My overall experience with Online WHS Systems has been very positive. On a day-to-day basis, the platform provides a robust and centralised environment for managing all WHS requirements, from contractor management and registers to safety documentation. Features such as documenting risks, incidents, and other safety concerns are straightforward once you become familiar with the system, and they provide a clear audit trail that supports compliance and reporting. The system is particularly effective for managing inductions, checking skills and qualifications via the matrix checklist, and monitoring compliance through the monitor boards. Policies and procedures are easily accessible and can be updated or referenced as needed. Pulling information for daily stakeholder reporting is efficient, allowing management to stay informed about operational and safety performance. While some features may initially feel complex for new or less tech-savvy users, overall, Online WHS Systems streamlines the administrative and compliance workload, ensuring that both staff and contractors are managed safely and in accordance with regulations.

Pros

The support team is excellent—very responsive, helpful, and easy to deal with whenever assistance is needed. The system itself is user-friendly, and once you understand how it works, it becomes very easy to navigate and manage efficiently.

Cons

While the basic interface is straightforward and easy for administrative staff to use, the system can be overwhelming for new users, particularly for blue-collar workers who may not be as familiar with digital platforms. Some areas of the system may feel complex until users gain experience navigating it.

It would be good to work with you regarding what a blue-collar worker should see when they log in to the system. For the majority of clients, standard users interact with Online WHS System via a QR code - that is, all major processes should be as simple as scanning a QR code and completing an easy process. We are considering coming up with multiple dashboards, and allowing personal preferences of which dashboard is served to a user on log in. I would like to investigate if there is another dashboard we can perhaps develop which would be easier for certain users and what that might look like/contain. I find it the site easy to use and I like the way it is split into difference sections on the Homepage for easier access.

Pros

The site is well laid out and easy to use. I have found the customer support helpful and easy to contact.

Sometimes it can be hard to source certain areas but if you look through the sections you normally find them

Pros

Value for money compared to other WHS systems, along with quick customer support to any meeting requests and questions. It is also easy to train workers to use in safety management withs is nice user interface and has enough features for us.

Cons

When you make a control for a hazard, it doesn't prompt you to go back to re-evaluate the risk of the hazard with the controls.

My overall experience with Online WHS has been positive. It is a great tool with applications only really limited by one's imagination. It also provides better value for money than similar solutions do. It is well-supported by \[sensitive content hidden\] and the development team and I am eager to continue to explore is capabilities as we continue to roll it out across our sites.

Pros

Online WHS is a powerful system. It's interlinking registers allow for the easy management of information and documents. It is a commercial solution and allows for groups of companies to easily manage their WHS obligations. The dashboard is user friendly and it allows users to easily keep track of obligations, while cutting out the noise of matters not relevant to particular sites. Also, the support is excellent - solutions and advice is always provided promptly and developers take clients' suggestions for future improvements to the system.

Cons

Given how powerful the solution is, there is a bit of a learning curve for some employees to understand various aspects of the system (particularly for those who are less familiar with technology). Online WHS help resources and tutorial videos assist with this.

The Site Map is a unique feature allowing companies to manage the different divisions and physical locations, "cutting out the noise" of other sites for particular user groups. Did you know there is new functionality so that as a global admin you can zoom in on a particular site or division of your business (using the site filter in the top right of the screen)? In consultation with many clients we understand the need for a system like ours to be highly customisable, and ultimately that does make the solution a bit harder to learn and get up to speed. This is why we put in our "Customer Success Program" and that all of our clients have access to a WHS Qualified agent. I have now used this system for a number of years at a number of Councils including me putting it into one of these so understand it from not only a basic user but also from an implementation point of view. It is not as difficult as many other systems out there and once it is up and running it is very easy for the end user. It is easy to locate information without users having to go looking as everything is in front of you on one screen initially.

Pros

The communication and support from the organisation cannot be faulted whatsoever. There have been times over the years where I have called with a query and the actual \[sensitive content hidden\] has answered. The willingness for them to listen to an idea and turn it into a functional tailor made solution is outstanding.

Cons

Nothing I can think of to be honest. There have been issues I had identified which once I mentioned these were rectified!

As noted above, we purchased subscription to Online WHS mid-last year and and have implemented as centralised WHS/compliance system within our company (third party logistics - warehousing & distribution). All sites nationally are able to view/edit employees data/qualifications relevant to their own site, view/download all relevant policies, procedures and safe work method statements (equal access all sites), view/maintain assets/equipment relevant to their own site, etc. Visitor Induction/Allergy Checklist , COVID-19 Screening Checklist, HACCP/Housekeeping Checklist and Hazardous Chemical Lists are all readily accessed by simply scanning QR code from any smartphone, completing checklist online & hitting "Submit". Each completed record is then logged (time-/date-stamped) & can be retrieved as electronically or printed out for review. Overall, the strengths of this system are in the simplicity, ability to build/customise online forms and checklists, and to feel secured that all records are securely stored and accessible from either PC or smartphone as required. Awesome product & great design/support team.

Pros

We went from being almost entirely paper-based in terms of compliance monitoring and record-keeping to now managing a large proportion of this online via Online WHS (work in progress). This cloud-based software affords a comprehensive and easy to use set of tools for managing employee data & qualifications, client information, contractor compliance and asset/equipment maintenance. We are still in the process of fully implementing this system given the large number of features but were able to successfully implement key aspects of the system which were rolled out nationally within just a couple of months. There is a lot of flexibility within the system which means that we are using it as more than just a SMS but rather it is almost "one stop shop" for managing employees and relevant compliances. With a little more development I'm confident that it will eventually become our go-to centralised system. It has already provided us with national visibility across multiple sites/sub-sites and accountability at all levels of management/supervisors. The system also seems to be a hit with auditors all levels because it demonstrates 100% transparency and centralised record-keeping/retrieval at the click of a button.

Cons

Since the system transitioned to a much improved version mid-2019 there have been some ongoing (relatively minor) issues some of which are still being dealt with. The biggest con regarding this is not that any of these bugs are show-stoppers but rather this has slowed the ongoing development/implementation of even more features specifically requested by clients relevant to their own industries and deployment of the system. However, given how powerful/flexible this system is already & the diligence of the customer service/technical support team I'm confident that these will be relatively short-lived frustrations.

Although other products were not researched in detail, initial assessments were that these packages are geared for much bigger medium-large enterprise companies, more expensive that we anticipated in terms of initial/annual expenditure and likely would have required more extensive training and human resources to implement/maintain for a company of our size.

Pros

I really like that the system will alert me when I need to do an update, that may be refreshing an employees qualifications or updating our chemical register. I also like the induction builder, we can design an induction for a specific department. The incident and hazard register make logging incidents and hazards easy, it also allows for investigations and return to work obligations.

Cons

We transitioned over from the older interface, there were a few issues when the conversion happened but the support form the online OHS team has taken care of these issues.
