### "ProjectWorks gives us the tools and insight to better manage our business"

Pros

ProjectWorks understands the needs of a project-based consultancy business and provides the tools and insight to manage our business proactively. We can monitor all our KPIs in real-time, making 'in-flight' changes based upon facts to ensure our resource schedules, project planning and pipelines drive our efficiency and maximise our utilisation. Accurate invoicing and integration with our finance and HR systems ensure accurate data throughout the business. We were guided through the implementation by a skilled and friendly onboarding team with deep knowledge of their product and how best to configure it for our project scenarios.

Cons

Custom reporting has been poor resulting us writing PowerBI reports outside of the application. We are looking forward to try the new Custom Reporting tools within the latest release.

Great! Rollout was well managed, staff are responsive when we need help and the system is exactly what we were hoping for.

Pros

Projectworks is incredibly easy to use - it's saved us literally days of work on invoicing over our previous system. It makes resourcing really easy

Cons

Up until recently I didn't like that there wasn't a custom reporting feature but that has been fixed now.

Great - again I can’t fault this product it makes my day to day easy and I don’t worry about managing complex resourcing mechanics or settings!

Pros

Simplicity. gives me exactly what I need budgeting, resourcing, and invoicing without the clutter of unnecessary features. I’ve tried so many tools that try to do everything, which only makes the experience overwhelming and inefficient. With Project Works, I can easily manage my budgets, forecasts, and resources, and invoicing takes me less than five minutes. Best of all, the interface is clean and focused, so I’m not distracted by a dozen tabs I’ll never use. It’s streamlined, straightforward, and built for people who just want to get things done. And are time poor like me!

Cons

I can’t think of anything negative! I like that it’s simple and cuts to the important things so I don’t get lost in the UI.

### "Pretty good for keeping projects on track"

So far my experience is good our team got more organized and saving time.. I still get stuck with some features but after a while it get easier, it’s not perfect but definitely helped us with less mistakes on projects

Pros

I like how easy it is to check how our projects doing and who’s working on what, so we don’t lose track no more. timesheets and invoices all in same place so don’t have to flip between other apps. its secure and ROI is good

Cons

Sometimes it get slow when lot of people using it and its confusing to setup some reports the first time, i wish there was more help to learn the advanced stuff

### "Great project management software"

Overall it’s a significant improvement from messy spreadsheets we used before. It took time to set up and train everyone, but now it saves us hours each week. Security features are in place. Considering the full range of features, the pricing seems fair.

Pros

It combines project management, time tracking, invoicing, and resource management into one clean interface. Once the team got used to it, planning and forecasting workloads became much easier. User access controls are quite strong. We like how well it connects delivery and billing.

Cons

We faced some issues with how the manual and historical data imported into Projectworks. Looking back, the onboarding process could have been clearer. However, we have managed to address this situation easily.

my overall experience is good. Gets the job done for our small team. Support is nice though they actually reply fast.

Pros

I like the time tracking thing a lot, honestly makes my life easier. Didn’t have to spend hours learning. Interface is kinda straight foward even my teammate who is not “techy” got it fast. Invoicing works well too saves me some stress every month.

Cons

Report stuff kind of confuses me not all the options show up sometimes takes me too long to find what I want. Also the time sheet edits are slow would love if it was bit more smooth.

All in all Projectworks is solid for keeping everything organized especially when you have multiple projects running and it does what it needs to but I think it could be even better with a few tweaks here and there to make it easier to use. Still it’s a good tool to have.

Pros

Tracking resources, budgets or progress it’s all easy to find. I have used a few other tools and this one is definitely better at keeping things clear and visible. It is also great for scheduling and keeping an eye on time which has helped us stay on track with deadlines

Cons

There are a few things that bug me, the learning curve isn’t the smoothest so it takes a while to get the hang of everything. Rest all is good.

### "Timelines, Reminders, and Visual Dashboards Keep Our Projects on Track"

We were looking for a single tool to take care of most like calculating the project costs, time tracking and forecasting our revenue. Projectworks does exactly that and helps us manage our project across the onsite and remote team with a single tool with ease.

Pros

My fav features are the timelines and reminders. The time tracking works well too and keep us on track of all the project deadlines. Reports and dashboard are visual which are especially useful when coordinating across different teams and easy to share with our partners.

Cons

User interface looks great but when using the experience is bit hard. So what would be better for the users, is that only essential features can be near like on sidebar and advanced or less used features can be under the settings so it be easy for lite users.

We started using projectworks for assigning the task inside our team and creating the monthly budget. It has been a big help for planning and it lets us see where we are spending, how much and what we are getting done.

Pros

I like how we can do most project related task in a single place and it is very user friendly, most of the needed features are just a click away. The data is displayed with accompanying graph which is very good for checking how we are doing each day.

Cons

Projectworks does everything well, we have not encountered any problem. The setup takes a while but once it is done, the tool works well and it is very easy to work on regularly.

### "Great tool for forecasting and keeping our costs down"

As a director most of my job is taking care of project management and keeping our non profit cost down and projectworks help us in line with our grant budgets. It saves us a lot of time and is very easy to use when it comes to forecasting the monthly expense.

Pros

The interface is very simple and I like the integrations with other tools we are currently using, which helps us sync the schedule and the volunteer work schedule that help overall staff management. The forecast has good data visualisation which keep us understand the progress in real time.

Cons

It is a great tool so nothing much to complain about it, it is a bit complex when starting but once we get used it is very easy to use and I would recommend projectworks for other non profits organisations.

Overall, my experience has been good. Projectworks was implemented to streamline timesheets and invoicing which it has done very well. The fact that it all integrates with Xero is an added bonus.

Pros

Easy to use, integrates well with Xero, Timesheets are great, invoicing is easy, reasonably priced..

Cons

Invoice format could be improved. Expenses don't integrate with payroll. For example vehicle expenses/reimbursement.

Pros

Great support from the incredibly helpful back-office team...whether answering my questions or trying to solve my problems, they go above and beyond :)

Cons

Needs to work better with Xero when it comes to invoicing how we want it to, rather than how Projectworks want us too :(

You can send a PDF invoice direct from Projectworks to a customer and customize the template. There is a lot of additional info that can be added to the PDF that Projectworks creates, as there is data that doesn't exist in Xero. For example you could include the total project budget and the total invoiced to date. You can also export the invoice to Xero to maintain your financial records. However, it is currently not possible to automatically create an invoice line for every time entry associated with an invoice. Totally understand that discovering a new platform in a new role can feel like jumping on a moving train - but we’re here to help make the ride smoother. Beautiful onboarding and branding. Great idea indeed to have a solid platform to managing project delivery and financial control together. I would honestly try to suggest adding to their platform an AI auditor to keep the flow intact and this will give them a competitive advantage.

Pros

Collaboration, controlling payments and billing for your projects all in one space. It's not only business projects also research projects. I like having visibility over progress and financials without jumping between tools, and collaboration feels smoother when everyone works in the same system.

Cons

Some areas feel like you need guidance or more in-product tips to get the best value quickly. I also noticed occasional performance slowness when loading heavier pages.

Pros

I love the simplicity of this software. The usership is intuitive and it can be adjusted to suit the exact needs of the user.

Cons

Initially, the software can be a little overwhelming due to the number of different ways it can be set up. Once you have a ProjectWorks champion in the office though, who understand the ins and outs, it really can be kept quite simple.

### "Many "wow this is powerful" moments...."

Many "wow this is powerful" moments...this says a lot. The more we dug the more we found we could do. Having said that, with flexibility comes complexity, so you need to understand the interdependencies and ensure that you use filtering properly to get the results you need. this is not difficult, just something to be conscious of.

Pros

We are a rapidly growing organisation and were looking for something that would help us scale. We selected ProjectWorks after reviewing a few solutions with an initial focus on timesheets & Xero integration. This was achieved quickly and painlessly. We then shifted our focus to resource management and forecasting. As we explored ProjectWorks capabilities, we had many "wow this is powerful" moments. We now use ProjectWorks for timesheets, invoicing (integrated with Xero), resource management and forecasting. Like all things, there is a discipline involved to get the full benefit, but the insights and benefits you get are well worth it.

Cons

Expanded capabilities to deal with parent child projects - most of it is there as you can track separate budgets and time within a project, but resourcing cannot be tracked by budget yet....this is apparently coming in late 2023

We are really happy with the software and what it can provide for the business. It has helped us make strategic decisions and assess where we may have gaps in the business.

Pros

How easy it is to use. Staff love it and are better able to manage their projects, quickly see when they are over budget etc. Timesheet entries are a breeze as are leave requests and approvals. Support is quick to respond and the Projectworks team have been great to work with.

Cons

Mileage expenses need some work but its coming. Missing the ability to set a billable cost rate to clients. This is really our only bug bear with the software.

I really enjoy using it, the UI is very easy to get used to. Excellent program/software to help with operational and project management. I am excited to see what other features are coming up!

Pros

Viewing the current and projected margins have been wonderful to see and being able to see the forecasted income really helps the business strategically think of next steps to further grow. The tech support has been amazing and are always quick to respond. When I make technical errors, they have always been able to amend them without any trouble. \[SENSITIVE CONTENT\] has been excellent during the training process and I rarely contact support for queries as the software is quite intuitive.

Cons

I still find myself getting data from Projectwork and putting them on a spreadsheet to get more pieces of insight that would be good for the team to present. The integration with Xero has been good but at the beginning, with syncing them with the employees on Xero, we were having issues with the rate cards not accruing leave. Which created some issues with what employees were supposed to be accruing, etc.

COST EFFECTIVE AND EFFICIENT IMPLEMENTATION: -Projectworks have catered for almost everything we need ‘out of the box’, with no need for additional costly customization.-Migration timeline from approving the tool, planning, design, implementation, training and post project Q&A’s and amendments was 6 months. Significantly less than other migrations I’ve seen.ACCURATE BILLING & PAYROLL-Projectworks allows 1 person employed by company A to work on a project in company B within the same instance of Projectworks. This allows effective and efficient billing to clients and hours for payroll – albeit 2 separate companies, 2 currencies/geographies etc.-Contractors being paid multiple rates for different projects are dealt within Projectworks.DEBTORS MANAGEMENT AND IMPROVED CASHFLOW-‘Out of the box’ integration from 1 instance of Projectworks with multiple instances of Xero has been a big win with the migration. Pros

When we found Projectworks I was immediately engaged. The Project Reporting & Metrics allow us to interrogate the system. There is a good library of reports to get you by, but Projectworks also has the capability to produce custom reports. Our PMO integrates Projectworks with Power BI to present a bit more detail in the dash boarding. Integrating with Xero its good but I am not sure if we are utilising the full potential. As our Software Engineering use Azure Dev Ops it will be good to see the integration, which is currently in a beta state, advance to generally available. Projectworks are advancing with new features all the time and communicate their product roadmap well. I look forward to more development

I have found the Custom Report feature complex, and would like to see it made simpler.

Having been an early customer, we feel like we've been able to contribute to the direction of the product. Implementation and support have been the best I've experienced in 25 years. Product has been reliable, flexible and done everything we needed. Love it!

Pros

It was like we'd built the platform for ourselves! Spoke the same language, worked logically and surfaced what is important.

Cons

Dashboards have been improving over time and will make this incredible when done. The open API though allows us to fill the gaps easily and quickly.

Good experience, the support and development team are always very willing to suggest ways of doing things or developing new features to help us.

Pros

Simple to use, very intuitive, dashboard and system looks great. All our employees find it very simple to use and easy to find metrics at the click of a button. Everything is in realtime so we know it is also accurate. The support team and our account manager are great at providing solutions to our many queries.

Cons

Reporting could be better, I appreciate work has been done on this but still not that easy to use if you don't have very strong technical skills on a par with coding. HAs great metrics on screen but sometimes very hard to show this in a different format e.g to show to the management team without my laptop.

### "ProjectWorks - a One-Stop Shop"

Our experience with Projectworks has been excellent. We received responsive, timely support throughout the migration period and the excellent support has continued as various requirements have arisen along the way.

Pros

Projectworks is a powerful project management system, and we are glad we decided to migrate to this platform. We previously used 2-3 different software platforms to achieve what we can now do using Projectworks alone. We are particularly impressed with the forecasting and resourcing features. The SQL back-end allows us to extract any type of report we need, which has proven to be incredibly useful. The intuitive interface requiring minimal mouse clicks has made the transition super easy for our team. It is exciting to see the regular updates released.

Cons

We required a variety of layout options for our client invoicing in Xero, and ProjectWorks have provided us with an excellent workaround. We are looking forward to having full Xero integration soon so we can benefit from the other integration features available when Xero talks directly to Projectworks.

ProjectWorks has provided significantly more visibility and granularity of reporting - giving everyone in the business better data on which to base their decisions. The transition to ProjectWorks was handled by the excellent team at ProjectWorks and the follow up support has been nothing short of superb

Pros

Capacity management is a strength of the ProjectWorks product, the visibility of how people are allocated and to what, as well as the ability to see in one glance utilisation and availability is superb and probably the most important tool for resource management in a PS business. Also for Delivery folk, the ability to manage to margin throughout the life of the project is awesome. Shared views of Forecast revenue in one place, provides a central truth of the upcoming pipeline of work.

Cons

Some of the processes to do things (for example : Delete a project that won't be going ahead ) are very manual and involve multiple steps which makes them clunky. Projectworks also only really has two levels or groupings - team and organisation - and it would be good to be able to group the reporting based on more granular slices (e..g tribe/squad/chapter/seniority/location) or a combination of them. I believe that filtering will be introduced on customer fields but for now some of these calc's we do by extracting data and manually manipulating it in sheets.

Reason for choosing Projectworks

A mix of functionality, support and cost went into the decision process, with the selection weighted towards , "can we run our business using this product?"
