We can clear up one of your main issues - regarding 'review' notices. We do that already. Check your setting for Entry Aging (on the Account tab). It is currently set to 365 days, but you can set it to 270, 180, 90, or even 30 days. This causes review notices to be emailed to approvers when content expires based on that schedule. Next, edit your personal preferences and turn on 'Subscribe to Approvals'. This will include you on any review notifications that you have been designated as an approver for (based on the entry's category). You can also use search Macros to find content that is set to expire soon. Search has also recently been updated. In addition to manual searches for specific words, phrases, or whole questions, we have recently added RapidResponse into the RFP Tracking & Triage section. It recommends up to 4 approved responses for each question in your RFP, based on your currently-approved library content. AP Ashwini P. Features such as assigning SMEs, document expiry, categories, search function have all been very useful to me in creating a library that is up to date and of value to my users. I must add that the customer support has been excellent. Cons The lay out could definitely be better and I would like to be able to customize more so my users are not overwhelmed by the information available. Please also be aware that there are some configurations/customizations available based on permissions that you don't currently have access to. Also, we are always happy to receive enhancement requests. If there are specific customizations that are of interest, please submit them through our on-line Support Portal. We evaluate each request. Some are already available (but controlled by someone else in your organization). Others are not yet available but are good candidates for standard enhancements. When it's convenient for you and your team, we would like to show you RFP Triage and RapidResponse. These apply the search technology to every question in your RFP vs. the single-search method you are currently using. There may be ways help you with managing older entries too. In addition to the Entry Aging setting in effect, be aware of the search macros that show you which entries are due to expire within 5, 10, 30, or 45 days. Entry Aging is certainly a valuable feature, as knowing that your content is up-to-date is vital. I can see how basic users could get a bit lost. We'll look at simplifying (without losing functionality). In the meantime, keep in mind that the UI removes links that are not accessible based on a user's permissions. So you might consider creating limited User Roles for your basic users. This will hide from them features that you don't want them using anyway. Also, we would be happy to run an overview/refresher session for your team to make sure that everyone has what they need. TH Tony H. The company using this solution can very much customize it for how their RFP response process typically works. I used RFP Monkey in a prior role at a different company, and now am using the service once again in responding to RFPs for Pharmacy Benefit Management services. The service is also excellent and "non-salesy". If you tell Joe what you are trying to accomplish he will help you do it. It makes responding to lengthy RFPs 100% easier than using just word docs. Right in the ball park in terms of pricing and other RFP solutions as well. Our customers are in Software, Healthcare, Wealth Management, IT Services, etc. One thing that makes it work in such a range of industries is that you can change the names, meanings, and functions of most of the baked-in filters. You can also define new Knowledge Types on the fly as well as ear-mark certain entries as 'Internal Only'. No argument from us on the 'Sexiness' of the UI. We either have none or 5, 6, 7+ to respond to all with the same due date. The need for us to efficiently produce high-quality responses that differentiate our organization and our solutions from the pack is more important than ever!! RFP Monkey is easy to use tool that supports our SME's (who wear LOTS of hats!) with standard content that is easy to manage with expiration(review) dates and assigned approvers! This in combination with SO many other great features like the ability to rate entries, multi-language capabilities, RFP/project tracking tools, analytics to show win rates and reporting to show what is missing in a super easy tool to manage takes the focus away from 'just get it done' and makes RFP's about focusing on high quality, differentiated responses with less time and effort! There are more complex solutions out there, but as you have pointed out, our focus on the response (vs playbooks or PPT decks etc.) is exactly what is needed by many. As you have also pointed out in emails directly to us, RFPMonkey is not the sexiest software in the world, but it reliably does what is supposed to do: 1) be the library/repository of approved content which is easy to search and 2) record and track specific RFPs and report on their progress. Recently, due to an acquisition we were required to move to a different RFP database product. With in 3 months we wanted to come back to RFP Monkey, and we did! The site is very user friends, searchable in many ways. Also, when uploading answers, we really like that you can add them as drafts and have someone else approve answer prior to publishing. Also, the ability to categorize the answers in many different ways, products, author etc is another great feature. RFP Monkey is a great product and would recommend to many.
