### "Great sustainable alternative"

April 4, 2025

4.0

Pros

I like that this is a more sustainable approach to note taking and content creation.

Cons

I don't like that there aren't more flexible options for OneNote, like being able to make "real" notebooks within folders.

I use OneNote to keep track of processes, remember passwords, and view instructional information written by my fellow co-workers. It allows me to easily search for anything that I need and is essential for my work.

Pros

The organizational features and structure.

Cons

It seemed overly difficult to allow another user to access your notes.

### "OneNote works well"

September 9, 2024

4.0

Use for my own internal note taking on projects and tasks. Project use as a quick way to take meeting minutes that can be copied over from week to week to maintain the structure and some of the content.

Pros

Easy note taking with a lot of organizational options within notebooks (sections/pages etc). Formatting can be applied to call out information easily and its a little easier to start note taking than with a full processor like Word.

Cons

Juggling multiple notebooks can be challenging and have had issues going from the desktop application and the web applications as syncs do not always happen quickly between the versions.

### "OneNote: The Only Anti-Minimalist Note-Taking App That Works"

September 4, 2024

4.0

For me, Obsidian feels a bit too complex, and MS Notepad far too basic. OneNote strikes the right balance between the two. I don't consider myself a hardcore note-taker, but I do need a space to get ideas out of my head. I appreciate the freedom of its canvas and the ability to drop things in as messily as they come to me—quickly and efficiently. Then, when the storm of ideas calms, I can sort through what’s important and structure everything accordingly.

Pros

Old habits die hard. Even though there are numerous new note-taking apps available—and some of them are really good—I still find myself sticking with OneNote to capture my thoughts and ideas. Despite the allure of new, shiny apps, I always find it hard to switch. OneNote remains my daily driver for note-taking, so I let it be.What I like most about Microsoft OneNote is its ability to handle all sorts of media—text, images, links, and more—and how it manages thumbnails and backlinks. While this isn't unique or groundbreaking by today’s standards, it was back when I first started using it, and it's been working beautifully for me ever since.

Cons

search functionality, while decent, isn't as powerful as I'd like. Finding specific content can be slow, especially in larger notebooks, and it doesn't always surface relevant results as efficiently as other apps. For someone juggling multiple projects or ideas, this can slow down productivity.

### "Everyone needs to use it! "

September 3, 2024

4.0

Overall OneNote is a great tool to use for project management. I use this almost every day for tracking my team’s tasks, projects and to-dos, and I love that you can easily integrate it with other Microsoft tools like Excel/Word/Teams etc . I have recommended it to multiple colleagues even for organizing the workload and tasks of external partners and consultants, and it’s working great!

Pros

This is a very easy to use and versatile tool. It’s very intuitive to use, you can incorporate easily different elements like text/images/drawings etc, and you can link everything back to microsoft office or Teams amazingly!

Cons

Some more advanced tools for organization could be useful. I am missing the tagging option for the files I am collaborating with people from my company.

Alternatives considered

Reason for choosing Microsoft OneNote

Easier to use and integrate, more options and structure

### "Highly Recommend"

August 28, 2024

5.0

I really very positive experience with OneNote. I utilize mine to house the most important information related to my day to day duties, terminology, contacts, projects, and processes. I love the tab and sub tab capabilities and color coding options.

Pros

I love that I can take and organize my notes digitally without the fear of losing any information. I also like how OneNote is getting more and more integrated with other applications, for example our newest AI component, Copilot. I love that I can import emails to save to my OneNote or create a table in one note and export it to excel. The application is very user friendly, easy to navogate and customize to my liking.

Cons

There isn’t much I don’t like. I supposed when I want to format documentation, that can be a little difficult sometimes. However, OneNote is not really made for this so I typically utilize PowerPoint or word to format content (depending on what’s being generated) and then I import it into OneNote.

Switched from

[Microsoft Word](https://www.capterra.com/p/227146/Microsoft-Word/)

OneNote’s organizational capabilities far exceed Microsoft Word. Where previously I would create documents with my notes and organize them into different file folders, with OneNote I am able to have all of my information readily available without searching through folders and files on my desktop. The information always autosaves which is great and there is no retention limit.

### "Easy to use but too little features"

October 27, 2024

3.0

It's a great tool for taking quick daily notes about your projects or during meetings. It doesn't have lots of features that other note-taking softwares have but at the same time it's extremely easy to use.

Pros

It's extremely easy to use and intuitive, almost everyone has it already installed. You don't need any tutorials to start creating your notes.

Cons

Copying and pasting can get irritating as OneNote automatically adds the source. Notes can also easily get really messy and it's hard to avoid it with limited features it has

### "OneNote - Helpful in staying organised"

September 3, 2024

Very good experience, I use OneNote everyday to help me in my current role and I plan to keep on doing so for the foreseeable future.

Pros

It's more secure than using a physical notepad, very easy to navigate and use. I like to feel organised in my day-to-day work and OneNote helps me to do this. It can be really helpful sharing notes with colleagues, many of whom also use OneNote.

Cons

The search functionality within OneNote can be limited, making it harder to find specific notes or content quickly.

### "Great note-taking / sharing product"

November 7, 2024

5.0

I’m quite satisfied with OneNote. I think OneNote is one of the product that is efficient to review what I studied before and taking notes.

Pros

I liked the ease of taking notes and sharing to others. OneNote is a note-taking product which can get the best efficiency between teachers and students. If a teacher write something like a task or information, all the students have to do is open the category they are learning and look what teachers wrote for them. It is so easy to share things and I was impressed by this.

Cons

The only thing I thought is that I am limited using my hand to write. I am still able to use my hand, but the function is very restricted.
