Great overall experience. Customer service is excellent when you need them. The system offers almost everything we need.

Pros

We can do all that is needed from one application for our patients and it's secure and compliant. Being able to securely store and access sensitive information is great.

Cons

You can't always get reports exactly like you want and with that being said they are upgrading and bringing more flexibility to reports that we can customize.

### "So far the best option out there for me for over a decade "

Very very positive, got lots of guidance while learning, never felt that reps were frustrated with me questions or calls.

Pros

Easier to learn that most other systems I’ve used. There is a little bit of a learning curve with any new system but for me most of the system made sense immediately and the other 20% I had the hang of within 8 wks of using it. Theres a reason why I’ve been using them for the last decade. The phone support is amazing and not only helps you resolve any challenges you’re having but helps you learn how to avoid it repeating. The template for diagnosis, CPT codes, POS and modifiers are very easy to set up and saves a lot of time. No other system has been as efficient in this area. They’ve added a video library that can help you not only learn how to use the software but it’s there 24/7 when you do need to fix a mistake you made. That is a time saver as well.

Cons

The non par list of insurance companies can be pricy depending on how many non par insurance companies you bill.

I would recommend Practice Mate to anyone running a small practice. My colleagues also use it some as long as 18 years.

Pros

Our office has been using Practice Mate for nearly 8 years. It is easy to learn. Office Ally continues to update their security to avoid hacking. It is still the least expensive and most effective product for a small practice. We submit claims, track authorization, and prepare patients' bills. Office Ally is quick to combat system issues.

Cons

While Practice Mate has grown, their customer service could use more training on trouble shooting problems brought to their attention.

### "Practice Mate works - a great value for the cost."

Great! It does what I need it to do and when something goes wrong they take care of it quickly. There staff are expert and considerate.

Pros

It's easy to use once you learn how and I've been using it since 2010. It keeps track of my clients information and makes billing easy. PM posts the claims and gives me an easy way to keep track of claims and billing for what is not covered by insurance. Once it's set up it continues to deliver. A great value for the cost.

Cons

It's just me, but I'm not looking for a new version or update. I don't want to learn a new system. I'm happy with the old system and fear that I'll have to learn a new system.

### "Poor Customer Service and Antiquated"

The on-boarding process offers much support, but then customer service becomes poor to non-existent. Reporting and benefits check features are antiquated and time-consuming. You would need to hire another staff to manage claims payments, which defeats the purpose of using an inexpensive software. Overall, they need to step out of the 2000s and into 2025.

Pros

Intuitive, user-friendly. Ironically, their antiquated interface makes it easier to use without all the confusing bells and whistles.

Cons

Poor customer service. Lack robust reporting features. The reporting is so poor that a practice owner cannot know know which claims are being paid. He needs to log into the insurance companies system to view them. This is quite time consuming and labor intensive and not scalable when you're expanding your practice.

### "Practice Mate is Truly Awesome"

I love it and will continue to use it in the future. It has been easy to learn and to navigate. I submit claims, apply payments, etc. all from Practice Mate.

Pros

I have been using Practice Mate for quite some time now. I love the ease of using the program. It is secure and a great priced valued for all that it provides for our office.

Cons

The reports could be a little more informational. Currently, the program offers reports but not provide detailed information like the patients would like to see.

### "I would definitely recommend this to any small practice"

This is an outstanding product. Cost-wise, amount of features and how often Office Ally is looking to improve its product.

Pros

We've been using Practice Mate for 6 years. While it started off free, they kept it free for as long as they could. Eventually it had to change and it's still very affordable. Customer support hasn't been top notch but I believe Office Ally is working on that. Technology has it's hiccups but we rarely have any issues. Our claims are generally seamless with an occasional issue because of the way payers change their standards. The features make it easy to customize the way we use them with being able to bring reports into Excel! Patients' billing statements, especially are user friendly. All in all, Office Ally's Practice Mate seems to have outstanding security with no issues that I'm aware of.

Cons

Practice Mate has so-so customer support as of late. The past they were much better. Lately, the people answering the requests aren't as thorough to troubleshoot questions.

### "Practice Mate: A Safe, Secure Way to Bill Online "

Overall, Practice Mate's been a helpful and positive experience that I've learned to trust. For example, online claim submissions are paid accurately and in a timely way. To give you an idea of my loyalty and satisfaction with Practice Mate, I've never thought of, nor have I had a reason to look elsewhere online for another billing company.

Pros

I'm an LICSW Private Practice therapist in MA. For 20 years, I've used Practice Mate to organize and manage patients' information for billing to insurance companies. If I have address or insurance company changes, it's easy to go into Practice Mate to update with correct information. Practice Mate secures patient information online and is a good value for the monthly, deductible payment, which I appreciate and trust.

Cons

I can't say that there's anything that I disliked about Practice Mate. If I have questions and call customer service, technicians are helpful and work with me to help me understand more about the Practice Mate system and how to resolve an issue.

Absolutely no complaints. I love it and recommend it to others in private practice instead of using costly billing services.

Pros

I have been using practice mate for years to do my mental health practice billing! It is easy to navigate and use even for someone like me who is NOT tech savvy.

Cons

I won't lie, I like the older classic version than the newer version but that is only because I did not want to take the time to learn how to navigate the newer version. For tech savvy people this would be a really useful tool to help manage a practice.

I have been overall very happy with Practice Mate over the years. Most of the times, transactions go smoothly and accurately. Thank you!

Pros

Practice Mate is very user-friendly! If there is any confusion at all, the Customer Service Team at Office Ally clears it up, swiftly.

Cons

Sometimes the transition between screens lags, and other times an insurance claim will go through more than once. This results in claims being rejected as "Duplicates," when in fact, they were inputted only once.

My overall experience is that this is an excellent platform for billing insurance. It saves me time and offers me efficient and easy back up if there’s any insurance delay or challenge.

Pros

The learning curve is very simple. The efficiency of submitting my claims each week is phenomenal. I have great back up if there’s any question as to what was submitted. It makes billing easy and following up with my clients very easy.

Cons

Not much. The only thing I would say is that you have to be very precise clicking on some of the pieces so it can be a little tedious, but other than that, there’s nothing I can say that’s not absolutely positive

It is user friendly and most of it is intuitive and easy to navigate. the tabs across the top make it easy to where in the platform you are.

Cons

Improvements could be made to the patient balance aspect of reports and patients' accounts; sometimes it is challenging to figure that out

Fantastic. NO complaints whatsoever! Excellent product, service, value, and customer support. I am so glad I made the change from using an external billing company!

Pros

Once I learned how to utilize the software, it has been super easy and fast for setting up patients and submitting claims, as well as posting payments from patients and insurance companies. Excellent customer support. A great value!

Cons

I set it up in 2017 and recall it taking quite a bit of time to do so. I think this would be the case with any such software.

Practice mate has been a reliable, easy, and efficient way to manage my practice. It zeros in on everything that a therapist would need.

Pros

Very very easy to use and efficient. There is a minimal learning curve, but once you do learn you realize how much is available to work with.

Cons

I haven't had a negative experience thus far and I've used this for quite a few years. I think the only thing I like least about practice mate is when the password expires there's no warning and if you're somewhere and can't remember your password you're in trouble.

### "Great software for my solo private practice"

I've been using it for over 12 years. It was especially nice when I was starting out in a solo private practice as a therapist and didn't want to have to pay someone to do my billing. It's so easy to use I've continued billing on my own.

Pros

It is easy to use and if I need assistance it is easy to reach an actual person to help with questions or walk me through something new.

Cons

For a couple months there seemed to be fairly frequent connectivity problems, but that has died down.

It has been the best! The support is awesome as well. Very low wait times most of the time to speak to someone and when you email, they are prompt about getting back to you. That is very much appreciated when you are busy and don't have time to wait.

Pros

Practice mate is so user friendly. I have tried to work with others and this by far is the easiest and the fact that it is an all in one is the best.

Cons

I do still have glitch issues. Sometimes the system with create a second claim or freezes up but not often.

Cons

Inaccurate ticklers. For example, in sending in a prescription for a medicine, a pop-up advises to use caution during "infection" and the patient does not have or never did have an infection. Not necessarily a criticism, just curious why that pops up...

### "Headache free and cost effective billing!"

I have went from having a biller and some regular complications, to a simplified process doing my own billing with Practice Mate. It is easier than you think and rewarding.

Pros

Once I learned practice mate, it name quite easy to use and I have rarely had a problem that could not be fixed. Customer service has been fantastic, though I have rarely needed it. I love doing my own billing!

Cons

I was a little concerned when the rates were raised twice in a year and am hoping that they stay stable. I have gotten several others to use Practice Mate and successfully trained them on it. I am very grateful.

I’m a clinical psychologist and am so happy I found Office Ally / Practice Mate. I am able to do my own billing with minimal effort and low overhead. The few times I had questions or problems with a particular carrier, customer service was able to help me resolve and explain in great detail.

Pros

Practice Mate makes it easy to set up patient profiles and verify coverage. Submitting claims for recurring patients is a breeze and save me a lot of money.

Cons

I can’t think of any negative aspects of Practice Mate. It’s easy to use, has all the capabilities I need to submit claims and the customer service is great.

I am very satisfied with Practice Mate. I have used it since 2011 and plan to continue using it. My overall experience is great.

Pros

I really like the ease and simplicity of filing claims. It is fast and efficient and simple. Customer service has been helpful when needed too.

Cons

It can be slow sometimes, but that could be the connection on my end, not sure. Maintenance times used to be inconvenient, but that has improved.

Pros

This is a great service for medical billing and scheduling with a great value for money. Easy to use.

Cons

Not easy to use on the phone. This practice mate need to update or enhance the application on the phone usage.

Pros

The ease of use for billing and insurance claims makes me use this above all others. I like the EOB being 835 straight to my Eclipse

Cons

I like the classic look over the new format but luckily they can let you switch between the two and that helps
