I use it heavily to manage projects across marketing, merchandising, operations, and leadership follow-up. The premium features make it much more useful for real project planning, especially with timelines, Gantt-style views, and dashboards. It is simple enough for the broader team to use, but still gives me the visibility I need to track progress and risk. Pros What I like most about Microsoft Planner is that it gives me a simple way to keep projects organized across multiple teams without making it too complicated for everyone else. I use the premium version to build out project plans and Gantt charts, then share the work with regular Planner users. The dashboards are also really helpful for showing leadership where projects stand, what is at risk, and what needs attention. Cons What I like least is that Planner can be frustrating when you have already put a lot of work into a basic plan and then realize you need the premium features. There is not an easy “upgrade this plan” path, so it feels like you have to rebuild too much. It's well integrated with other M365 apps. I like the special plans for team collaboration feature, where it creates a closed space for collaborating only with invited colleagues. Free version has enough task views options for you to keep a track of your tasks timeline (grid, board, calendar and charts), as well as filters. It's well integrated with power automate, allowing you to create automations. It's very easy to figure out how it works. Cons If you want to have some advanced planning tools, like having a Gantt chart for your tasks, you need to have the paid version. Pros Planner does a fine job of covering the core functions you'd expect from a task management solution, and delivers in a way that is consistent with the rest of Microsoft 365 tools and so feels somewhat familiar and intuitive. It's useful for simple planning and delegation of tasks and provides accessibility and visibility across a team - especially if your org is already integrated with the Microsoft ecosystem, and especially where leveraging Microsoft Teams. The interface is clean, modern and responsive; a constant flow of new features demonstrates that Microsoft is clearly invested in developing Planner into a more powerful and capable planning solution. Cons My biggest issue with Planner is that it doesn't truly feel stable or truly standalone. It leans heavily into MS Teams and the web app rather than providing a dedicated app and the constant reworking of the tool over the past 2-3years (eg. blending Planner, Project and To-Do into one) has meant that a consistent experience has been neglected due to functions and layout constantly shifting and changing as more features and integrations make it into the development cycle. This ultimately leaves me constantly searching for buttons and settings that are dancing around a forever changing interface; what might look like progress on paper often leaves me feeling like I'm required to relearn the platform time and time again, usually becoming more confident and familiar just as a new release changes everything again. For this purpose alone I find Planner difficult to trust and ultimately lean towards other, free tools and solutions. The platform allows me to set goals, monitor progress, and add contributors. I can even track team outputs from task assignments. It gives me the security. I need to keep my projects private, and on schedule as it does connect with calendar. The team collaboration features within this product are amazing! I can track project progress across all my team members and use certain features to communicate with each other and getting reminders about these things via email notifications from planner. The biggest drawcard was how easy it was to use for all users, no matter their level of computer literacy, and if you are already paying for Microsoft 365, it's part of the subscription already. It is a bit basic compared to other stand-alone offerings, but when you start using Power Automate and Copilot with it, along with other Microsoft products, it quickly becomes quite a powerful product. Pros Microsoft Planner is a hidden gem, it's completely in the cloud, so you can take it anywhere and is a great tool for personal use or for businesses to keep track of things. But where it really starts to shine is with the ability to automate tasks - in conjunction with Microsoft Forms and Power Automate, you can have different teams or customers fill in a form, which then populates Planner with tasks. I have in the past used this to setup a production task creation and tracking workflow for 30+ people, and it worked seamlessly. Cons The only downside to Planner is that the completed tasks stay recorded in the completed dropdown, so with heavy use over some time, it can get clogged up and stop accepting new input. To fix this, you have to manually delete old tasks. There may be a better way to do this, but I have not found it. We share it between multiple departments, including our warehouse team, and we can see how far along they are in their processes. Cons Microsoft Planner gives an alert as soon as you are tagged in a card, even if the person creating the card tagged you and then is on there way to add the card details. this is annoying and i wish the notification would come after the card is complete. We all love the visual aspect of the data, ongoing projects, reporting, task management and the list goes on and on. Life is a lot more easier to manage and work with a team, especially when you're all doing it remotely, this came as a tool that make it easy to manager remote teams and effectively collaborate with remote teams in real time. Leveraging the Microsoft App and tools also make it easier in terms of integration where you can easily move data within the same Microsoft product offering without having to find another way to ingest the data from other sources or to other sources. Pros What I love the most about Microsoft Planner is how visually appealing it is to track any ongoing projects and basically manage our teamwork effectively. It is easier to assign and manage tasks within the team and its easier to track those tasks as well, especially in my department. It makes it easier to stay within the same family of tech stack, that way you don't have to worry about a lot of integration since you're already or might be already using Microsoft. You can easily customize the buckets for your planner and track your tasks the way you want them and the same applies for projects. Cons My main concern with Planner and what I like the least if the limitations on Workflow customization. It becomes a little challenging on this especially if you want to customize certain things for your projects's workflow which you will eventually have to find a way around, but that is my concern. Outside of this context and when more robust project management is required Planner is often too limited and leads us to look for more able tools. Pros Super simple to use and with a good range of functionality, Planner is a light project management tool that is an important part of the Office 365 suite. Tasks for part of the task engine within Office 365 through Microsoft To Do. Information and categorisation that can be recorded on a task is versatile and, when coupled with search and filters, makes keeping track of tasks easy. Cons The most frustrating aspect of Planner is the lack of a public view of the board and tasks. Only members of the team can follow progress. Planner is so closely coupled into the team membership of Office 365 that it limits its uses. Also, the lack of gantt chart functionality weakens the ability of Planner to be considered a serious project management tool. It is not as robust as Project of course, but for day to day projects and task assignment it is perfect. Not everyone can use Project, but I haven't found anyone who didn't like Planner. Pros Very easy to use, and even my less-technical stakeholders are loving it! It takes some new habits, so I've needed to remind people about using it, but once they get the reminder they seem to know what to do. It really helps keep everyone on the same page with respect to tasks. Cons I like using it to assign tasks to my team members. Problem is, there isn't a way for me to easily see what has been assigned to a particular employee across all plans. I can see my own assignments from all plans, but I can't see the same thing for my direct report. This would be very helpful in managing workloads and having 1:1 discussions. Although you can share and add people to your plans, I find it works best for managing something by yourself and sharing updates with others. Cons A feature that I felt was missing includes, not being able to set recurring tasks, only being able to track one task at a time and not being able to see who is assigned to each task. With the ability to manage the program with ease and the ability to track the productivity of the employees with said tasks and projects helps out as well.Don't hesitate to get this and try it out, I am sure you will keep using it as we have! Easy to set up and use and pretty straight-forward options and controls.The amount of control you have when making tasks and assigning them is absolutely amazing. Being able to track so much and see when stuff has been missed and not completed. Cons This is really more so when using MS Planner on your company mobile device. Sometimes it gets confusing when you have many tasks and group tasks. They get shown differently on the mobile device and this leads to some tasks being missed completely and ignored. As long as you take your time though and check all the folders and swipe to check the tabs for other tasks you should be fine. The desktop version definitely lays it out way better! The planner is perfectly fine for executing and prioritizing tasks, but when it comes to tasks that must be fulfilled by multiple people on different projects then it is true headache for any manager. The best way to overcome it is working on a single kanban style board, but it also has some sort of limitations. Pros It is simple and reliable. Scheduling is easy, prioritization is easy since one can use colour labels and customize it in any way. If the Planner is used as a kanban board by one team for one project then it is fine. Cons Progress tracking and visualization are just unacceptable. It is not possible to see who is working on what task under which project.
