marketing efforts. Implementing and documenting processes is crucial to train them on the different steps they need to follow to perform the tasks. Before using Flowster, I created various Google sheets and some screen recording videos to help explain the different steps. However, it quickly became hard to keep track of all these documents, especially when updating or tweaking your processes. Also, video over-the-shoulder tutorials are not ideal for the person who needs to be trained to follow a process. For instance, you need to pause it at every crucial step, take notes, and so on. With Flowster, I can have one place where I create, share, and manage all my processes. I'm now able to have visibility on every activity that my team is doing. Also, the tool improves collaboration with my team. They can directly start a discussion on any workflow step, which is beneficial for all my team members. Training and onboarding new team members became easier and efficient. Pros Overall, the user experience is good, with a clean UI. It is nice to have the ability to display or hide advanced settings, so you can keep the layout as minimal as possible. The marketplace is very useful if you don't have your own SOPs. You can find pre-made templates which you can customize as needed. You can also create and sell your own templates. It has been a game changer for me to be able to track a task's completion. Previously, I added status dropdowns or check boxes to my spreadsheets to track my progress, but now I can update all my SOPs in one place and easily collaborate with my team. Last but not least, the customer support is outstanding, my questions were answered quickly. Cons It was a bit overwhelming at the beginning. In the long run, setting up a template is worth the effort, and there is onboarding information to help you get started. Cons Support is strange. I have 2 issues with it. First one - I find that one option that was important for me not available in my plan, but it is available in free test period if sign up with some referral link. I ask support to turn it on for me for the same test period and they did not accept it. The second one I miss free terms for 1 day and my card was charged for a month. That seems to be working really well. Pros The side by side view with steps on the left, and instructions/screenshots on the right make it very easy to create and use "how-to" instructions for all our recurring processes. Cons It seems difficult to use as an all-in-one task management system since it isn't easy to handle non-recurring tasks. Once I got past that hang-up, Flowster has been great! It has help me build my SOP's so I can start delegating many actions to a Virtual Assistant. That way I don't have to spend to many time every time I need to hire someone. What's great is you can visually see what step of the process a delegated task is in at any given time. Really happy that I have found them! Pros The pre-made templates are amazing, they can give you a great start. This is my first time documenting our process and has made our life so much easier. I love that I can even automate further with an automation platform like Integrately. The support is stellar, they help me embed a new video platform that was not supported! Overall, they have a really nice UI and the experience have been a good one. Cons The only downside (for now) is that if you embed the SOP in an external site, an external user can run the flow without generating an account. I also like how easy it is to go back and update something without having to redo the entire process (especially like how I can edit a step if a workflow is already in progress). An example is how I am creating icons as images for my blog and digital products. I'm working on a Flowster template which will show others exactly what to do, so that I can finally delegate this process without worrying that a critical step will be forgotten. First I need to select a suitable icon in one program, then download it as a certain file type ready for importing into another program. Then I need to add a particular outline to the icon, in certain colors, and add a background (circle or square depending on the use case) and then add another, different outline to the background image. I need to replicate this process using different colors for the same icon and then I need to upload the set to my blog at a certain size using image optimization software. It would be very easy to forget to do something along the way - but having it documented in Flowster and being able to check off items as they are completed, makes the process consistent and reduces errors, no matter who is doing the work. That's the joy of Flowster. As I get to grips with everything Flowster has to offer, I've had a few questions. Their support team has been fast and answered everything with plenty of detail to keep me moving forward. In short - a very positive experience and I'm now planning to completely integrate Flowster as part of my business documentation. Pros I think I may be falling in love with Flowster. For the first time, I have a way to document how I do everything in my business so that I don't forget the processes, and so that I can teach others how to do what I do, too. That's a tremendous time saver - not to mention efficiency-booster. I love that it was easy to learn how to use the software. And it just plain works. I don't have the patience to learn complicated new programs. Flowster delivered a fast, smooth onboarding experience which had me up and running in no time. A huge plus for me is that I can send workflows of my processes to others to work on. If something changes in the process, I can just update the template and then everyone with a workflow is automatically updated. That's a headache-saver right there. I've only just scratched the surface of possible uses for Flowster. I haven't been using it that long, but I can already see that it's going to be an integral part of how I work from now on. Cons There is a marketplace for Flowster templates which has a lot of potential (Flowster owners can sell their own, original templates on the marketplace, too), but so far it's not offering the detailed level of templates that I'm looking for. The Premium templates (for which you need to pay extra) seem to be better though. The templates can be used to jumpstart documenting a process, but they're not critical since I'm going to want to document my specific processes from scratch anyway. I've got more time to focus on my business, rather than answering questions by new staff or having to update the systems and processes in different places all the time. Pros Even before discovering Flowster, I had SOPs and lessons housed in spreadsheets and google documents. However, they were cumbersome and hard to maintain - especially with a remote team. However, since transferring all my SOPs over to Flowster, maintenance of my business' systems has never been easier. I love how easy it is to create the SOPs from scratch. The user interface is easy to understand and navigate, which makes it more appealing, because now I can delegate the SOP creation and maintenance to one of my employees! Cons It would have been great if Flowster had an import or migrate function to import my SOP's that I already had in existence. As tedious as this can be, it did provide me with the opportunity to review the SOPs for any improvements. It is also a little bit too easy to begin editing the template of an SOP without meaning to. Maybe if they had a different screen with a different theme format that indicates you are editing a template (as opposed to a workflow), then it may help to avoid such mistakes. Any time I've ever needed support, they are very fast to reply and are super helpful. Pros Flowster makes it super simple to organize and create standard operating procedures. I do like the way each step is created, the options (text, images etc) that can be chosen, and the ease of renaming and reordering steps. Simple, unfussy view helps keep things clear and uncomplicated. Cons Can't reorganise template/process lists by date, alphabetically etc. Also would prefer not to see a popup when launching or editing a process, perhaps a simple button/link next to the item. There is not a huge learning curve and this is very important as its meant for non-tech users - so unlike other tools this aspect makes the tool very usable. Cons It's feature set is much lesser compared to other tools. But this is also because they are a new entrant and others have been around for a longer time. I can see that they are making progress and developing new features.
