The ability to save directly to the drive. The ease of finding documents. The ease of email templates, the ease of signing and getting signatures. There is nothing to not love about . Pros I have moved 2 separate practices from 2 different document/accounting systems. Moved from Handisoft first time and moved from AE document management system. Easy to use, integrates exceptionally well with Xero. Storage is excellent and never lags when looking for information. Cons Having to click on the signing tag every time you want to put a signing field into a document. Just once would be great. Choose the signer and add to wherever signing is required. Reason for choosing SuiteFiles We considered FYIdocs for a couple of minutes but the lack of communication when considering the change and the product being too much like AE were offputting. Partner Accounting Used the software for: 2+ years ### "SF review" June 15, 2023 5.0 overall it is a great software and is easy to use, updates when done sometimes they dont have other things work, which i have made mention to support that when these updates occur further testing required in the test system so that when goes live things dont break down, also it takes a lot of time to fix once known to support Pros ease of access to client files, ease to drag and drop from external sources, Cons support takes time to get back to us with a fix - sometimes warranted and sometimes should be a quick fix, support at times dont understand the problem so have to do a lot of screenshotting back and forth so the IT team understand the issue Reason for choosing SuiteFiles seemed to be one of the better options and with the document signing function, we were tossing up with SF and FYIdocs and decided to go with SF Switched from [HandiSoft](https://www.capterra.com/p/201961/Sage-HandiSoft/) cloud functionality wasnt there with handisoft so we went with XPM and therefore needed a cloud based doc management system Review Source SK Stephen K. Business Services Manager Accounting Used the software for: 2+ years ### "Suitefiles, good for what it does but not perfect" June 27, 2023 3.0 Overall the software is good and integrates with a range of softwares however there are just a few small functionality improvements to do with the drive function and pdf management that would really make this a useful software. Pros I like the online where you are able to access documents and they autosave and you can access them from any computer. I also like that it can integrate with your outlook making it easier to save emails and documents. The suitefiles drive function is also good because it allows you to save documents similar to the old method which is good for staff who are poor with change. Cons I dislike that you cannot open pdf's properly and highlight notes and leaves comments the way you normally would when opening them from your drive. The other item is to do with drive, sometimes documents saved on the suitefiles drive don't upload to the cloud. Review Source MM Maggie M. It allows me to create client folder structures with a couple of clicks, and easily save documents into those folders using SuiteDrive. I can save emails from Outlook into SuiteFiles folders with just a few clicks. That's just a couple of things, it saves me time and angst every single day. Pros The team at are amazing; so helpful. SuiteFiles has saved me hours and hours of time over the years. SuiteFiles made it easy for me to move to being paper-free. It also makes it easy for my document management to be simple and more importantly - organised. Cons brings in wonderful new features all the time and it's hard to keep up! I am inlove with Pros I love the fact that I can have everything in one place. I can have documents signed and stay in the client folder, the ability to sign and also having it linked to XPM so i can retrieve the contact details for signature easily. My favourite feature is the menu and the tier structure is just so much neater and more compact. Pros I like that this integrates with both O365 and Xero directly which are my two main sources of information. The recent addition of being able to save directly has been fantastic and something that was developed based on feedback. Pros Super easy to learn how to use the software. Multiple ways to save documents into the software including direct from emails, drag and drop and the Drive. Signing of documents is easy for us and more importantly easy for clients. Integration with Xero saves having to set up Client folders in SuiteFiles and the ability to archive the SuiteFiles folders when archiving a client in Xero is a great time saver. Pros is very easy to use. We can scan documents from our scanner directly to SuiteFiles via a unique email address, rename and save to a client folder, and have the documents immediately available to our offshore team to get started on processing for us. Likewise they can save documents and we can immediately review and finalise in collaboration with them. SuiteFiles is also constantly being improved and upgraded and we don't need to do a thing - upgrades are deployed behind the scenes and we have immediate access to them. No issues of version control or downtime waiting for server-based software upgrades to be installed Cons I can't think of a single thing we dislike about this software. Review Source BR Belinda R. It is a smart software with a passionate team behind them that are always helpful and thoughtful. Pros I like that within we can have multiple ways of running a loan. From interest being calculated daily, to monthly, with interest trails to brokers or management or without. It allows us flexibility in our initial negotiations, something we didn't have with our own software. Cons That I can't amend report dates. For example, I can't finalise entering our August data completely until 1st September, however once done and I drop out the report for emailing to management I can't update the report "as at 31st August" it has to remain dated 1st September which is not technically correct. Pros This product is very effective for our business, we have it set up alongside Outlook so that all emails in and out are filed directly here. It also allows us to file any documents via Outlook into the specific files. Very effective so that any staff member can see correspondence and access documents easily. Cons We would like to return to pre-upgrade with the files being in last submitted instead of in the current ordering. Reason for choosing SuiteFiles Unknown as I was not here at that time. You can use folder templates you have previously saved to bulk create a subfolder structure - https://help.suitefiles.com/bulk-folder-generation 3. Director Accounting Used the software for: 2+ years ### "Fantastic System" June 28, 2022 5.0 We started using (SF) just prior to the first lockdown in 2020. The decision was part of a full move for our 5 person accounting practice from desktop based programs to cloud services and a reduction of the use of paper within the office. Although moving a decade old practice with all its old systems onto new cloud services came with its share of headaches SuiteFiles was not one of them. The process of setup was supported the whole way via the SuiteFiles customer support system and after only a short while all the staff had a pretty good handle on how it worked. We set up separate files for each of our clients as we went rather than doing the import in one go as the uploading of files dragged our internet speed down so it suited us to do them progressively. The ability to structure the file system to match how we originally stored electronic files, meant we could drag and drop all our historical electronic records in their existing file structure right into the SuiteFiles program which then provided continuity with the files being added going forward. Suite Files has become the central depository for all our clients information, new work is dropped into their current year file, workpapers and supporting docs are all saved in as we work on it. Draft copies of tax returns and accounts are saved there and once approved we use the SuiteFiles electronic signing system to have them approved. The ability to look up information and auto preview it are fantastic.
