### "The Most Powerful and Flexible Note Taking Tool on the Market"

December 20, 2025

5.0

As a project manager, I have used OneNote for years. I have used a variety of different tools including Keep, Evernote, Confluence, etc. Not one of them compares to OneNote. I am able to generate notes on my desktop and then access those notes on any of my mobile devices.

Pros

I have been a long-time user of OneNote. It is one of the most powerful and user friendly note taking apps available. Now it has become even more powerful with its integration with Copilot, MS Teams and Loop. OneNote can be connected to MS Teams based meetings and populated with everything captured by the MS Teams Facilitator. IT'S AWESOME!

Cons

Literally nothing. There is nothing that I dislike about OneNote, especially since it integrates across all of the Microsoft applications, including Dynamics.

[Google Keep](https://www.capterra.com/p/233847/Google-Keep/)[Confluence](https://www.capterra.com/p/136446/Confluence/)[Evernote Teams](https://www.capterra.com/p/154969/Evernote-Business/)

These other tools have their place. Keep is awesome for tracking to-do lists and shopping lists, especially in a shared environment. For note taking, it isn't in the same ballpark. Confluence is fantastic for process documentation at the organizational level. I needed a note taking tool that I could access across devices.

### "My Experience with Microsoft OneNote"

December 29, 2025

5.0

Overall, my experience with Microsoft OneNote was good because it helped me keep my notes well organized, access them on different devices, and work more efficiently.

Pros

I liked that Microsoft OneNote is easy to use and very helpful for organizing notes, ideas, and documents in one place, which makes studying and working easier every day.

Cons

I liked least that Microsoft OneNote can sometimes be slow to sync and the interface may feel confusing, especially when using it for the first time.

### "New filing system!"

January 4, 2026

5.0

Once i was able to wrap my head around OneNote and to fully maximize the full functionality of the program, i haven't been able to go back to the days of not using it. There is no need for a filing system anymore as this is the digital version of that. It has allowed me to create a digital filing system of every client i have. I Love how organised it has made me feel. I highly recommend everyone give it a fair go.

Pros

I love when you use one note that it automatically saves the information you a writing. This feature alone has saved me multiple times.

Cons

I didnt like how long it took me to get used to one note and how to sort it out, i found it very difficult to begin with and questioning why this is even a necessary tool.

### "A lifesaver "

February 11, 2026

5.0

My overall experience with one note has been as positive experience since it is where all my training notes are stored. It automatically saves it.

Pros

What I love the most about Microsoft one note is the it is my go to for locating all my important information especially my notes.

Cons

The con on Microsoft one note is that it has a poor printing feature. I would like to see some improvements.

### "Flexible With Great Micosoft Integration"

September 13, 2025

4.0

Overall, OneNote is dependable toold for note taking and collaboration especially for users already in the Microsoft ecosystem.

Pros

OneNote makes it easy to organise notes, tasks, and ides in a digital notebook format. It integrates seamlessly with Microsoft 365 apps like outlook and Teams.

Cons

Search functionality is not always as powerful as it could be for large notebooks. Exporting and sharing options are limited compared to Evernote or Notion.

Alternatives considered

Reason for choosing Microsoft OneNote

OneNote was chosed because it was already part of Microsoft 365.

### "OneNote: One Note to Rule Them All"

July 7, 2025

4.0

This software has given me a lot over the years. I've created instruction notebooks, I've used it to compile tribal knowledge and support new hires, keep meeting notes, and share what I have learned and know with those I work with

Pros

Versatility - this software provides little constraint on creativity and helps bring your desired visual layout to life. Notebook organization - Having the ability to organize thoughts and tasks using the sidebar and pages features is a powerful yet simplistic way to keep things where you can go back to easily. Hyperlink capabilities - I find these tasteful for managing multipage notebooks as you can utilize it to jump to specific pages that deal with what you're after or redirect you to a resource you found that you want to revisit. Like using the "Heading" styles in Word when generating a table of contents. Microsoft Compatibility - The integration between OneNote and other Microsoft Programs like Word and Excel is definitely not something to scoff at. From converting tables to Excel sheets to OneNotes extensive file compatibility makes it nice and convenient to put and access everything in one place. Sharing Notebooks - This has been game changing as it has generated a lot of credibility for myself and appreciation from my peers to be able to share the knowledge I've generated through the years in an easy to navigate medium.

Cons

I wish there was a function that allowed you to lock items in place once you get them where you want them. Too often do you get the look of your page where you want it and start adding the meat and potato's to only accidently select a text box or picture and undo the work you did in the initial set up. The table feature would be nice to have some integrated depth like basic cell merging/splitting. I understand that you can convert the table to a spreadsheet, but it's not always the most efficient. I wish they would add the option for one additional subpage. I feel this addition would provide the perfect level for sorting/organizing.

### "OneNote holds the key to quite literally all of my notes"

August 13, 2025

5.0

I've used OneNote during all of my university courses, and at each of my jobs since. It keeps me organized, and I love that all of my notes are safely in one place, forever.

Pros

OneNote is like having a note book organized into 143897432 tabs, unlimited pages and the most detailed table of contents. It can be used for quick literally anything: class notes, group projects, to do lists.

Cons

It's honesly tough to come up with this. Sometimes when I can't get the text boxes to allign perfectly I get frustrated, but that's not even worth half of a star.

### "Microsoft's Most Under Rated App"

December 22, 2025

5.0

Overall, I need this to survive. I really do. This helps you stay organized and is basically a tech version of a notebook. It is my favorite and most used Microsoft app.

Pros

I love that it functions like a note pad. I literally use this like it is my be all end all note taking tool and I couldn't do my job without it. I love how organized I can be with it.

Cons

Sometimes I have an issue when transferring text from OneNote to an email. It will change your font and formatting. Be careful

### "Onenote - Simpel aber Top"

September 21, 2025

5.0

### "Great Flexible Organiser"

Onenote is really helpful and can be a great way to organise and keep on top of notes, planning or just brainstorming. It is perfect for both work and personal, especially study.

Pros

Onenote is a great space to organise notes in sections and pages. It has the option to add images or checklists. Perfect for organising notes and syncs across all platforms.

Cons

Formatting is a little clunkier than other applications, which can be tricky to get your head around.

### "OneNote is very helpful for tracking unformatted data"

June 23, 2025

5.0

I have been using OneNote for about 15 years. I find it very helpful for keeping track of information on dogs we are considering rescuing.

Pros

One Note is a free form database. It lets me copy and track information with both text and images. It is very helpful for tracking data which is not in a standard format.

Cons

Relatively few people use it, so I have to copy information I wish to send to others into another program (usually Word or Outlook).

### "Great product to keep notes, etc in one place. Replaces the use of old fashioned sticky notes."

November 4, 2025

5.0

Wonderful. Game changer especially when I was a Network Administrator. I swore by this program and also recommended it to co-workers.

Pros

I can save as much information as I like in one software program. Notes, important information. It is my go to software.

Cons

Sometimes having too many tabs is overwhelming. Wish I could group some by importance or relevance. Highlight the tabs I use daily.

### "Useful Product"

June 12, 2025

5.0

Overall I am happy with OneNote. It does what I would expect it to do and has been a cornerstone of my workflow for years.

Pros

I like the way I can create links inside of OneNote to other pages because it makes for a real seamless experience.

Cons

I'm not aware of very many customizable features that have been provided or that can be selected to make it more useful to each individual user.

### "Convenient note taking software."

September 11, 2025

3.0

Overall I use OneNote a lot given that it comes pre-installed with the office suite and has nice integration with OneDrive. However, it is not suited to use OneNote for software documentation.

Pros

Microsoft OneNote integrates well with the rest of the Office 365 Suite so it is a good value for money. OneNote has good platform compatibility and is easy to share among the team. You can add attachment and photos to each note you type up and OneNote has great tablet support. I also like how file organization is managed within OneNote.

Cons

It is sometimes hard or downright impossible to export to a format that will retain all the information. Pdf export sometimes have areas cropped off. It is very hard to use Microsoft's equation editor and unfortunately there is no Markdown / LaTeX support.

### "OneNote Yes Onenote and its is free ;)"

April 5, 2025

5.0

OneNote is a solid, flexible note-taking tool; its adaptability makes it perfect for a variety of uses. It excels at organizing diverse information; complex data is neatly structured and easily accessible. Although frustrating sync issues pop up occasionally, creating a sense of unpredictability, the app's usefulness makes up for it.

Pros

I appreciate the freedom of the free-form layout; it encourages out-of-the-box thinking. Perfect for visually mapping ideas and note-taking, making brainstorming sessions more engaging and productive. Microsoft integration is seamless; applications work together effortlessly.

Cons

Syncing across devices is often glitchy, leading to frustrating delays and incomplete transfers. The interface feels a bit dated. Formatting options are basic and lack the robust features of other programs.

### "Allows for quick productivity "

December 3, 2025

5.0

Microsoft's OneNote Is one of my favorite programs to keep track of daily notes, and it allows me to find processes that I saved for quicker productivity.

Pros

I like that I was able to create various pages and tabs in Microsoft's OneNote making it easy to navigate and find saved notes based on subjects.

Cons

I don’t have anything negative to say about this program so I can’t think of anything that I like least about Microsoft's OneNote.

### "A neat way to organise work notes"

December 6, 2025

4.0

overall i use this daily as a storage of information and organising my notes as well as key information. there could be room for improvement

Pros

A great way to categorise my notes and group them. it allows me to have multiple pages within a certain section, and easy to duplicate existing notes.

Cons

although there is some level of customisation, it would be better if there was more ability to "draw" such as tables and formatting, similar to excel, visio and power point. being able to "hide" sections or merge would be useful also.

### "It is great but not easy to transfer"

March 11, 2026

4.0

It is nice, and recently I have not used it a lot, but when I used to, I had a great experience and high productivity.

Pros

I like its structure, by providing clear and various separations for the information, including notebooks, sections, and pages. It has a great value for money in the free subscription, and and enable high productivity and team collaboration, through an easy and seamless process of notetaking and text editing.

Cons

It has its own file format for saving the documents, which makes it difficult to adapt when the software is not available, which might cause data loss.

### "OneNote is not just a gimmick, This is transformative"

March 28, 2025

5.0

once I figured out how to use it the way it was intended, I am using it for everything. I used to carry a couple of legal pads in my work bag. Between the notebooks on my computer and access to them from my phone, I don't need the yellow pads any more. I haven't carried one around in months.

Pros

It took me a a little while to figure out how beneficial this actually was. I started using it because I was trying to find an effective way to transfer large amounts of data between my MacBook and my work windows computer. I was building code with the help of AI on my personal and deploying it on my work laptop. Ultimately having the same workbook open on both computers allowed me instant access to the code. Once I started playing with it, I had attempt 1 attempt 2 attempt 3 etc. Sections described file pathways, another for gemini code, GPT code, Claude code etc. then I would paste each version into a sheet v1 v2 v3 etc so if my successor needs to adapt the code and make corrections, the old code and the experiments I did with the data are there, along with explanations of what I did and why, what worked and what didn't in each attempt. Since then I will be putting our standard operating procedures in a one note book. We have also started using them for staff meeting minutes, agendas, and other related materials.

Cons

Truthfully there isn't much that I didn't like about one note. I think if I had to make a suggestion for improvement it would be added features like templates for different things. But you can use templates from any product and put them in your notebook. you can even include photos and other file types.

### "Excellent note taking app"

March 18, 2025

4.0

Overall Onenote has been an excellent note taking app, it works with stylus, allows inserting of documents, shows who edited the text, and works well for education where each student gets a one note in their class team.

Pros

It is integrated with the Microsoft Office system, syncs to the cloud easily, works on a number of different OSes and devices.

Cons

the layout could be better, and it is hard to do housekeeping and clear out old notes. Would be nice to have a way of seeing old notebooks/pages. It also takes a few days to create OneNote sections for students in their class Teams.

### "To Note or Not to Note"

March 18, 2025

Wonderful platform that offers many note taking options.

Pros

Have you ever wanted to organize everything into something that looks like a binder? It offers multiple tabs, send documents straight into your notes and organize however you like! Haven't switched note taking apps since I got it.

Cons

Microsoft OneNote struggles to load sometimes when you are using it both on your computer and phone. It will create a separate tab that doesn't integrate into your current one and you have to merge the "conflict"
