"MonkeyPod Understands Nonprofits Better Than QBO Ever Did"

**Overall:** My firm adopted MonkeyPod about 2.5 years ago, and we’ve now implemented it across nonprofits ranging from small grassroots organizations to complex fiscal sponsors with multi-grant environments. Overall, I’m glad we made the shift. MonkeyPod is the first accounting platform I’ve used that actually understands nonprofit operations instead of awkwardly forcing nonprofits into small business accounting software that was modified after-the-fact. The integration between fundraising, grants, donor management, and accounting eliminates a massive amount of spreadsheet work, duplicate entry, and disconnect between finance and development teams. More importantly, it pushes organizations toward better accounting discipline and best practices. Cleaner fund tracking, stronger workflows, and better reporting conversations happen naturally once teams lean into the system. A lot of accountants initially feel MonkeyPod is restrictive compared to QBO, Xero, or Sage. Frankly, those “restrictions” are just solid internal controls that other systems never bothered building out. MonkeyPod makes it harder to fill your books with garbage, and I view that as a strength, not a weakness. The learning curve is real, though. MonkeyPod does SO many things that are usually spread across multiple systems, and that can feel overwhelming at first. Their Welcome Wednesday meetings were honestly a game changer for me. Even passively attending them helped me build familiarity with the platform much faster. The support team has also been consistently excellent. They understand nonprofits, they listen to feedback, and they are constantly improving the platform. I never got that from QBO, Xero, or Sage support. That said, some areas still need maturation for more advanced finance teams, especially around highly customized reporting, allocation flexibility, and certain accounting workflows. But it’s also obvious they are actively working on those gaps. One important caveat: no accounting system fixes poor operational habits. If an organization refuses to capture receipts, document approvals, or follow basic workflows, switching software will not magically create accurate reports. If a nonprofit is not willing to improve its operational discipline, changing systems will usually just create more chaos, not less. But overall, for nonprofits tired of duct-taping together disconnected systems and trying to force nonprofit accounting into software that was never designed for it, MonkeyPod has been one of the most promising platforms I’ve worked with.

**Pros:** • Actually built around nonprofit operational realities • Strong integration between fundraising, grants, CRM, and accounting • Enables clean fund tracking and strong accounting controls • Welcome Wednesday trainings are incredibly helpful in learning the platform • Excellent support team that understands nonprofits and actively listens to feedback

**Cons:** • Significant mindset shift for accountants coming from QBO/Sage/Xero/etc • Some workflows feel restrictive until you understand the control philosophy behind them • Reporting customization and allocation flexibility still need growth for advanced finance teams • Requires thoughtful implementation, training, and operational buy-in to succeed

**Reasons for Switching to MonkeyPod:** I switched from QBO and Xero because I got tired of forcing nonprofit accounting into systems that were fundamentally designed for small businesses. Too much of nonprofit accounting in those systems happens outside the software itself through spreadsheets, manual reconciliations, shadow reporting, and cleanup work by accountants after-the-fact. MonkeyPod was the first platform I used that treated grants, restrictions, projects, fundraising, and accounting as connected operational realities instead of separate silos. It pushed organizations toward cleaner workflows and better accounting discipline instead of relying on accountants to constantly fix broken processes downstream.

"A good entry-level product"

**Pros:** MonkeyPod is a great tool for our nonprofit accounting. It helps us integrate donors with a CRM into accounting pretty seamlessly. Easy learning curve, easy to dive right in without training. We chose it because it integrates with Gusto, our payroll software.

**Cons:** There are some hiccups, small things but ones that make it a little more clunky than we'd hoped: for example, we can't use the invoicing feature as much as we'd hoped because of how it automatically codes payment (we'd like to use it as payment on a pledge, but it doesn't work like that). The reporting is also a little tricky -- reports aren't named what donors and board typically call them (P&L, etc.) and so I'm often looking up what MonkeyPod calls things. Also, the dashboard is less hopeful that I'd wanted - it doesn't really give me an accurate picture of money we can and can't spend

Since MonkeyPod is made exclusively for nonprofits, we always use the correct nonprofit terminology in our reports. For example, a Statement of Activities rather than a P&amp;L or Income Statement, which is what for-profit organizations produce. We also recently made some improvements to make collecting pledge payments easier. You can download PDFs to send to donors as well as send electronic payment links via email with customized messages. When your donor makes a pledge payment, that payment will automatically update in your books, budget, and CRM. We'll keep working to make improvements and we appreciate your feedback!
