### "The Most Powerful and Flexible Note Taking Tool on the Market"

December 20, 2025

5.0

As a project manager, I have used OneNote for years. I have used a variety of different tools including Keep, Evernote, Confluence, etc. Not one of them compares to OneNote. I am able to generate notes on my desktop and then access those notes on any of my mobile devices.

Pros

I have been a long-time user of OneNote. It is one of the most powerful and user friendly note taking apps available. Now it has become even more powerful with its integration with Copilot, MS Teams and Loop. OneNote can be connected to MS Teams based meetings and populated with everything captured by the MS Teams Facilitator. IT'S AWESOME!

Cons

Literally nothing. There is nothing that I dislike about OneNote, especially since it integrates across all of the Microsoft applications, including Dynamics.

These other tools have their place. Keep is awesome for tracking to-do lists and shopping lists, especially in a shared environment. For note taking, it isn't in the same ballpark. Confluence is fantastic for process documentation at the organizational level. I needed a note taking tool that I could access across devices.

### "A flexible solution - strong syncing, flexible noting and 365 integration"

April 18, 2026

4.0

it serves as a strong option for flexible, low friction information capture and organisation. it works particularly well for mixed media, collaboration and for environment already embedded in 365/Microsoft.

Pros

A strong app for free-form notes; allowing mixed-media notes (i.e handwritten input, sketches, images and clips etc). Being part of the 365 ecosystem is supports strong collaboration and integration with other MS tools, and provides easy organising through notebooks; sections; pages; tags and more.

Cons

It doesnt feel as well-structured as other dedicated note or KB tools, which could pose a problem i9f seeking explicitly defined databases, rigid workflows or formal information architecture. It is perhaps not the best choice for users seeking strong control over xync behaviour or advanced document formatting, and is stronger as a note capture tool rather than a process, document management and presentation platform.

Reason for choosing Microsoft OneNote

Microsoft have provided too many products with similar functionality so it's ultimately a bit of a gamble between what others recommend and making a choice in that respect- here, planner and Notion came ahead

### "If you stay on top of it it can be really useful!"

April 21, 2026

3.0

I can see how for people that really get to grips with it that it can be a really useful tool for notes and planning. If you use it for everything and keep everything in once place it makes staying organized much easier.

Pros

It's a good option for keeping everything organized in one place. It’s really easy to jot down notes, add images, and keep things sorted into sections kind of like a Pinterest board.

Cons

It can feel a bit messy and out of control if you don’t stay organized, and syncing between different devices isn’t always up to date. It also takes a little time to get used to how everything is laid out as I don't think it's always obvious.

### "Useful piece of software for students and workers"

March 9, 2026

4.0

Overall very helpful software and you get used to the interface with continued use and practice. It is more beneficial to have my notes stored here and add new notes rather than keeping everything in handwritten notebooks.

Pros

It's a great product and it's like using a digital white board. I can use it for note taking, drawing diagrams and syncing across platforms. I can share notebooks, search for work within them and integrate AI products.

Cons

Sometimes can be slow to sync across devices and performance can be slow with large files. Sometimes has printing issues

### "Simple and Useful Tool for Organizing Notes and Ideas"

May 2, 2026

4.0

Overall experience with Microsoft OneNote has been very positive. It is a simple and practical tool for taking notes, organizing ideas, and keeping everything in one place. It fits well for both personal use and work related tasks, especially when there is a need to quickly capture information. It is easy to use on a daily basis and helps stay organized without much effort. Even though there are a few minor issues like syncing delays or limited formatting options, it still remains a reliable and useful app for managing notes and improving productivity.

Pros

What I like most about Microsoft OneNote is how easy it is to capture and organize information in one place. It works like a flexible notebook where notes, images, links, and even sketches can all be added without worrying about structure too much, which makes it very practical for daily use. Ease of use is one of its strongest points. Creating and organizing sections and pages feels natural, and it does not take long to get comfortable with the layout. For team collaboration, it is useful because multiple people can work on the same notebook and see updates in real time. This makes it helpful for sharing meeting notes or project ideas without sending files back and forth. In terms of document management, it keeps everything well organized within notebooks and sections, so information is easy to find when needed. It also adds to productivity since it is simple to quickly jot down ideas and keep track of tasks without switching between different tools. Value for money is good, especially since it is included with Microsoft 365 for many users, which makes it accessible without extra cost. Customer support is available through Microsoft resources and help guides, which are usually enough for resolving common issues.

Cons

What I like least about Microsoft OneNote is that syncing can sometimes be slow or inconsistent, especially when working across multiple devices. It can take a while for updates to show up everywhere, which can be a bit frustrating. Another issue is that the organization system, while flexible, can become messy if not managed carefully. When there are many notebooks and sections, it can get harder to keep things structured and easy to find. There are also some limitations when it comes to formatting compared to more advanced word processing tools. It works well for notes, but not so much for more detailed document work. Overall, it is very useful, but these small issues can affect the experience at times.

### "A flexible tool for team collaboration "

April 30, 2026

5.0

Overall Microsoft One Note is considered very good for our company usage. Great for team collaboration. The real time collab is great. Works great with our other Microsoft environment. Easy to use for all employes.

Pros

The top pro I like most about OneNote is the Organization, the notebooks > Sections > Pages structure makes it easy to keep things clean, especially for work projects or personal tracking. Another one is the syncing across multiple devices from PC, phone, and tablet using your Microsoft account. Being able to collaborate with teams is also great making all notes on one notebook a breeze.

Cons

Formatting gets a bit frustrating sometimes when copying form websites or making list can be a bit messy.

### "Great for notes"

June 1, 2026

5.0

Overall a solid note-taking tool that I use regularly. However, I may gradually transition to Microsoft Loop as it evolves and offers a more modern, integrated experience.

Pros

Very easy to use with a clean layout. Great for quick note-taking, organizing thoughts, and syncing across devices. Perfect for capturing ideas on the go.

Cons

Noticeable UX inconsistency between the 2016 version and newer versions, which can be confusing. Some features feel fragmented or missing depending on the platform used.

### "All-in-One Note Taking Application"

June 8, 2026

5.0

I use OneNote constantly throughout the day. It's beneficial while I'm in meetings and also helps me with project planning.

Pros

Microsoft OneNote is the perfect note taking app. It allows me to take notes while in meetings and also helps me stay organized while being able to separate notes from each other and create several different workbooks for my notes. I also like the ability to share/upload notes via OneDrive.

Cons

There always seems to be an issue with syncing from my Windows laptop to my iPhone or iPad. The sync issue never seems to resolve itself and causes problems accessing newly created documents.

Pros

The search feature of Microsoft OneNote is very good when I need to fine something I wrote months ago. I take notes on my computer and I can check them on my phone or ant other device. I love that OneNote let me organize information as I want, it is very flexible.

Cons

The interface can sometimes feel cluttered, when managing a lot of notebooks and sections. Sometimes syncing took longer.

### "The best way to have all your thoughts in one place."

May 24, 2026

5.0

I have used it for many years and created many books to capture everything from client overviews to writing ideas.

Pros

I love the way that OneNote allows you to structure all of your thoughts or the content on any given project or topic.

Cons

When I first started to use OneNote, it takes a little while to get used to the way a copy block can float on the page and move around. Once you get used to it, you realize how helpful this approach is.

### "Powerful Tool OneNote"

December 19, 2025

5.0

I have used one note for several years after giving up the paper notebook and it's been great. I think the software is well worth the money and I have not needed customer support due to the fact of it's ease of learning.

Pros

I find OneNote a great tool for notetaking, organization and collaboration with my team. It is very easy to use but allows everyone to find different tools to make their notes work for them.

Cons

I would like it to have more tagging features to allow me to search for notes falling in certain subjects that I need to find quickly. Although the search tool is very powerful to use.

My overall experience with one note has been as positive experience since it is where all my training notes are stored. It automatically saves it.

Pros

Cons

The con on Microsoft one note is that it has a poor printing feature. I would like to see some improvements.

### "OneNote holds the key to quite literally all of my notes"

August 13, 2025

5.0

I've used OneNote during all of my university courses, and at each of my jobs since. It keeps me organized, and I love that all of my notes are safely in one place, forever.

Pros

OneNote is like having a note book organized into 143897432 tabs, unlimited pages and the most detailed table of contents. It can be used for quick literally anything: class notes, group projects, to do lists.

Cons

It's honesly tough to come up with this. Sometimes when I can't get the text boxes to allign perfectly I get frustrated, but that's not even worth half of a star.

### "Great tool but not my go-to after using it."

January 2, 2026

4.0

Very solid choice for freeform note-taking especially if you're already using other Microsoft tools. it didn’t completely replace other tools in my stack but it's definitely a nice add-on.

Pros

OneNote is incredibly flexible for capturing your thoughts, meeting notes or ideas in whatever format makes sense. Its notebook/section/page structure feels intuitive once you lock in your organization style. Also the integration with Microsoft 365 makes it handy if you already live inside that ecosystem

Cons

It's versatile but it can feel a bit loose if you prefer more structured or linear note systems. It’s easy to end up with scattered pages if you aren't disciplined enough with your organization.

Pros

Cons

### "OneNote is not just a gimmick, This is transformative"

March 28, 2025

5.0

once I figured out how to use it the way it was intended, I am using it for everything. I used to carry a couple of legal pads in my work bag. Between the notebooks on my computer and access to them from my phone, I don't need the yellow pads any more. I haven't carried one around in months.

Pros

It took me a a little while to figure out how beneficial this actually was. I started using it because I was trying to find an effective way to transfer large amounts of data between my MacBook and my work windows computer. I was building code with the help of AI on my personal and deploying it on my work laptop. Ultimately having the same workbook open on both computers allowed me instant access to the code. Once I started playing with it, I had attempt 1 attempt 2 attempt 3 etc. Sections described file pathways, another for gemini code, GPT code, Claude code etc. then I would paste each version into a sheet v1 v2 v3 etc so if my successor needs to adapt the code and make corrections, the old code and the experiments I did with the data are there, along with explanations of what I did and why, what worked and what didn't in each attempt. Since then I will be putting our standard operating procedures in a one note book. We have also started using them for staff meeting minutes, agendas, and other related materials.

Cons

Truthfully there isn't much that I didn't like about one note. I think if I had to make a suggestion for improvement it would be added features like templates for different things. But you can use templates from any product and put them in your notebook. you can even include photos and other file types.

### "To Note or Not to Note"

March 18, 2025

Wonderful platform that offers many note taking options.

Pros

Have you ever wanted to organize everything into something that looks like a binder? It offers multiple tabs, send documents straight into your notes and organize however you like! Haven't switched note taking apps since I got it.

Cons

Microsoft OneNote struggles to load sometimes when you are using it both on your computer and phone. It will create a separate tab that doesn't integrate into your current one and you have to merge the "conflict"

### "Best Microsoft product"

June 6, 2025

I love this product. I use it to take all of my work notes and the ability to search and create folders for each product is pivotal.

Pros

OneNote is my favorite application of the Microsoft suite. The ability to organize freely, enter dark mode, and search your notes is a complete game changer.

Cons

I really do not think there is a Con to this product. The only one might be the limitation Cloud saves when off wifi, but this is a limitation that is not really apparent since a local version is also saved.

### "Easily stay organized with Microsoft OneNote!!"

June 16, 2025

5.0

I absolutely love it to easily keep track of the most important parts of projects! Like the particulars of who, what, where, when and anything else of importance! I've used it when I worked in Higher Education and now IT and it's amazing!!

Pros

OneNote is an AMAZING way to keep track of information! I love that you can literally search a person's name, even if you don't remember which project they were on and it'll show you every note that you including their name on!

Cons

Sometimes it can be easily to overwrite a note, when multiple people have access to the note and that can be tragic in some instances and is not easy to undo.

July 5, 2025

I am signaling the end of a whole lot of miscommunication with my field team since we can all look at and edit the same notes in real time even with pictures, or with mark up on the note.

Pros

I can quickly scribble site notes, client notes or a quick sketch from my phone or tablet. Tell us about a great app syncing across devices has been a lifesaver when moving from office to job sites.

Cons

If you don’t use it carefully, the notebook structure can get messy fast it does not nudge you into structure in the way Google Docs does.
