### "The Most Powerful and Flexible Note Taking Tool on the Market"

December 20, 2025

5.0

As a project manager, I have used OneNote for years. I have used a variety of different tools including Keep, Evernote, Confluence, etc. Not one of them compares to OneNote. I am able to generate notes on my desktop and then access those notes on any of my mobile devices.

Pros

I have been a long-time user of OneNote. It is one of the most powerful and user friendly note taking apps available. Now it has become even more powerful with its integration with Copilot, MS Teams and Loop. OneNote can be connected to MS Teams based meetings and populated with everything captured by the MS Teams Facilitator. IT'S AWESOME!

Cons

Literally nothing. There is nothing that I dislike about OneNote, especially since it integrates across all of the Microsoft applications, including Dynamics.

These other tools have their place. Keep is awesome for tracking to-do lists and shopping lists, especially in a shared environment. For note taking, it isn't in the same ballpark. Confluence is fantastic for process documentation at the organizational level. I needed a note taking tool that I could access across devices.

### "My Favourite Tool for Staying Organised"

August 21, 2026

5.0

My overall experience with Microsoft OneNote has been very positive. It is an easy-to-use and reliable tool that has become a valuable part of my day-to-day work, particularly for managing documents, notes and information. It also offers excellent value for money, as it is included within our existing Microsoft bundle, making it a very worthwhile addition without requiring a separate investment. The collaboration features are particularly useful, allowing my team to work on shared pages, contribute information and keep everything in one place. This makes it easier to work together and improves overall productivity. Overall, OneNote is a flexible, user-friendly and practical tool that provides a lot of value as part of the Microsoft suite.

Pros

Microsoft OneNote is one of the best tools I use for document management, particularly because I have a heavily admin-focused role where keeping information organised and accessible is extremely important. I can draft and develop my work in OneNote without having to worry about losing information, as everything is automatically saved and can be filed and organised exactly how I need it. This makes it much easier to manage large amounts of information and quickly find what I need. The collaboration features are also excellent. My team can share a page and contribute our own information, allowing us to work together in real time without having to constantly send documents back and forth. This makes teamwork much more efficient and helps ensure everyone is working from the same information. Overall, OneNote has a really positive impact on my productivity. Features such as easy organisation, search, automatic saving, page sharing and the ability to add notes, images, links and other information all make it a flexible tool that fits very well into my day-to-day work.

Cons

The main area I would improve is Microsoft’s customer support. This is more of a general Microsoft issue than something specific to OneNote, as support often directs you to online help pages and guidance rather than providing the opportunity to speak directly with someone who can assist with a specific issue. This can be frustrating when you need more personalised support or are dealing with a problem that is not easily resolved through the available guidance. That said, I have experienced very few issues with OneNote itself and therefore have rarely needed to contact customer support, so this has not significantly affected my overall experience with the software.

Switched from

[Goodnotes](https://www.capterra.com/p/233930/GoodNotes/)

We made the switch because Microsoft OneNote made more sense from a value-for-money perspective, particularly as it is already included within our existing Microsoft bundle. It is also much easier to use and fits naturally into our day-to-day working processes, making it a more practical and cost-effective option for our team.

### "Convenient note taking software."

September 11, 2025

3.0

Overall I use OneNote a lot given that it comes pre-installed with the office suite and has nice integration with OneDrive. However, it is not suited to use OneNote for software documentation.

Pros

Microsoft OneNote integrates well with the rest of the Office 365 Suite so it is a good value for money. OneNote has good platform compatibility and is easy to share among the team. You can add attachment and photos to each note you type up and OneNote has great tablet support. I also like how file organization is managed within OneNote.

Cons

It is sometimes hard or downright impossible to export to a format that will retain all the information. Pdf export sometimes have areas cropped off. It is very hard to use Microsoft's equation editor and unfortunately there is no Markdown / LaTeX support.

### "Take Note of Microsoft OneNote!"

August 17, 2026

5.0

My overall experience with Microsoft OneNote has been very positive. It is easy to use, well-organized, and extremely helpful for keeping all my notes in one place. I especially appreciate being able to access my notebooks across different devices and quickly find important information. The ability to add text, images, drawings, links, and checklists makes it suitable for work, school, and personal use. Overall, OneNote has made organizing and managing information much easier, and I would definitely recommend it to anyone looking for a reliable and flexible note-taking app.

Pros

Microsoft OneNote is an excellent note-taking app that makes organizing information simple and convenient. I love how easy it is to create notebooks, sections, and pages, keeping everything neatly organized in one place. Its syncing feature lets me access my notes across devices, which is especially useful when working or studying on the go. The ability to add text, images, drawings, links, and checklists makes it incredibly versatile. Overall, OneNote is user-friendly, reliable, and packed with helpful features. I highly recommend it to anyone looking for a flexible digital note-taking solution.

Cons

One downside of Microsoft OneNote is that it can feel overwhelming for new users. With many features, menus, and customization options, it may take some time to learn where everything is and how to organize notes effectively. The interface can also feel cluttered when working with large notebooks containing many sections and pages. While OneNote is powerful and flexible, users who prefer a simple, straightforward note-taking app might find it more complicated than necessary.

### "Everyday use!"

July 27, 2026

5.0

Overall, I had a positive experience using Microsoft OneNote. It was a useful tool for organizing notes, keeping information in one place, and accessing content across multiple devices. Although there was a learning curve with some features and formatting, it proved to be an effective application for note-taking, organization, and collaboration.

Pros

What I liked most about Microsoft OneNote was how easy it was to organize notes in notebooks, sections, and pages. It allowed me to keep all of my information in one place, making it simple to find and update notes. I also liked that it synced across devices, making my notes accessible wherever I needed them.

Cons

One thing I liked least about Microsoft OneNote was that formatting could sometimes be inconsistent, especially when moving or resizing content. It could also feel cluttered when managing large notebooks, and finding certain features took some time to get used to.

Microsoft OneNote is a powerful and flexible note-taking application that’s great for students, professionals, and anyone who wants to keep information organized. Its rich features and cross-device syncing make it a valuable productivity tool, though there is a bit of a learning curve for first-time users.

Cons

What I like least: The interface can feel overwhelming for new users, especially when managing multiple notebooks. Formatting can sometimes behave inconsistently across different devices, and collaboration features aren’t always as seamless as other Microsoft apps.

### "Easy to use, great for class"

July 30, 2026

5.0

Overall it is very useful especially when taking a class or course to keep track of all the important details. My only complaint is the subscription vs. buying outright.

Pros

I like that you can pick up where you left off easily. I like that you can organize for different classes or tasks that you are doing. It is nice the features like adding pictures or drawings to the notes if needed.

Cons

Sometimes if the internet goes out I have a hard time getting my notes which is rarely. I wish there were n=more offline options. I also wish that Microsoft was not subscription based. I wish you could buy it once.

### "Simple and Useful Tool for Organizing Notes and Ideas"

May 2, 2026

4.0

Overall experience with Microsoft OneNote has been very positive. It is a simple and practical tool for taking notes, organizing ideas, and keeping everything in one place. It fits well for both personal use and work related tasks, especially when there is a need to quickly capture information. It is easy to use on a daily basis and helps stay organized without much effort. Even though there are a few minor issues like syncing delays or limited formatting options, it still remains a reliable and useful app for managing notes and improving productivity.

Pros

What I like most about Microsoft OneNote is how easy it is to capture and organize information in one place. It works like a flexible notebook where notes, images, links, and even sketches can all be added without worrying about structure too much, which makes it very practical for daily use. Ease of use is one of its strongest points. Creating and organizing sections and pages feels natural, and it does not take long to get comfortable with the layout. For team collaboration, it is useful because multiple people can work on the same notebook and see updates in real time. This makes it helpful for sharing meeting notes or project ideas without sending files back and forth. In terms of document management, it keeps everything well organized within notebooks and sections, so information is easy to find when needed. It also adds to productivity since it is simple to quickly jot down ideas and keep track of tasks without switching between different tools. Value for money is good, especially since it is included with Microsoft 365 for many users, which makes it accessible without extra cost. Customer support is available through Microsoft resources and help guides, which are usually enough for resolving common issues.

Cons

What I like least about Microsoft OneNote is that syncing can sometimes be slow or inconsistent, especially when working across multiple devices. It can take a while for updates to show up everywhere, which can be a bit frustrating. Another issue is that the organization system, while flexible, can become messy if not managed carefully. When there are many notebooks and sections, it can get harder to keep things structured and easy to find. There are also some limitations when it comes to formatting compared to more advanced word processing tools. It works well for notes, but not so much for more detailed document work. Overall, it is very useful, but these small issues can affect the experience at times.

### "New filing system!"

January 4, 2026

5.0

Once i was able to wrap my head around OneNote and to fully maximize the full functionality of the program, i haven't been able to go back to the days of not using it. There is no need for a filing system anymore as this is the digital version of that. It has allowed me to create a digital filing system of every client i have. I Love how organised it has made me feel. I highly recommend everyone give it a fair go.

Pros

I love when you use one note that it automatically saves the information you a writing. This feature alone has saved me multiple times.

Cons

I didnt like how long it took me to get used to one note and how to sort it out, i found it very difficult to begin with and questioning why this is even a necessary tool.

### "It's good but not WAY better than others."

April 1, 2026

5.0

Overall I have had good experiences with OneNote. I would recommend others use it but other note platforms are similar and work just fine.

Pros

I use one note a lot. I take a lot of notes during my day to track what I've done and what i need to do. It is easy to use, manage documents, and collaborate.

Cons

Sometimes the UI gets a little confusing. This only really happened for the first bit I was using it. If you read my other reviews this is a theme so maybe it's just me. Not really many cons besides of this.

### "Great tool but not my go-to after using it."

January 2, 2026

4.0

Very solid choice for freeform note-taking especially if you're already using other Microsoft tools. it didn’t completely replace other tools in my stack but it's definitely a nice add-on.

Pros

OneNote is incredibly flexible for capturing your thoughts, meeting notes or ideas in whatever format makes sense. Its notebook/section/page structure feels intuitive once you lock in your organization style. Also the integration with Microsoft 365 makes it handy if you already live inside that ecosystem

Cons

It's versatile but it can feel a bit loose if you prefer more structured or linear note systems. It’s easy to end up with scattered pages if you aren't disciplined enough with your organization.

Pros

### "A neat way to organise work notes"

December 6, 2025

4.0

overall i use this daily as a storage of information and organising my notes as well as key information. there could be room for improvement

Pros

A great way to categorise my notes and group them. it allows me to have multiple pages within a certain section, and easy to duplicate existing notes.

Cons

although there is some level of customisation, it would be better if there was more ability to "draw" such as tables and formatting, similar to excel, visio and power point. being able to "hide" sections or merge would be useful also.

### "OneNote Yes Onenote and its is free ;)"

April 5, 2025

5.0

OneNote is a solid, flexible note-taking tool; its adaptability makes it perfect for a variety of uses. It excels at organizing diverse information; complex data is neatly structured and easily accessible. Although frustrating sync issues pop up occasionally, creating a sense of unpredictability, the app's usefulness makes up for it.

Pros

I appreciate the freedom of the free-form layout; it encourages out-of-the-box thinking. Perfect for visually mapping ideas and note-taking, making brainstorming sessions more engaging and productive. Microsoft integration is seamless; applications work together effortlessly.

Cons

Syncing across devices is often glitchy, leading to frustrating delays and incomplete transfers. The interface feels a bit dated. Formatting options are basic and lack the robust features of other programs.

### "Best Microsoft product"

June 6, 2025

5.0

I love this product. I use it to take all of my work notes and the ability to search and create folders for each product is pivotal.

Pros

OneNote is my favorite application of the Microsoft suite. The ability to organize freely, enter dark mode, and search your notes is a complete game changer.

Cons

I really do not think there is a Con to this product. The only one might be the limitation Cloud saves when off wifi, but this is a limitation that is not really apparent since a local version is also saved.

### "Great Time Saver and Productivity tool!!"

November 10, 2025

5.0

This product makes your productivity skyrocket! You can note things as the go, or in a meeting and don't have to worry about papers getting damaged or lost in transit. Typing up your notes in the moment also saves time later, because now you don't have to transcribe anything.

Pros

I love how easy Microsoft OneNote is. I can bring my laptop with me and take notes, then share them with the team as an educational/ training document or even just for myself. No cluttered desks, it is all in one neat place.

Cons

I have had it lose some of my workbooks/notebooks before. I had to retype the whole thing and try to remember everything from that meeting. That was at least a year or two ago and haven't had any problems since.
