Overall, I believe has made us stronger as a company, and I look forward to the continued evolution of the platform. It’s already transformed how we operate—and the future looks even more promising.

Pros

I personally advocated for our company to switch to , largely due to the powerful Action Items feature—and it has absolutely delivered. The ability to automate so many tasks has been a game-changer. Property management is a fast-paced, often chaotic field, and having a system that can automatically take steps to keep things progressing has been incredibly valuable. We've implemented numerous new Action Items that have significantly reduced the workload in our office, and the impact has been tremendous.

Cons

As much as I love and the improvements it’s brought to our operations, it’s still a relatively new system and there are a few areas where I see room for growth. One key improvement would be receiving real-time notifications when an email fails to send through the system. Currently, it's easy to miss those issues unless you're actively checking. Additionally, I’d love to see enhancements to the email search functionality. With the increasing legal requirements around data retention and communication tracking, being able to easily locate specific emails sent to owners is more important than ever. These refinements would take an already great platform to the next level.

### "Software has the potential to be great"

We loved them from the very beginning, but as of late it seems as though they have lost focus on customer support and maintaining the integrity of the everyday systems. They now focus on the latest and greatest items but oftentimes the basic system is broken. We share feedback constantly and have meetings with leadership to address items and they are never addressed.

Pros

The platform is great and has great features to be a single software for community management. The software allows users of all experience levels to use it flawlessly.

Cons

Customer support is non-existent. It takes extended periods of time to get responses to issues, even recurring ones. Many items are not even answered and many emails go without any response at all. Our assigned customer success manager has changed numerous times in the last year, so as soon as everyone is on the same page and items are resolved; we get a new manager assigned to us. Additionally, the cost of services just keeps increasing while the service level continues to decrease.

The seamless integration from our prior software to was a game changer! It made the transition so much easier.

Cons

There is A LOT to do up front to get things set up. We also ran into a lot of issues having to customize certain features as they applied to our state and our processes

Customer support is the single most atrocious system I have ever interacted with. From gaslighting, to blaming everything on user error, to jumping the gun, to giving false information, to not reading through the entire support thread, to not listening to any explanations, to long response times - the list goes on.

Pros

When it works correctly, it makes the work easier. The idea surrounding the suite is great, but I'm not sure if they are innovating compared to the rest of the industry.

Cons

The amount of bugs that pop up on a day to day basis, or the amount of old bugs yet to be fixed while keeps adding new features is frustrating. Fix the current issues first.

Very happy with it- great for record keeping. The platform also helps keep everything centralized, whether that be accounting, real estate, legal, client services. We can always see if there is movement on an account, and what phase/status its at.

Pros

Customizability for specific action items/the option to build our own. This allows us to serve each individual association/client to meet their specific needs that don't always apply to other associations.

Cons

I think the biggest compliant I see is individuals asking to keep multiple individuals on the same email chain. We can email all them at once, but on ALL client ends, they always think that other individuals that were included on the original email chain have been dropped off. Like it appears were are emailing just one person and that the message isn't being sent to everyone when it actually is. Group messaging.

Overall I've gotten used to it and I know where to look for things. But I wouldn't consider my overall experience with to be 5 stars.

Pros

Generally speaking it is easy to use and mostly intuitive. The reports are easy to use and it's nice that they are created automatically.

Cons

While much of it is intuitive, there are some things that are not and despite having used it for 2.5 years I am still struggling to figure out. Sending/attaching pictures within an action item is something that is often easier to just be done via email.

If I would ever leave this job and go to another job I would not want to work in any other system then . I really apricate how Vantaca listens to us and uses our ideas to improve Vantaca.

Pros

I have worked in other systems, make doing your day to day work convenient to use. You can do your workflow in one screen verse having to have 3 tabs open to do one workflow.

Cons

Improvements on the AP side is still needed to make it flow better. Pay needs to improve the turn around time. Waiting 2 - 3 days for something to post is hard at month end, it crosses over in months.

’s pretty awesome. Keeps everything in one spot, handles the boring stuff for you and the reports make life way easier!!! Took a little time to get the hang of it, but now it’s smooth sailing. Makes managing a community way less stressful.

Pros

is super handy as it handles a lot of the boring, repetitive stuff automatically, which saves time. The accounting side is easy to use and you can see reports in real time. Homeowners and board members get their own portals, so everyone’s on the same page. You can tweak it to fit your needs and the mobile access is really convenient. Honestly, it just makes running things way less stressful and keeps everything organized.

Cons

The only tricky part about is that there’s a lot to learn at first, but honestly, that just means it’s really powerful once you get the hang of it. The system has so many features that it might feel overwhelming at the start, but once you know your way around, it makes managing everything so much easier.

I think the software is very intuitive and easy to explain to new colleagues and board members, I have recommended it to others in the past as a workable and reliable program

All items/tickets are easy to search for and navigate, whether they are open or closed. I can see if someone has received (and read!) my messages.

Cons

Occasional delays in sending mailed items to the printing queue, where the letter will generate as an attachment to the XN, but not go to the print queue until several hours later.

is such an amazing tool in the property management business. From accounting to management, everything is all in one. Board members & Homeowners are able to see certain things depending on what you want them to see. Initial training is so good! Vantaca spends as much time as is needed to get you set up & running. The more I learn, the easier my work life becomes.

Pros

Time saving program!! Through Action Items, all of your management tasks can be set up once & then they're there for future use. Support is AMAZING! Through a group of Super-users in your company, an problem can be quickly solved & the Library is another tool where one can look up topics.

Cons

There are some reports missing that I'd like to see or reports in a different format. Treatment of special assessments could use some tweaking

I use everyday. So it is an active software program that I have learned to love and get familiar with. I am so grateful to have vantaca and the future integrations that have come with time. Our company made the transition to Vantaca in 2019. At first it did feel very overwhelming and there wasnt as much help then as there is now. Now there are self-help videos and tutorials and more user-friendly interfaces. Also, if you do run into any issues, it is very easy to get in contact with support, and they are great about working fast and keeping us updated with progress and updates with communication.

Pros

We moved from TOPS to and are so glad we did. The number of notes, automatic time stamping, reports able to be displayed, timeliness of ability to respond and the amount of work we are able to do inside the system is awesome! This is helpful to put all your community information in one spot, have live automatic updates. We just added Vantaca Pay and that is a great feature. We did have a hickup on the first payments which was a nightmare but Vantaca and the bank issued a statement for us to send to those who did the ACH payments. It wasnt a great start for this new feature for us but the rapid updates Vantaca has done for us has been amazing. Anytime we have an enhancement request they work on it to be potentially added in the next round of updates. Everything is so seamless and smooth when working inside the portal.

Cons

Sometimes the step process can be a little repetitious however it ensures everything is stepped properly and in the right sequence. This also sometimes gives you the option to check your work before you finalize it. Also, when receiving images, they have to be uploaded there is not a way yet at this time to see some inserted images it isn't compatible with all devices. So, most images have to be physically attached to be reviewed. Which requires more email work for us assistants.

Overall, our experience has been positive with . There have been some bumps in the road. It was a huge benefit to us when we spent 4 days with \[sensitive content hidden\] at the Vantaca office.

Pros

The possibilities of what can do for your management company are endless. It provides tracking of different issues with owners, ARC, violations, maintenance request, communications along with the Board communications. It provides accountability so management can review to ensure things are being handles properly instead of documentation being scattered across multiple platforms. I believe the integration with HOAi and HOAi Voice will transform our company for the like nothing else has in the past.

Cons

The implementation process is struggle because there is so much to learn and some many areas to set up.

My overall experience has been a good one. I know that there is still alot that I need to learn in but so far experience has been good.

Pros

The pros are it tracks everything in one spot on the homeowners. I love being able to see if a homeowner has read an email. One other thing I would like t see happen is being able to forward a homeowners email to the board in when there is a dispute.

Cons

I am not a fan of the new mobile app. I wish that the violations showed different colors for the violations that have been monitored. That would be very helpful.

### "Once You Learn It, You'll Love It!"

Again, the setup was the most challenging part of my experience with it. But once we got the hang of where things were located and how certain data was tied to other fields and templates, we were good to go.

Pros

It has everything in one place—accounting, compliance, maintenance requests, document storage, and more. They are constantly coming out with new features as well. It makes managing multiple communities so much easier.

Cons

There’s definitely a learning curve at the beginning, mostly with the setup, but once you get used to how it works, you won't remember life before . :) The best part is how customizable it is—you can make it fit your management company’s workflow and each Association’s specific needs. It takes a little effort up front, but the payoff is huge.

I'm still a fan but wish they would take more feedback by people in the field working an using this software daily as we know what works and what doesn't work.

Pros

This is a very user friendly system. Our Boards find it an easy system to use and the love all of the access they have.

Cons

They make changes without warning and then you have to hunt and find and it's embarrassing when you are looking for something simple like a phone number and it no longer dislays on the owner' home page. is missing a critical item which is recurring work orders. I have put in enhancement requests but never sure the anyone actually does something with the suggestions. Also changed the mobile app making it harder for our maintenance men to find their work orders. Making changes that make our job more difficult will never go over well.

Over, I love . I believe it is in the beginning of something amazing and has the potential to develop into a master program for residential Associations. Keep asking these questions and getting feedback. There is a lot of value that can be gathered form the end user.

Pros

I like that I can find everything I need in one location. It took me a little time to learn how to navigate, but now that I use it daily, I'm extremely comfortable.

Cons

I would like to be able to see an action item at all stages. Maybe that's available and I just don't know. When creating an action item, I'm sometime confused on which action item to select. Perhaps there could be a drop down when you hover over the action item to explain it's purpose. I would like for to integrate with other systems. We need to streamline our systems and make it user friendly.

It is a great improvement over the old app in terms of speed of inspections, needs a few bug fixes to be fantastic and a huge improvement.

Pros

The offline mode is great while inspecting in communities with poor reception. Everything seems more streamlined, and I like that you can view the image/attachments history. Downloading the community ahead of time helps to speed inspections up as well. It is also very easy to learn if you have already used the older app, which is a huge plus.

Cons

There are a few nitpicks, but overall it has been great. The cure dates do not populate when creating a violations, so it is one extra step needed in order to create each violation, which adds extra time. Also, the login screen will lock you out and does not go away if you try to access a community that is not in your portfolio. You have to delete the app and reinstall to download again.

Cons

multiple ways to do the same task. Makes it hard to train with multiple ways to do the same task. Multiples clicks for a easy task sometimes. Close feature should be in the hamburger menu.

information access is so easy and at your fingertips. It is great to be able to look up and see a copy of an invoice without digging thru files

Cons

customer support takes too long and at times the answer given does not seem satisfactory to some of our team members
