May 28, 2026 5.0 To be honest, my growth team and I are game changers with Projectworks! It has solved all of our problems with keeping track of things, and provided us with a clean, grown up tracking method for our day-to-day problems. After you become familiar with how it operates, you'll save countless hours of manually updating spreadsheets. I highly suggest that you try it out if you are running a scaling team and have to keep your costs and KPIs on the project pretty much under control. It just works! Pros I'm really enjoying the project tracking and the financial aspects, combined. It is so that before utilizing Projectworks at all, my team always is touring around to two or more tools to see if our marketing campaigns are under budget or making profit. Everything is now in one handy dashboard. Easy to use time tracking and employees use it every day without prompting me, which I find exceptionally helpful. It provides me with intense clarity about the hour I'm spending and I can make a next set of marketing sprints exactly the way I need it with confidence. Cons I have a mild glimmer of concern at the beginnings learning curve. Flew to this, and, at the first logon, the UI is somewhat weighty and perplexing due to the many settings and options. Second, the mobile version isn't as seamless as desktop and, when traveling and simply looking at a project status, that can be a bit cumbersome. It's very powerful, indeed, but needs a little additional time to be adapted to the report exactly the way you want. Pros I use Projectworks as an admin for project management, time tracking, and invoicing, and it has become an essential tool for running our operations smoothly. The platform’s reporting capabilities are especially impressive — there’s an enormous catalog of reports you can build, which provides deep visibility into project performance, utilization, and financials. Cons My only real suggestions for improvement would be: Offering tutorials or guided learning resources for the reporting features — they’re powerful but can be a bit complex for new users. Adding a feature to auto-prepare draft invoices at the end of each month, so that when admins go to generate invoices, they’re already staged and ready for review. Currently, the “Invoices” section only displays what’s been generated, but a draft-mode view would save time and streamline month-end billing. It helps us see where we spend our time and how profitable it stays. Much better than the mess we were in before, losing billable hours without even realizing it. Pros Projectworks gets time tracking, expense reporting and internal resource planning together. We were using multiple tools for that before. Onboarding new clients is now easier as well. Cons It doesn't have a native Zoho Books integration, so we have to sync our data manually. Zapier is an option for that but would cost us extra. It unifies all of my invoicing, time tracking, and forecasting, without making me into a full-time project manager rather than an engineer. Designed for professional services, you can see it in how it's made. Superior tools are the tools that bring people together instead of causing headache, if you want such type of tools without getting in between people and their tools then you have to try it. Highly recommended! Pros I love the way that Projectworks makes everything accessible in one place, it's the truth! I'm already exhausted working with pipeline problems and big data architecture as a Data Engineering Manager. Prior to that, it was like I was running a really bad game of whack-a-mole jumping through 5 spreadsheets for every single element of my team's tracking, resourcing and even invoice processing. This software can actually converse with itself. The resource planning and time tracking tie in perfect, and I can see right away if anybody is overworked, or has a free hand. This is a very powerful and effective program... and surprisingly easy to use. No crazy setup and just works. Cons It's not flawless, like, whatsoever. This is a very innovative way to forecast – sometimes it's a tad inflexible when I have an abrupt, chaotic shift in a project and need to adjust things in real time. Also, for a large team; the data loading initially may seem slow and sluggish at times for a second. I am excited to see what other features are coming up! Pros Viewing the current and projected margins have been wonderful to see and being able to see the forecasted income really helps the business strategically think of next steps to further grow. The tech support has been amazing and are always quick to respond. When I make technical errors, they have always been able to amend them without any trouble. \[SENSITIVE CONTENT\] has been excellent during the training process and I rarely contact support for queries as the software is quite intuitive. Cons I still find myself getting data from Projectwork and putting them on a spreadsheet to get more pieces of insight that would be good for the team to present. The Project Reporting & Metrics allow us to interrogate the system. There is a good library of reports to get you by, but Projectworks also has the capability to produce custom reports. Our PMO integrates Projectworks with Power BI to present a bit more detail in the dash boarding. Integrating with Xero its good but I am not sure if we are utilising the full potential. As our Software Engineering use Azure Dev Ops it will be good to see the integration, which is currently in a beta state, advance to generally available. Projectworks are advancing with new features all the time and communicate their product roadmap well. I look forward to more development Cons I have found the Custom Report feature complex, and would like to see it made simpler. Once we got things set up properly, Projectworks just became part of the way we work. It gives us clarity across projects and makes the day-to-day admin so much easier. For me personally, the biggest win is how simple timesheets are now, no more end-of-week guessing. And with the new redesign, everything feels faster and more intuitive. It’s one of those tools that doesn’t get in the way. It just helps you stay organised and on top of things. Pros I like that everything is in one place. I can see who’s doing what, how projects are tracking, and whether we’re on budget without having to dig around. It feels simple and clean, and it just makes sense. And the new redesign is a big plus, it feels fresher and even easier to navigate, which makes the day-to-day stuff quicker. Cons Honestly, not much. The setup takes a bit of thought, especially if you want everything to line up with how you actually work. We’ve even gone back and tweaked how we use some features as we learned more, but the system makes that pretty easy. Other than that, no real deal-breakers. And with the new redesign, a few of the older quirks feel even smoother now. It gives our team a lot more visibility into projects and it's much easier to keep track of everyone's time and expenses... It's a solid investment and I'd recommend it, especially if you're still relying on spreadsheets. Pros Best thing is to have everything in one place. Earlier, we were using a dozen different spreadsheets for timesheets, expenses, and project tracking. It was a nightmare. Now, all that stuff is in Projectworks and it even syncs with our accounting software which saves time. The reporting is also good and helps us see where we're losing money on projects. Cons Wish the initial setup was a little easier. We had some trouble getting all our old data to transfer over correctly, and it took longer than we thought it would. It has been a big help for planning and it lets us see where we are spending, how much and what we are getting done. Pros I like how we can do most project related task in a single place and it is very user friendly, most of the needed features are just a click away. The data is displayed with accompanying graph which is very good for checking how we are doing each day. Cons Projectworks does everything well, we have not encountered any problem. The setup takes a while but once it is done, the tool works well and it is very easy to work on regularly. Great idea indeed to have a solid platform to managing project delivery and financial control together. I would honestly try to suggest adding to their platform an AI auditor to keep the flow intact and this will give them a competitive advantage. Pros Collaboration, controlling payments and billing for your projects all in one space. It's not only business projects also research projects. I like having visibility over progress and financials without jumping between tools, and collaboration feels smoother when everyone works in the same system. The more we dug the more we found we could do. Having said that, with flexibility comes complexity, so you need to understand the interdependencies and ensure that you use filtering properly to get the results you need. this is not difficult, just something to be conscious of. Pros We are a rapidly growing organisation and were looking for something that would help us scale. We selected ProjectWorks after reviewing a few solutions with an initial focus on timesheets & Xero integration. This was achieved quickly and painlessly. We then shifted our focus to resource management and forecasting. As we explored ProjectWorks capabilities, we had many "wow this is powerful" moments. We now use ProjectWorks for timesheets, invoicing (integrated with Xero), resource management and forecasting. Like all things, there is a discipline involved to get the full benefit, but the insights and benefits you get are well worth it.
