Within one week of paid activation, our workspace had exhausted the entire monthly allocation of 25 AI "tokens". The features that drove the purchase became unusable. We requested a refund within 14 days. Whale refused, citing a no-refund policy in their Terms & Conditions. A policy that does not exist in the document at the time of this review. Open usewhale.io/terms-and-conditions/ and search for the word "refund." It isn't there. Future buyers beware: our entire organization feels this was bait and switch, hook line and sinker. The product is great when you have AI tokens to spend. You won't, for long. Once they take your money, you aren't getting it back. Customer service is non-helpful in these disputes and will tell you to go pound sand. Scroll down to \[sensitive content hidden\] O.'s 1-star review from June 2024 and read Whale's reply. Same playbook, two years apart.

Pros

The screen recorder and content organization are well-built. The product itself is competent for SOP documentation if you don't need the AI features. The team that built it clearly understands the space.

Cons

The bait-and-switch on AI features. During the free trial, our team used the AI features (video-to-SOP, text extraction, quiz generation) freely, liked what the product offered and signed up for annual subscription. Within one week of paid activation, our workspace had burned through the entire monthly 25-token allocation. The features that sold us the product became unusable on the plan we bought. That gap between the trial experience and the paid product is the core problem, and it caught us completely off guard.

Whale is made to engaging and fun to use. Navigating is extremely user friendly and customer support actually cares and will continue reaching out to see how they can further resolve issues they already helped fix.

Pros

Whale makes finding and searching for processes engaging. You have a lot of different ways of searching for a process, you could find by Department Board, then categories, and find the individual cards, or search by keyword or even AI conversation.

Cons

I wish there was more of a template for structuring your processes. Like choosing a process/SOP structure that closely relates to your business type so you can see what maybe other businesses in your sector are structuring like.

Product seemed very modern and ahead of it's time. UI was incredibly clean and simple to navigate which meant less time training users. They had a good Non-Profit discount as well.

Whale has streamlined our unburden process by allowing new hires to complete most training independently, saving time and making meetings more focused.

Pros

Whale makes it incredibly straightforward to build engaging process documentation. You can effortlessly combine images, videos, text, and even GIFs to create interactive step by step guide.It is user friendly enough that process owners can handle updates on their own without relying on designer and tech expert. Plus , making updates is quick and does not require jumping through any bureaucratic hoops.

Cons

I wish Whale had a flowchart feature for visualising complex procedure.

Additionally, Whale's customer support is unparalleled, always ready to assist with any queries, ensuring users get the most out of the platform.

Pros

As digital marketing expert, there are a lot of moving parts and a lot to keep track of. I love how Whale simplifies the process of onboarding new employees, and ensuring everyone has access to consistent information. I really like that we can create and share content, assign tasks, and use quizzes to keep everyone about the news in our environment. It's really user friendly.

Very unsatisfactory. When reaching out to Support With issues they only reply is, “ It’s clearly stated on the website”.

Pros

The only pro to this is it’s simplicity

Cons

The Custom ability is very minimal. Every employee can see every option And nothing can be customized. Custom services, poor and unwilling to be of assistance to a paying customer.

We’re sorry to hear you were dissatisfied with your experience. To address your concerns: during the sign-up process, the difference between monthly and yearly plans is clearly indicated. Even in the case of a misclick, an invoice is automatically generated—giving users plenty of time and opportunity to reach out. Our team responded promptly, provided a clear explanation, and offered alternative solutions within our terms (which state that we do not offer refunds, but do offer a free plan for testing and a monthly option for flexibility). Regarding customization, we offer a range of options like role-based access and user-specific permissions—though it sounds like these may not have been fully utilized in your case. We understand it’s frustrating when expectations aren’t met, but we aim to be as transparent and helpful as possible throughout the entire customer journey. — The Whale Team

We were able to onboard new colleagues much faster than before. They were very satisfied with our approach. By using the templates we create much more uniformity of our documents and the colleagues start documenting faster :) The reaction of the support is TOP!

Pros

Really bridges the training and knowledge with the different profiles of employees. Intuitiveness & user friendly Outperforming other onboard tools or training software.

Cons

It isn't completely customizable yet (brand colors or logo cant be changed atm)
