## Cost breakdown

Zoho Sign’s flexible pricing structure can fit the needs of many different clients—everyone from small businesses to multinational enterprises. This multi-tiered approach allows companies to easily scale their usage of Zoho Sign as their needs evolve.

### Starting price

Zoho Sign’s **Free tier** is free of charge for a single user, who can send up to five envelopes per month. This tier is an excellent option for solopreneurs and small businesses who want to try digital signature services before making a financial commitment.

The software’s **Standard tier** costs $10 per user, per month if billed annually, or $12 per user if billed monthly. This tier allows for multiple users, who can each send up to 25 envelopes per month and have access to advanced features such as document timestamping and signer identification. As a result, this tier is a good choice for small and midsized businesses (SMBs) whose business requirements don’t fit inside the constraints of the Free plan.

Zoho Sign’s **Professional tier** costs $16 per user, per month if billed annually, or $20 per user on the monthly plan. The Professional tier lets users send an unlimited amount of envelopes, adds branding and customization, and supports multiple languages—making it ideal for larger businesses that rely heavily on electronic signatures or operate in different countries.

The software’s **Enterprise tier** costs $22 per user, per month if billed annually, and $28 per user when paying from month to month. This tier offers bulk sending and signing, compliance with regulatory frameworks, and SignForms (a self-service feature for collecting signatures from a public URL). As the name suggests, the Enterprise tier is suitable for large enterprises or businesses in certain industries that need to comply with strict data privacy and security regulations.

Zoho Sign also offers an **API-only pricing model**, which charges a flat rate of $0.50 per envelope with no extra financial cost. This tier includes all the features of the Enterprise plan, but it requires users to configure documents directly via the Zoho Sign APIs. As a result, the API pricing model is a good option for businesses with in-depth technical skills and customers whose electronic signature needs may change dramatically from month to month.

Finally, the software offers a **Custom pricing tier** for businesses that have unique requirements. Interested customers will need to contact the Zoho sales team for a quote.

In addition to subscribing to Zoho Sign as a standalone service, businesses also have access to the **Zoho One software suite**, which combines dozens of enterprise applications under one roof. Zoho One is available for $90 per user, per month (if billed annually), or at a discounted $37 per user, per month when buying licenses for every employee in an organization.

### Billing options

Zoho Sign offers both monthly and annual payment options for most of its paid tiers. Making annual payments offers discounts compared to paying monthly—between roughly 15% and 25% for each plan. The exceptions are the API pricing plan (which charges a flat fee per envelope) and the Custom plan (which doesn’t specify whether it charges a monthly or annual fee).

Each of these billing options will appeal to different customers. A monthly subscription allows for flexibility, letting businesses try the product before they sign an annual commitment or upgrade to a more expensive tier. An annual subscription is the right choice for budget-conscious businesses that are sure they’ll need the product for at least the next year. Finally, a per-envelope pricing model is good for businesses with uncertain or variable needs at different times of year.

### Feature differentiation

Comparing features will help illuminate the differences between the various Zoho Sign payment plans:

- **Number of users:** The Free plan allows for a single user only, while the other plans allow for as many users as you pay for.

- **Number of envelopes:** Free tier users can only send up to five envelopes per month. Standard tier users can send up to 25 envelopes per month, per user, while other tiers allow for unlimited envelopes.

- **Integrations:** The Free tier only allows for basic integrations with other Zoho applications. The Standard and Professional tiers provide advanced Zoho integrations and basic third-party integrations. Finally, the Enterprise tier adds advanced third-party integrations.

- **Advanced features:** The Free tier allows for signing with a USB token for a digital signature certificate (DSC). The Standard and Professional tiers add qualified timestamping, advanced electronic signatures (AES), and qualified electronic signatures (QES) via Swisscom. Finally, the Enterprise tier also includes blockchain timestamping and QES via Uanataca and InfoCert.

## What users say about Zoho Sign pricing

Our team has examined 60 verified reviews from Zoho Sign users on our website to understand their views about the software’s pricing.

In general, Zoho Sign is considered affordable and offers good value for its price, with users appreciating its cost-effectiveness, although some find it a bit expensive for high-volume use. Zoho Sign’s Free version is considered a good starting point for small-scale use and offers the ability to scale up. Users also point to extra costs for additional functionality, such as API credits and multi-user access, which some users believe should be more integrated or offered at a lower price. In addition, Zoho Sign can be very expensive for small businesses, making it less accessible for smaller companies with limited budgets.

## Total cost of ownership

When evaluating Zoho Sign for your document signature needs, it’s important to consider the total cost of ownership (TCO), including upfront costs and any additional one-off or recurring costs. Here’s a breakdown to help you understand all potential expenses:

### Upfront costs

Upfront costs are the initial expenses that you pay when buying or subscribing to software—such as software licensing, setup, customization and configuration, data migration, and onboarding and training. The Zoho Sign website says that you may need to pay additional local taxes, such as a value-added tax or a goods & services tax.

Beyond the subscription prices, Zoho Sign’s pricing page does not mention any specific upfront costs for any of the software plans. This is likely because Zoho Sign is available only as a cloud-based service, not on-premise. Because cloud software runs on the provider’s servers, customers are generally not responsible for the costs of setup or installation.

### Additional costs to consider

Thus far, we haven’t mentioned Zoho Sign credits, a significant additional cost for Zoho Sign users. These are prepaid add-ons purchased separately from the monthly software license subscription cost. Zoho Sign credits are valid until used and don’t have expiration dates.

All subscribers of Zoho Sign paid plans—whether Standard, Professional, Enterprise, API, or Custom—must purchase credits to take certain actions. Credits can only be purchased in increments of 500 at $0.10 per credit (i.e., $50 for 500 credits). In addition, Enterprise plan users receive a certain number of free credits every month, based on the amount the organization is paying for licenses.

Zoho explains that charging for credits is necessary for two reasons. First, the Zoho Sign software relies on many different third-party integrations, which cost money for Zoho to use. Charging for credits is a way to pass this cost on to the user. Second, using credits helps Zoho guard against the abuse of features and services that can be used at a high volume.

The number of credits that users spend depends on the actions that they take. For example:

- Sending a single document for signing via SMS costs 0.5 credits, i.e., $0.05.

- Sending a single document in a bulk send action costs five credits, i.e,. $0.50.

- Timestamping a single document costs two credits, i.e., $0.20.

#### Services needed to implement or manage the platform

As with other enterprise applications, Zoho Sign customers should consider the cost of technical support when evaluating the software’s pricing. Users of Zoho Sign’s Free plan have access to standard email support. Subscribers to paid plans, however, can get priority technical support via email, web, and phone. This support is included with the software’s license fee, so users don’t have to pay extra.

Beyond official support from Zoho, users can also get help from the Zoho Sign community forums and knowledge base.

#### Internal resources needed for ongoing platform management

Because Zoho Sign is a cloud-based service, users likely won’t incur many costs related to managing the platform. All responsibility for the software’s maintenance (including uptime and resolving technical problems) belongs to Zoho, not the customer.

However, organizations that are heavy users of Zoho Sign may still wish to designate a platform administrator to oversee the software. This person would be responsible for setting up and managing Zoho Sign. The role’s responsibilities could include tasks like configuring user accounts and permissions and ensuring the software is being used properly. While this is likely not a full-time job, the costs of this labor should, nevertheless, be factored into the final decision.

## How to choose the right Zoho Sign pricing plan

Here are some considerations you should keep in mind when choosing the best Zoho Sign pricing plan for your business:

_Key considerations while choosing the right Zoho Sign pricing plan_

- **Assess your business needs.** If your e-signature obligations don’t amount to more than a few documents per month, Zoho Sign’s Free plan is likely sufficient. On the other hand, if you’re constantly struggling to manage dozens or hundreds of documents that need signatures and approvals, a higher-priced plan like Professional or Enterprise is the right choice. You should also consider whether your business is under any regulatory compliance requirements, keeping in mind that these data privacy and security guarantees are only available under the Enterprise plan. By carrying out a comprehensive and honest evaluation of your team and business objectives, you’ll be much more likely to pick the right plan—which will save you money in the long run.

- **Compare the features offered in each plan.** Zoho has designed each of its pricing tiers for Zoho Sign to appeal to different customer segments, so think carefully about which one is right for you. The Free plan may be enough for infrequent e-signature needs, while the Professional and Enterprise plans let you enjoy an unlimited number of envelopes and templates. If you prefer a ‘pay as you go’ model that charges you per envelope while offering a rich set of features, the API pricing plan is for you. Finally, if none of these options seems like quite the right fit, remember that the Custom pricing model lets you mix and match features to fit your business for a bespoke quote.

- **Consider your budget.** While you should aim to find the right set of features from your Zoho Sign pricing plan, it’s also important to determine if your organization has any budgetary constraints. Since Zoho Sign is a user-friendly, cloud-based Software-as-a-Service (SaaS) offering, you likely won’t incur major additional costs for setup, installation, onboarding, or training. It can be tempting to pick the Free plan purely for the cost savings it gives you, but be aware that this comes with hard limits on what you can achieve every month. Also, if you’re expecting significant business growth in the near future, you may want to hold off on an annual plan, paying on a monthly basis until you have a better idea of where you’ll land.

## How to maximize the value of your Zoho Sign subscription

Maximizing the value of your Zoho Sign subscription involves a combination of feature utilization, team education, and strategic planning. Here are a few practical ways to get the most out of the platform:

_Ways to maximize the value of your Zoho Sign subscription_

- **Utilize all features.** To get the most bang for your buck with Zoho Sign, familiarize yourself with everything the software can do for you. For example, Zoho Sign can integrate with third-party apps from Microsoft and Google as well as cloud storage and customer relationship management (CRM) systems—saving you the tedious manual process of importing and exporting data. In addition, the tool’s SignForms feature can save you a great deal of effort by using a single public-facing URL that recipients can visit and sign, rather than bulk sending a document to each person. Make sure to review the software’s features and updates with your team regularly to ensure that you’re getting the maximum functionality out of Zoho Sign.

- **Leverage customer support and resources.** Zoho’s customer support options and resources are invaluable for helping users resolve their questions and issues with Zoho Sign. All paying customers have access to email, web, and phone support. In addition, Zoho operates a knowledge base and community forums for Zoho Sign so customers can find answers to them ost frequently asked questions. Even users of the Free tier can get help from Zoho’s support team via email, although response times may not be as fast as those for paying customers.

Additional tips:

- Make use of Zoho Sign webhooks that automatically trigger another event when a first event occurs (e.g., the recipient views or signs a document).

- Integrate Zoho Sign with other apps in the Zoho suite, such as Zoho CRM (customer relationship management) and software for sales, finance, human resources, and more to maximize operational efficiency and eliminate data silos.

- Connect your Zoho Sign workflows with third-party services such as Microsoft Teams, Outlook, Google Drive, Gmail, Dropbox, HubSpot, Zapier, and more.

- Generate custom reports and dashboards that offer at-a-glance insights into your e-signature activity, helping you make smarter, data-driven decisions.

- Use Zoho Sign’s generative AI feature to help you draft messages, summarize, and extract information from documents.

- Familiarize yourself with some of Zoho Sign’s advanced features, such as automatic field addition, payment collection, blockchain timestamping, and cloud backups.

### Features of the free plan

Zoho Sign paid customers will get the most from the software, but users of the Free plan can also see significant benefits. With the Free plan, users can create a single account and send up to five documents for signatures per month. It offers core features such as workflow automation, reminders and notifications, automatic field detection, document management, audit trails, integration with other Zoho apps, and web and mobile access.

### Customer support options

Free plan users can get help from the Zoho support team via email. For assistance via web and phone, however, Zoho Sign customers will need to sign up for a paid plan. If you have a frequently asked question or want tips and advice from other Zoho Sign users, Zoho provides a knowledge base and forums, ensuring access to an engaged community around the software.

## Is Zoho Sign right for you?

### Assessing your requirements

Deciding if Zoho Sign is the right software for you will involve assessing your requirements and comparing them to what Zoho Sign offers. Here are some key factors to consider:

- **Team size and number of users:** Consider how many people within your organization will use Zoho Sign and the number of documents they need to interact with. While the Free plan limits companies to a single user and five envelopes per month, Zoho Sign’s other plans allow for an unlimited number of users—as long as you pay for the licenses. In addition, the Standard plan limits users to sending 25 envelopes per month, but the Professional and Enterprise plans have no such restrictions.

- **Complexity of needs:** Compare the complexity of your current and future business operations with the possibilities offered by Zoho Sign’s pricing tiers. With multiple pricing options available, businesses with varying requirements can benefit from the software. Factors such as the number of documents needed, third-party integrations, custom roles and permissions, branding and personalization, multi-language support, and customer service will all affect your decision for which tier fits your needs.
- **Security requirements:** Businesses that want to use e-signatures for sensitive and confidential documents can rely on Zoho Sign’s features for data privacy and security. Paid tiers also allow users to require recipients to authenticate and/or identify themselves. In addition, users can strengthen the security of their documents by requiring an AES or QES.

- **Customizations:** Professional and Enterprise subscribers can adjust the look and feel of their envelopes by adding branding such as the company logo and address and configuring the emails they send to recipients. Zoho Sign also provides a default legal disclosure agreement that users can modify (e.g., to meet compliance requirements). For their part, recipients can also customize the signatures they use on the documents.

- **Regulatory compliance:** Businesses that are hesitant to use e-signs due to regulatory compliance issues can find reassurance with Zoho Sign. The software is compliant with e-signature frameworks such as the United States’ 21 CFR Part 11 and the European Union’s GMP Annex 11 as well as data privacy regulations like HIPAA and GDPR. In addition, Zoho Sign offers multiple e-signature solutions that are accepted as valid in different countries, including the U.S., the EU, India, Japan, Singapore, South Africa, and Switzerland.
