The video library for self-tutorials and then being able to schedule a one-on-one walk-through with a tech. The chat function with either a tech or customer service when there is a question for a kicked-back claim or an issue with the system, is fantastic. Cons I really wish that PM would connect with the testing sites so that you could import the online graded tests into the system. It has been easy to learn and to navigate. I submit claims, apply payments, etc. all from Practice Mate. Pros I have been using Practice Mate for quite some time now. I love the ease of using the program. It is secure and a great priced valued for all that it provides for our office. Cons The reports could be a little more informational. Currently, the program offers reports but not provide detailed information like the patients would like to see. Staff sometimes less helpful than other times. Pros Overall it is very easy to use. It makes billing quick and easy. I appreciate the fact that secondary insurances are billed automatically. Cons Several times a payment has shown up in my checking account, but the info does not show up on the accounting page, so I can’t identify which patient to credit the payment to. Pros It didn't take too long to get started billing insurances. Very user friendly and bec I was able to send out first claims without the training yet. Cons It does not keep track of duplication. It would be nice if it recognized that there are duplicates of patients or dates of service entered. Used it for a while and it should have been one of the updates because it is an important one. Correcting claims should be easier than what it is now. July 7, 2025 4.0 I really like OA/PM and have been promoting it to small provider practices for at least the past 20 years. I have always had positive customer support services, and it is one of the easiest systems to train end user to use. Pros Customer support, simplicity, no contract, affordability, and fast processing and claim turnaround. It was especially nice when I was starting out in a solo private practice as a therapist and didn't want to have to pay someone to do my billing. It's so easy to use I've continued billing on my own. Pros It is easy to use and if I need assistance it is easy to reach an actual person to help with questions or walk me through something new. Cons For a couple months there seemed to be fairly frequent connectivity problems, but that has died down. Pros Easier to learn that most other systems I’ve used. There is a little bit of a learning curve with any new system but for me most of the system made sense immediately and the other 20% I had the hang of within 8 wks of using it. Theres a reason why I’ve been using them for the last decade. The phone support is amazing and not only helps you resolve any challenges you’re having but helps you learn how to avoid it repeating. The template for diagnosis, CPT codes, POS and modifiers are very easy to set up and saves a lot of time. No other system has been as efficient in this area. They’ve added a video library that can help you not only learn how to use the software but it’s there 24/7 when you do need to fix a mistake you made. That is a time saver as well. Cons The non par list of insurance companies can be pricy depending on how many non par insurance companies you bill. The functionality overall has been helpful for our processes to keep data current for over the past 20 years. Pros It keeps patient accounts organized. Reports clearly show recorded payment by patients and insurance companies. We can keep patient credit card payments up to date and storing the credit card information for future sessions with reports is valuable. Cons When calling for support waiting time is excessive. No condensed report for therapist sessions. It would be very helpful if the patient report per therapist could be downloaded in a more condensed format such as line items showing DOS, Patient name, CPT code, amount charged, amount paid by patient, amount paid by insurance and amount due. Such a report would help generate a paysheet for each therapist in the group. I get questions answered or assistance when needed without having to go through a lot of automated prompts! There is nothing like being able to talk to another human being to help solve whatever problem I may be having!! Pros Prior to 2020, I found all of the features to be very beneficial to my practice. Since the retirement of my office manager and the onset of COVID, I now have a third-party company that handles insurance verification, billing, and payment for me, which allows me more time for patient care. Cons Many times, when patients are completing the new patient paperwork through Patient Ally, they are not able to complete the HIPAA Compliant form. I'm told there is a glitch in the system that IT is working on, but to date, it hasn't been corrected. This means I have to send that particular form to the patient for signature and then add it to their file, which is not convenient. The main upgrade any changes made to the information should update information in Patient Appt schedule, patient visit and claims. Thins does not happen and one has to go to each tab manually and update on each form. Cons When you are working on a patient it switched the screen back rather than let you stay on the same patient until you are done with all the work you need to do. The other feature that does not work is when insurance payers retract the monies it is difficult to post the shortfall in an easy and systematic way.
